A therapist, tutor or consultant sends the same personal meeting link to every client. A client who kept last week's link can walk in on the next session, and nobody has set a waiting room. Meetings created with defaults have no passcode. A cancelled appointment leaves its room open, and an automation that retries can create two rooms, with the client holding a link the host never opens.

An appointment changes from in-person to virtual after it was booked
A room is created for it, the join details are sent, the change is logged, and the register keeps one meeting for the booking. Before anything is created the route looks up the saved Zoom ID and compares it with the payload. A fresh meeting is made only when the lookup finds none.
