BoldBellowsThe right tax basis, every single line

Stop letting Ecwid's tax-inclusive prices become doubled tax in Xero

Ecwid sells at tax-inclusive prices; Xero often expects to calculate tax on top of a line amount. Get that mismatch wrong once and every sale either double-counts tax or quietly under-reports it. We read how each line was actually priced and set the matching basis in Xero, line by line.

01The doubled-tax trap

Two accounting systems, two different ideas of what a price means

Your customer pays one tax-inclusive number at checkout. Xero, by default, often treats a line amount as tax-exclusive and adds tax on top of it. Feed one system's number into the other without translating the basis, and every sale quietly overstates or understates what you actually owe.

"Our tax adviser found we'd been overstating VAT liability for two straight quarters."

Inclusive Ecwid prices were being posted as exclusive Xero amounts, and tax got calculated a second time on top.

"Every month-end close meant hunting through both systems to explain small totals that never matched."

Genuine rounding pennies and real tax-basis errors looked identical, so every discrepancy needed manual digging to explain.

"A refund covering the product but not the shipping showed up as one disconnected credit note."

With no link back to the original sale, a partial refund became its own unexplained ledger entry.

A tax-basis error doesn't announce itself as an error — it just makes every total slightly wrong in a way nobody notices until an adviser goes looking. The tax bridge exists so the basis is right at the moment of posting, not discovered months later.

Same storefront prices, same tax rules. The difference is whether Xero reads each line on its actual basis, or assumes one basis for everything and hopes it's close enough.

Before

Ecwid order total Basis check: none Credit-note link: none
  • Tax can be calculated twice on one sale
  • Genuine errors hide inside normal rounding
  • A partial refund can land as an orphaned credit

After

Order: ORD-8814 Basis: tax-inclusive, confirmed ✓ Line-amount type matches storefront pricing ✓ Keyed to the Ecwid order ID ○ Any refund will link back to this invoice
  • Tax gets calculated on the correct basis once
  • A rounding penny never masks a real mismatch
  • Every credit note traces back to its sale

02How it works

Three bounded territories, joined by guarded crossings

A transaction enters a bounded map with three distinct territories — qualify, translate, commit — connected by guarded crossings rather than an open path. Nothing walks from one territory to the next without its checkpoint clearing, and anything that can't cross gets routed into its own held territory instead.

TERRITORY 1 QUALIFY THE CHANGE TERRITORY 2 TRANSLATE THE MEANING TERRITORY 3 COMMIT WITH EVIDENCE Xero confirmation zone Held territory — unresolved cases TERRITORY 1 QUALIFY THE CHANGE TERRITORY 2 TRANSLATE THE MEANING TERRITORY 3 Xero confirmation zone Held territory
A transaction only crosses into the next territory once its checkpoint genuinely clears. Nothing skips ahead on a guess.

Why the tax basis is checked, not assumed

  • Discounts and shipping tax don't always round the same way as the order total. Each line is checked on its own, so a line-level discount can't quietly throw off the whole invoice.
  • A refund on merchandise doesn't automatically cover the delivery charge. The credit-note linker checks exactly which lines a refund actually touched before writing the credit.
  • A Xero line-amount type has to match how the sale was actually priced. The mapping checks basis against source before posting, so a wrong type never quietly changes what's recorded as tax.

03Inside the tax-bridge build

From contact matching to a fully governed reconciliation

Tax Bridge Contact ships with contact policy and a reconciliation packet. The line-amount translator and payment-state gate join at Tax Bridge Translator. The rounding governor and credit-note linker complete the model at Tax Bridge Rounding.

04Who it's for

Shaped around the four roles a tax figure has to satisfy

Bookkeepers reconciling daily sales, tax advisers reviewing liabilities before a filing, finance managers tracking credits against the invoices they reverse, and owners comparing Ecwid and Xero totals when something looks off.

Bookkeeper reconciling daily sales

Trusts that every posted total already reflects the correct tax basis, not a guess applied after the fact.

Tax adviser reviewing liabilities

Reviews a ledger where inclusive and exclusive amounts were never confused at the point of posting.

Finance manager tracking credits

Sees every credit note already linked to the exact invoice and line it reverses.

Owner comparing Ecwid and Xero totals

Can trust that a small gap is genuine rounding, not a symptom of a bigger tax-basis error.

05Compare

Where a default Xero connector loses the tax plot

A default connector can push an Ecwid total into Xero in minutes, using whatever line-amount type Xero happens to default to. Actually matching the basis a sale was priced at, line by line, is where that default setup runs out of judgment.

The uneven-rounding trap

A line-level discount and a shipping tax charge round differently from the order total taken as a whole. Each line gets evaluated on its own before posting, so a discount can't quietly throw off the invoice's overall tax figure.

The partial-shipping-refund trap

A refund covers the merchandise but leaves the original delivery charge in place. The credit-note linker checks exactly which lines were actually refunded before writing the credit, instead of reversing the whole invoice.

06The process

We confirm your tax jurisdictions before touching a single invoice

Tax Bridge Contact moves fastest, since one contact rule and one document type is a narrow, contained job. Tax Bridge Translator takes noticeably longer, because the line-amount translator has to be checked against every real tax jurisdiction you actually sell into. Tax Bridge Rounding is the longest build, often past two weeks, since the rounding governor needs a genuine multi-line, multi-tax-rate order to prove it holds. If you're adding a new tax jurisdiction soon, mention it while we're still scoping and it shapes the build from day one.

Before we touch your books Which jurisdictions your storefront actually sells into Whether shipping is taxed the same as merchandise How far an opening-balance review should look back What counts as acceptable rounding drift for you Mapped to how your business actually charges tax Rehearsal run Test set: 110 lines run Lines evaluated 110 Invoices posted 83 Unresolved mismatches 0 Ready for your books
  1. Walk through your storefront pricing with your bookkeeper

We learn exactly how your prices are set up in Ecwid and how your Xero organisation currently expects tax to work.

  2. Map jurisdictions to Xero tax codes together

You approve exactly which tax code applies to which jurisdiction, and how shipping tax should be treated.

  3. Build the bridge against your live accounts

Your actual Ecwid store and Xero organisation host the tax-basis translator, contact policy and rounding governor from this point on.

  4. Stress-test it against real tax scenarios

We rehearse a line-level discount alongside shipping tax, a delivery-excluded partial refund, and what happens when the same webhook arrives twice.

  5. Close out one real tax period, then hand off

We watch a genuine reconciliation cycle complete cleanly before your team takes over the bridge on their own.

Three things to have ready

  • Someone able to approve an app connection on your Ecwid store.
  • A Xero admin who can approve changes to your tax-code setup.
  • A few real orders, including one with a partial refund.

07Security and ownership

Built to post documents, not restructure your ledger

On Ecwid, the connection reads only order, payment and tax fields — catalog and storefront settings are outside its reach. On Xero, access is scoped to creating invoices, credit notes and contacts; it can't touch your chart of accounts, bank feeds or organisation settings.

Ecwid access reads order and tax fields only

The build pulls exactly what it needs to calculate the correct basis — your catalog and storefront settings stay untouched.

Xero access never touches your chart of accounts

The integration can create invoices, credit notes and contacts — bank feeds, account structures and payroll are entirely out of reach.

No credential ever ends up on an invoice

The access token lives only inside the automation's own environment — it is never printed into a document, a note, or a reference field.

A duplicated webhook posts once, not twice

Every write checks the Ecwid order ID against the Xero reference field first, so a resent event updates rather than duplicates.

Logs track the decision, not the payment method

Troubleshooting records show order references and the posting outcome — full card or bank detail never passes through this build at all.

You own the tax mapping, fully documented

Every jurisdiction mapping, rounding rule and exception policy transfers at handoff — nothing stays dependent on us afterward.

09FAQ

Questions this build has to answer before finance signs off

Have a specific tax-jurisdiction concern? Request a quote and describe it, and we'll tell you plainly whether this build handles it or needs a custom scope.

Doesn't Xero already calculate tax correctly on its own?

Xero calculates tax correctly for whatever line-amount type it's told a line is. The problem isn't Xero's math — it's that a generic sync often tells Xero the wrong basis to begin with. This build is what gets that basis right before Xero ever calculates anything.

How do you handle multiple tax jurisdictions in one Ecwid store?

We map each jurisdiction you sell into to its correct Xero tax code during the tax-code workshop, and the translator applies the matching code per line based on where that specific sale was taxed.

Does this cover what we already pay Xero each month?

It doesn't — the price above is for the build itself, and nothing more. Your Xero organisation's plan keeps running on its own subscription, entirely separate from what you pay us.

What if a tax rate changes partway through the year?

Every tax-code mapping this build relies on is documented at handoff, so your team can update it directly when a rate changes. The scheduled reconciliation also flags anything that stops matching the expected basis.

Can prior months be reconciled, or does this only work going forward?

The opening-balance review checks a bounded historical window against your existing Xero entries first, so a backfill can't double-post revenue you've already recorded, and any past tax-basis mismatch gets surfaced rather than carried forward silently.

We're setting up a second Xero organisation for a new region — does this extend to it?

Yes, through the second-organisation-file add-on. Each organisation gets its own posting checkpoint and tax-code mapping, and we scope with you whether the two Ecwid stores stay fully separate or share reporting. This page also answers searches for ecwid to xero, sync ecwid orders to xero and ecwid xero integration.

Next stepStop guessing which tax basis applies

Give Xero the tax basis it was actually charged

Tell us which tax jurisdictions your store sells into, and share one reconciliation that never quite balanced — send that over and we'll price the build from it. Tax Bridge Contact starts at $800.

  • From $800, paid once
  • Tax gets calculated on the right basis, once
  • A rounding penny never hides a real error
  • Every credit note traces to its original sale
