BoldBellowsWhat shipped, not what was ordered

Keep a digital line from closing out an unshipped Ecwid order

A cart with a download, a gift card and a physical item in it isn't one shipment — it's one order with a single line that actually needs a box. We filter out what never ships, carry full variation detail to the packer, and write tracking back only to the lines that genuinely went out.

  • Digital lines never reach the packing queue
  • A partial shipment stays visibly partial
  • Shippability Gate Filter is usually testable within two weeks

What an Ecwid order clears before a ShipStation record opens

  • The build scope is agreed and written down firstso nothing changes shape halfway through
  • Every record keyed to order number plus shipment IDnot a customer name or address alone
  • Only physical, paid lines reach the packing queuea digital item never does
  • An address problem stops a label, not the whole orderit waits in a visible queue
  • The build itself is a single flat feeseparate from whatever ShipStation already bills you

01The mixed-cart trap

An order isn't the same thing as a shipment

Ecwid treats a download, a gift card and a physical product as three lines on one order. ShipStation only cares about the one that actually needs a box. A sync that doesn't draw that line ends up either shipping nothing that matters, or marking the whole order done when most of it was never meant to move.

"An order with a gift card in it got marked fully shipped before the physical item ever left the warehouse."

The sync closed the whole order on the first tracking event, treating a nonphysical line as done alongside it.

"The packer had to open Ecwid separately just to see which size and color the customer actually chose."

ShipStation showed a bare product name with none of the variation detail the box actually needed on it.

"Two boxes shipped on different days, and the second one silently overwrote the first tracking number."

With no per-line tracking, a legitimate split shipment looked like a mistake the system tried to correct.

Marking an order shipped when only part of it moved is a promise to the customer your warehouse hasn't kept. The shippability gate exists so "shipped" in ShipStation always means exactly what it says.

Same mixed carts, same warehouse. The difference is whether ShipStation tracks only what physically ships, or treats every line on the order as interchangeable.

Before

Ecwid mixed cart Line filter: none Tracking scope: whole order
  • A digital line can trigger a real shipping label
  • Packers guess at variation detail from a bare name
  • A second box can overwrite the first one's tracking

After

Order: ORD-6612, line 2 of 3 Physical item, size L, color Moss ✓ Digital lines filtered out ✓ Full variation detail carried through ○ Tracking pending for this specific line
  • Only genuinely shippable lines get a label
  • Packers see the exact size and color to pull
  • Each box's tracking lands on its own line

02How it works

Three doors, each one opening only when its condition is met

An order approaches a gatehouse with three consecutive doors — qualify, translate, commit — and each one only opens once its own visible condition is satisfied. Anything that can't clear a door steps aside through a side wicket into review, instead of being waved through.

DOOR 1 · QUALIFY DOOR 2 · TRANSLATE DOOR 3 · COMMIT Exit Failed door → side wicket DOOR 1 · QUALIFY DOOR 2 · TRANSLATE DOOR 3 · COMMIT Failed door → side wicket
A line only reaches the exit once every door has genuinely opened for it. What fails a door steps aside for review.

Why the shippability gate is built, not a straight forward

  • A product type field, not a guess, decides what's physical. The gate checks each line's actual product classification in Ecwid before deciding it belongs in ShipStation at all.
  • A variation option is data, not decoration. Size, color and any custom attribute travel with the line item, so whoever's packing it never has to go looking elsewhere.
  • A tracking event belongs to a line, not the whole order. When a carrier confirms a package moved, that update attaches to the specific line it actually covers.

03Inside the shippability-gate build

From a basic filter to a fully reconciled fulfillment loop

Shippability Gate Filter ships with the shippability check and tracking idempotency. Variation expansion and the partial-fulfillment map join at Shippability Gate Tracking. Package policy and address exception handling complete the model at Shippability Gate Reconciliation.

04Who it's for

Built for the people who actually touch the box

Shipping managers choosing carrier services, packers who need to see variation detail at a glance, support agents checking tracking for a customer on the phone, and operations leads auditing how partial fulfillment gets handled.

Shipping manager selecting services

Picks carriers and rates from package-policy rules that already account for weight and destination.

Packer reading variation details

Sees the exact size, color and option on the label queue, without switching back to Ecwid to check.

Support agent checking tracking

Can tell a customer exactly which line has shipped and which is still pending, not just "processing."

Operations lead auditing partial fulfillment

Reviews a clean log of every line-level shipment instead of reconstructing it from order notes.

Where a basic import feed loses track of what actually shipped

A basic import feed hands ShipStation the whole order and lets it figure out what to do with every line. Filtering by shippability, carrying variation detail, and keeping tracking scoped to the right line is where that feed stops being enough.

The three-line-cart trap

An order holds a download, a gift card and two physical products together. The gate re-reads each line's classification and records exactly which ones qualified, changed, or got excluded — nothing is assumed from the order total alone.

The split-shipment trap

Two boxes go out on different days against one Ecwid order. Identity is tracked by order number plus a distinct shipment identifier, so the second box's tracking number never overwrites the first one's.

06The process

We walk your catalog before a single label prints

Shippability Gate Filter is the quickest to deliver, since one filter rule and one tracking key is a contained job. Shippability Gate Tracking takes longer, because variation expansion has to be checked against your real product options before it's trusted. Shippability Gate Reconciliation is the longest build, often stretching past two weeks, since package policy needs a genuine mix of order weights and destinations to prove itself. Expecting a spike from a seasonal launch? Let us know while we're still scoping, and it factors into the plan from day one.

Before we build the gate Which product types actually need a box Which carriers and services you actually use How far a historical order import should reach Which warehouse handles which order types Built around what your warehouse can actually pack Rehearsal run Test set: 120 orders run Orders processed 120 Lines shipped 168 Wrongly-closed orders 0 Ready for your warehouse
  1. Walk your catalog for physical versus digital lines

We go through your product types together so the filter reflects exactly what your warehouse actually ships.

  2. Confirm your package and carrier rules

You approve exactly which weight, destination and product-class combinations map to which box and carrier.

  3. Wire the gate to your live store and account

Your real store and account host the shippability filter, variation expander and package policy from this point forward.

  4. Run it against real mixed carts

A three-line order with a download in it, a split shipment across two days, and a duplicate tracking event all get rehearsed first.

  5. Ship one real order before we let go

An actual order gets tracked from checkout all the way to a printed label and confirmed tracking before your team takes over.

Three things to have ready

  • Someone who can authorize the Ecwid app connection.
  • A ShipStation admin who can approve carrier and warehouse settings.
  • A few recent orders that mixed physical and digital items.

07Security and ownership

Built to move orders, not to manage your accounts

The Ecwid connection reads order, product and shipping fields only — pricing and storefront configuration stay outside this build's reach. In ShipStation, access is limited to creating and updating orders and shipments, never to billing or account settings.

Ecwid access reads orders, nothing more

The build pulls order and product fields to make its filtering decisions — your catalog and pricing stay untouched.

ShipStation access covers orders and shipments only

Nothing in this build can touch your billing, users or carrier account credentials inside ShipStation.

No key ever ends up printed on a label

API credentials live only in the automation environment — never in a shipping label, packing slip, or order note.

A duplicate carrier event can't double a tracking write

Every tracking update checks the order-number-plus-shipment key first, so a resent event updates the same record.

Debug logs skip the customer's personal detail

What's retained for troubleshooting is order and line IDs, not a copy of the customer's name or address.

Your team gets the filter logic, fully documented

Every shippability rule, package policy and exception path transfers to you — nothing is locked to us after handoff.

09FAQ

What warehouse and support teams ask first

Not sure this fits your setup? Request a quote and walk us through a mixed order that caused a fulfillment mistake, and we'll give you a direct answer.

Doesn't ShipStation already tell physical and digital products apart?

Not on its own — ShipStation trusts whatever an order feed sends it. This build is what actually checks each line's product type back in Ecwid before deciding it belongs in ShipStation at all.

What if we ship the same order from two different warehouses?

That's exactly what the second-warehouse-profile add-on covers. Each location keeps its own package policy, and tracking still resolves correctly back to the specific line each warehouse actually shipped.

Is our ShipStation subscription included in this price?

No — this is the build fee only. Your ShipStation plan, label costs and carrier accounts stay on their own separate billing, entirely untouched by this integration.

One of these platforms is bound to change its API eventually — then what?

Every field this build relies on is named in your handoff documentation. Whichever platform breaks first, that order gets pulled aside and flagged rather than left to post a fulfillment record nobody trusts.

Can old orders be brought into ShipStation as reference records?

That's what the historical-order-import add-on is for. We page through a bounded window of past orders and key each one the same way a live order gets keyed, so none of it can pass for a fresh shipment.

Two of our brands sell through separate Ecwid stores — can one build cover both?

It can. Each storefront gets its own credential and conflict policy so the two never collide, and during scoping we settle whether they land in one ShipStation account or two. Related searches this service covers include ecwid to shipstation, sync ecwid orders to shipstation and ecwid shipstation integration.
