BoldBellowsChatfuel to Airtable automation for teams who run their pipeline from a base

Chatfuel to Airtable automation through the JSON API plugin, with one row per contact, source and stage as columns, merged on the contact ID and updated in place

Chatfuel has no Zapier app, so rows reach Airtable through the JSON API plugin, and Airtable's limit of five requests a second for each base sets the pace. BoldBellows logs the contact ID, the source and the stage before a row is written, sends each record through the JSON API plugin once and merges on the contact ID, then adds a JSON API block to the flow that fires on a lead event, sends the contact ID, source, stage and the collected details to a small endpoint, upserts the row in your base on the contact ID, updates the stage as the lead moves along the board, links the row to a Deals or Bookings table where you have one, and queues writes ten at a time. Message text stays out unless you choose otherwise.

01the copy-the-card problem

Lead cards copied into a table by whoever has time

The Leads board is useful inside Chatfuel, but the team's reporting lives in Airtable. Someone copies lead cards across by hand, a few at a time, and the table is always behind. Because Chatfuel has no Zapier app, the usual shortcut does not exist, and a connection has to be built with the JSON API plugin. Stages in Chatfuel cannot be renamed, so a richer pipeline has to live in the base. Without a merge key, a lead who moves stage appears twice, and a busy day runs into Airtable's request limit.

Before: Airtable trusts every notice

Before Chatfuel to Airtable automation: manual messages exports, duplicates and broken formulasThe old way: three separate exports tangled together, ending in a broken Google Sheets file.messages.csvqueue.xlsxreports.csv#REF!!Three exports, one tired Friday
  • Every hook delivery becomes a write
  • Lead cards are copied by hand
  • A lead who moves stage becomes two rows

After: duplicates cannot form

02how it works

How Chatfuel lead events become one living row per contact

Every step has a check before it, so a fault stops the run instead of spreading.

How Chatfuel to Airtable automation works: messages in, one clean record each, on a scheduleMessages, queue, status changes and reports orbit the sync engine, which feeds Airtable.MessagesQueueStatus changesReports1STEP 1Your Chatfuel botContacts, conversations, messages, templates3STEP 3Your Airtable baseClean tables, no duplicate recordsRuns daily, hourly or in minutesHow Chatfuel to Airtable automation works: messages in, one clean record each, on a scheduleFeeds orbit the sync engine, which updates Airtable.MessagesQueueStatus changesReports1STEP 1Your Chatfuel botContacts, conversations, messages, templates3STEP 3Your Airtable baseClean tables, no duplicate records
  1. Check it is real and in scope. The Chatfuel notice is validated, the underlying record is read, and only a qualifying Chatfuel event moves on.
  2. Fire, send, upsert. A lead event fires the JSON API block, the data is sent, and the row is upserted on the contact ID.
  3. Update, link, protect. The stage updates in place, rows link to deals, and message text stays out by default.

Platform notes behind the Airtable route

  • No Zapier, a JSON plugin. There is no Zapier app for Chatfuel, so data goes to Airtable through the JSON API plugin, and Airtable's cap of five requests per second per base sets the speed.
  • Merge on the contact ID. Airtable can merge on a chosen field, so the Chatfuel contact ID decides between creating a row and updating the existing one.
  • Lookups before retries. The Chatfuel contact ID as the merge field, with the source and stage as columns is the route's way of asking Airtable whether the work is already done.

A late arrival

Events that reach the route after a newer one are recognised by timestamp and routed for review instead of applied, on the Chatfuel to Airtable route.

A lead moves from sorting to qualified in the same hour

The contact ID finds the existing row, the stage column changes, and the base still shows one lead. Finding the record comes first: the Chatfuel contact ID as the merge field, with the source and stage as columns is searched, the hit is compared, and only then is an action chosen.

Nothing is written to Airtable until the Chatfuel contact ID as the merge field, with the source and stage as columns is defined and stored for each record.

Pick a package, answer three short questions about how Chatfuel data should reach Airtable, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Chatfuel to Airtable route.

A focused production route for one Chatfuel environment and one Airtable destination, delivering Chatfuel to Airtable automation through the JSON API plugin that keeps one row per contact, with source, stage and the details the AI collected as columns, merged on the contact ID and updated in place with identity and failure controls from day one.

  • One approved Chatfuel event family and business-state admission rule within the Chatfuel to Airtable service.
  • One authorized account, workspace, organization, or base boundary within the Chatfuel to Airtable service.
  • One Airtable object contract with field and relationship mapping within the Chatfuel to Airtable service.
  • Stable matching through Chatfuel workspace plus contact, channel, conversation, booking, or automation identity and source ID field joined to Airtable record IDs
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Chatfuel to Airtable service.
  • Implementation map, test record, and premium PDF operations handover within the Chatfuel to Airtable service.

Adds branching, matching and a bounded historical pass for teams whose route into Airtable cannot be one straight-through action, while still delivering Chatfuel to Airtable automation through the JSON API plugin that keeps one row per contact, with source, stage and the details the AI collected as columns, merged on the contact ID and updated in place.

  • Everything in Launch
  • Up to four approved routing or state-transition branches within the Chatfuel to Airtable service.
  • Existing-record resolution and one bounded historical checkpoint within the Chatfuel to Airtable service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Chatfuel to Airtable service.
  • Field, permission, and destination-state validation before mutation within the Chatfuel to Airtable service.

Adds reconciliation and governance for teams that now depend on Chatfuel to Airtable automation through the JSON API plugin that keeps one row per contact, with source, stage and the details the AI collected as columns, merged on the contact ID and updated in place, with drift detection and an exception register for Airtable.

  • Everything in Operations
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Chatfuel to Airtable service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For Chatfuel to Airtable, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Chatfuel events should reach Airtable?Required

Governed lifecycle set: Use this when several approved Chatfuel transitions must converge on one Airtable record.

How should Airtable recognise a Chatfuel record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Airtable guess.

How should Airtable recognise a Chatfuel record it has already handled?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever an Airtable write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

06The process

Six steps from hand-copied cards to a working base

Each of the six steps has an output you can read, not just a status update.

  1. Design the base

We map contacts, sources, stages and deals to tables, columns and links.

  2. Approve access

We link Chatfuel and Airtable through supported interfaces and record exactly what each connection can do.

  3. Fix the columns and exclusions

The columns, the matching rule and the data that stays out are listed in a document you approve before the build.

  4. Stress the edges

Late deliveries, doubled events and partial failures are simulated in a test Airtable and the results reviewed with you, in the Chatfuel to Airtable route.

  5. Launch with notes

Launch is a checkpoint, not a cliff: the route starts from a known point and the notes arrive with it.

  6. Post-launch review

We go through the exception list and the checkpoint log with you and agree what, if anything, needs a change.

08Before we start

The short list we need from you

Access to Chatfuel sufficient to read the fields we agree

Chatfuel flows with the JSON API plugin available, and an Airtable base that a personal access token can edit

Access to the Chatfuel account that holds the records in scope

Your expected behaviour for edits, cancellations and repeats

The hours when changes to Airtable are safest to release

Records or dates that the route should ignore

09Security and ownership

Narrow permissions, narrow payloads, nothing patched

Scope is deliberately narrow: approved Chatfuel fields in, one Airtable destination out, no side stores.

Untouched core, documented edges

Both Chatfuel and Airtable are used as their own documentation describes; no workaround reaches into their internals.

Scoped, revocable access

Tokens cover only the named objects and can be revoked whenever you choose.

Nothing extra travels

The route forwards what was agreed and ignores the rest, so Airtable never becomes a second copy of everything in Chatfuel.

Proof before repetition

Nothing is created twice: a missing confirmation triggers a search of Airtable by the Chatfuel contact ID as the merge field, with the source and stage as columns before any further write.

Minimal logging

We record what happened and when, never the private details of your records.

Full handover

Everything we built is documented and belongs to your team.

11FAQ

Chatfuel to Airtable: what pipeline teams ask

What to know before choosing a package, in plain language.

Is a build better than a Chatfuel to Airtable Zapier task?

A zap can provide a base that shows each lead, where it came from and how far it got. It is not built to reach Airtable without a Zapier app, merge on the contact ID or stay inside Airtable's limits. The work here is the judgment around the connector, not the connector itself.

Is there a Zapier app for Chatfuel?

No. The JSON API plugin does the work instead.

Can Airtable rename the stages?

Yes, in the base. Chatfuel's own stages stay fixed.

Is message text stored?

Not by default. You choose.

What stops duplicates?

Rows merge on the Chatfuel contact ID.

Which Airtable limit matters?

Five requests a second per base, which the route paces to.

Does the base change Chatfuel?

No. It only receives.

How detailed is the field map?

Yes. The Chatfuel Airtable field mapping service is where we agree formats, required values and owner rules before any build work starts.

Can we send some records elsewhere?

Yes. Our packages assume a custom Chatfuel workflow for Airtable, and the consultancy is included: a Chatfuel Airtable integration consultant on your side from $520.

What if either platform updates its API on the Chatfuel to Airtable route?

The safest reaction to change is to stop and report, so that is what the route does. Ongoing maintenance beyond the review period is separate.
