Etsy to Airtable, linked tables instead of one sheet trying to do everything

BoldBellows builds orders, buyers and listings as separate, connected Airtable tables, so a kanban board of production status and a grid of inventory levels can both draw from the same live data instead of three exports that go stale at different times.

View Pricing

The Inventory Command Base is the longest build, at under two weeks.

  • Works with any Etsy shop
  • Read-only API connection
  • Real linked tables, not one sheet
Etsy to Airtable automation by BoldBellows: orders, buyers and listings as linked Airtable tables viewed as a kanban board of production status

The basics behind this Airtable build

  • Any catalog sizeA dozen listings or hundreds.
  • Locked to what's neededNot a broad, general-purpose key.
  • Verified links, not guessesChecked against real orders.
  • Your own Airtable baseNot shared workspace access.
  • From $400One build fee, that's it.

B2Before and after

A flat spreadsheet buckles the moment your shop gets complicated

One tab can hold orders. It struggles to also track which buyer bought what, which listings are running low, and where each order actually sits in production, all without duplicating half the data three times over.

Sound familiar?

"I retype the same buyer info on every one of their orders."

A flat sheet has no concept of a buyer existing separately from an order row.

"I can't see production status at a glance."

A column with a status word isn't the same as a board you can actually scan.

"My inventory count is whatever I last typed in."

Without a live link back to Etsy, a quantity field is a guess the moment it's written.

"I copy-paste between three separate tabs constantly."

Orders, listings and inventory sitting in disconnected tabs means everything's manually kept in sync, badly.

One flat sheet, versus tables that actually link

Before

OrderBuyerItem #7701M. ReyesRing #7702M. ReyesRing Buyer info, duplicated
  • Buyer detail repeated on every order row
  • Status is a column, not a real board
  • Inventory counts nobody quite trusts
  • Three tabs, kept in sync by hand

After

Orders → Buyers (linked) #7701→ M. ReyesRing #7702→ M. ReyesRing Linked, not duplicated
  • One buyer record, linked from every order
  • A real kanban board of production status
  • Inventory that reflects Etsy, refreshed on schedule
  • One base, everything connected automatically

D4How it works

How an Etsy order becomes three connected records

Three parts turn one order into properly linked data across your base, without you ever opening a settings screen.

Your Etsy shop Orders, listings, stock Read-only BoldBellows sync Matches the buyer record Links the listing De-duplicated by order ID Your schedule Your Airtable base Linked, live in your account Your Etsy shop Orders, listings, stock Read-only BoldBellows sync Matches the buyer record Links the listing De-duplicated by order ID Your schedule Your Airtable Linked, live in your account

A real link, not a repeated value

Airtable's own linked-record field connects a row in Orders to a row in Buyers; nothing gets copy-pasted between tables.

Views built for how you'll actually look

A kanban board, a calendar, an inventory grid, all pulling from the same linked tables rather than separate exports.

Links checked before you ever see them

We run real recent orders through the base first, confirming every link resolves correctly before handover.

E5Inside your base

What each table actually holds

The tables and links this build creates in Airtable, laid out plainly. No mystery linked-record fields, no orphaned rows.

Orders

Every order, linked both ways

Connected to its buyer and its listing, de-duplicated by order ID.

Buyers

One record per buyer, not per order

Every order they've placed shows up linked, without a single repeated field.

Listings

Every product, and every order tied to it

See which listing actually drives orders, on the top two packages.

Inventory

Quantity that actually reflects Etsy

Refreshed on schedule, with a low-stock view on the top package.

Multi-shop

Several shops, one connected base

Two or more Etsy shops feeding the same linked structure, tagged apart.

Sync health

Proof it is still running

Every check leaves a timestamp behind, so a stall is obvious rather than silent.

G7Who it is for

Built for shops that outgrew a single spreadsheet tab

If any of this matches your shop, linked tables will save you the copy-pasting a flat sheet demands.

Makers running real production

"I need to see what's in progress at a glance."

A kanban board turns a status column into something you can actually scan.

Shops with a growing catalog

"Tracking stock in a spreadsheet is a full-time job."

Live inventory synced from Etsy means the count is finally trustworthy.

Sellers who track repeat buyers

"I want to see a buyer's full order history in one place."

A linked Buyers table shows every order tied to one person automatically.

Multi-shop sellers

"Two shops, and I want one place to see it all."

Records from each shop carry their own tag, so a combined base never mixes them up.

I9Your options

A flat sheet, Zapier, an app, or a real linked base?

Four ways to get Etsy data structured, and only one of them actually links the data instead of just moving it.

A spreadsheet can hold data. It can't link it. The moment your shop needs a buyer's full history or a real production board, a flat tab stops being the right tool.

Build your Etsy to Airtable price

Pick a package, answer three short questions about which tables get linked, what views you need and how often the base refreshes, and your price and go-live date move as you choose.

Choose your packageRequired

The three packages differ by how many tables get linked and how far the views go.

Orders and buyers, properly linked in a base you can actually query.

  • An Orders table and a Buyers table, linked to each other
  • Every new order added automatically, de-duplicated by order ID
  • A scheduled re-check on real cron that catches anything the last pull missed
  • Your own read-only Etsy API connection, never a shared public app
  • Handover notes (PDF) covering the base structure and every field
  • Two rounds of changes once you see real records land

A kanban view of production status, plus a Listings table linked to it all.

  • Everything in the Order Base package
  • A Listings table linked to both orders and buyers
  • A kanban view showing production status per order
  • A calendar view for any orders carrying a due date
  • Handover notes (PDF) covering every view and link
  • Three rounds of changes once it is running

Live inventory tracking added, with low-stock views and full multi-shop support.

  • Everything in the Production Board package
  • An Inventory table tracking quantity per listing, refreshed on schedule
  • A low-stock view flagging listings under a threshold you set
  • Multiple Etsy shops feeding one base if needed
  • Handover notes (PDF) covering the full base structure
  • Four rounds of changes once it is running

Several Etsy shops feeding one base, a table structure built around a workflow you already use, or a view type none of the packages above name. Tell us how you'd actually use the base and we will price it for your build.

Which tables should this base include?Required

More linked tables mean a richer base, at the cost of a slightly larger build.

Which views do you actually need?Required

More views mean more ways to look at the same underlying data without exporting anything.

How often should the base refresh?Required

Etsy's API is polled on a schedule rather than pushed by webhook, so this sets how often we check back.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your base needs, watch the total, switch it back off.

J11The process

Six stages from a blank base to linked, working tables

A short kickoff covers most of what we need from you. Building the base, the links and the views is entirely on us.

  1. We plan the table structure with you

Which tables you actually need, how they should link, and which views will make the base worth opening daily.

    Day 1
  2. Two credentials, generated quickly

A read-scoped Etsy connection and an Airtable personal access token, each created from a short guide.

    About 10 minutes
  3. Tables, links and views get built

Each table from the plan takes shape, the links between them get wired, then the kanban and calendar views your package includes get added.

    Most of the timeline
  4. Every link gets tested against real orders

Recent orders populate a duplicate base first, so a broken link or a missing record gets caught before your real base does.

    Internal check
  5. You click through the real thing

We hand it over live for a short trial run — tell us what should be linked or arranged another way.

    Your review
  6. Handed off, and still linking itself

Documentation covering every table and link arrives at handover, and new orders keep populating the base correctly after that.

    Final day

K12Getting started

What we're counting on from your end

  • Access to generate an Etsy API credential
  • An Airtable account, workspace already created
  • A rough sense of the views you'd actually use
  • A short window to click through the finished base

L13Safety and ownership

Buyer and order data, kept inside a narrow path

Names, order values and contact detail all end up in this base, so what feeds it and what can touch it both stay deliberately limited.

You own it Read-only access

Etsy sees only a reader, never a writer

This build's Etsy credential can view orders and listings and nothing further; adjusting a price or a listing stays completely out of reach.

The Airtable token reaches one base

Access is scoped to the single base this build manages; other bases in your workspace stay entirely untouched.

Individual logins, no shared credentials

Everyone touching the setup uses their own account; a password shared around the team isn't part of this build.

Either credential shuts the whole thing off

Revoke the Etsy connection or delete the Airtable token and syncing stops immediately, from either direction.

No separate archive of your buyer data

Order and buyer detail moves through only long enough to fill a linked record; nothing is stored anywhere on our side.

The base is yours outright

Every table, link and view lives in your own Airtable workspace, with nothing further owed to keep it functioning.

BoldBellows built an AI support chatbot for our online boutique, and it has changed how we run the business. We used to have two full-time staff answering the same questions all day. Now the AI handles order tracking, product recommendations and even refund requests on its own.

What surprised me most is how natural it sounds. Customers compliment the ‘agent’ without realizing it’s AI. Our support workload dropped by 75% and customer satisfaction went up dramatically.

N15FAQ

Before you commit to a base

The questions that come up most while a seller is still deciding. Mention anything odd about your own setup when you request a quote — it usually changes very little.

Can we add our own fields to a table later?

Yes. Any field you add yourself is left alone by the sync; it only manages the fields it's responsible for keeping current.

Does this replace an Airtable base we're already using?

It can extend an existing base rather than starting from nothing, if you'd prefer. Tell us what's already there during planning and we'll build around it.

What happens to records if we edit them manually?

A manual edit to a field the sync doesn't manage stays exactly as you left it. Fields the sync does manage get refreshed on the next scheduled check.

Can Airtable's own automations trigger off this data?

Yes, with the automation triggers extra. We wire Airtable's native automation feature to fire off real record changes this sync creates.

Does old order history make it into the base too?

Only if you turn on the historical backfill extra — switch it on and everything before today's build populates the base alongside what's arriving new.

Who's watching if something changes on Etsy's or Airtable's side?

Nothing breaks quietly — a failed read or write lands in the sync health log right away, before you'd ever spot it yourself. Whether we're the ones patching it depends on your package: automatic through the build window, and for a further three months if you've added aftercare.

Do we keep paying you after the base is built?

Not unless you want aftercare. What you pay covers the build itself; your Airtable subscription is a separate arrangement you already have with them.
