BoldBellowsCandidate onboarding automation for agencies and employers whose starts depend on a long email chain

Candidate onboarding automation that turns an accepted offer into dated tasks with owners and keeps them moving until day one

Onboarding begins when an offer is accepted and covers paperwork, equipment, accounts and a first-day plan, so tasks are created from the start date and each one has an owner and a due date. BoldBellows lists every task a new starter needs from paperwork to a first-day plan, who owns each one and the tools involved, before a single starter is added, creates the tasks from the start date, sends each person only what they must do, follows the due dates and shows the recruiter and the new starter what is still open, then builds candidate onboarding automation task by task: the signed offer starts the route, a checklist for the role is created with every task dated backward from the start date, the new starter receives a short form for details and documents, equipment, accounts and a workspace are requested from the people who own them, reminders go to anyone whose task is due, the manager sees a progress view, and a welcome message with the first-day plan is sent just before the start. Custom candidate onboarding automation can add placements at client sites and temp worker paperwork.

Chapter 01 the long-email-chain problem

An accepted offer is only the start of a long email chain nobody owns

The candidate says yes on Monday, and then nothing is owned. IT hears about the laptop on Thursday. The payroll form is requested twice. The manager assumes someone sent the first-day plan. The starter turns up and nobody has a desk, a password or a welcome. Everyone involved is competent and busy, but the work lived in separate inboxes. For temp placements, the same scramble repeats weekly with a client-site induction on top.

Our newest starter said it was the first job where the laptop was on the desk with her name on it.

Note from a recruiter

Chapter 02 How it works

How an offer becomes a checklist that completes itself

Events are filtered, keyed, searched and then written, with a record at each stage.

Fig. 3. The offer is signed, tasks are dated, owners are asked, reminders follow and a welcome is sent.

Receive, log, qualify

The event arrives from Recruitment Team, is logged with its identifiers, and is qualified or set aside.

Sign, create, date

The signed offer creates the role's checklist, with every task dated backward from the start date.

Collect, remind, welcome

The starter fills one form, owners are reminded, progress is shared and a welcome message goes out before day one.

The Recruitment Team rules this design works within

  • Onboarding starts at acceptance: Onboarding begins when an offer is accepted and covers paperwork, equipment, accounts and a first-day plan, so tasks are created from the start date and each one has an owner and a due date.
  • Dating tasks backward is what makes them realistic: Because each task is due a set number of days before the start date, a short notice period immediately shows which tasks cannot be finished and who needs to be told.
  • Handling timeouts: A timeout triggers a search of Candidate Onboarding Tasks by the new starter, the task and its owner, not another create.

Chapter 04 Who this fits

Who uses this: IT recruiters, all needing to turn an accepted offer into a checklist that completes itself on time, so new starters arrive ready and nothing waits on someone's memory

Chapter 05 The options

Choose your route from Recruitment Team to Candidate Onboarding Tasks: an offer accepted on Monday and a start date that arrives before anyone has ordered the laptop, zap or start-date-driven tasks, owner reminders, starter forms and a shared progress view

Each can send a welcome email. Only one creates the tasks, dates them backward and shows who is behind.

Old news arrives after new

Each event carries its own time, and the route applies it only if it is newer than what Candidate Onboarding Tasks already shows.

The start date moves forward by a week at the candidate's request

Every task due date is recalculated from the new date, owners are notified of the changes, and any task that is no longer possible is flagged to the recruiter. With the new starter, the task and its owner the route can say whether the work is missing, done, off, or unclear, and it says so in the log. Matching and differing records are handled separately; only a missing one is created.

Choosing the new starter, the task and its owner is step one; the field map and the branches are built on top of it.

Chapter 06 The process

Six steps from an accepted offer to a ready first day

A short, repeatable process of six steps, ending in a launch review.

  1. About 30 minutes

    List the tasks

We list the tasks for each type of start, who owns them and the tools involved.

  2. Access review

    Approve access

A restricted login for Recruitment Team comes first, the same for every tool candidate onboarding tasks writes to, followed by an agreed list of matching keys.

  3. Most of the project

    Agree timing and reminders

Due dates, reminder wording and who is told when a task is late are written down and signed off.

  4. Before you review

    Test what goes wrong

Duplicate deliveries, slow events, blank fields and denied permissions are run in a test copy of Candidate Onboarding Tasks.

  5. Handover day

    Launch with notes

After the final test we enable the route and give you notes that name every owner and repair path.

  6. About 30 minutes

    Launch support

For a short period after launch we respond quickly to anything unexpected in the live route.

Chapter 07 Turnaround

A decision on whether history should be loaded or only new events

Chapter 09 Trust

A route that borrows access, never rewrites your tools

Recruitment Team data is read through an account you control, kept to the candidate onboarding tasks fields, and never copied beyond what is needed.

Read-only Recruitment Team to Candidate Onboarding Tasks access: your data stays yoursA client table with the email starter field blacked out and a read-only stamp, with a seal noting emails are hidden except from named people.CLIENTSNAMEEMAILACTIVEMaya Chen$86.40Omar Hale$142.00Lena Brooks$47.90Sam Ortiz$210.35Priya Nair$74.00READ-ONLYHidden from everyoneexcept named people

Reversible by design

Because nothing inside Recruitment Team or Candidate Onboarding Tasks is modified, switching the route off returns both tools to how they were.

Scoped, revocable access

Least-privilege access is the default, and it is documented.

A purpose for every field

Each mapped field has a reason recorded beside it, so a later review can tell why it was sent.

Find first, write second

The route finds the onboarding task through the new starter, the task and its owner before choosing between create, update and leave alone.

Minimal logging

The audit trail is made of IDs and decisions, not personal data.

Full handover

After handover you can maintain, change or retire the route on your own.

"The kindest thing an employer does for a new starter is to be ready, and being ready is a list with owners and dates."

Chapter 11 Questions

Onboarding: what recruiters and managers ask

Short answers to what people ask before they book. Anything else can go in your quote request.

?How long does it take?Asked most often6 to 10 daysSet date, no surprisesAnswers, straight away
Will a ready-made Recruitment Team zap do candidate onboarding tasks?

To get new starters who walk in to a desk, accounts and a plan, a connector will do. To turn an accepted offer into tasks with owners and due dates and keep them moving, you need a designed route. Each of those is covered, tested and handed over in writing.

What starts the route?

A signed offer or a stage you choose, from your applicant or offer system.

Can temp placements use it too?

Yes. A separate checklist can cover client-site induction and weekly starts.

What if the start date changes?

All task due dates are recalculated and owners are told what changed.

Where do starter details go?

Into your HR, payroll and applicant records, as the quote states.

Can managers see progress?

Yes. A shared view shows each task, its owner and its status.

Is there a fee per new starter?

No. The checklists, owners and systems define one fixed price, and the number of starters does not change it.

Does the work cover mapping Recruitment Team values for candidate onboarding tasks?

Your checklists, owners and timings are drawn into a one-page plan, and the first starter is added only after you approve it.

Does the route allow different rules for different cases in the Candidate Onboarding service?

Yes. We write your conditions for candidate onboarding tasks into the build, from $1,550.

Is candidate onboarding tasks protected from Recruitment Team releases?

We write down what the route assumes. When an assumption stops being true, the route stops that step and says so, rather than improvising.

Give every new starter a first day that was planned from the moment they said yes

Tell us what goes wrong on a starter's first day and who owns each task; a written quote follows before anything is built.
