Excel Online to Salesforce automation for teams whose lists begin in a workbook

Excel Online to Salesforce automation that upserts workbook rows as leads and contacts on an External ID, linked to the right account and campaign, never twice

Excel Online to Salesforce automation turns a list that starts in a workbook into clean CRM records without a duplicate. Salesforce can create or update a record in one request addressed by an External ID, its Collections request carries up to 200 records, and the Data Import Wizard treats every file as new. BoldBellows notes which worksheet and table the row sits in and the value in its key column, gives a late notice time to land and checks the order before it writes, then decides whether each row is a known contact or a new lead, upserts on the External ID, links the account and campaign, and logs a task for anything that needs a follow-up.

Excel Online list rows upserted into Salesforce as leads or contacts on an External ID and linked to the right account and campaign, built by BoldBellows

The guarantees built into the Salesforce route

  • Upsert, not insert an External ID updates what exists and creates only what does not
  • Lead or contact existing people are matched before a lead is made
  • Campaign linked each row joins the campaign it belongs to
  • Inside the allowance requests are counted against the daily API limit
  • Written handover The route, the controls and the repair steps arrive as a PDF
  • A price you can plan around from $1,115 in a single payment, no seats and no usage fees

01 · the re-import problem

The Data Import Wizard treats every file as if nothing had ever been loaded

A conference list is built in a workbook by three people over a fortnight. It is loaded with the import wizard on the first day and again on the last, and half the contacts exist twice. Some are leads and some are contacts, a company is spelled two ways and becomes two accounts, and the campaign membership is added by a second import that only some people remember to run. Sales starts calling before anyone knows which record is right.

Half the list twice

The file was loaded on two days.

02 · how it works

How a workbook row becomes a lead or contact that Salesforce already recognises

A change is admitted, identified, matched and written, always in that order.

  1. 01

    Receive and qualify

The notification is authenticated, stamped with account, resource and time, then checked against the admission rule.

  2. 02

    Detect, match, decide

Changed rows are found, each is looked up by address and External ID, and your rule decides between an existing contact and a new lead.

  3. 03

    Upsert, link, log

The record is upserted on its External ID, linked to the account and added to the campaign, and a task is written where a follow-up is due.

Source and destination facts

  • Scripts are rationed

Running an Office Script is limited to 3 runs in 10 seconds and 1,600 a day, so scripts are kept for work that nothing else can do.

  • 200 records, one request

Salesforce's Collections request can write up to 200 records at once and an upsert addressed by External ID creates or updates in the same step, so a changed list is handled in a few requests without creating duplicates.

  • If a reply is lost

The route reads Salesforce through an External ID field on the lead or contact filled from the row's email address, used for every upsert to learn whether the write landed, then acts on the answer.

03 · what ships in the build

04 · who it's for

Built for operations teams tracking orders and stock in shared tables, and for anyone who must get the people in a workbook list into Salesforce as leads or contacts, matched and tied to a campaign

The list is built in Excel Online. It has to live in Salesforce.

Event marketer

"The list changes every day."

Changed rows reach Salesforce within minutes, matched to the right record.

Revenue operations manager

"Stop the duplicate accounts."

Matching runs on address, domain and External ID first, and creation is the last resort.

Sales development lead

"Know which record is right."

One person is one record, so sales contacts the right lead once.

Campaign manager

"Members must be added automatically."

Each row joins its campaign in the same pass as the upsert.

Practice partner

"Clients must not share an org."

A client's workbook writes to that client's Salesforce org only.

Owner-manager

"I build the list in a sheet."

What I add to the sheet is in the CRM before the next outreach.

A late notice follows a newer update

The timestamp on the incoming event is checked first; a stale one is recorded and closed instead of rolling the lead or contact back.

A row has a company name spelled two different ways

The account is matched through domain and name rules you approve, or held for a person, so one company does not become two. The route looks for the lead or contact through an External ID field on the lead or contact filled from the row's email address, used for every upsert, compares it with the intended values and records a verdict: absent, correct, different or unclear. A new lead or contact is made only when the search proves there is none.

Start the Excel Online to Salesforce build with an External ID field on the lead or contact filled from the row's email address, used for every upsert; the rest of the route leans on it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Excel Online to Salesforce route.

A focused production route for one Excel Online environment and one Salesforce destination, delivering Salesforce leads and contacts upserted on an External ID from Excel Online rows, linked to the right account and campaign, without duplicates with identity and failure controls from day one.

  • One approved Excel Online event family and business-state admission rule within the Excel Online to Salesforce service.
  • One authorized account, workspace, organization, or base boundary within the Excel Online to Salesforce service.
  • One Salesforce object contract with field and relationship mapping within the Excel Online to Salesforce service.
  • Stable matching through tenant plus drive item ID, workbook ID, table ID, and row key and a Salesforce External ID mapped to the source identity
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Excel Online to Salesforce service.
  • Implementation map, test record, and premium PDF operations handover within the Excel Online to Salesforce service.

Adds branching, matching and a bounded historical pass for teams whose route into Salesforce cannot be one straight-through action, while still delivering Salesforce leads and contacts upserted on an External ID from Excel Online rows, linked to the right account and campaign, without duplicates.

  • Everything in Core
  • Up to four approved routing or state-transition branches within the Excel Online to Salesforce service.
  • Existing-record resolution and one bounded historical checkpoint within the Excel Online to Salesforce service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Excel Online to Salesforce service.
  • Field, permission, and destination-state validation before mutation within the Excel Online to Salesforce service.

Adds reconciliation and governance for teams that now depend on Salesforce leads and contacts upserted on an External ID from Excel Online rows, linked to the right account and campaign, without duplicates, with drift detection and an exception register for Salesforce.

  • Everything in Managed
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Excel Online to Salesforce service.
  • Volume-aware retry ceilings and stale-event protection

06 · process & getting started

Six steps from a workbook list to clean CRM records

From the first brief to the first month live, six steps with clear outputs.

  1. Step 01

    Decide who counts

We agree which tables and rows are prospects, which are colleagues or test entries, and which never go to Salesforce.

  2. Step 02

    Approve access

Access is granted, tested and documented on both the Excel Online and Salesforce sides.

  3. Step 03

    Map the objects

Lead and contact fields, the External ID, owners, campaigns and picklist values are agreed in writing before the build.

  4. Step 04

    Break it on purpose

With Excel Online to Salesforce in place, we replay events, delay them, remove fields and revoke access in a safe Salesforce copy before anything goes live.

  5. Step 05

    Launch with notes

Production begins at a boundary you have agreed, with a PDF covering the rules, owners and repair steps.

  6. Step 06

    Review after launch

Once real events flow, the opening weeks are checked against the evidence log so early surprises are caught and recorded.

08 · before we start

What to gather before day one

  • A named Excel Online administrator who can approve the connection

  • Edit access to the workbook, and a Salesforce admin who can create an External ID field and a connected app

  • An authorised Excel Online connection for the resources named in scope

  • Your definition of which workbook changes should reach Salesforce

  • Permission to run tests against a copy of Salesforce

  • Your expected volume, so limits and pacing can be set

09 · security and ownership

Nothing is installed in Excel Online or Salesforce, only mapped data moves

Neither Excel Online nor Salesforce is modified.

Read-only Excel Online to Salesforce access: your data stays yoursA glowing padlock at the centre of a circuit of traces and nodes, marking read-only, encrypted access.READ-ONLY · ENCRYPTED IN TRANSIT

Nothing installed inside either tool

The route talks to Excel Online and Salesforce only through documented endpoints, so neither needs a plugin, a patch or a hidden setting.

Scoped, revocable access

Credentials are limited to the agreed scope, and withdrawing them stops the route at once.

Only what the map allows

A written field map decides what crosses. Anything not on it, including private notes and billing data, is left behind.

Search before you write again

After any uncertain result the route looks for the lead or contact using an External ID field on the lead or contact filled from the row's email address, used for every upsert; only a proven absence allows a new one.

Minimal logging

Operational history is limited to IDs, timestamps and outcomes.

Full handover

You leave with the mapping, the settings and a plain-language guide.

11 · questions

Excel Online, Salesforce and your lists: what revenue operations leaders ask

These are the queries we hear most, with straight replies.

When is an Excel Online to Salesforce Zapier automation not enough?

When the list in the CRM, once is all that is wanted, a connector can manage that. It cannot choose lead or contact, avoid a duplicate or stay inside the daily API allowance. Those gaps are the reason this build exists.

How are duplicates avoided?

Every record carries an External ID, and the route matches on address and domain first. An upsert addressed by that ID updates the existing record instead of creating another.

How does it choose between a lead and a contact?

By the order you approve: a matching contact by address, then an account by domain, then a new lead. Anything ambiguous is held for a person.

How is campaign membership handled?

Each row can add its person to a campaign by a rule, such as a column value, in the same pass. A person already in the campaign is updated, not added twice.

Why not use the import wizard?

The wizard treats each file as new and cannot keep up with a list that changes daily. This route sends only changed rows and never loads the same row twice.

What about Salesforce's API limits?

Salesforce counts requests over 24 hours. The route batches related writes in Collections requests and keeps a running count, slowing down well before the allowance is reached.

Does Salesforce write back to the workbook?

Nothing is written back unless you set aside a column for the record ID and status. No other cell is changed.

What if my fields change after mapping in the Excel Online to Salesforce route?

Mapping is a standard step. Our Excel Online Salesforce field mapping service ends with a table you approve and a test that proves it.

Does it support our own routing rules in the Excel Online to Salesforce route?

Yes. We convert your conditions to a custom Excel Online workflow for Salesforce and explain each choice like an Excel Online Salesforce integration consultant would. From $1,115.

How do you handle breaking changes?

Upstream changes are caught at the point of use: the step pauses, the reason is recorded, and your owner is notified. Repair work is quoted outside the review window. It is also the answer to custom excel online to salesforce automation.

Get the workbook list into the CRM once, and keep it there

Give Salesforce records that arrive matched, in the right campaign

Bring one trigger, one destination and one person who owns exceptions, and we will build a route to automate Excel Online data to Salesforce around them. Foundation starts at $1,115.

Those are scoped and quoted separately.
