BoldBellowsDone-for-you BigCommerce fulfilment boards

BigCommerce to Trello, every order a card that moves itself

Our BigCommerce to Trello service opens a card for every order the moment it's placed, complete with a packing checklist, channel label and due date, then moves it across your board as its status changes. Sell across Multi-Storefront, and retail and wholesale each get their own swimlane starting with the first card.

Chapter 01The typed-card problem

A board is only as useful as what gets onto it

Most BigCommerce sellers on Trello type each card by hand while checking a second tab for order details. The board looks organised. Getting it that way is the actual job.

We had three orders on the board with the wrong total because someone mistyped the card while it was busy.

A complaint plenty of BigCommerce sellers will know well

Every card typed by hand

A busy morning means cards fall behind, get skipped, or land with the wrong item count copied over.

Nobody moves the card on time

A card sits in "New" long after the order shipped, because moving it depended on someone remembering to.

Wholesale orders lost in the mix

A six-item wholesale order looks identical to a single retail sale, so nobody prioritises it correctly.

Before

Fig. 2a. A half-typed card, and a checklist that never got built.

After

New orders #8102 · Priya S. 2 items · $214.00 retail Packing checklist 2 of 2 items
Fig. 2b. A card that fills itself in, with a checklist ready before anyone touches it.

Before

  • Every card typed by hand from a second tab
  • Cards that never move once the order ships
  • No checklist, so item counts get missed
  • Wholesale and retail orders mixed on one list

After

  • Every order opens a fully filled-in card automatically
  • Cards move lists as the order's status changes
  • A packing checklist built from the real line items
  • Channel labels or a swimlane keep wholesale apart

Chapter 02How it works

The BigCommerce-to-Trello connection, explained simply

Three parts, one direction. Nothing changes on the store side of the connection. We read from it, shape what we find into cards, checklists and labels, and let your board do the rest.

Your BigCommerce store Orders, refunds, stock Read-only access The sync we build Shapes cards, checklists and labels Real-time cards Your Trello Lists, labels, Butler rules
Fig. 3. A one-way street: BigCommerce out, Trello in, never the reverse.

Your store: read-only

The API account is scoped to read-only on Orders, Customers and Products, nothing further. Full visibility where it matters, zero ability to alter anything.

Accuracy comes before speed, always

A thin webhook by itself never writes or moves a card; the full API read comes first every time, so no card ever opens on incomplete data.

Your Trello: built to work from

Cards land on the list your team already watches, with the checklist and label your workflow expects.

Chapter 03What reaches Trello

Every card built to be worked from, not just read

Never a bare title. Each card carries the fields your team actually needs to act, and lands on the list that fits. Board Starter covers order cards; Multi-List Workflow adds movement and checklists; Fulfilment Command Board adds refunds, stock and Butler rules.

Order cards

One card per order, with number, customer, total and channel filled in.

Every package

Packing checklists

Every line item as its own checklist row, ready to tick off while picking.

From Multi-List Workflow

Stage-moving cards

A card slides from New to Picking to Shipped as your store's status updates.

From Multi-List Workflow

Channel labels

A colour label per storefront channel, filterable in one click across the board.

From Multi-List Workflow

Refund cards

A refund or cancellation links back to the original card instead of vanishing.

Fulfilment Command Board

Low-stock cards

A card opens on its own list the moment a variant drops under its reorder point.

Fulfilment Command Board

B2B swimlane

Wholesale orders kept in their own row, price list terms noted on the card.

Fulfilment Command Board

Sync health

A run log for every sync, so a card that never opened can be traced back to its cause.

Every package

Chapter 04Who this fits

Built for the teams who run fulfilment from a board

If any of these sounds like your mornings, a proper BigCommerce Trello integration will give your board the cards it deserves.

Warehouse and packing teams

A checklist waiting on every card instead of a spreadsheet open in another tab.

D2C and wholesale sellers

A swimlane that keeps a six-item wholesale order from blending into retail.

Founders and owners

One glance at the board tells you what's stuck, without asking anyone.

Multi-channel brands

Retail, wholesale and marketplace orders, each landing exactly where they belong.

Chapter 05The options

Four ways to get BigCommerce onto a Trello board, side by side

Every option below can get an order onto a card. The difference shows the first time a card needs to move itself, or a checklist needs to be right.

Manual card entry stacked up against Zapier, a generic connector, and this BigCommerce-to-Trello build
Question Manual card entry Zapier or Make Generic connector app BoldBellows build
Every order becomes a card Only what someone remembers New orders only, per task Varies by app Every order, checked and de-duplicated
Cards move on their own Only when someone drags it No native stage tracking Rarely Cards move as status changes
Checklists built from real items Retyped from another tab No native checklist mapping Sometimes Built from your actual line items
Cost as you grow Free, but hours every week Every card move burns another task Roughly $20 to $200 monthly One-off, from $475
Where it lives Your Trello Your account, their platform Inside their app Your own Trello workspace

A note on Trello's own Power-Ups. There's no official BigCommerce Power-Up, which is why most teams cobble one together in Zapier, and that cobbled-together setup buckles once checklists, labels and stage movement all need to work on the same card at once.

Build your BigCommerce to Trello price

Pick a package, answer four short questions about your board, your lists and your channels, and your price and go-live date move as you choose.

Choose your packageRequired

The three packages differ by how many lists your board has and how much detail lands on each card.

Every order opens a card on one list, kept current and never duplicated.

  • A Trello card opened for every new order
  • Order number, total, items and channel in the card description
  • De-duplication on order id, so a retried webhook never doubles a card
  • A scheduled re-check on real cron that catches anything a webhook missed
  • Your own read-only BigCommerce API account, never a shared public app
  • Premium handover notes (PDF) covering every card field and rule
  • Two rounds of changes once you see real cards land

Cards move across lists automatically as an order's status changes.

  • Everything in the Board Starter package
  • A list per fulfilment stage, with cards moving as status changes
  • Packing checklists auto-added to every card, item by item
  • Colour labels per storefront channel, so retail and wholesale stay apart
  • Due dates set from your shipping SLA, visible right on the card
  • Premium handover notes (PDF) covering the full board structure
  • Three rounds of changes once it is running

Refunds, low stock and Butler automations layered onto a full command board.

  • Everything in the Multi-List Workflow package
  • Refund and cancellation cards linked back to the original order card
  • A low-stock card opened automatically on a list your team watches
  • A dedicated swimlane or board for B2B Edition wholesale orders
  • Butler automation rules built for you, matched to your workflow
  • Multiple BigCommerce stores feeding one board if needed
  • Premium handover notes (PDF) covering every list, label and rule
  • Four rounds of changes once it is running

Several BigCommerce stores feeding one board, a board structure built around your own fulfilment stages, or Butler rules beyond what the packages above name. Tell us how your team works and we will price it for your build.

Which BigCommerce events should open a card?Required

The more events you switch on, the more of the V2/V3 API surface we read and turn into cards.

How should the board be structured?Required

A Multi-Storefront setup can share one board with a channel label or split into its own swimlane.

How much detail should each card carry?Required

BigCommerce webhooks arrive thin, so every card detail level calls back into the API for the full record before it writes anything.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your board needs, watch the total, switch it back off.

Chapter 06The process

From a short brief to a board that runs itself

Six steps, most of them ours to carry. Your own time comes to roughly an hour altogether, and the first ask is a fifteen-minute stretch to grant access.

  1. About 30 minutes

Brief: how does your board work today?

A short online brief. You show us your existing board, or tell us the lists and labels you want built.

  2. About 15 minutes

    You give read-only access

A read-only BigCommerce API key is what links to Trello, following the walkthrough we hand you for each step.

  3. Most of the project

We build the lists, cards and rules

Your open orders load in as cards, live orders start opening automatically, and stage movement builds on top.

  4. Before you review

Every card gets verified against BigCommerce

Before a card ever reaches you, its item counts, totals and channel labels get checked against the real order.

  5. Two to four rounds

    You review, we adjust

Watch real cards open and move for a few days. Ask for a different label set or a new Butler rule.

  6. Handover day

    Handover, and it keeps moving

A polished PDF covers every list and rule we built, and the board keeps working on its own well after we step back.

What this needs from you, and none of it is technical

  • A store login, just long enough to create a read-only API key
  • Admin rights on the Trello workspace holding the board
  • A look at your current board, if one already exists, to build from
  • A list of the lists, labels and rules you want built new

Chapter 07Trust

Locked to read-only, and entirely yours

Customer names and order details matter more than any board layout ever will. We handle that access exactly as carefully as we'd want our own handled.

CardItems P•••• S.2 items O•••• H.1 item L•••• D.3 items Read-only

Read-only API account

The key can see order and customer records and nothing more. There's no path from it to editing an order, a product or a price.

Customer data, your call

Full names, initials only, or order numbers alone: you decide what a card shows.

Named people only

Access to the Trello connection goes to the specific people you name, nobody else by default.

Remove access any time

Disconnect Trello or revoke the key, and our view into your store stops immediately, not on some later cycle.

No copies kept

Order data passes straight from BigCommerce onto your board. None of it sits on a server of ours afterward.

Yours, with no subscription

Every card, list and Butler rule sits inside your own Trello workspace, running with no ongoing fee tied to it.

"Every card and every rule is built by hand here, and none of it lands on your board until it's proven against a real order."

Chapter 09Questions

BigCommerce to Trello questions, answered

Here's what comes up most before a board goes live. Anything we've missed, add it to your quote request.

Are you setting up the whole board, or just the link between the two?

The full board. Wiring the API together is the easy afternoon; designing the lists, labels, checklists and Butler rules around your actual workflow, then proving it against real orders, is the rest of the project.

Can a card really move between lists on its own?

Yes. As your order's status changes in BigCommerce, the sync moves its card to the matching list automatically, so nobody has to remember to drag it.

Can you bring in orders that are already in progress?

Yes. The backfill extra opens a card for every order still awaiting fulfilment, so your board starts complete rather than only catching orders from launch day forward.

Couldn't Zapier handle the BigCommerce-Trello link instead?

Zapier can create a card, but has no native way to move it between lists, build a checklist from real line items, or apply channel labels together on one card. Every one of those updates burns a task too, so the bill grows right alongside your order count.

We run Multi-Storefront. Can Trello tell our channels apart?

Yes. Every order carries its channel id, so cards can carry a colour label, or wholesale orders can sit in their own dedicated swimlane, your choice.

Can Butler rules fire from these cards?

Yes. Once cards are opening reliably, we can build Butler rules on top, from due-date reminders to automatic card moves when a checklist completes.

How exposed is our customer information in all this?

Barely, by design. The API key is read-only, so nothing about an order, product or price can be changed through it, and no copy of your data lives on our end once the board is handed over.

Does this come with a recurring cost once it's live?

No ongoing charge from us. It's a one-off build, and everything runs inside your own Trello workspace from that point forward.
