BoldBellowsA submission isn't a cleared charge

Stop letting Gravity Forms send "payment received" before the gateway agrees

A generic connector fires a receipt email the moment a form is submitted, not the moment a payment gateway actually confirms the charge. That gap is exactly where a customer ends up holding a paid receipt for money that never cleared. We gate every transactional email behind the entry's real payment transition instead.

  • A receipt only sends once the gateway confirms it
  • A refund email always matches the actual amount

What a payment entry clears before any email goes out

  • Refund wording follows the actual amountfull or partial, correctly worded
  • Gravity Forms itself is never editedeverything runs through supported hooks

01The submission-as-payment trap

Filling out the form isn't the same as paying

A generic connector usually can't tell the difference between "the visitor clicked submit" and "the gateway actually took the money." It sends the receipt the instant the entry saves, regardless of what the payment gateway does a few seconds — or minutes — later.

"A customer's card got declined, but they'd already opened a 'payment received' email."

The receipt went out based on the entry being saved, before the gateway ever weighed in on whether the charge actually succeeded.

"A partial refund went out with wording written for a full refund."

The email template had no branch for a partial amount, so the customer read language that flatly contradicted what they'd actually get back.

"A bounced receipt just vanished, and nobody in billing ever knew it happened."

Nothing routed the failed send anywhere a person would actually see it, so the customer never got their confirmation at all.

A receipt makes a claim. If the claim is wrong, the email itself becomes the problem your support team has to clean up, not the payment.

Same form, same gateway. The difference is whether the email waits for the truth, or gets ahead of it.

Before

Send timing Sent: on entry save Gateway: not consulted yet
  • A receipt can go out before the charge clears
  • Refund wording doesn't adjust for partial amounts
  • A bounced send just disappears, unnoticed

After

Entry: 8238 State: completed ✓ Sent only once the gateway confirms ✓ Refund wording matches the exact amount ○ A bounce routed straight to billing
  • A receipt only ever reflects the truth
  • Full and partial refunds read correctly
  • A failed send always reaches a real person

02How it works

How a payment transition becomes an honest email

The entry's payment state is read directly from the gateway first, that state is matched against a specific email template second, wording is chosen to reflect the exact transition third, and the message only sends once its content is guaranteed accurate.

A bounced send routes to billing here STEP 1State read Pulled straight fromthe payment gateway itself STEP 2Template matched Completed, failed, reversedor refunded, each its own message STEP 3Wording chosen Full or partial refundlanguage selected from the event STEP 4Message sent Only once the contentis guaranteed to be accurate STEP 1State read From the gateway itself STEP 2Template matched A message per transition STEP 3Wording chosen Matched to the amount STEP 4Message sent Only once accurate A bounced send routes to billing here
Nothing gets guessed here. An email only claims what the gateway has actually confirmed happened.

A few things specific to payment-gated email

  • A redirect-based gateway can confirm a charge minutes after the entry itself was created. The listener has to keep watching that entry, not just react once at submission time.
  • A refund is rarely a single event. Partial and full refunds carry different amounts and often different reasons, and the wording has to reflect exactly which one actually happened.
  • Background feed processing protects the visitor's checkout speed, but Gravity Forms itself notes it isn't right for every feed. Payment-gated email needs that timing configured deliberately, not assumed.

03What powers the mail gate

What each message reflects, and how sending gets decided

The payment-transition listener and receipt identity ship with Payment Mail. Pending suppression and the refund composer join at State Messaging. Provider reconciliation and a delivery exception queue complete the model at Delivery Control.

Payment-transition listener Payment Mail

Watches the entry for its actual gateway state, not just its creation moment.

Receipt identity Payment Mail

Allows exactly one message per entry and financial transition, never more.

Pending suppression State Messaging

Holds paid-sounding language until the gateway actually confirms the charge.

Refund composer State Messaging

Selects full or partial refund wording straight from the actual event.

Provider reconciliation Delivery Control

Resolves an uncertain send outcome against the provider before ever retrying.

Delivery exception queue Delivery Control

Routes a bounce or a rejection straight to a billing owner to resolve.

Exception register State Messaging

Puts a held or unresolved send somewhere your team actually looks.

Thirty-day launch review Delivery Control

A full month of your live checkout traffic gets monitored before we consider this done.

Delivery Control adds this view: accurate receipts climbing steadily while premature or mismatched sends stay flat at zero.

04Who it's for

Built for teams whose forms actually take money

Membership managers renewing subscriptions, donation administrators issuing tax receipts, course coordinators processing enrollment fees, and billing support leads who field every "where's my receipt" question.

Membership manager

Renews subscriptions through Gravity Forms and needs a receipt that matches what the gateway actually charged.

Donation administrator

Issues tax-relevant receipts and can't afford one that overstates a donation that later failed.

Course coordinator

Processes enrollment fees and needs refund emails that actually reflect partial-tuition cases.

Billing support lead

Fields every receipt dispute and wants a repair process that never sends a duplicate message.

05Compare

Where a submission-triggered receipt actually falls apart

Firing an email the instant a form is submitted takes minutes to configure. Making that email actually true to what the gateway did afterward is where most setups never get around to trying.

The late-confirmation trap

A redirect-based gateway confirms a charge minutes after the entry itself was created. Pending suppression keeps that same entry route open, so the later confirmation updates it rather than starting a fresh one.

The partial-refund trap

A refund only covers part of the original amount, and the default template has no branch for that. The delivery exception queue isolates that condition before a customer receives wording that overstates their refund.

How should the payment email fire?Required

Background processing protects visitor response time; hybrid adds a reconciliation sweep on top.

How should an email trace back to its payment event?Required

Conflict review adds a queue for a match the rule can't confidently resolve on its own.

What happens when a send fails?Required

Creating operator work takes more setup than a stop, but nothing silently falls through.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

06The process

Verifying every payment state before your first send

Payment Mail is the leanest build here, and most teams have it testable within a week once we've mapped your gateway's states. State Messaging's suppression logic and refund composer take a bit longer to prove against real partial refunds. Delivery Control, once tested against genuine bounces and provider quirks, tends to land closer to twelve days. If a launch or campaign date is already fixed, tell us early and a faster speed option adjusts the timeline.

Your payment-mapping worksheet Exactly which gateway states you use How a partial refund should actually read Who owns a bounced receipt when it happens Which Gravity Forms add-ons are actually in play Built from your real gateway behavior Build summary Test set: 30 entries run Entries processed 30 Receipts sent 27 Mismatched sends 0 Ready for handoff
  1. Map your payment gateway's states

We inventory exactly how your gateway reports completed, failed, reversed and refunded charges on your live form.

  2. Approve wording for every state

You sign off on exactly what each transition should say, including how a partial refund gets described.

  3. Build the mail gate

The listener, the template matcher and the wording logic all get wired together against your actual gateway.

  4. Force real failures

We deliberately force a declined card, a late confirmation, a partial refund and a bounced address through it before anything ships.

  5. Confirm live sends, then hand off

We run real payments through and check every message against what the gateway actually reported, then walk your team through it.

Three things to have ready

  • Admin access to WordPress, or a staging site that mirrors it.
  • Sandbox or test-mode credentials for your payment gateway.
  • The mailbox or send address you want receipts to come from.

07Security and ownership

Reads payment state, not your customer database.

This build only ever touches the entries and payment events feeding your receipt emails. Every other post, page, user account and plugin setting on the site sits completely outside what it can reach.

A self-contained plugin, nothing edited in core

The mail gate lives entirely in its own codebase, wired to documented Gravity Forms hooks, so an update leaves it completely undisturbed.

A narrow role, not a shared account

Reading payment state and sending mail both run under a capability created specifically for this job, kept apart from admin credentials.

Only the payment fields actually needed travel

Everything else on the entry stays in WordPress; a message only ever pulls what its specific template calls for.

A retry updates, it never duplicates

The entry ID and payment transition key together mean a repair pass can't accidentally send the same receipt twice.

Troubleshooting logs, not a copy of your customers' data

What's retained is the transition and the send outcome, never a duplicate store of financial or personal details.

Everything transfers to you at delivery

The plugin, the state-to-template map and the documentation all become yours outright, nothing kept back.

09FAQ

Questions about receipts, refunds and gateway state

Still unsure? We reply in plain English.

Wouldn't a basic Zapier email step handle this fine?

For a form with no payment attached, sure. The moment a real gateway transaction is involved, waiting for its confirmed outcome before saying anything financial is logic a single trigger step just isn't equipped to hold.

Will you be changing any of Gravity Forms' own files?

No, never. Everything runs as its own self-contained plugin, and it stays entirely outside anything a Gravity Forms or WordPress update would touch.

We took payments before this build existed. Can those entries get correct receipts now?

Yes. We can walk those historical entries forward through the same gateway-matching rules up to an agreed cutoff, sending each one exactly the message its actual recorded payment state calls for.

Does what we pay you include anything for the email provider itself?

No, that stays separate. Our fee covers the implementation as a single payment; your email provider, your Gravity Forms license and your hosting continue being billed independently, same as always.

What happens if our payment gateway or Gravity Forms changes something later?

You're left with documentation naming every hook, endpoint and field this build depends on. If a platform update shifts one of them, you get a clear, specific failure to point to instead of a receipt quietly going wrong.

Our checkout form has conditional pricing fields. Does that complicate the payment gate?

It doesn't, as long as the amount is read from the actual transaction record rather than reconstructed from which fields were visible. We specifically test entries that take different conditional pricing paths. This page also answers searches for gravity forms to email, gravity forms entries email notification and gravity forms auto reply email.
