BoldBellowsDiscord event automation for communities that run AMAs, game nights, classes and launches

Discord event and reminder automation with scheduled events from your calendar, reminders for the interested and a follow-up

Discord has native scheduled events with a start time, a location in a voice channel, stage or link, and members mark themselves as interested, but a server can hold at most 100 scheduled or active events and an announcement in a busy channel soon scrolls away. BoldBellows records the event, its start time and the channel it belongs to before any reminder is queued, sends one reminder per person per event and stops when the event is canceled, then creates each scheduled event from your calendar so it is entered once, posts the announcement in the right channel with a mention of the right role, sends a reminder before the start to the members marked as interested, updates or removes the event when the calendar changes, and posts a follow-up with the recording link or the next date after it ends.

Chapter 01 the forgotten-event problem

An event announced once is an event half the server missed

Most community events are posted by hand in a channel and forgotten within the hour. A host has to create the scheduled event, write the announcement, tag the right people, remember the reminder and post the recording link, and any one of those steps can be missed. When the time changes, the announcement, the event and the calendar disagree. Mentioning everyone for every event teaches members to mute the channel, and a server that nears its limit of 100 scheduled events needs old entries cleared.

The host only had to add it to the calendar, and the room filled.

Chapter 02 How it works

How a calendar entry becomes an event, a reminder and a follow-up

The route judges the change first, then finds the reminder by its key and writes only what is missing.

Read and judge the change

The Discord event is verified, its account, resource and time are recorded, and the Discord event is tested against your written rule.

Read, create, announce

The calendar entry is read, the scheduled event is created and the announcement is posted.

Remind, update, follow up

Interested members are reminded, changes are applied and a follow-up is posted.

Where Discord draws the line for event and reminder

  • A hundred events at a time: A Discord server can hold at most 100 scheduled or active events at once, and an event name and its location are each capped at 100 characters.
  • Events have a location: A scheduled event takes a start time and either a stage or voice channel or an external location of up to 100 characters, so each event type maps to the right kind of place.
  • Repair path: When a write cannot be confirmed, the events calendar is searched by the event ID and the member who asked to be reminded before any second attempt.

Chapter 04 Who this fits

For fan clubs and run Discord events without chasing people: create scheduled events from a calendar, announce them in the right channel, remind the people who said they are coming and follow up afterwards

Members want to know what is on and when, and hosts want to run events without the admin.

Community manager

"Stop chasing hosts."

Events create themselves.

Host

"Just add it to the calendar."

The rest is done.

Member

"Remind me."

I get one reminder.

Moderator

"Keep channels clean."

Pings go to a role.

Server owner

"Keep the schedule tidy."

Old events are cleared.

Sponsor

"Show attendance."

Interest is counted.

Chapter 05 The options

Discord to the events calendar through an event post that scrolls out of sight, a zap or a Discord event route that reminds the right people

Each can post an announcement. Only one creates the event from the calendar, reminds the interested and follows up.

An older event arrives after a newer state

The event time is compared with the stored state, so a late Discord change is logged and cannot overwrite a newer reminder.

The host moves the event by one hour

The calendar change updates the scheduled event and the announcement, the reminder time moves with it, and interested members are told of the new time. The event ID and the member who asked to be reminded is searched and the candidate is compared with what was intended, then one of four results is recorded. Only an absent reminder is ever created.

Connect Discord to the events calendar through the event ID and the member who asked to be reminded first; every reminder and every repair check depends on it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Discord to Event and Reminder route.

A focused production route for one Discord environment and one Event and Reminder destination, delivering Discord event and reminder automation that creates scheduled events from your calendar, announces them in the right channel, reminds the people who are interested and follows up afterwards with identity and failure controls from day one.

  • One approved Discord event family and business-state admission rule within the Discord Event and Reminder service.
  • One authorized account, workspace, organization, or base boundary within the Discord Event and Reminder service.
  • One Events and Reminders object contract with field and relationship mapping

Chapter 06 The process

Six steps from hand-posted events to an event route

Six steps, each with a named output, take the route from brief to a monitored launch.

  1. About 30 minutes

    List your event types

We list your regular events, hosts, channels and the roles that should hear about each.

  2. Access review

    Approve access

Day one is practical: a restricted account in Discord, narrow rights elsewhere, and a short list of keys that tie the records together.

  3. Most of the project

    Agree the schedule rules

Announcement wording, reminder timing, role mentions and the follow-up are written out and approved first.

  4. Before you review

    Test the awkward cases

Repeats, late events, missing values and permission loss are run against a test copy of the events calendar first.

  5. Handover day

    Launch with notes

Handover closes the project: a live route, a checkpoint to prove it, and documentation to run it.

  6. About 30 minutes

    Watch the first weeks

For the first month we review the checkpoint log with you, look at retries and drift, and fix anything the real data reveals.

Chapter 07 Turnaround

Days to delivery, package by package

Days are counted once we can sign in to Discord with the rights we asked for.

Essentials

6 to 10 business days

Workflow

10 to 16 business days

Control

16 to 24 business days

Chapter 08 Getting started

Items to hand over at kickoff

Consent from your Discord owner to read the agreed records

The right to add an app to your server, a calendar that holds your events, and the channels and roles each event type uses

Discord API access and the events you want the route to use

A written rule for the Discord event that counts

A named person who owns exceptions and mapping decisions

Any existing automations in Discord or the events calendar that touch the same data

Chapter 09 Trust

Only approved fields travel, and neither product is patched

Reads are limited to the Discord data the event and reminder work needs, and every write lands in a place you approved in advance.

Read-only Discord to Reminders access: your data stays yoursA server ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Server ledgerEvery message, onceREAD-ONLYBehind glass: yours to look at, never to change.

Neither product is modified

Discord and the events calendar are reached through their published interfaces; nothing inside either is changed.

Scoped, revocable access

Connections are restricted to the objects on the approved list.

Field minimization

Only allowlisted values reach the events calendar. Notes, payment details and other Discord data stay in Discord.

Repair begins with a lookup

A retry reads the events calendar by the event ID and the member who asked to be reminded first, so a doubtful reply never turns into a second reminder.

Minimal logging

Only technical identifiers reach the run history.

Full handover

The finished route and its explanation are delivered together.

"An event only works when people remember it, so the build treats the reminder and the follow-up as part of the event and not as an afterthought."

Chapter 11 Questions

Discord events: what event hosts ask

The essentials in question-and-answer form, with room for your own in the quote request.

PriceTimeAccessHandover?Every question, answered
Could a no-code Discord zap handle event and reminder?

If you only need events that people remember, attend and hear about afterwards, a zap will do it. It will not create scheduled events from one calendar, remind only the interested or follow up after. Closing those gaps is what this build is for.

Where do events come from?

A calendar you already use, entered once.

Who gets reminders?

Members who marked themselves interested.

What if the time changes?

The event, the announcement and the reminder follow.

Is there a limit on events?

A server can hold up to 100 scheduled or active events.

Can it post a follow-up?

Yes, with the recording link or the next date.

Can it mention roles?

Yes, one role per event type.

Which Discord fields does event and reminder read, and who approves them?

Yes, at no extra cost. A written map shows which Discord fields feed event and reminder and where each lands, and it is signed off first.

Will event and reminder in Discord respect our own conditions?

Yes. Tell us the rules and Discord event and reminder follows them; the entry package is $900.

Who keeps event and reminder working when Discord updates?

Dependencies are listed at handover. A breaking change pauses just the part it touches and alerts your owner, and post-review fixes are quoted separately. Related searches this service covers include custom discord event and reminder automation.
