Etsy to Notion, where an order becomes a page, not a row

BoldBellows writes each new Etsy receipt into its own Notion page, structured properties and all, with room left on that same page for the production notes and photos a flat database field was never built to hold.

Live Pages is usually finished inside two weeks.

  • Works with any Etsy shop
  • Read-only API connection
  • A full page per order, not a cell
Etsy to Notion automation by BoldBellows: an order as a Notion page with structured properties and a linked buyer, room left for production notes

The essentials of a BoldBellows Notion build

  • Any shop, any workspaceFree plan or paid, either works.
  • Shared with one databaseNot your whole Notion workspace.
  • Tested on a real shop firstNot invented, made-up data.
  • The workspace stays yoursNothing hosted on our side.
  • From $375Pay once, keep the workspace forever.

B2Before and after

A shop that lives in Notion still ends up pasting order data by hand

The database exists, the properties are set up, and someone's still opening a second tab to copy an Etsy order across field by field, because nothing actually fills it for them.

Sound familiar?

"Half our orders never make it into the database at all."

A manual step gets skipped on the days it matters most, and nobody notices until later.

"Our buyer database and orders database don't actually talk."

Two databases sitting side by side, with nothing linking one page to the other.

"Production notes live in a group chat, not on the order."

The one place that should hold that context has no room built for it.

"I've made the same order page twice by accident."

Nothing checks whether a page already exists before someone starts a new one.

A database that sits empty, versus one that fills itself

Before

Orders — typed in by hand — #7701 (added late, twice) Duplicate page, caught late
  • Someone retypes each order from Etsy by hand
  • Buyers and orders sit in separate, unlinked databases
  • Production notes live outside the page entirely
  • Nothing checks for an accidental duplicate

After

#7701 — Custom ring Status: In progress Buyer: M. Reyes (linked) Production notes Engrave "M & R, 6/14" — gift box requested Matched, never duplicated
  • Each receipt writes its own page automatically
  • Orders link straight to that buyer's own page
  • Room for notes sits right beside the order data
  • Order id keeps every re-check pointed at one page

D4How it works

How a receipt becomes a page worth opening

Three parts carry an Etsy order into Notion as something more useful than an exported line, without a single field typed by you.

Your Etsy shop Receipts and buyer detail Read-only BoldBellows sync Sets each property field Relates the buyer's page De-duplicated by order ID Your schedule Your Notion workspace One page, ready to open Your Etsy shop Receipts and buyer detail Read-only BoldBellows sync Sets each property field Relates the buyer's page De-duplicated by order ID Your schedule Your Notion One page, ready to open

Properties, filled the way Notion expects

Select, date and relation fields are set exactly as their type demands, not stuffed in as plain text.

A real relation, not a copied name

The buyer field points at their own page in the Buyers database, so a rollup can actually total their history.

Verified before your workspace sees it

Actual recent orders run through a test database first, so a misfiled property gets caught early.

E5Inside the workspace

What lands on the page, and what it connects to

The properties, relations and views this build adds, laid out plainly. Nothing gets set up you didn't ask for.

Sync status

A quiet build tells you it's working

Each pass leaves a mark you can check, rather than making you guess.

G7Who it is for

Built for shops already running their back office in Notion

If any of this matches how your shop works, a page that fills itself will save you the daily copy-paste.

Shops that already run on Notion

"We built the database. Nothing's ever actually filled it."

A build that finally puts real orders where the structure's been waiting all along.

Makers who document as they work

"I write notes for every piece. They belong with the order."

Free-form space sits right on the page, not scattered across a separate notes app.

Sellers who track repeat buyers

"I want to open a buyer's page and see everything they've bought."

A relation field means every order they've placed is one click away, automatically.

Multi-shop sellers

"Two shops, one workspace I actually want to open."

A shop tag on every page keeps a combined database easy to filter.

I9Your options

Typing it in, Zapier, a listed app, or a page built right?

Four ways an Etsy order can end up in Notion, and only one of them sets properties, relations and page content the way Notion actually expects.

Table weighing whether an Etsy order lands in Notion correctly, across doing it manually, an automated Zapier flow, a ready-made connector app, and a custom BoldBellows build

Typing it in by hand doesn't scale past a handful of orders. A tool that only maps fields skips the relations that make Notion worth using in the first place.

Pricing

Build your Etsy to Notion price

Pick a package, answer three short questions about how orders should be linked, what a page should carry and how often the database refreshes, and your price and go-live date move as you choose.

Choose your packageRequired

The three packages differ by how far the database is linked out, and how much of the shop it actually covers.

Every order as its own Notion page, in the database you already use.

  • A Notion page created for each new receipt, titled with the order number
  • Structured properties for status, total, order date and shipping detail
  • Matched back to that same page on order id, so a re-check never doubles up
  • A scheduled re-check on real cron that catches anything the last pull missed
  • Your own read-only Etsy API connection, never a shared public app
  • Handover notes (PDF) covering the database structure and every property
  • Two rounds of changes once you see real pages land

A Buyers database, linked to every order, with lifetime totals rolled up automatically.

  • Everything in the Live Pages package
  • A Buyers database linked to Orders through a relation property
  • A rollup showing each buyer's order count and lifetime spend
  • A board view grouped by production status
  • Handover notes (PDF) covering every relation and rollup
  • Three rounds of changes once it is running

Listings linked in too, plus a dashboard page summarizing what's open across your whole shop.

  • Everything in the Linked Database package
  • A Listings database linked to both orders and buyers
  • A dashboard page totaling open, in-progress and shipped orders live
  • Multiple Etsy shops feeding one workspace if needed
  • Handover notes (PDF) covering the full workspace structure
  • Four rounds of changes once it is running

Several Etsy shops feeding one workspace, a page template built around a workflow you already use, or a property structure none of the packages above name. Tell us how your team works in Notion and we will price it for your build.

How much of your shop should live here?Required

Linking in more databases means a fuller workspace, at the cost of a slightly larger build.

What should a page actually carry?Required

More on the page means less time spent tabbing back to Etsy to check what was ordered.

How often should the database refresh?Required

Etsy's API is polled on a schedule rather than pushed by webhook, so this sets how often we check back.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your workspace needs, watch the total, switch it back off.

J11The process

Six stages from a bare database to pages that write themselves

One planning call gets us what we need about how your workspace is organized. From there, building the sync itself is ours to handle.

  1. We walk through your databases together

Which properties already exist, what should relate to what, and where a notes block ought to sit on the page.

    Day 1
  2. A credential and a shared connection

A read-scoped Etsy connection, plus a Notion integration shared with the exact databases it needs — a short guide covers both.

    About 10 minutes
  3. Properties, relations and views get built

Every field, relation and rollup from the plan takes shape, then any additional views your package includes get added on top.

    Most of the timeline
  4. Real orders populate a test database first

Recent receipts run through before your live workspace does, so a wrong property type gets caught early rather than after handover.

    Internal check
  5. You open real pages before sign-off

New orders land on your actual workspace, and you tell us what should read or sit differently.

    Your review
  6. Handed off, and the pages keep coming

Documentation on every property and relation lands at handover; beyond that, the database goes on filling itself without you lifting a finger.

    Final day

K12Getting started

What kickoff needs from you

  • Someone who can generate an Etsy read-only key
  • A Notion workspace with your databases already there
  • A rough idea of what a page should show
  • A short window to open the finished pages

L13Safety and ownership

Order and buyer detail, given only the doors it needs

Names, addresses and whatever a buyer wrote at checkout end up on a page here, which is exactly why so little is allowed to touch them along the way.

You own it Read-only access

Etsy grants reading rights only

This build's Etsy credential can see receipts and nothing more; a listing edit or a refund is never within its power.

The Notion integration sees only what's shared

Only the databases you've explicitly connected are visible to it; the rest of your workspace is invisible by default.

No password gets handed around

Both credentials are generated from your own accounts; nobody on your team needs to share a login to make this work.

Pulling either connection ends it instantly

Disconnect the Etsy link or remove the Notion integration and no further page gets written, from that moment on.

Your order data isn't kept on our side

It moves through only for as long as it takes to write the page, and nothing is archived once that's done.

Every page belongs to your own workspace

Nothing here depends on us continuing to exist; the pages and databases stay right where you built them.

N15FAQ

Before your workspace starts filling itself

The questions sellers ask most while weighing this against building it themselves. Say what's unusual about your setup when you request a quote.

Can I still edit a page's content myself?

Completely. The sync only ever touches the properties it manages; anything you write in the notes block is left untouched.

Do our existing databases need to be rebuilt?

Usually not. We build around the properties and structure you already have rather than starting over, wherever that's workable.

What if a rollup number looks wrong?

Check the relation it's built on first — a rollup is only as accurate as the links feeding it, and we verify those during setup.

Can this feed a Notion automation we've built?

In most cases, yes. If your automation triggers off a property change, our writes will trigger it the same as a manual edit would.

Will older orders show up, or only new ones?

Only what's new unless you add the historical backfill extra, which brings older orders in alongside whatever arrives from here on.

Who notices first if Etsy or Notion changes something?

We do, usually before you would — a stalled check shows up on the sync status card right away. Fixing it is covered through the build window automatically, and for three more months with aftercare.

Does the build cost show up again later?

No, it's a single payment. Whatever Notion plan your workspace runs on continues exactly as it already does, entirely apart from this.

P16Your next step

Give every order a page worth actually opening

Answer what's below and the price is set. Got more than one shop, or a property structure none of these three quite offer? Describe it and we'll price that on its own. It is also the answer to sync etsy orders to notion, etsy notion integration and etsy notion database sync.
