BoldBellowsFormsite to Trello automation that builds cards worth working from

Formsite to Trello automation that gives each completed result one card with a checklist, then finds that card again after it moves

Formsite to Trello automation makes a card per result and finds it again after it moves. A Trello card moves from list to list, which is exactly why a result stored only in its title gets lost. Formsite also resends an edited result, so a plain create adds a twin. BoldBellows keeps the form directory, result ID and revision timestamp together as one key, does nothing until the form reports the result as finished, then builds one card with its list, labels, due date and checklist, and keeps the result ID in a custom field that can always be searched.

Chapter 01 the lost-card problem

A card whose result nobody can find gets created twice

Cards move. By the time Formsite resends an edited result, the card may be in another list or on another board, and a title search finds nothing. The sync then creates a second card, and the team splits its effort between two versions of one request.

The update could not find the Formsite card, so it made another.

From a delivery coordinator's retrospective

Two cards for one request

A revised result left two cards on the board for one request.

A card nobody could find

The title was changed, so the update could not locate it.

A checklist retyped

The steps a result implied were typed in by hand on every card.

Before

  • The result ID is kept in a custom field
  • The board is searched for it before anything is created for Formsite to Trello

Chapter 02 How it works

How a completed Formsite result becomes one Trello card with a checklist

Qualify first, match second, write last; that order is what stops duplicates.

Verify and decide

The incoming event is checked for authenticity, its identifiers are recorded, and the route decides whether the form result qualifies.

Search the key, then build

With a finished result in hand, the custom field is searched; if the result is unseen, the list, due date, labels and checklist are prepared from a written map.

Place the Formsite card and keep its ID

The card is created or refreshed, the checklist completed and the card ID saved on the result.

The rules of the two platforms

  • Webhook payload mirrors the API: The webhook uses the same format as the results API, so what the route reads live is what it reads when catching up.
  • Custom fields on cards: Trello custom fields add structured data to a card, such as text or dates, so the result ID has a home that can be searched.
  • Recovery: Anything unclear is reconciled against Trello through a result-ID custom field, then repaired, closed or handed to an owner.

Chapter 04 Who this fits

When healthcare offices handling requests with Formsite also have to move requests across a Trello board

If a board tracks the work, each completed result must be one card that stays findable.

Delivery coordinator

"Every request should be a card."

Each completed result becomes one card on the right list.

Team member

"Give me a checklist I can use." with Formsite to Trello

Steps are built from the answers, not retyped.

Board owner

"Do not let cards duplicate."

The custom field makes an edit update the original.

Form administrator

"Which result is this card?"

The card carries its Formsite result ID.

Operations manager

"Deadlines must carry over."

Due dates from the form arrive on the card.

Founder

"Keep the board simple."

One card per request, nothing extra.

Chapter 05 The options

Formsite into Trello: a card-and-checklist builder, or the usual notification emails and zap

Each can add a card. Only one can find it again.

Comparison table: Formsite into Trello: a card-and-checklist builder, or the usual notification emails and zap

How identity is decided A person recalls the customer Nothing stored, so nothing to compare A custom field holding the result ID

After an uncertain result A manual clean-up later It repeats the write Compares what exists with what was intended

The newer state is already there

When an older event shows up after a newer one, the route notes it and leaves the confirmed card alone.

The Formsite card was moved, archived or its custom field was removed

The board is searched by result ID, and if the field is gone the result waits with a clear reason instead of making a twin. The existing card, if any, is found by a result-ID custom field and judged against the payload before the route decides what to do. Only a confirmed absence permits another card.

The first design choice is a result-ID custom field; identity, replay and repair all follow from it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Formsite to Trello route.

A focused production route for one Formsite environment and one Trello destination, delivering one Trello card with list, labels, due date, members and checklist for each completed Formsite result with identity and failure controls from day one.

  • One authorized Formsite account and one Trello workspace
  • Trigger boundary for a defined completed result
  • Approved mapping for item IDs, result metadata, uploaded-file references, calculated answers, and completion status
  • Destination construction for a card with list, due rule, labels, checklist, and source link
  • Duplicate, permission, missing-field, and timeout tests
  • Premium PDF handover naming owners and repair steps

Adds branching, matching and a bounded historical pass for teams whose route into Trello cannot be one straight-through action, while still delivering one Trello card with list, labels, due date, members and checklist for each completed Formsite result.

  • Everything in Trello Capture
  • Up to four qualification or routing branches
  • Matching through a custom field holding the source ID
  • One controlled historical window with a checkpoint
  • Destination lookup before any uncertain replay
  • Field-change register and exception ownership

Adds reconciliation and governance for teams that now depend on one Trello card with list, labels, due date, members and checklist for each completed Formsite result, with drift detection and an exception register for Trello.

  • Everything in Trello Coordinate
  • Scheduled source-to-destination state comparison
  • Drift detection for relevant source and destination fields
  • Volume-aware backoff and retry ceilings
  • Exception register with age, severity, evidence, and assignee
  • Thirty-day launch review plus administrator-grade PDF notes

Multiple legal entities, regulated retention design, unrestricted bidirectional synchronization, unsupported extensions, or destinations beyond this page receive a custom quote with separately approved acceptance criteria.

Which Formsite events should reach Trello?Required

Eligible lifecycle coverage: Use this when several approved Formsite transitions must converge on one Trello card.

How should Trello recognise a Formsite record it has already handled?Required

Ambiguity holding lane: Route zero-match and multi-match cases to an owner instead of letting Trello guess.

What should happen when a Trello write can't be confirmed?Required

Open a managed exception: Capture evidence, ownership and a safe next action whenever a Trello write is uncertain.

Chapter 06 The process

Six steps from completed results to cards that stay findable

The route is built in six steps, and nothing moves on until the last one is signed.

  1. About 30 minutes

    Decide which results become cards

We pick the results that deserve a Trello card, and the list each one belongs on.

  2. Access review

    Approve access

On this Formsite to Trello route, both products are connected in a sandbox first where one exists, then in production, with scoped access.

  3. Most of the project

    Agree lists, labels and fields

With Formsite to Trello in place, the custom field, list rules, labels, due-date logic and checklist templates are written down and signed off.

  4. Before you review

    Prove the repairs

Each failure path, from a lost reply to a rejected value, is exercised in a test Trello before the live switch.

  5. Handover day

    Launch with notes

For Formsite to Trello, after sign-off the route runs live from the agreed starting point, with plain-language notes for your team.

  6. About 30 minutes

    Early-life support

Questions about how the route behaves in production are answered during the launch window, and the notes are updated.

Chapter 07 Turnaround

Turnaround you can plan around

Turnaround is measured from the moment access is ready, for this Formsite to Trello route.

Capture

3 to 5 business days

Coordinate

5 to 8 business days

Audit

8 to 12 business days

Chapter 08 Getting started

Your checklist before we start

An administrator's approval to connect Formsite

Access to the Trello board and permission to add a custom field

Permission to subscribe to the Formsite events that start the route

Agreement on which form results are in scope for the first release

A contact who can approve changes to the field map

Names of the people who will receive the handover notes

Chapter 09 Trust

Least access, allowlisted fields, and a clean handover

Data moves from Formsite to Trello only as far as the field map allows.

Read-only Formsite to Trello access: your data stays yoursA brass keyhole plate with a key turning in it and a key ring of tags for you, your team and your accountant, marked named people only and read-only.YouTeamAccountantNAMED PEOPLE ONLY · READ-ONLY

No changes to either product

Formsite and Trello keep their own code and settings; the route sits between them and uses only what each platform documents.

Scoped, revocable access

With Formsite to Trello in place, you can rotate or remove every credential without asking us.

A short list of fields

The mapping names every field that travels. Additions are agreed in writing, not picked up automatically.

No blind replays

The route never resends on hope. It checks Trello for the card through a result-ID custom field and decides from what it finds.

Minimal logging

No Formsite message bodies, contact lists or payloads are stored in our logs.

Full handover

Ownership passes to you with the written runbook, on the Formsite to Trello route.

"A card moves, so the build stores the result ID where it can always be searched, not in the title."

Chapter 11 Questions

Trello cards from Formsite: questions from delivery teams

Practical answers on scope, price, access and what happens later, on the Formsite to Trello route.

Is access read-only?Who owns the result? What happens after handover? Can it be changed later?Open any question
What can a custom build do that a Formsite to Trello Zapier path cannot?

Need only a card created for every completed result? A zap handles that. It stops short of the work to find a card again after it moves, build a checklist from the answers or place a result on the right list. That missing layer is what you are paying for.

How do I create a Trello card from a Formsite form?

Each completed result arrives by webhook, and the route searches the custom field for its result ID before creating one card with list, due date, labels and checklist.

What if the Formsite card has moved to another list?

The route searches by the custom field, not the title or the list, so the Formsite card is found wherever it now sits.

Does an edited result change the existing card?

Yes. Because the result ID matches, the existing card is updated and no second card is made.

Can the checklist be built from the answers?

Yes. A written map turns selected answers into checklist items, so the steps a request needs appear on the card.

Can results go to different boards or lists?

Yes. Board and list are picked from the form, an answer or a date using a table written with you.

Do saved forms create cards too?

Not until they are finished; a card is only made for a completed form.

Do you provide a Formsite Trello field mapping service?

Every package covers a Formsite Trello field mapping service: a field-by-field plan you approve, then a build that follows it exactly.

Can we add approval steps or thresholds in the Formsite to Trello route?

Yes. Branching rules turn this into a custom Formsite workflow for Trello, and you get the advice of a Formsite Trello integration consultant with it. Packages start at $415.

Who fixes it when a platform changes in the Formsite to Trello route?

With Formsite to Trello in place, we design for change by making failure visible.
