BoldBellowsOne card, owned to resolution

Give an eBay dispute one Trello card that actually carries the deadline

A shallow connector opens a new card for every event without checking whether a case already has one, so a single dispute can end up scattered across three separate cards with no single place holding the real deadline. This build keeps one evolving card per case, keyed to the case reference and order ID together, carrying the response deadline, an evidence checklist and a named owner — and holds a contested case in an explicit repair state when two cases point at the same order.

What keeps a case board accountable

  • Anchored to the real casecase reference and order ID, never a card title
  • Uses real Trello fieldsdue dates, checklists and custom fields, not a comment dump
  • Looks before it writesa case's own card is found before anything new opens
  • Contested cases get a namea genuinely ambiguous match never picks itself
  • One quoted pricetested against acceptance scenarios, not billed per card

01The scattered-card trap

A new card isn't progress

eBay can hand over the right case detail while a generic board setup still fractures the response into pieces. Open a fresh card for every touch, match on a title instead of a stable reference, and by the time the deadline arrives, nobody can find the card that actually matters.

"We missed a response deadline because the case had three separate cards."

Each touch on the case opened its own card, splitting the deadline across all three.

"A buyer added new evidence after we'd already assigned the case to someone."

The board had no way to flag that the assignment might need a second look.

"Two different cases got tangled onto one card because they shared an order."

Without a case-specific key, the match just picked whichever card looked closest.

A card that gets recreated every time isn't ownership, it's a log with extra clicks. The deadline has to live on one card that actually evolves.

Same disputes, same eBay account. The difference is whether Trello holds one accountable card per case, or a scattered trail nobody can piece back together in time.

Before

Trello board · one card per touch Deadline: split across 3 cards Match key: a card title
  • The real deadline is scattered across cards
  • New evidence can land on the wrong card entirely
  • Two unrelated cases can merge onto one by mistake

After

Case RC-4471 · order 88214 Due in 2 days · assigned to Priya ✓ One card, evolving through the case ✓ Claimed by case reference + order ID ○ A contested case is held for a name
  • The real deadline lives on one card the whole time
  • New evidence always lands on the right card
  • Two cases sharing an order stay clearly separate

02How it works

How an after-sale case becomes one owned card

A source event splits three ways at once: is the case genuinely eligible, does it match an existing card's identity, and is the payload actually complete. All three checks have to clear before anything merges back into a single write. Anything that fails one lands in a named exception pocket instead of forcing the merge anyway.

A contested case re-enters here STEP 1Case read Checked against theeligibility rules STEP 2Identity claimed Case and ordermatched together STEP 3Card written Deadline andchecklist updated STEP 4Outcome confirmed Stored, neverrepeated blind STEP 1Case read Against eligibility rules STEP 2Identity claimed Case and order matched STEP 3Card written Deadline, checklist set STEP 4Outcome confirmed Never repeated blind A contested case re-enters here
A card only ever updates once all three checks agree. Nothing gets forced through on a partial match.

Why a case card needs more than a title match

  • A fulfillment write commits eBay to a specific result, expected to be confirmed before retrying. A case card holds to that same discipline, waiting on confirmation of one write before it ever attempts a second.
  • eBay treats a SKU, an offer and a listing as three separate identities, never one. A dispute card inherits that precision, pointing a reviewer at the exact item a case is actually about.
  • Trello cards expose real due dates, checklists and custom fields through the API. That's what lets a card carry owned work forward, instead of just restating a notification someone already read once.

03Package by package

How the case board grows from Docket to Bench

Docket opens a real deadline card for every qualifying after-sale case from day one. Caseload adds the branch that catches two cases sharing an order or new evidence landing after assignment. Bench then puts a standing reconciliation cycle behind the whole board, so a case the live feed dropped still surfaces before its deadline quietly passes.

04Who it's for

Built for teams who can't afford a missed dispute deadline

Built for a marketplace ops lead who needs to point at exactly who's handling any given case, a seller team that's missed a deadline buried across scattered cards, a case coordinator who wants real checklists and due dates over a bare notification, and an admin who needs a contested match landing on one desk.

Marketplace operations lead

Needs to point at any dispute and show exactly who owns it, rather than hoping it's being handled.

Seller team

Tired of a response deadline getting missed because it was split across three different cards.

Case coordinator

Wants a real checklist and due date on the card, not a message to reconstruct into a plan by hand.

Systems administrator

Wants a contested match assigned to a specific name, not sitting ambiguous on the board.

Where a new card for every event actually breaks down

Wiring an eBay trigger to a Trello card-create action takes minutes. Keeping one card per case current through the whole dispute, and telling two cases on the same order apart, needs a good deal more than that single step delivers.

The shared-order trap

Two distinct cases both reference the same order. Contested-match branching holds them apart and asks a person to confirm which is which, instead of silently merging one dispute's evidence into the wrong case.

The late-evidence trap

A buyer adds new evidence after a card is already assigned. The build catches the addition, flags the card, and lets the owner decide whether the assignment still holds, instead of silently burying it in a comment.

06The process

Stress-testing the board before real cases run through it

Case Deadline Board Docket needs one eBay account and one Trello board, and a first real card is usually ready for review inside a few days. Caseload runs longer because we deliberately construct two distinct cases that both reference the same order and confirm the branch holds them apart, repeated until it's consistent. Bench's extra time goes into a different exercise: leaving a case update out of the live feed on purpose and watching whether the scheduled sweep is what surfaces it, rather than someone stumbling on a missed deadline. Expect a seasonal spike in disputes? Mention it up front so we can size the rehearsal around that surge instead of an ordinary caseload.

  1. Walk through your real dispute cases

We review recent after-sale cases with you and agree exactly which ones deserve a tracked card.

  2. Design the card and the board

You approve the checklist, the fields and exactly what a contested case should trigger.

  3. Wire it into your real board

Everything approved so far — the filter, the identity key, the reconciliation logic — gets built against your actual Trello workspace.

  4. Try to force two cases together

We manufacture two distinct cases against one order and confirm the board holds them apart, before we trust it with a real dispute.

  5. Track a real case to resolution

A genuine dispute opens a real card, your team works it to close, and we confirm the deadline held before handing it over.

Three things to have ready

  • The go-ahead from whoever runs your eBay seller account.
  • Admin access to the Trello workspace and board this should populate.
  • A few past disputes to reference, at least one that took real judgment to untangle.

07Security and ownership

Reads a case to track it, never to decide it.

What this build pulls from eBay is limited to case and order detail, and the only thing it does with that is write a Trello card into the one board you authorize. Accepting a return, issuing a refund, or touching any board you didn't approve are all simply outside what it can do.

No power to resolve a case on eBay

The build reads case data and maintains a Trello card, but it holds no ability to accept a return, refund a buyer, or close a case on eBay's side.

A fixed card template, agreed before build

The checklist items and custom fields are signed off up front — a card never grows a field nobody approved putting there.

Credentials stay off the board entirely

Both eBay and Trello tokens live in a dedicated secrets store — no card, checklist item or comment ever carries one.

A write looks up the card first, always

Before anything touches Trello, the build checks for an existing card on that case — a match gets updated, and only a genuinely new case ever opens a fresh one.

Logs hold the trail, not the raw case

The case identity, who was assigned and when, and what happened get logged — sensitive order and buyer information is never part of that record.

Nothing here stays locked to us

The matching rules, the card design and a runbook explaining both transfer to your team outright at close.

09FAQ

What a case coordinator usually asks first

Still unsure? We reply in plain English.

We already create a Trello card for new cases. What does this add?

Creating a card once tells you a case exists — it can't keep that card current as the case evolves, or tell two cases on the same order apart. This build keeps one accountable card per case updated end to end, instead of a snapshot that goes stale.

Could this ever close a case or issue a refund on its own?

No. The build only reads case data and maintains a Trello card — it has no permission to accept a return, refund a buyer, or resolve anything on eBay directly.

Can we get cards for cases from before this was set up?

Yes — name a bounded window of past cases and the historical case backfill opens the same deadline cards those cases would have generated, entirely apart from anything running live.

Is our Trello plan factored into this price?

It isn't. What you pay here is a single fee for building the board logic — your Trello subscription and eBay's seller fees are billed separately, completely unaffected by this.

What happens when eBay or Trello changes a field this build depends on?

The contract drift check is what notices first, rather than a card quietly starting to look wrong. Alongside it, you get a handoff document naming every endpoint and field this build assumes, so tracing a change back to its source is never a guessing game.

What stops the same case from opening two Trello cards?

Every write checks the case reference and order ID together before touching Trello. If a card already exists for that pairing, the write updates it in place — nothing produces a second card for a case that already has one. This page also answers searches for ebay orders to trello card, ebay trello integration and ebay trello task creation.
