BoldBellowsDocument assembly for firms whose templates are good but whose copying is risky

Law firm document assembly automation from your own templates, with a lawyer reviewing every draft

Electronic signatures are widely used for engagement letters and many other papers, yet certain documents such as wills have their own execution rules, so a firm has to say which documents may go through an e-signature step before any route sends one. BoldBellows records the matter, the template and the version of the template before a merge field is filled, fills only fields that exist in the matter, leaves any gap visibly blank for a person and puts every finished draft in front of a lawyer before it goes out, then builds the route around your templates: the lawyer or paralegal picks a template for a matter, the route merges client names, addresses, dates, fees and party details from the matter record, a field with no data is left visibly blank and listed instead of being guessed, the draft is named by your convention and saved in the matter, a reviewer is notified, tracked changes are cleared and metadata checked before anything goes outside the firm, and an approved document is sent for signature only if its type is on your signing list. Templates themselves are changed by people you name.

Chapter 01 the copy-and-edit problem

A document copied from the last matter carries the last client along with it

Lawyers have always reused documents, and the favorite mistake is the old name left in paragraph nine. Templates help, but a template that someone retypes still invites errors, versions drift, and the folder holds three letters with the same name. Documents also carry hidden baggage in the form of tracked changes, comments and author details. When firms look at generating text with a model, a further risk appears: a model-written clause that looks right but was never reviewed. Document work is where care pays off most.

The old client's name never showed up in a new letter again, and honestly that was worth the project by itself.

  • Every event is written as it arrives
  • A new document starts as a copy of an old one
  • A file leaves the firm carrying tracked changes

After

  • Each write is keyed on the matter and template reference
  • Every document starts from the current template and the matter's own data
  • Files are reviewed, cleaned and filed in the matter by convention

Chapter 02 How it works

How a template becomes a reviewed document in the right folder

A change is admitted, identified, matched and written, always in that order.

Receive and qualify

The notification is authenticated, stamped with account, resource and time, then checked against the admission rule.

Choose, merge, flag

A template is chosen, matter data is merged and any gap is flagged for a person.

Review, sign, file

A lawyer approves, signature is requested where allowed and the final is filed.

How Law Firm behaves, and what that means for document automation

  • Some documents have signing rules: Electronic signatures are widely used for engagement letters and many other papers, yet certain documents such as wills have their own execution rules, so the firm lists which documents may go through e-signature.
  • A gap is better than a guess: A missing value is shown in the draft and in a list for the paralegal, because a wrong name is worse than a blank.
  • If a reply is lost: The route reads Matter Documents through the matter and template reference to learn whether the write landed, then acts on the answer.

Chapter 05 The options

Three ways to connect Law Firm and Matter Documents: a folder of old documents that people copy and edit, hoping they remembered every name, a zap, or a document route that fills your templates from matter data, blocks gaps and waits for lawyer review

Each can fill in a name. Only one uses your templates, shows what is missing and holds the draft for a lawyer.

A late notice follows a newer update

The timestamp on the incoming Law Firm event is checked first; a stale one is recorded and closed instead of rolling the draft back.

A template field has no matching data in the matter record

The draft is created with that spot highlighted, the paralegal is shown the list of gaps and the review request is not sent until the list is empty. The route looks for the draft through the matter and template reference, compares it with the intended values and records a verdict: absent, correct, different or unclear.

Start the Law Firm to Matter Documents build with the matter and template reference; the rest of the route leans on it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Law Firm to Document Automation route.

A focused production route for one Law Firm environment and one Document Automation destination, delivering law firm document assembly automation that fills your own templates from matter data, shows gaps instead of guessing, routes drafts to a lawyer and files the final in the matter with identity and failure controls from day one.

  • One approved Law Firm event family and business-state admission rule within the Law Firm Document service.
  • One authorized account, workspace, organization, or base boundary within the Law Firm Document service.
  • One Law Firm Document object contract with field and relationship mapping
  • Stable matching through firm plus prospect, client, matter, document, conflict query, consultation, invoice, call, or message ID and source identity paired with the authoritative law firm document record, conversation, transaction, document, or decision identifier

  • Up to four approved routing or state-transition branches within the Law Firm Document service.
  • Existing-record resolution and one bounded historical checkpoint within the Law Firm Document service.
  • Lookup-before-replay protection for uncertain writes

Chapter 06 The process

Six steps from copying old files to documents drafted from the matter

From the first brief to the first month live, six steps with clear outputs.

  1. About 30 minutes

    Collect the templates in use

We gather the templates your firm uses, note which are current and see how documents get from draft to filed.

  2. Access review

    Approve access

You grant narrow rights in Law Firm and the connected tools, and we settle which identifiers connect each record to its result.

  3. Most of the project

Lock the fields and review gates

Merge fields, naming rules, review steps, which types may be e-signed and who may change a template are written out and approved first.

  4. Before you review

    Break it on purpose

We replay events, delay them, remove fields and revoke access in a safe Matter Documents copy before anything goes live.

  5. Handover day

    Launch with notes

Production begins at a boundary you have agreed, with a PDF covering the rules, owners and repair steps.

  6. About 30 minutes

    Review after launch

Once real events flow, the opening weeks are checked against the evidence log so early surprises are caught and recorded.

Chapter 07 Turnaround

Delivery windows by package

We count delivery from the point Law Firm is reachable, not from the day of order.

Foundation

6 to 10 business days

Operations

10 to 16 business days

Assurance

16 to 24 business days

Chapter 08 Getting started

What to gather before day one

A named Law Firm administrator who can approve the connection

Your templates in a document tool the route can read, the matter data that fills them and a named owner who approves changes to templates

An authorized Law Firm connection for the resources named in scope

Your definition of which matter events should reach Matter Documents

Permission to run tests against a copy of Matter Documents

Your expected volume, so limits and pacing can be set

Chapter 09 Trust

Nothing is installed in Law Firm or Matter Documents, only mapped data moves

Access to Law Firm is cut to the document automation work, and each write goes to a named place rather than to wherever the data could fit.

Read-only Law Firm to Documents access: your data stays yoursA sealed envelope marked private and yours to open, with a read-only stamp.PrivateYOURS TO OPENREAD-ONLY

Nothing installed inside either tool

The route talks to Law Firm and Matter Documents only through documented endpoints, so neither needs a plugin, a patch or a hidden setting.

Scoped, revocable access

Credentials are limited to the agreed scope, and withdrawing them stops the route at once.

Only what the map allows

A written field map decides what crosses. Anything not on it, including private notes and billing data, is left behind.

Search before you write again

After any uncertain result the route looks for the draft using the matter and template reference; only a proven absence allows a new one.

Minimal logging

Operational history is limited to IDs, timestamps and outcomes.

Full handover

You leave with the mapping, the settings and a plain-language guide.

"A firm's templates are its accumulated judgment, so the build uses them as written and keeps a lawyer between the draft and the client."

Chapter 11 Questions

Document assembly: what attorneys and paralegals ask

These are the queries we hear most, with straight replies.

Do I need to be there? No. You send one short brief. Then you review a finished result.Search any question
Is a one-step connector enough for Law Firm document automation?

When routine documents drafted from your own templates with the right names and dates is all that is wanted, a connector can manage that. It cannot show missing data, route the draft to a lawyer or know which documents may be e-signed. Those gaps are the reason this build exists.

Does it write legal text?

No, it fills your templates; any wording in a template was written and approved by your firm.

What if data is missing?

The spot stays blank, is highlighted and is listed for a person to fill.

Who reviews the draft?

The attorney you assign for the matter type, before anything goes out.

Which documents can be e-signed?

Those on the list your firm approves; others are routed for another signing method.

Does it clean metadata?

It clears tracked changes and checks author details and comments before a document leaves.

How are templates changed?

Only by the people you name, and each change creates a new version.

Will there be a written map for Law Firm document automation?

Yes, and it comes first: a plain field map for Law Firm document automation that you approve before a single rule is configured.

Is document automation adjustable to the way our team works?

Yes. If document automation depends on your policy, we build the policy in. Prices open at $2,070.

How are Law Firm API changes handled?

Upstream changes are caught at the point of use: the step pauses, the reason is recorded, and your owner is notified. Repair work is quoted outside the review window.
