BoldBellowsOne confirmation, never two

Stop letting a retried Google Forms trigger send the same confirmation email twice

Apps Script triggers can fire more than once for the same event, and a plain send script has no memory of what it already mailed. We lock a response ID and message type together before anything goes out, select the actual reply content from the branch a respondent qualified for, and record proof of exactly what was sent.

View Pricing

From $275, paid once.
No monthly connector fee.

  • A retried trigger can't send it twice
  • Content matches the branch actually taken
  • Setup usually wraps within a business week
Google Forms to Email automation by BoldBellows: a response-ID receipt engine that locks the response and message type before sending, selects content from the branch a respondent qualified for, and proves exactly which message went out
Receipt locked, message sent A repeat trigger changes nothing MESSAGES · THIS WEEK Confirmations sent204 Duplicate sends blocked11 Bounces flagged3 A repeat notification never sends again

What a governed send has to establish before it goes out

  • The receipt locks firstbefore any message leaves the queue
  • The recipient address gets validatednot assumed to be correct
  • Content matches the real branchnot a one-size-fits-all reply
  • A shifted question triggers a real checkrather than getting mapped by guesswork
  • A bounce lands with an ownernot buried in a delivery log nobody reads

01The retry trap

A trigger can fire twice. Email shouldn't send twice because of it

Apps Script's own installable triggers can, under certain conditions, fire more than once for a single event. A plain send script has no way to know that happened, so it just sends the same email a second time.

"A registrant got the exact same confirmation email twice within a minute."

The trigger fired again for the same submission, and nothing stopped a second identical message from going out.

"Everyone got the same generic reply, regardless of which option they picked."

The send logic had no concept of branches, so a respondent's actual choice never changed what they received.

"A batch of confirmations bounced and nobody noticed for a week."

Delivery failures had no owner and no visible queue, so they just sat unresolved in a log nobody was checking.

An email is easy to send and awkward to unsend. Locking the receipt before the send happens is the difference between a reliable confirmation and an embarrassing double message.

Same form, same duplicate trigger event. The difference is whether the second attempt sends a repeat email, or recognizes the receipt already exists and does nothing.

Before

Send rule Duplicate check: none Content: one fixed template
  • A repeated trigger sends a repeat email
  • Every branch gets the same generic reply
  • A bounce disappears into an unwatched log

After

Submission R-3391 Registration branch, validated ✓ Receipt locked before the send fires ✓ Content matches the registration branch ○ A bounce lands on the exception queue
  • A repeated trigger changes nothing
  • Every branch gets its own real content
  • A bounce always finds its way to someone

02How it works

How a submission earns exactly one email

The recipient gets validated first, the response ID and message type get locked second, content gets composed from the actual branch taken third, and the send outcome gets recorded whether it succeeds or bounces.

A bounce routes to the exception queue here STEP 1Validate recipient The submitted address ischecked before anything else STEP 2Lock the receipt Response ID and messagetype get claimed together STEP 3Message composed Content is pulled fromthe actual branch taken STEP 4Outcome recorded Delivered or bounced, either way it's logged STEP 1Validate recipient Checked before anything else STEP 2Lock the receipt Response ID plus type STEP 3Message composed Matched to the real branch STEP 4Outcome recorded Delivered or bounced A bounce routes to the exception queue here
No message leaves without a claim on it here. A submission earns exactly one email, matched to the branch it actually took.

Some Google Forms and Apps Script behavior this build relies on

  • An installable Apps Script trigger can fire more than once for a single event. That's a documented platform behavior, not a bug, which is exactly why a send script needs its own idempotency check.
  • Gmail and Mail services in Apps Script send under their own daily quota. A high-volume form benefits from knowing exactly how close it is to that limit before it gets hit.
  • A form can collect an email address in more than one place. Account settings and a dedicated contact-email question can both exist on the same form, which is exactly the kind of ambiguity the recipient resolver is built to sort out.

What each message carries, and how the send gets decided

The recipient resolver and double-send lock ship with Starter. The branch-specific composer and send ledger join at Growth. Internal escalation copies and the delivery exception queue complete the model at Scale.

Recipient resolver Starter

Chooses the approved address source and confirms its shape is valid.

Double-send lock Starter

Claims the response-and-message key before a single message goes out.

Branch-specific composer Growth

Builds the reply from whichever decision path a respondent actually took.

Send ledger Growth

Records the recipient, message type, timestamp and provider message ID.

Internal escalation copy Scale

Sends a separate staff notice, only when specific answers actually require it.

Delivery exception queue Scale

Turns a bounce or provider error into a follow-up someone actually owns.

Exception queue Growth

An ambiguous branch match gets parked for a person instead of guessed at.

Thirty-day stabilization Scale

The first month of live sends gets watched closely as it actually happens.

SEND HEALTH Delivery rate, this month Duplicate-send attempts open right now Open count 0
Scale adds this view: the delivery rate climbing steadily while duplicate-send attempts stay flat at zero.

04Who it's for

Built for teams whose confirmations actually have to land

Registrars issuing confirmations, clinic administrators routing nonclinical intake, event managers sending next steps, and support leads who need to know the moment a delivery actually fails.

Registrar

Issues confirmations daily and needs certainty that each one only ever goes out once.

Clinic administrator

Routes nonclinical intake and needs the reply content to actually match what was requested.

Event manager

Sends next-step emails and wants each attendee's actual selections reflected in the reply.

Support lead

Monitors failed delivery and would rather see a bounce flagged than hear about it from a customer.

05Compare

A plain Apps Script mail merge vs a bare Zapier zap vs BoldBellows

Getting an email out from a Google Form is a quick script. Proving it only ever sent once, and to the right recipient with the right content, is the part most setups skip.

Side by side: a plain Apps Script mail merge, a bare Zapier zap and the BoldBellows build
What actually mattersPlain mail mergeBare Zapier zapBoldBellows build
Duplicate protectionNoA retried trigger sends againPartialDepends on the zap's own dedup windowYesLocked to the response ID and message type

The dual-email-field trap

A form collects an email address in account settings and also asks for a separate contact email. The recipient resolver knows which one is actually approved to receive the reply, rather than guessing.

The overlapping-branch trap

A respondent's answers qualify for two mutually exclusive reply branches at once. The submission stays on file as evidence while the conflict gets isolated for a person to resolve.

How should a submission trigger the send?Required

A reconciliation sweep exists for whatever a live trigger drops.

How should a send be tied to its submission?Required

A verified fallback catches a recipient address that looks malformed.

What happens when the form changes?Required

Routing a change to review takes more setup than a flat block.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

06The process

Locking down what gets sent, to whom, and exactly once

Starter typically wraps inside a business week. Growth's branch composer and send ledger add a bit more build time on top. Scale's escalation and exception handling can stretch to twelve days with every scenario tested. Racing an event date? Mention it up front, since the speed options in the pricing tool exist for exactly this.

Your handover notes How the receipt lock actually prevents a resend Which branch triggers which reply content When an internal escalation copy goes out Who owns a bounce or delivery failure Plain English, no jargon Build summary Test set: 44 submissions run Messages sent 40 Duplicate attempts blocked 6 Open bounces 0 Ready for handoff
  1. Review the live form and its branches

We look through the actual questions, decision paths and current send logic together.

  2. Draft each branch's content

You approve the wording for every reply type, and which cases warrant an internal notice too.

  3. Build the receipt engine

We configure capture, the locking logic and every send operation it triggers.

  4. Try to break it

A deliberately repeated trigger, a malformed recipient address, and an overlapping branch all get thrown at it before launch.

  5. Go live and confirm delivery

We check the earliest live sends by hand and confirm each one actually reached its recipient.

Three things to have ready

  • Editor access to the Google Form or its Apps Script project.
  • A few genuine answers covering each reply branch the form supports.
  • The sending account or Google Workspace group this should run under.

07Security and ownership

Your send logic, not your whole inbox.

Access is limited to the form and the specific send actions this build needs. Nothing about your broader inbox, unrelated automations or Workspace admin settings is ever part of the picture.

A dedicated sender, not a personal inbox

Wherever possible, sends go out through an account scoped specifically for this purpose.

An unrecognized schema halts the send

Rather than send off a guess, a mismatched form structure pauses the pipeline for review.

Only approved fields make it into a message

Anything not explicitly cleared to appear in an email stays back with the raw submission.

No credential sits inside the form itself

Whatever authentication the send needs lives in the backend automation, never in the form or its front end.

A resend can't slip past the lock

The response-and-message-type key is claimed before the send fires, so a repeat attempt finds it already spoken for.

The send logic is yours to keep

You keep the templates, the branch rules and the underlying code once the build is handed over.

09FAQ

Questions about sending, branches and delivery

Still unsure? We reply in plain English.

Can this send from our own domain instead of a generic address?

Yes, as long as the sending account is authorized on your domain. We configure the build to send from whichever address your team actually wants recipients to see.

What stops the same trigger firing twice from sending two emails?

The response ID and message type get locked together as soon as the first attempt starts. A second attempt checks that lock, finds it already claimed, and simply stops.

Does editing the form's questions break the send logic?

Each question is tracked by its own internal ID rather than its visible text, so wording tweaks pass through fine. A deeper restructuring gets flagged and handled according to the edit policy your build uses.

Will we see a subscription charge alongside this?

You won't. This is a fixed, one-time project fee. Whatever Google Workspace already costs your organization keeps going exactly as before, untouched by this build.

Can submissions from before this went live get their confirmation now?

That's possible when the older records are still retrievable by response ID. A backlog pass applies the same branch logic and receipt lock to them before anything live starts processing.

What happens if Google changes how Apps Script or Gmail sending works?

The handoff includes a written list of the scopes, quotas and endpoints the build actually touches, so a shift on Google's end reads as an obvious failure rather than a quietly missing email. If you searched for google forms to email, google forms responses email notification and google forms auto reply email, this is the service that delivers it.
