BoldBellowsHistory appends, it never gets erased

Stop letting your eBay to Google Sheets export overwrite its own history

A basic export script pulls a fresh CSV and replaces whatever was in the sheet before, so last week's snapshot is just gone. This build appends a durable row for every order, line-item, return and feedback change it sees, joined by eBay's own identifiers, so the sheet becomes a real ledger instead of a rolling snapshot.

What has to check out before a row actually appends

  • Rows only ever get added, never overwrittenso last week's state is still there to check
  • Order, line item and event type travel together on every rownever a summary that can't be traced back
  • A repeat seen twice across polling windows collapses to one rownever two rows for the same change
  • A fixed column list decided before launcheBay data outside it never reaches a row
  • A single quoted price for the whole buildno per-row or per-month charge afterward

01The overwrite trap

A refreshed export erases what changed

A CSV export pulled fresh each morning shows you today's state, but it can't show you what was different yesterday. Once an order gets revised after that export ran, or the same modification shows up in two overlapping polling windows, a plain refresh either loses the change entirely or duplicates it.

"An order changed twice in one afternoon and only the last state survived."

The overwrite-style export had no way to keep both versions once the second refresh ran.

"The same return showed up as two separate rows a week apart."

Two overlapping polling windows both picked up the same event, and nothing collapsed them into one.

"Nobody could tell which sheet row a customer's feedback actually belonged to."

Without a shared identifier across order, line item and feedback, joining the pieces meant guessing.

A spreadsheet that only ever shows the latest state isn't a record, it's a snapshot with a short memory. The history is the part that actually matters.

Same underlying orders, same eBay account. The difference is whether the sheet keeps a real history, or just the most recent overwrite.

Before

  • A second change replaces the first without a trace
  • An overlapping window creates a duplicate row
  • Order, line and return data sit unjoined

After

  • Every change gets its own permanent row
  • A repeat window never adds a duplicate
  • Order, line and feedback stay linked

02How it works

How an eBay change becomes a permanent ledger row

The change gets read in its full context first, its identity gets claimed against the ledger second, a new row gets appended third, and only a confirmed write ever advances the checkpoint.

A repeat window collapses here, not a new row STEP 1Change read Order, line or returnread in full context STEP 2Identity claimed Marketplace, order andline ID matched together STEP 3Row appended Added after the last row, never overwriting one STEP 4Checkpoint moved Only once the writeis actually confirmed STEP 1Change read Full context first STEP 2Identity claimed IDs matched together STEP 3Row appended Added, never overwritten STEP 4Checkpoint moved Only once confirmed A repeat window collapses here
Nothing gets overwritten here. A row earns its place the moment a change is confirmed, and it stays exactly where it landed.

Why append-only isn't just a style choice

  • Google Sheets' append method adds a row after the last one, rather than overwriting a fixed range. That's the exact mechanism this build relies on to keep history intact.
  • eBay reports a payout as a bundle of distinct transactions, fees and charges rather than a single number. A ledger row inherits that same specificity instead of collapsing it into one vague total.
  • A notification's arrival tells you an event happened, not whether it's ever been seen before. Every event still gets checked against what's already on the ledger before a new row is allowed.

03Inside the ledger build

How Foundation, Control and Assurance actually differ

Foundation gets the event filter and identity claim appending clean rows. Control adds the branch that collapses an overlapping-window repeat into one entry. Assurance layers a recurring check on top so the ledger never quietly drifts from what eBay currently shows.

04Who it's for

Built for sellers whose history matters as much as today

If you run marketplace operations, this gets you a trail you can actually point to. A seller team stops fighting duplicate rows in reports. A reporting analyst finally gets a real change ledger instead of a rolling snapshot. And a systems administrator gets an ambiguous match routed to a name instead of a shrug.

Marketplace operations lead

Wants a real trail of what changed and when, not just a snapshot of how things look right now.

Seller team

Tired of a duplicate row from an overlapping window throwing off a report someone actually relies on.

Reporting analyst

Wants a joined ledger where order, line, return and feedback data actually line up, not four separate exports to reconcile by hand.

Systems administrator

Wants an ambiguous match routed to someone by name, not silently guessed at by the sync.

What a refresh-and-replace export can't keep

Scheduling a fresh CSV export takes a few clicks to set up. Keeping every order change as its own traceable row, and catching the same event when it's seen twice across overlapping polling windows, is where that setup gives out.

The overlapping-window trap

Two polling windows both happen to catch the same underlying change. Overlapping-window dedupe branching recognizes the repeat and reconciles it instead of appending a second row.

The post-export revision trap

An order changes again right after a row already appended for it. Reconciliation compares the new state and appends a fresh row rather than silently leaving the sheet stale.

06The process

Proving the ledger holds before it becomes your record

A single account and a single sheet is the fastest path to a working Event Ledger Foundation, and most teams have a draft ledger to look at within a handful of days. Control eats more time because we deliberately trigger the exact same underlying change across two overlapping polling windows, again and again, until the collapse logic catches it every time without fail. Assurance's extra days mostly go toward proving the reconciliation sweep actually notices a change eBay made quietly, one the live feed never announced on its own. If your order volume swings with the seasons, flag it before we start scoping so the checkpoint schedule accounts for it.

  1. Learn what a change actually looks like for you

We go through your real order activity and sort out which events genuinely deserve their own permanent row.

  2. Design the ledger structure

You approve which tabs exist, what columns each row carries, and how a repeat across windows should be handled.

  3. Build the append pipeline

This stage wires the filtering rule, the identity match and the dedupe logic together against the actual Sheets file you'll be using.

  4. Push it until it breaks

The same change gets fired through two overlapping windows on purpose, and a sheet write whose confirmation goes missing gets staged deliberately too.

  5. Let it run live, then step back

A real day of activity flows through and gets checked row by row against eBay's own record before we hand your team the runbook.

Three things to have ready

  • Approval from whoever currently administers your eBay account.
  • Edit access to the Google Sheets file this should append to.
  • An example of an order that changed more than once recently.

07Security and ownership

Reads what changed, appends only to the sheet you name.

What this build can do is narrow by design: read order activity from eBay, and append rows to the one spreadsheet you point it at. Nothing about a listing, a price, or any other file in your Drive is reachable from it.

One file, nothing else in your Drive

The grant is scoped to the single spreadsheet you point it at — no other file in your Google Drive is ever visible to it.

A named column list, fixed in advance

Every column on the ledger is one you signed off on before launch; whatever eBay sends beyond that list simply gets discarded, not stored.

Credentials never touch a cell

Whatever authorizes eBay reads or Sheets writes is kept in a separate store — it's never written into the spreadsheet itself.

A resend recognizes what's already there

The identity key is checked before a row is added, so a repeated delivery is caught and reconciled instead of appended again.

Diagnostics track outcomes, not contents

Troubleshooting relies on decisions and timestamps kept in a separate log, not a duplicate of the sensitive order data itself.

You can operate this without us afterward

The identity rules, the dedupe logic and a written guide to the whole ledger transfer to you at the end of the build.

09FAQ

What sellers want to know before the ledger goes live

Still unsure? We reply in plain English.

We already refresh a CSV export into a sheet every morning. What does this add?

A refresh replaces whatever was there with the current snapshot — it has no way to keep yesterday's state around once today's overwrites it. Turning every change into its own permanent row is what this build actually does.

Could this end up writing to spreadsheets we didn't intend it to touch?

No. It's scoped to the single Google Sheets file you authorize during setup, and nothing in the build gives it a path to any other file in your Drive.

Can we get older order history into the ledger, not just changes going forward?

It's possible with the historical ledger backfill, which applies the identity rules against a bounded stretch of your past activity and appends whatever rows that history should have produced, running on a track that stays separate from anything live.

Does the quoted price include our Google Workspace subscription?

It doesn't. The number you're quoted covers the ledger build alone, charged once; your Google Workspace subscription and eBay's own seller fees keep running on their usual separate bills.

One of the two platforms changes something this depends on. Then what?

The handoff spells out every endpoint, field and scope the ledger depends on, in plain terms rather than tribal knowledge. If one of them shifts, the drift check exists specifically to catch that and raise it, instead of letting rows silently start looking wrong.

What actually stops the same change from appearing as two rows?

Before anything appends, the change is matched against the marketplace, order, line item and event type it belongs to. See that same combination again — from an overlapping window or a repeated notification — and it's recognized and reconciled instead of appended a second time. This page also answers searches for sync ebay orders to google sheets, ebay google sheets integration and ebay change ledger spreadsheet.
