BigCommerce to QuickBooks, reconciled by channel and by gateway

Our BigCommerce to QuickBooks service posts every order, refund and tax line into balanced entries, split by storefront channel where it helps, and matched against your payment gateway's own settlement batches. BigCommerce doesn't hold funds itself, so we reconcile against whichever processor actually pays you.

Chapter 01The reconciliation problem

One lump settlement, and no obvious way back to the orders inside it

BigCommerce doesn't process your payments. Your gateway does, and it pays out in batches that net off dozens of orders, fees and refunds at once. Matching that batch back to individual orders by hand is where the month-end pain starts.

The deposit showed up as a single lump sum. Figuring out which forty orders made it up took me an entire afternoon.

A line most BigCommerce sellers have heard themselves say

Duplicate entries

"Our Zap posts a new line for every retry." A connector that can't tell a webhook retry from a new event doubles up entries until someone catches it.

Refunds that don't net off

A refund three weeks after the sale rarely finds its way back to the original invoice, so revenue looks higher than it really was that month.

Channels lumped together

Wholesale and retail revenue land in the same account, so there is no honest way to see which channel is actually carrying the business.

Before

  • Hours spent matching one payout to dozens of orders
  • Refunds that never quite net off against the sale
  • Every channel's revenue landing in one account
  • A close that only one person knows how to finish

After

  • Every settlement matched to its orders and fees automatically
  • Refunds netted against the original invoice, the day they happen
  • Revenue tagged by channel, so each one stands on its own
  • A clearing account that lands at zero, every time

Chapter 02How it works

How we connect BigCommerce to QuickBooks, in plain English

Three parts, one direction. Your store and your gateway stay exactly as they are. We read from both, shape the entries and post them, then double-check on a schedule.

Store & gateway Orders, refunds and settlement batches Read-only access The sync we build Shapes entries, tags the channel, matches the batch Balanced entries Your QuickBooks Sales, tax, refunds, classes, clearing accounts Store & gateway Orders, refunds, settlement batches Read-only access The sync we build Shapes entries, tags channels, matches batches Balanced entries Your QuickBooks Sales, tax, refunds, classes, clearing
Fig. 3. Data only ever travels one way: out of BigCommerce and your gateway, into your books.

Your store: read-only

The API account you set up carries read-only permissions on Orders, Products and Customers, full visibility, with no path to touching an order, a product, or a price.

Careful first, fast second

A BigCommerce webhook only ever carries an id, never the order itself, so every posting run reads the full record back from the API before it touches QuickBooks. A scheduled re-check catches anything a webhook missed.

Your books: built to reconcile

Orders post as balanced entries with tax and shipping split out. Gateway settlements land in a clearing account that should reach zero once every batch is matched. If it doesn't, that is exactly what needs chasing.

Chapter 03The ledger

What lands in QuickBooks, and the accounts it builds

Every entry is shaped for the person reconciling it. The accounts you get depend on your package, and every mapping can be adjusted during your rounds of changes.

Chapter 04Who this fits

Built for the people who close the books

Sound like your own month-end? A properly built BigCommerce QuickBooks integration is what hands that time back.

Founders and owners

Open QuickBooks and see the real margin by channel, without waiting on a bookkeeper's monthly catch-up.

Bookkeepers

A clearing account that lands at zero every time, instead of an afternoon spent matching a lump payout by hand.

Wholesale and B2B teams

Company-account orders post as proper invoices with real terms, not sales receipts pretending to be one.

Multi-channel sellers

Retail, wholesale and a marketplace, each with its own class, finally add up to one honest set of books.

Chapter 05The options

Four ways to get BigCommerce into QuickBooks, side by side

Every option below can post something to QuickBooks. The difference shows up at month-end, once a payout needs matching and a channel needs its own number.

Four paths into QuickBooks, laid out side by side: manual entry, Zapier, a connector app, this build
Question Manual entry Zapier or Make Generic connector app BoldBellows build
Matches gateway payouts By hand, order by order Not built for settlement matching Sometimes, for one named gateway Yes, any gateway you use
Channel-level accounting Everything in one account No native class support Depends on the app Every channel tagged on posting
B2B invoices with terms Possible, entry by entry Everything posts the same way Usually sales receipts only Invoices with your actual terms
Cost as you grow Free, but hours every month Each entry uses a task, so bills rise with sales Around $30 to $300 a month, every month One-off price from $795
Full order history Slow, one order at a time Only new events going forward Sometimes, on a higher tier Backfilled from day one
Where it lives Your own QuickBooks Your books, run by their service Inside their app's own logic Your own QuickBooks, your API account

A note on generic connector apps. Most are built around one payment gateway's payout format. Run a different processor, or more than one, and the settlement matching quietly stops working. We build the match around your actual gateway, not an assumed one.

InterludeA close that finishes itself

You did not start a store to reconcile a payout by hand

A short questionnaire on your package of choice is all it takes to land on a firm price and a realistic timeline. Packages take about 7 to 19 working days, and you can pay to go faster.

The three packages differ by how many channels post separately and how far the reconciliation reaches, from a clean ledger to a fully matched close.

Every order posts as a balanced entry, tax and shipping broken out correctly.

  • Orders posted to QuickBooks with tax and shipping split into their own lines
  • Refunds and partial refunds matched back to the original order
  • De-duplication on order id, so a retried webhook never posts twice
  • A scheduled re-check on real cron that catches anything a webhook missed
  • Your own read-only BigCommerce API account, never a shared public app
  • Premium handover notes (PDF) covering every account and mapping rule
  • Two rounds of changes once you see real entries post

Retail, wholesale and marketplace revenue posted separately, so each channel's numbers stand on their own.

  • Everything in the Clean Ledger package
  • Revenue tagged by QuickBooks class or location, one per storefront channel
  • Customers synced with their BigCommerce order history attached
  • B2B Edition wholesale orders posted as invoices with your payment terms
  • Full order history brought in from day one, not just recent orders
  • Premium handover notes (PDF) covering the full channel and account map
  • Three rounds of changes once it is running

Gateway settlements matched to the orders that made them up, down to the last fee.

  • Everything in the Multi-Channel Books package
  • Your payment gateway's settlement batches matched to their orders and fees
  • A clearing account that lands at zero once every batch is reconciled
  • Multiple gateways handled together if you run more than one
  • Sales tax posted by jurisdiction, ready for a clean filing
  • Batched, rate-limit-safe posting that never chokes on a busy sale day
  • Premium handover notes (PDF) covering every account, class and reconciliation rule
  • Four rounds of changes once it is running

Several BigCommerce stores feeding one set of books, a QuickBooks Desktop migration, or a chart of accounts none of the packages above name. Tell us how your business is structured and we will price it for your build.

How many storefront channels post revenue separately?Required

Each extra channel is another class or location to map, so retail, wholesale and marketplace numbers never blur together.

How should gateway settlements be handled?Required

BigCommerce doesn't hold funds itself, so this decides how deep the match against your payment processor goes.

How should orders be recorded in QuickBooks?Required

A card-paid retail order and a net-30 wholesale order need different QuickBooks document types.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Each one begins switched off. Turn on what your business needs, watch the total, switch it back off.

Chapter 06The process

From a short brief to books that reconcile themselves

Six steps carry the whole build. Your side of it adds up to about an hour, split across the project, and it opens with roughly ten minutes to hand over access. We handle everything after that, with every stage visible to you along the way.

  1. About 30 minutes

Brief: how is your business structured?

A short online brief. You tell us your channels, your gateway and how you invoice wholesale. We agree the chart of accounts.

  2. About 15 minutes

    You give read-only access

A read-only API account on the BigCommerce side is what links to QuickBooks, guided by a screenshot-by-screenshot walkthrough at every click.

  3. Most of the project

We build the sync and the mappings

We connect the store and your gateway, bring in your history, and build the posting rules, classes and clearing accounts.

  4. Before you see it

    We check every entry

Sales, tax, refunds and a real settlement batch are checked against your own reports before you ever see a posted entry.

  5. Two to four rounds

    You review, we adjust

You watch real orders post for a few days and tell us what to change. Account names, class mapping, invoice terms: that is what the rounds are for.

  6. Handover day

    Handover, and it keeps posting

Premium handover notes as a PDF, covering every account and mapping, and books that keep reconciling themselves after we're gone.

What we need from you: about an hour, no accounting jargon required

  • Enough store access to set up a read-only API key (or add us as staff instead)
  • QuickBooks admin access, so we can connect and map your chart of accounts
  • Your payment gateway's dashboard login, read-only if it offers one
  • Your current chart of accounts, so the new entries feel familiar

Chapter 07Trust

Read access only, and the books stay yours

Financial data is the heart of your business. We treat access to it the way we would want ours treated: as little as needed, for as long as needed, and easy to take back.

CustomerTotal A. Patel$84.00 Wholesale Co.$212.00 S. Okafor$56.00 L. Chen$140.00 Read-only

Read-only API account

Orders, refunds and customer records are visible to it. Editing a price, a product listing or an order is simply not possible through this key.

Customer data, your call

Full names, initials only, or company names alone: you decide what a QuickBooks entry shows.

Named people only

Whoever gets access to the QuickBooks connection, you name them individually; there's no shared login or generic account involved.

Remove access any time

Pull the API key or unlink QuickBooks on your end, and our visibility into the store stops right then. Nothing else to cancel.

No copies kept

The sync reads an order, posts the entry and moves on. We don't keep copies of your financial data on our servers.

Yours, with no subscription

The mappings, the classes and the reconciliation logic live in your own QuickBooks, with no recurring charge attached to any of it.

"We build every set of books by hand, and we don't hand it over until the clearing account reads zero."

Chapter 09Questions

BigCommerce to QuickBooks questions, answered

The things owners and bookkeepers ask us most before they start. Anything not covered here, drop it into your quote request.

A connector app does this for $30 a month. Why pay for a build?

Most connector apps assume one payment gateway and one storefront channel. Run a second gateway, add a wholesale channel, or need invoices instead of receipts, and the app's assumptions start breaking. We build the mapping around your actual setup, check it against real orders, and you pay once.

We use a gateway other than Stripe or PayPal. Does this still work?

Yes. BigCommerce doesn't process payments itself, so the reconciliation step is built around whichever gateway actually pays you, not a single assumed processor. Tell us your gateway in the brief and we build the match to it.

With no native QuickBooks connector, how does data actually get there?

BigCommerce webhooks fire on order and refund events, but they only ever carry a resource id, never the order itself. Every posting run reads the full order back from the REST API before it touches QuickBooks, so the entry that lands is always accurate.

Can you keep our channels separate in the books?

Yes, that is what the Multi-Channel Books and Full Reconciliation packages are built for. Every order carries its channel id, so revenue posts tagged by class or location, and you can pull a P&L per channel without separate books.

We run a B2B Edition storefront. Can wholesale orders post as invoices?

Yes. Company-account orders can post as QuickBooks invoices carrying your actual payment terms, while standard retail orders post as sales receipts, decided automatically per order.

What about the orders we took before this build started?

Not a problem. There's no rolling-window cap on BigCommerce's Orders API, so older entries post in monthly batches to keep the books balanced while they load, as far back as you'd like.

What happens if BigCommerce, our gateway or QuickBooks changes their API?

Same-day flagging in the sync health log catches a failed run, and for 90 days after handover, the optional aftercare package means any API-driven breakage is patched at no cost to you.

Does the price you quote cover ongoing use too?

Yes, it's a one-time build cost with nothing further owed to us. The mappings run inside your own QuickBooks account and the API key sits on your BigCommerce store, indefinitely and without a subscription.
