BoldBellowsCleared payment, not order creation

Stop letting an unpaid Ecwid order become phantom QuickBooks revenue

An order fires the moment it's placed, whether or not the money ever actually landed. We built a posting gate that checks real payment status before anything touches your books, chooses the right document type, and ties every refund back to the sale it came from.

What an Ecwid order clears before a QuickBooks document posts

  • The full scope gets written down before the build beginsso nothing shifts halfway through
  • Every document tied to the Ecwid order IDrather than a customer name that can change
  • Revenue posts only once payment has genuinely clearedan order alone is never enough
  • A held transaction is surfaced for reviewit doesn't just vanish from the queue
  • You pay one build fee for the whole scopeand nothing recurring beyond that

01The phantom-revenue trap

Order creation is not the same thing as getting paid

Ecwid can tell you an order exists the instant a customer checks out. Whether the payment actually cleared, failed, or is still pending is a separate question — and a sync that skips asking it turns your books into a record of intentions, not transactions.

"Our year-end review flagged thousands in revenue for orders that never actually got paid."

The integration posted on order creation, not payment confirmation, and nobody caught the gap until the audit.

"Every month we spent hours matching Ecwid payouts against whatever QuickBooks happened to show."

With no shared key between the two systems, reconciling always meant opening both and cross-referencing by hand.

"A refund showed up as a floating credit with no link back to the sale it came from."

Without a durable connection to the original order, a credit memo became one more thing to chase down manually.

Books that count unpaid orders as revenue don't tell your accountant anything true. The posting gate exists so what's in QuickBooks is what you actually collected — nothing more, nothing assumed.

Same Ecwid store, same order volume. The difference is whether QuickBooks reflects money that actually cleared, or a running count of everything anyone tried to buy.

Before

Ecwid order feed Payment check: none Refund link: none
  • An unpaid order can post as revenue anyway
  • Reconciling means opening both tools by hand
  • A refund can land as an unlinked floating credit

After

Order: ORD-8814 Payment status: cleared ✓ Keyed to the Ecwid order ID ✓ Correct document type selected ○ Refund will link to this record
  • Revenue reflects money that actually cleared
  • Reconciling starts from one shared reference
  • A refund always resolves to its original sale

02How it works

A cascade of trays, each one earning the drop to the next

Every order lands in the top tray and falls through only if it earns the drop: qualify, then translate, then commit. Anything that doesn't clear a tray spills sideways into a gutter for a person to look at, instead of falling through by default.

TRAY 1 · QUALIFY Order, payment status read TRAY 2 · TRANSLATE Document, tax, identity set TRAY 3 · COMMIT Rejected → side gutter TRAY 1 · QUALIFY Order, payment status read TRAY 2 · TRANSLATE Document, tax, identity set TRAY 3 · COMMIT Rejected → side gutter
Every order falls through by earning its way, tray by tray. What doesn't qualify spills into the gutter for review.

Why the posting gate is built, not a straight pass-through

  • Order creation and payment confirmation are two different events. The gate treats them separately, so an order that's placed but not yet paid simply waits — it never becomes revenue prematurely.
  • A tax-inclusive total needs unpacking, not assuming. The gate separates what was actually collected as tax from the product revenue, so nothing gets double-counted or invented.
  • An invoice and a sales receipt aren't interchangeable. The document selector checks how payment was actually collected before deciding which one QuickBooks should record.

03Inside the posting-gate build

From a basic gate to a fully reconciled ledger

Posting Gate Core ships with the eligibility filter and the accounting source key. Document selection and tax normalization join at Posting Gate Ledger. Refund linkage and the close report complete the model at Posting Gate Audit.

04Who it's for

For the people who have to trust what the books say

Bookkeepers closing the month, controllers reviewing tax liability, store owners matching payouts against sales, and accountants who need a refund's origin traceable at a glance.

Bookkeeper closing the month

Works from a ledger where every posted document already reflects confirmed payment.

Controller reviewing tax liability

Trusts that tax-inclusive totals were separated correctly instead of being estimated after the fact.

Store owner matching payouts

Can trace a payout back to the exact orders that produced it, without a spreadsheet in between.

Accountant tracing refunds

Finds every credit memo already connected to the sale that caused it.

Where an off-the-shelf sync app runs out of judgment

Most off-the-shelf sync apps post an order to QuickBooks the moment it exists, no payment check involved. Getting a gate that actually tells revenue from intention apart is where that kind of app stops being enough.

The late-payment trap

An order sits at awaiting-payment when the first webhook fires, then clears an hour later. The gate re-checks the live Ecwid state before deciding, so a payment that lands late still posts correctly instead of being missed.

The partial-refund-plus-shipping trap

A tax-inclusive order has one line refunded while the shipping charge is kept. The gate calculates the correct remaining tax and revenue split rather than reversing the whole order as one lump sum.

06The process

Your chart of accounts gets mapped before we write a single line

Posting Gate Core is the fastest of the three to deliver, since a single payment-status filter and one document type is a contained job. Posting Gate Ledger takes noticeably longer, because tax normalization has to hold up against your real jurisdictions before we trust it. Posting Gate Audit is the longest build by a wide margin — often seventeen days — since refund linkage needs a genuine close cycle to prove it works. If a big sale or a tax-season crunch is coming, flag it now so we can plan the build timeline around it.

Before we touch your books Which QuickBooks accounts each order line maps to What counts as cleared payment in your policy How far back an opening-balance review should look Which tax jurisdictions actually apply to your sales Mapped to how your business actually books revenue Rehearsal run Test set: 90 orders run Orders evaluated 90 Documents posted 76 Phantom-revenue posts 0 Ready for your books
  1. Sit down with your bookkeeper or accountant

We learn how your business actually recognizes revenue today, and where the current process breaks down.

  2. Map every field to your chart of accounts

You approve exactly which QuickBooks account each type of Ecwid transaction lands in before we build it.

  3. Build the gate against your live accounts

The payment filter, the document selector and the tax normalizer all get connected to your real Ecwid store and QuickBooks company.

  4. Stress-test it against real transaction history

A late-clearing payment, a partial refund with retained shipping, and a duplicate webhook all get run before anything goes live.

  5. Post one real transaction, then hand you the keys

We follow a genuine paid order all the way through to a posted QuickBooks document before stepping back.

Three things to have ready

  • Ecwid store access with permission to authorize an integration.
  • A QuickBooks admin who can approve changes to your chart of accounts.
  • Real order history, with a couple of trickier refund situations mixed in.

07Security and ownership

Access built to write documents, not rewrite your books

On Ecwid, the connection only reads order, payment and refund data — nothing about your catalog or storefront settings is touched. On QuickBooks, the grant is scoped to creating documents in accounts your team approves, never to editing your chart of accounts directly.

Ecwid access is read-only, end to end

The build pulls order, payment and refund fields for its own decisions — nothing writes back into your storefront.

QuickBooks access stops at documents, never accounts

The integration can create invoices, sales receipts and credit memos — restructuring your chart of accounts stays entirely outside its reach.

No credential ever shows up on a document

Access tokens and keys stay in the automation environment — they're never printed into an invoice, memo or log line.

A resent webhook can't double a transaction

Because every post checks the Ecwid order ID first, a replayed event updates the existing record instead of creating a second one.

Operational logs track outcomes, not payment details

What's kept for debugging is order IDs and posting decisions — full card or bank details never pass through this build.

You own the mapping, not just the output

Every account mapping, tax rule and exception policy is documented and handed over — this isn't a black box your team can't inspect.

09FAQ

What bookkeepers and controllers ask before signing off

Have a specific concern about your close process? Request a quote and describe it — we'll tell you honestly whether this build addresses it.

We already use QuickBooks' built-in Ecwid connector — why would we need this?

A generic connector typically syncs on order creation, with no payment-status gate and no built-in refund linkage. If your books have ever shown revenue for an order that wasn't actually paid, that's the gap this build closes.

How do you decide between posting an invoice or a sales receipt?

By how the payment was actually collected. A payment captured immediately at checkout gets a sales receipt; one that's invoiced and collected later gets an invoice. We confirm your exact rule during the data-contract step, not after launch.

Does this price include QuickBooks Online itself?

No. This is the price of the build alone. Your QuickBooks Online subscription is billed separately by Intuit, exactly as it was before this integration existed.

What happens if a tax rate or product mapping changes mid-year?

The handoff documentation spells out precisely which fields and mapping rules this build leans on. A mid-year change gets caught by the scheduled reconciliation and flagged for review, rather than silently posting against a stale tax code.

Can you bring in the last twelve months of order history?

Yes, through the opening-balance review. We reconcile a bounded historical window against your existing QuickBooks entries first, so a backfill can't accidentally double-count revenue you've already booked.

We're expanding to a second Ecwid store next quarter — does this scale?

Yes. The second-company-file add-on sets up a fully separate posting checkpoint, and we scope together whether the new storefront should feed the existing QuickBooks company or one of its own. If you searched for ecwid to quickbooks, sync ecwid orders to quickbooks and ecwid quickbooks integration, this is the service that delivers it.

Next stepStop treating an order like a payment

Give your books numbers you can defend

Tell us about a reconciliation headache from your last close, and bring one order where a refund was hard to trace. That's what we'll scope and price. Posting Gate Core starts at $800.

  • From $800, paid once
  • Revenue posts only after payment clears
  • Every refund resolves to its original sale
  • A held transaction is flagged, never dropped
