BoldBellowsPersonalization, out of the order screen

Turn Ecwid checkout answers into a brief your team can actually work from

Custom engraving text, size charts, delivery notes — they usually sit buried on an order screen only one person ever opens. We compile every configured checkout field into a structured Google Doc, keyed to the order in both its metadata and filename.

From $400, paid once.
No monthly connector fee.

  • Every checkout field lands somewhere production can read
  • An edited order shows a clear revision, not a silent overwrite
  • Brief Compiler Draft is usually testable within a week

What an Ecwid order clears before it becomes a production brief

  • Only paid orders with configured checkout fields qualifynever an empty or unpaid order
  • Every brief keyed to the order ID in metadata and filenamenever a guessable label
  • An edit after production starts adds a revision coverinstead of leaving two briefs in circulation
  • A missing field is flagged, never left blank without commentsomeone actually sees the gap
  • A one-time build fee, quoted before work startsno charge per document generated

01The buried-instructions trap

Custom orders shouldn't require a screenshot to make sense

A checkout field captures exactly the detail production needs — engraving text, a size chart selection, a delivery note — and then it sits alone on an order screen. Whoever assembles the item either opens Ecwid directly or works from a screenshot someone else took.

"The engraving text was right there in Ecwid, but the maker was working from a text message screenshot."

Production never had direct access to the order screen, so the instruction traveled through an extra, error-prone hop.

"The customer changed their size after the brief already went to the shop floor."

Nothing flagged the edit, so the item was cut to the original size while the corrected order sat unread in Ecwid.

"An optional field was left blank, and nobody could tell if that was intentional or a mistake."

An absent marker and a genuinely blank answer looked identical, so a real gap went unnoticed until the delivery.

A production brief is only useful if the person holding it trusts every line. Once a screenshot or a memory of the order stands in for the actual record, that trust is gone.

Same orders, same checkout fields. The difference is whether production works from a controlled document, or whatever version of the order happens to have been passed along.

Before

Order screen Access: whoever has Ecwid login Change tracking: none
  • Production works from a screenshot or a memory
  • An edited order can leave a stale instruction in play
  • An absent field and a blank one look the same

After

Brief: ORD-31182 Revision 1 · 6 fields mapped ✓ A controlled document, not a screenshot ✓ Keyed to the order in metadata and filename ○ A later edit shows as a new revision
  • Production reads a real, controlled document
  • An edit is visible, never silently stale
  • An absent field is distinguished from a blank one

02How it works

How an order rises through the compiler, floor by floor

The order is qualified on the ground floor, its checkout fields are translated into brief sections on the middle floor, and the finished document is committed on the top floor — with a service lift for anything that needs repair.

FLOOR 1 · QUALIFY Order read, checkout fields checked FLOOR 2 · TRANSLATE Fields mapped into brief sections FLOOR 3 · COMMIT Document filed, order ID stamped Lift carries the keyed record upward SERVICE SHAFT Returns an exception to its floor FLOOR 1 · QUALIFY Order read, fields checked FLOOR 2 · TRANSLATE Fields mapped into sections FLOOR 3 · COMMIT Document filed, ID stamped SERVICE SHAFT Returns an exception downward
Nothing files by default. An order rises to the top floor only once every configured field checks out.

Why an order gets re-read before it's compiled

  • An Ecwid webhook doesn't carry the full checkout-field payload. The compiler fetches the current order record before writing anything, so it always works from what the order actually holds, not from a stale webhook snapshot.
  • An event fires the same way regardless of where the order changed. A checkout answer edited by the customer, by staff in the control panel, or through the API triggers an identical webhook, so no origin is trusted more than another.
  • Google Docs' batchUpdate applies an ordered list of edits in one call. That's what makes a repeatable, section-by-section document assembly possible, instead of a script pasting text into whatever position happens to be open.

03Inside the compiler build

From a mapped field to a governed document archive

Brief Compiler Draft ships with the extra-field dictionary and document index. Revision covers and conditional clauses join at Brief Compiler Revision. By Brief Compiler Archive, asset links and a standing reconciliation sweep finish out the model.

04Who it's for

Built for sellers whose orders need real production notes

Makers producing customized goods, event teams assembling client packs, warehouse leads reading handling notes, and account managers who need to approve a specification before it ships.

Maker producing customized goods

Needs the engraving text or size chart in a document, not a screenshot passed along by hand.

Event team assembling client packs

Wants every checkout answer for an order compiled into one document, not scattered fields.

Warehouse lead reading handling notes

Needs delivery instructions in a document that's clearly current, not an order edited an hour ago.

Account manager approving specifications

Wants a versioned document to sign off on, with a clear record of what changed and when.

05Compare

The gap between a copy-paste habit and a real compiler

Copying an order's fields into a document by hand takes a few minutes per order. Catching every edit, distinguishing a missing field from a blank one, and keeping a searchable record of every brief is where hand-copying stops scaling.

Comparing manual copy-paste, a basic connector, and the BoldBellows brief-compiler build on what production actually needs
What production actually needsManual copy-pasteA basic connectorBoldBellows build
Where instructions liveWherever the person doing the copying put themA single flat document, no structureYesA structured brief per order, sectioned by field
What happens on an editSomeone has to notice and redo the copyThe old document just sits there, unchangedYesA revision cover shows what's now current
A missing fieldEasy to overlook while copying quicklyRendered the same as an intentional blankYesFlagged as an exception, not left silent

The optional-field trap

A checkout field is optional, so its marker is absent rather than blank. The compiler distinguishes the two explicitly, so "not asked" never gets confused with "answered with nothing."

The post-brief edit trap

A paid order gets edited after the first production brief was already issued. The compiler generates a new revision and marks the previous one clearly superseded, so production never works from the wrong version.

PricingClear, one-off packages

Give production a document, not a screenshot

Brief Compiler Draft, Revision and Archive differ mainly in how much versioning and document routing runs on top of the base field-mapping logic. Pick your package and the configurator prices out the rest live. Brief Compiler Draft opens at $400.

06The process

Getting the field map right before a single brief ships

Brief Compiler Draft needs your checkout fields cataloged and labeled clearly, which most stores can finish within a few days. Brief Compiler Revision takes longer because we test several real order edits to confirm the revision cover captures exactly what changed. Brief Compiler Archive runs the longest cycle, since we deliberately generate a large batch of briefs to prove the document index stays searchable at volume — that stage typically pushes the build toward thirteen days. Planning a product launch with lots of custom orders? Mention the timing up front so we can build the schedule around it.

Your field-mapping worksheet Every checkout field and its plain-language label Which Google Drive folder briefs should land in Who owns a missing-field case when it opens How far back a historical backfill should reach Built from your actual checkout fields Build summary Test set: 46 orders run Orders compiled 46 Briefs filed correctly 44 Unresolved exceptions 0 Ready for handoff
  1. Catalog your checkout fields

We list every custom field your checkout collects and agree on what it should be called in the brief.

  2. Design the document template

You approve the section layout, the filename convention, and how a revision cover should read.

  3. Build the compiler

The field mapper, the document assembler and the revision logic all get wired to your real Google Docs workspace.

  4. Push it past normal use

An optional field left absent, a post-brief order edit and a bulk batch of orders all get tested before launch.

  5. File one real brief together, then hand off

Your team sits in as a genuine order compiles into its brief, then takes ownership of the runbook.

Three things to have ready

  • The person who manages your Ecwid control panel and can install the connection.
  • A Google Workspace admin who can approve the target folder.
  • A few real orders with checkout fields filled in, for testing.

07Security and ownership

Files documents in one folder, reads orders, nothing more

The Google Docs grant is scoped to the specific destination folder you name, not your whole Drive. The Ecwid grant covers reading orders and checkout fields — it never touches pricing, listings or customer accounts.

One destination folder, nothing broader

Documents are created only inside the folder you designate — the build never browses or writes elsewhere in Drive.

Read-only against Ecwid orders

The connection reads order and checkout-field data only — it can never modify a price, listing or customer record.

Credentials sit outside every generated document

Nothing that authorizes a write appears inside a brief, a filename, or anything visible to a document's reader.

A repeat webhook updates, never duplicates

The order-ID key means a resend is recognized and merged into the existing brief instead of spawning a second file.

Support logs hold order IDs, not field content

What's kept for troubleshooting identifies which order and which action ran, never a copy of the checkout answers themselves.

The compiler and templates are yours

The field dictionary, document templates and full runbook transfer to you — nothing stays dependent on us.

09FAQ

What makers and account managers ask first

Still unsure? We reply in plain English.

Can't we just export the order as a PDF from Ecwid?

Ecwid's export gives you the raw order, not a document structured around production sections, a labeled field dictionary, or revision tracking when the order changes. That structure is the actual work this build does.

What happens to a brief if we edit its Google Doc by hand afterward?

A manual edit to the document itself is left alone — the automation only creates a new revision when the underlying Ecwid order changes. It won't overwrite notes your team adds directly to the brief.

Is this a one-time fee, or do we pay per document generated?

One-time. The price on this page covers the build itself. It then generates as many briefs as your order volume needs, with no per-document charge from us.

What if Ecwid or Google changes how checkout fields or documents work?

Your handoff names every field key and every Google Docs API call this build depends on. If either platform breaks that contract, the next generation attempt stops and flags the mismatch — no brief goes out built on a guess.

Can we generate briefs for orders placed before this was set up?

The historical brief backfill add-on handles that. It applies the same field-mapping rules to a bounded window of past paid orders and keeps that run on its own checkpoint, walled off from what live orders are doing.

We operate more than one Ecwid store — is that supported?

Yes. Each store gets its own document checkpoint and index, so a brief from one store is never mixed up with another store's orders. It is also the answer to ecwid to google docs, ecwid orders to google docs and ecwid google docs integration.
