BoldBellowsAcuity Scheduling to Google Sheets automation for front desks and owners

Acuity Scheduling to Google Sheets automation that keeps today's run sheet clean and every change in a ledger with the paid amounts beside it, so the front desk and the owner use the same data

Acuity Scheduling to Google Sheets automation gives a front desk the list it needs and an owner the record it wants. An Acuity appointment carries a price, a paid flag, an amount paid, a certificate and a confirmation link, but the notification names only IDs, and a webhook is switched off after five days of failures. BoldBellows files the appointment ID with the action as the replay key, fetches the appointment from the API to read the fields the notification leaves out, then fetches the appointment, appends each change to a ledger, keeps one current row per appointment, and rebuilds the run sheet from the current rows.

Chapter 01 the morning-rebuild problem

A day sheet rebuilt by hand every morning is out of date by ten o'clock

The front desk copies today's appointments into a sheet each morning. By ten, three have moved and one has cancelled. The owner wants to know how much was actually paid last month, which means exporting and joining payment fields by hand. A sheet that only appends grows into a pile; one that only overwrites forgets the cancellation. When Acuity switches the webhook off after five days of failures, the sheet stops updating without a word.

The day sheet was rebuilt by hand every morning.

  • Repeats are not recognised
  • The day sheet is rebuilt by hand
  • A disabled webhook silently stops the sheet

Chapter 02 How it works

How an Acuity event becomes a ledger row, a current row and a run sheet

Judgement comes before writing, and the search comes before creating, for this Acuity Scheduling to Google Sheets route.

Fig. 3. Reading the range back settles a write whose answer was lost.

Read, record, decide

Account, resource and time are captured from the Acuity Scheduling event, and the appointment event is tested against the trigger.

Check, fetch, append

After the signature passes the appointment is pulled for price and payment, and the action and ID are searched in the ledger before a row is appended.

Update, rebuild, reconcile

The current row is updated only if the event is newer, the run sheet is rebuilt from today's rows, and a scheduled read compares the account with the sheet.

What we know about Acuity Scheduling and Google Sheets

  • Retries only on server errors: Acuity retries with exponential backoff over 24 hours, but only after a 500 reply or a failed connection, so a 4xx answer is never retried and the route must never use one by mistake.
  • Appends find the table: The Sheets API append method writes below the last row of the logical table in the range it is given, which is why the ledger holds only changes.
  • Unclear outcomes: They are settled by reading Google Sheets on a current-state row keyed by Acuity appointment ID, with a payment and change ledger keyed by action and appointment; a guess is never written.

Chapter 04 Who this fits

Designed for pet groomers and vets taking bookings through Acuity Scheduling and for the people who give the front desk a run sheet for today and the owner a ledger for the year

Acuity runs the bookings and the payments; a sheet gives the desk and the owner the same truth in the form they like best.

Front desk lead

"Give me today, as it is now."

The run sheet always shows today's appointments in order.

Owner

"What did we actually collect?"

Paid amounts and certificates sit beside every visit in the ledger.

Sheet owner

"Don't let anyone break the match."

The appointment ID column is protected and formulas stay clear of it.

Bookkeeper

"Reconcile takings to bookings."

Every payment is a dated row you can total.

Agency owner

"One workbook per client."

Each client's account writes to its own workbook.

Founder

"I check this on my phone."

In the Acuity Scheduling to Google Sheets route, one clean tab stays readable on a small screen.

Chapter 05 The options

A daily printout and zaps versus a run-sheet and ledger workbook

Each can add a row. Only one keeps today's list and the year's record apart.

Out-of-sequence updates

The route keeps the latest confirmed state for each record and refuses to let an earlier event replace it.

An appointment is cancelled after it appeared on the run sheet

The row is marked cancelled and drops off the run sheet, the cancellation is added to the ledger, and the earlier history is kept. A lookup by a current-state row keyed by Acuity appointment ID, with a payment and change ledger keyed by action and appointment gives one of four verdicts, and each verdict has its own prepared response. The decision to create follows the search, never precedes it.

The route is only as reliable as a current-state row keyed by Acuity appointment ID, with a payment and change ledger keyed by action and appointment, which is why it is designed first and tested hardest.

Chapter 06 The process

The six steps that end in a sheet the desk can trust

You see something concrete at every one of the six steps.

  1. About 30 minutes

    Choose the events

We pick which Acuity events earn a ledger row, which update an appointment row and which are left out.

  2. Access review

    Approve access

We connect to the Acuity Scheduling data in scope and to Google Sheets, and agree the identifiers the route will store.

  3. Most of the project

    Agree tabs and columns

Tab layout, column types, the protected key and the sharing rules are written down and signed off, for this Acuity Scheduling to Google Sheets route.

  4. Before you review

    Check the failure paths

In the Acuity Scheduling to Google Sheets route, we confirm that a duplicate, a stale event and a denied request each end in the right outcome in a test Google Sheets.

  5. Handover day

    Launch with notes

Handover closes the project: a live route, a checkpoint to prove it, and documentation to run it.

  6. About 30 minutes

    Keep an eye on it

After go-live the route is watched for drift, permission changes and unusual volumes.

Nothing is added to Acuity Scheduling or Google Sheets themselves. The route connects at the documented edges and stays there.

Scoped, revocable access

Connections are restricted to the objects on the approved list.

Masked where needed

Values that should not be visible downstream are dropped or masked first, with the decision written into the handover.

Uncertainty is investigated

Minimal logging

Only technical identifiers reach the run history.

Full handover

The finished route and its explanation are delivered together.

Chapter 11 Questions

Acuity Scheduling and Google Sheets: questions from front desks and owners

The essentials in question-and-answer form, with room for your own in the quote request.

PriceTimeAccessHandover?Every question, answered
Should we just use an Acuity Scheduling to Google Sheets Zapier recipe?

You can get a row appended on every event from a no-code recipe. Such a recipe will not keep today's appointments as a clean run sheet, every change in a ledger, and the paid amounts beside them. Filling those gaps is most of the job.

How do I get a daily run sheet from Acuity?

The route keeps one current row per appointment and rebuilds a run sheet tab from today's rows, so it changes as appointments move or cancel.

Why keep a ledger as well?

The ledger holds every change with price and paid state, so you can answer what happened last month without overwriting anything.

Does a repeated delivery add a row?

No. The action and appointment ID are searched in the ledger first, so a repeat is recognised and nothing is added.

What if Acuity disables the webhook?

After five days of failures Acuity switches it off. The route checks its state on a schedule, recreates it and reads the account to fill the gap.

Can I load appointments from before the sheet?

Yes. Existing appointments are read in checkpointed pages and written with the same key as live events.

Can sheet edits change Acuity?

No. The route only receives from Acuity, so a stray edit cannot change an appointment.

What does the mapping document contain?

A signed-off Acuity Scheduling Google Sheets field mapping service output is required before we write to Google Sheets.

Can the route branch on region, value or stage in the Acuity Scheduling to Google Sheets route?

Yes. Your rules decide what moves, so the route becomes a custom Acuity Scheduling workflow for Google Sheets. An Acuity Scheduling Google Sheets integration consultant's advice comes with it, from $415.

Will I be told if something stops working on the Acuity Scheduling to Google Sheets route?

Dependencies are listed at handover. A breaking change pauses just the part it touches and alerts your owner, and post-review fixes are quoted separately.
