BoldBellowsA public channel shouldn't see a private answer

Stop posting raw Google Forms answers straight into a public Discord channel

An application or nomination form often collects an email address or other private context that has no business appearing in a public channel. We check eligibility first, then publish a redacted, privacy-safe embed and open a discussion thread only for the entries that actually qualify.

Google Forms to Discord automation by BoldBellows: an eligibility check that runs before anything posts, so a public channel only ever sees a redacted, privacy-safe embed with a thread opened for qualifying entries
Eligible entry, redacted embed Review thread now open APPLICATIONS · THIS WEEK Embeds posted18 Held for eligibility review4 Raw emails exposed0 Nothing private ever reaches the channel

What an entry has to establish before Discord sees anything

  • Eligibility resolves firstbefore any post is even considered
  • Only approved fields shownever a raw, unfiltered answer
  • A stray mention gets neutralizedbefore the server notices it
  • A deleted channel gets caughtbefore a post fails silently
  • A post that misfires isn't a dead endthe original entry is still there to rebuild it from

01The public-channel trap

Some answers are private. A public channel has no filter for that

Google Forms hands over exactly what a respondent typed, including whatever email address, phone number or personal context they included. A plain webhook posts that straight into a channel with no idea any of it was sensitive.

"An applicant's email address ended up sitting in a public channel."

The webhook posted every submitted field, with no concept of which ones were private and which ones were fine to show.

"A submitted answer contained an @mention that pinged half the server."

Nothing neutralized the text before posting, so a respondent's raw input triggered a notification storm it never should have.

"Ineligible applications got the same public post as qualified ones."

Without an eligibility check up front, every submission looked identical to Discord, whether or not it actually met the bar.

A public channel and a form's raw answers were never meant to be the same thing. Deciding what's safe to show is a step, not an afterthought.

Same nomination form, same public channel. The difference is whether Discord sees a filtered, eligible-only embed, or every raw submission exactly as it was typed.

Before

Post contents Fields shown: every submitted answer Eligibility check: never run
  • A private answer reaches the public channel
  • A raw mention can ping the whole server
  • An ineligible entry looks the same as a real one

After

Entry: Ref #B7X4 Eligibility: confirmed ✓ Only approved fields appear in the embed ✓ Mentions and markdown neutralized ○ Thread opened, eligibility already confirmed
  • Private answers never leave the form
  • A mention can't trigger a notification storm
  • Only a genuinely eligible entry gets a thread

02How it works

How an entry earns a post in Discord

Eligibility gets checked against the answers first, approved fields are pulled for the embed second, mentions and markdown get neutralized third, and a discussion thread opens only once every prior check has passed.

An ineligible entry is held here, unposted STEP 1Check eligibility Answers are weighed againstthe documented eligibility rule STEP 2Select the fields Only approved answersmake it into the embed STEP 3Post sanitized Mentions and markdownget neutralized before sending STEP 4Thread opened Discussion space appearsonly for eligible entries STEP 1Check eligibility Weighed against the rule STEP 2Select the fields Only approved answers STEP 3Post sanitized Mentions neutralized STEP 4Thread opened Only if eligible An ineligible entry is held here, unposted
Nothing public happens on a guess here. A post only exists once eligibility, fields and content have each cleared their own check.

A few realities of building this on Google Forms and Discord

  • Google Forms has no built-in concept of a "private" answer. Every field is treated the same on submission, which is exactly why an explicit allowlist of what's safe to publish has to be built into the automation.
  • A Discord webhook can post an embed without needing a bot present at all. Threads and moderation actions are where a bot's extra permissions actually start to matter.
  • A respondent's free-text answer can contain Discord's own mention syntax. Nothing about Google Forms strips that automatically, so neutralizing it is a deliberate step before the post ever goes out.

03Inside the review-queue build

What each post carries, and how eligibility gets decided

The eligibility precheck and privacy-safe embed ship with Starter. The mention neutralizer and channel-health probe join at Growth. Conditional threads and moderator escalation complete the model at Scale.

Eligibility precheck Starter

Rejects an incomplete or disallowed entry before any post is attempted.

Privacy-safe embed Starter

Publishes only the review fields your team has actually approved.

Mention neutralizer Growth

Stops a respondent's own text from triggering server notifications.

Channel-health probe Growth

Confirms the destination channel and its thread permissions before posting.

Conditional thread opener Scale

Creates discussion space only for the entries that actually qualified.

Moderator escalation Scale

Routes flagged content to a restricted review channel, never the public one.

Exception queue Growth

An entry the eligibility rule can't confidently resolve waits somewhere visible.

Thirty-day stabilization Scale

The eligibility rule gets tuned against real applications for its first month.

Scale adds this view: eligible entries posting reliably while exposed private fields hold flat at zero.

04Who it's for

Built for communities that vet before they publish

Community moderators reviewing applications, program organizers handling nominations, volunteer leads coordinating decisions, and privacy-minded server owners who care what goes public.

Community moderator

Reviews applications daily and needs the public channel to only ever see what's actually cleared.

Program organizer

Handles nominations and wants a discussion thread to open automatically once eligibility is confirmed.

Volunteer lead

Coordinates decisions across a team and needs a consistent, repeatable review path for every entry.

Privacy-minded server owner

Would rather build in redaction from day one than clean up an exposed answer after the fact.

05Compare

A raw-answer webhook vs manual copy-paste vs BoldBellows

Wiring a Google Form to post into Discord takes minutes. Deciding what's actually safe to publish, and to whom, is the part most setups never think to build.

The stray-mention trap

An answer contains mention or markdown syntax that could notify people or distort the embed's layout. That text gets sanitized against the approved rule before anything is sent to Discord, not after.

The deleted-channel trap

A selected channel disallows thread creation, or has been deleted entirely. The entry is kept on file as proof it was received, while the odd outcome gets flagged for a moderator to sort out.

How should a submission enter the review queue?Required

A reconciliation sweep exists for whatever a live trigger drops.

How should a Discord post be tied to its submission?Required

A verified fallback catches a submission whose contact details look wrong.

What happens when the application form changes?Required

Routing a change to review takes more setup than a flat block.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

06The process

Deciding together what's safe for Discord to see

Starter is often live within three to five days once access and field decisions are settled. Growth's neutralizer and health checks add a little more build time. Scale's full moderation model can stretch toward twelve days with every scenario tested. Working against an event or deadline? Mention it in the pricing tool.

Your handover notes Which fields are cleared to reach Discord What actually counts as an eligible entry Where a flagged entry should be escalated Who owns a held or borderline entry Plain English, no jargon Build summary Test set: 27 entries run Embeds posted 22 Entries held for review 5 Exposed private fields 0 Ready for handoff
  1. Review the form field by field

We go through every question with you and agree what's private and what's fine to publish.

  2. Define eligibility

You tell us exactly what qualifies an entry, and what should happen to one that doesn't.

  3. Build the review queue

We configure the intake path, the eligibility logic and the sanitized post it triggers in Discord.

  4. Try to break it

A mention buried in free text, a deleted channel, and an ineligible entry all get thrown at it deliberately before launch.

  5. Go live and watch the first posts

We sit with the earliest live entries and confirm each one posted exactly the way it should have.

Three things to have ready

  • Some route into the Google Form, editor or API access is fine.
  • A few genuine entries covering both eligible and ineligible cases.
  • Admin rights on the Discord server hosting the target channels.

07Security and ownership

Your review channels, not your whole server.

The webhook or bot behind this only reaches the channels it's configured for. Every other channel, role setting and server-wide permission stays untouched by this build.

Only the permissions the post needs

The bot or webhook is granted exactly what posting and threading require, nothing broader.

An unverifiable form change halts posting

Rather than guess at a shifted question, the queue pauses until someone confirms it.

Field-by-field sign-off, before launch

Every question gets a deliberate publish-or-withhold decision as part of the build, not guessed at afterward.

Webhook URLs never touch the form

They're configured entirely on the server side, out of reach of the Google Form or anyone viewing it.

A duplicate notification updates in place

The stored review reference lets a resend refresh the existing post rather than create a second one.

The eligibility rule stays yours

You keep the criteria, the field allowlist and the underlying code once this is delivered.

09FAQ

Questions about eligibility, privacy and posting

Still unsure? We reply in plain English.

Do we need a Discord bot, or is a webhook enough?

A webhook alone can post the embed. Opening threads and escalating flagged content need a bit more, which is why those capabilities live in the higher packages.

Can eligibility rules differ between an application and a nomination form?

Yes, entirely. Each form can carry its own eligibility rule and its own set of approved fields, with nothing shared between them unless you want it that way.

What if someone submits offensive or spam content through the form?

That's exactly what moderator escalation is for. A flagged entry never reaches the public channel; it goes to a restricted space where a human makes the call.

Is there a monthly cost beyond the build itself?

No, the build is a single Google Forms payment. Any costs tied to Google Workspace or Discord Nitro-level features you already carry stay entirely separate from this.

Can entries from before launch be reviewed retroactively?

If those earlier submissions are still reachable by their response ID, yes. They get the exact same eligibility check and redaction pass that live entries go through, applied as a one-time backlog run.

What happens if Discord or Google changes something on their end?

Every endpoint and permission this build relies on is documented at handoff, so a platform-side change shows up as a clear failure instead of a quietly broken post. This page also answers searches for google forms to discord, google forms responses discord notification and google forms discord integration.
