BoldBellowsOne message per transition, never two

Stop sending a second confirmation Ecwid already sent

A basic connector wires a custom email to the same triggers Ecwid already covers, so customers sometimes get two order confirmations minutes apart. We document exactly which Ecwid notices are already enabled, then send only for the transitions that genuinely fall outside that coverage.

What an Ecwid transition clears before a custom email sends

  • Ecwid's own notice status checked firstnever assumed off by default
  • Every send keyed to entity ID plus transition namenever a webhook count alone
  • A recipient sees only what applies to their rolenever someone else's internal note
  • A bounce lands in a named queuenever a message that just silently vanishes
  • Priced once for the build itselfyour email provider bill stays separate

01The two-confirmations trap

Ecwid already emails your customers more than people realize

Most stores don't have a full inventory of which Ecwid notices are switched on. A basic connector never checks either — it just fires a custom message on the same events, so the customer occasionally gets two nearly identical emails within seconds.

"A customer emailed asking why they got two order confirmations four minutes apart."

Ecwid's own notice was already enabled, and the custom workflow had no idea, so both fired on the same event.

"A supplier alert about low stock went out to the customer mailing list by mistake."

Nothing separated the recipient roles, so an internal message reached an audience it was never meant for.

"A bounced shipping notice just disappeared, and we only found out when the customer complained."

Nothing tracked delivery failure, so a message that never arrived looked identical to one that did.

A notice earns trust by showing up exactly once, for exactly the right reason. Two confirmations for one order teaches a customer to skim past both of them.

Same transitions, same customers. The difference is whether email fills a real gap, or duplicates what Ecwid was already sending on its own.

Before

Message queued Trigger: order created, no native check Recipients: one shared list
  • A customer can receive two confirmations
  • An internal alert can reach the wrong list
  • A bounce disappears without anyone noticing

After

Order: ORD-20114 Transition: fulfillment, native notice off ✓ Sends only where Ecwid leaves a gap ✓ Routed by recipient role, not one list ○ A bounce is logged and routed for review
  • A customer never sees a duplicate confirmation
  • A supplier alert never reaches a customer
  • A bounce gets a name and an owner

02How it works

The three-stop loop every transition runs through

Each qualifying transition rotates through three fixed stations before a single message is sent, and a verification arm at the end either confirms the result or routes it to repair.

STATION 1 Qualify the change STATION 2 Translate the meaning Commit with evidence VERIFICATION ARM Stamps the result, or diverts to repair STATION 1 Qualify the change STATION 2 Translate the meaning Commit with evidence
Nothing sends by default. A transition earns its message only after all three stations sign off.

Details behind the native-notice check

  • Ecwid's webhook is a pointer, not the full order. The build fetches the current entity before deciding whether it belongs in scope, so a partial or stale webhook payload never triggers a send on its own.
  • An event fires the same way no matter where the change happened. Whether an order transitions from the storefront, the control panel or an API call, the resulting webhook looks identical, so the check never assumes a low-risk origin.
  • A transactional email API sends one message per call, with a delivery receipt. That receipt is what feeds the bounce path, turning a failed send into a tracked exception instead of a silent gap in communication.

03Inside the notice-layer build

From a filtered trigger to a fully tracked notice program

Transition Notice Core ships with the native-notice matrix and transition key. Recipient routing and the bounce path join at Transition Notice Extended. Template versioning and scheduled reconciliation complete the model at Transition Notice Complete.

04Who it's for

Built for stores where a customer's inbox matters

Support managers tired of explaining duplicate notices, store owners who want exception messages worded their way, warehouse leads alerting internal recipients, and marketing operators who need service mail kept separate from campaigns.

Support manager reducing repetitive updates

Wants customers to stop asking why they got the same confirmation twice.

Store owner customizing exception notices

Wants a message that actually sounds like the brand for the cases Ecwid's default doesn't cover.

Warehouse lead alerting internal recipients

Needs a supplier or staff alert that never accidentally lands in a customer's inbox.

Marketing operator separating service mail

Wants transactional sends kept apart from campaign metrics and deliverability reputation.

05Compare

The blind spot in a same-trigger email setup

Wiring a custom email to Ecwid's order-created webhook takes minutes. Knowing which of Ecwid's own notices are already covering that event, and keeping recipient roles apart, takes a level of care a quick trigger never accounts for.

The back-and-forth status trap

An order status flips back and forth during a payment review. The layer re-reads the current state each time and records exactly why it sent, changed, or held, instead of firing on every flip.

The missing-address trap

A customer email is missing, malformed, or belongs to a guest relay. The build validates the address before attempting a send and routes anything unusable straight to the exception queue.

Hybrid events plus scan adds a sweep that catches a transition the live feed missed.

How should a send trace back to its transition?Required

Always-create-and-quarantine adds a queue for a match the rule can't confidently resolve.

What happens when a send fails or bounces?Required

A review queue takes more setup than a stop, but nothing silently falls through.

06The process

Auditing what Ecwid already sends before we write anything new

Transition Notice Core starts with a full inventory of your enabled Ecwid notices, which most teams have documented within a couple of days. Transition Notice Extended takes longer because recipient routing has to be verified against real staff and supplier lists, not just customer addresses. Transition Notice Complete runs the longest cycle, since we intentionally force a bounce mid-test to confirm the queue actually catches it — that scenario usually pushes the build toward eleven days. Launching a new product line soon? Mention it and we'll time the rollout around it.

  1. Inventory Ecwid's existing notices

We list every notice Ecwid already sends and confirm which transitions it genuinely covers today.

  2. Draft the recipient map

You approve which transitions warrant a message and exactly who should receive each one.

  3. Assemble the send pipeline

The transition filter, the recipient router and the bounce handler all get built around your actual email provider.

  4. Force the failure cases

A bad address, a status that flips twice and a delayed webhook delivery each get tested before anything goes live.

  5. Send one real message together, then hand off

We watch a live transition trigger the correct email before your team takes over the runbook.

Three things to have ready

  • An Ecwid store owner who can confirm which notices are enabled.
  • Access to the email provider account this should send through.
  • Current staff and supplier contact lists for the recipient map.

07Security and ownership

Reads orders, sends mail, and does nothing else

The Ecwid connection is read-only against the fields a transition actually needs. The email provider connection is limited to sending through the specific account you authorize — it can't touch your existing campaigns or subscriber lists.

Read-only against Ecwid, always

The build can see order and customer fields it needs, but it can never modify anything in your Ecwid store.

Send-only against your email provider

The provider grant covers sending transactional mail — it never touches your marketing lists or campaign history.

API keys live in one locked vault

Nothing that authorizes a send is ever visible in a log, a template, or a stored transition record.

A resend never becomes a resend to the customer

The entity-and-transition key means a retried delivery is recognized and suppressed, not sent a second time.

Logs record delivery, not message content

What's kept is the transition, the recipient category and the send result — never the body of what was written.

You own the finished pipeline

The transition rules, templates and routing logic all transfer to you — nothing about it stays dependent on us.

09FAQ

Questions we hear before the audit even starts

Still unsure? We reply in plain English.

Won't this just duplicate what Ecwid already sends?

That's exactly the failure mode this build is designed to prevent. The first step documents every Ecwid notice you currently have enabled, and the automation only ever sends for transitions that fall outside that coverage.

Can we turn a specific Ecwid notice off and let this replace it?

Yes. If you'd rather control the wording of a particular notice yourself, we can build a custom send for that exact transition and note in the handoff that the native Ecwid version should stay disabled.

Do we pay per email sent, or is this a flat fee?

Flat fee for the build. Your email provider likely charges by volume or by tier, and that bill stays entirely separate from what you pay us.

What if Ecwid adds a new native notice that starts overlapping with a custom one?

Your handoff documents exactly which native notices this build assumes are enabled or disabled. If Ecwid changes that landscape, reconciliation surfaces the overlap as a visible flag rather than letting a silent duplicate creep back in.

Can past orders get a catch-up message if we missed sending one?

Yes, through the historical transition backfill. It's a bounded, one-time run against past orders, kept on a separate checkpoint so it can never be mistaken for a live send.

We run more than one Ecwid store — does each need its own setup?

Each store gets its own notice checkpoint and recipient map, so a transition in one store never triggers a send tied to another store's customers. It is also the answer to ecwid to email, ecwid orders email notification and ecwid auto reply email.
