BoldBellowsContext decides the object, not a guess

Stop letting Gravity Forms dump every submission into Salesforce as a generic Lead

A basic connector usually creates a Lead no matter what a form actually represents, so a donation, an event signup and a support request all end up looking identical in your CRM. We read the entry's payment state and source context first, and route it to the Salesforce object it actually belongs on.

  • A donation never lands as a generic Lead
  • A repaired write never duplicates an object
  • Object Intake is usually testable within a week

What an entry clears before a Salesforce object actually gets created

  • Payment state and source context both get read firstnever guessed from field names alone
  • Every write uses Salesforce's own external-ID upsertsafe to retry without a duplicate
  • An Opportunity opens only once it's genuinely qualifiednever created by default
  • Gravity Forms is left entirely as it shippedthe whole build sits outside of it
  • A partial write is repaired at the object levelnever by redoing the whole intake

01The default-Lead trap

Not every submission is a sales inquiry

A basic connector usually knows how to do exactly one thing with a Gravity Forms entry: create a Lead. That works for actual sales inquiries and breaks down for everything else your forms genuinely handle, from donations to service requests to event signups.

"Fundraising had to manually reclassify every single donation Lead by hand."

The connector had no concept of a donation record, so every gift landed as a generic Lead that someone then had to fix one by one.

"An Opportunity got created automatically for someone who hadn't actually qualified yet."

Nothing gated Opportunity creation behind real qualification criteria, so pipeline reports were full of inquiries that were never truly ready.

"A retry after a partial failure created a second copy of the whole record set."

The repair logic redid the entire intake instead of retrying just the object that had actually failed, leaving duplicate Contacts and Cases behind.

A CRM is only as useful as its object model is accurate. Forcing every submission through the same Lead-shaped hole just means someone has to keep fixing the shape afterward.

Same forms, same submissions. The difference is whether Salesforce reflects what actually happened, or forces everything into one generic bucket.

Before

Object created Object: Lead, every time Context: entirely ignored
  • A donation looks identical to a sales inquiry
  • An Opportunity can open before qualification
  • A retry can duplicate the entire object set

After

Entry: 8352 Object: Donation record ✓ Routed to the object it actually represents ✓ Opportunity gated behind real qualification ○ A partial failure repairs only its own object
  • Every object type reflects reality
  • Opportunities only open when actually earned
  • A repair never touches what already succeeded

02How it works

How an entry finds its actual Salesforce object

The entry claims its external-ID key first, its form and answer context classify the object route second, a person match resolves Contact versus Lead third, and only a confirmed classification ever creates a Salesforce record.

A partial write failure routes to repair here STEP 1Entry keyed Claimed by its ownexternal-ID before anything writes STEP 2Route classified Payment and source contextdecide the destination object STEP 3Person matched Contact and Lead candidatesboth get weighed explicitly STEP 4Object created Only once the routehas actually been confirmed STEP 1Entry keyed Claimed by external-ID STEP 2Route classified Context decides the object STEP 3Person matched Contact vs. Lead weighed STEP 4Object created Only once confirmed A partial write failure routes to repair here
Nothing gets forced into the wrong shape here. An entry only becomes a Salesforce object once its actual purpose is confirmed.

Details behind Salesforce's own object model

  • Salesforce's external-ID upsert makes a retry inherently safe. Sending the same entry twice through upsert updates the existing record instead of creating a duplicate, as long as that key is actually used.
  • Duplicate rules and object permissions independently affect whether a related write actually succeeds. A record can pass one check and still fail the other, and both have to be handled deliberately.
  • A gateway's confirmation frequently arrives well after the originating Salesforce object already exists. The payment-state updater has to locate that same object and modify it, not assume the two events happen together.

03Inside the routing build

What each route creates, and how it stays governed

External-ID intake and the purpose classifier ship with Object Intake. A person match policy and payment-state updater join at CRM Routing. An opportunity gate and partial-write repair complete the model at Revenue Governance.

04Who it's for

Built for teams whose Salesforce org handles more than sales

Salesforce solution architects designing a clean object model, fundraising operations managers reconciling donation records, campaign administrators tracking event registrations, and service desk leads managing support intake.

Salesforce solution architect

Designs a clean object model and can't have every intake channel collapse into a generic Lead.

Fundraising operations manager

Reconciles donation records and needs the payment state kept accurate as it changes.

Campaign administrator

Tracks event registrations and needs Campaign Member records created correctly, not as Leads.

Service desk lead

Manages support intake and wants every request routed as a Case, never buried in a sales queue.

05Compare

Where a Lead-only connector actually falls apart

Creating a Lead from every Gravity Forms entry takes minutes to set up. Making sure a donation, a registration and a support request each land on the object they actually represent is where most connectors never even try.

Three ways Gravity Forms entries end up in Salesforce, sized up across four questions: reclassifying Leads by hand, a Lead-only connector, and the BoldBellows routing build
What actually mattersA manually reclassified queueA Lead-only connectorBoldBellows build
What starts workSomeone notices the new LeadEntry creation, always as a LeadYesCompleted entry plus payment and source context
How it's matchedEmail or a name, checked by handConnector historyYesEntry ID in a Salesforce external-ID field
What Salesforce receivesA Lead, reclassified after the factA Lead, and nothing else, everYesThe correct object for what actually happened
A partial write failureNobody notices until it's asked aboutA generic error, if anythingYesRepaired at the object level, nothing else touched

The dual-match trap

A completed entry matches both an existing Contact and a legacy Lead record. Person match policy resolves that ambiguity explicitly, so the later event modifies whichever record is actually correct instead of creating a third.

The delayed-payment trap

A transaction can clear days after its originating object was already written to Salesforce. Partial-write repair isolates that timing gap before a stale value ever misrepresents the actual transaction.

How should a record trace back to its entry?Required

Conflict review adds a queue for a match the rule can't confidently resolve on its own.

06The process

Proving the router picks the right object before you launch

Object Intake covers one form and one org, and the external-ID key plus the purpose classifier are usually ready to test inside a week. CRM Routing needs extra passes on the person match policy, since a dual Contact-and-Lead match has to be exercised against your org's real duplicate rules before we trust it. Revenue Governance runs longest because the opportunity gate and partial-write repair get proven against a genuinely delayed payment, which is what stretches the build toward twelve days. Working around a fiscal-quarter close? Tell us early and we'll plan the schedule around it.

Your routing worksheet Which fields actually decide the object route What counts as a qualified Opportunity for your org How your duplicate rules should govern a person match Which Gravity Forms add-ons feed this form today Built from your actual object model Build summary Test set: 24 entries run Entries processed 24 Objects created correctly 24 Left as a generic Lead 0 Ready for handoff
  1. Map your object model

We walk through what a donation, a registration and a support request should each become in your org today.

  2. Design the classifier rules

You approve exactly which entry fields drive the route, and where an Opportunity is genuinely earned.

  3. Build the router

The classifier, the person match policy and the payment-state updater all get assembled against your actual org.

  4. Try to break it deliberately

A dual person match, a delayed payment and a rejected Salesforce permission all get pushed through before anything ships.

  5. Confirm the routing holds, then hand off

We verify a live resubmission reconciles into the same object, then walk your admin through the finished build.

Three things to have ready

  • Either admin access to the live WordPress site, or a staging copy we can safely test against.
  • A Salesforce sandbox or full org where a connected app can be created.
  • A short list of the objects your team actually reports against.

07Security and ownership

Scoped to the objects you name, nothing wider in your org.

The connected app this build uses can only reach the specific objects it was set up against. Reports, dashboards, other integrations and anything outside that scope stay completely off limits to it.

Gravity Forms' own files stay exactly as shipped

Routing logic lives in a companion plugin that only calls the extension points Gravity Forms publishes, leaving core files nothing to touch when an update lands.

A dedicated connected app, never your own login

Salesforce authorizes a purpose-built integration user with a permission set matched to exactly what routing requires.

Your duplicate rules stay the ones in charge

We build against whatever duplicate and validation rules your org already enforces, never routing around them to force a write through.

An upsert retry lands on the same object, always

The external-ID key means resending an entry after a failure updates the record it already created instead of adding a second one.

Troubleshooting logs stay identifiers, not answers

What gets kept for diagnosing a failed route is entry and object IDs, never a second store of what a respondent actually wrote.

You keep the whole build once we're done

The plugin, the classifier logic and every page of documentation explaining the routing rules transfer to you outright.

09FAQ

What teams usually ask before their first routing build

Still unsure? We reply in plain English.

We already have a Zapier zap sending entries to Salesforce as Leads. What does this add?

A zap generally knows how to create one object type, usually a Lead. Deciding whether an entry is actually a donation, a registration or a support request, and updating that same record later when payment status changes, is logic a single trigger-action step isn't built to carry.

Will building this require editing Gravity Forms' core plugin files?

Never. The router ships as a separate plugin that only calls Gravity Forms' published extension points and entry endpoints, so core files are never opened, let alone changed.

We've been collecting entries on this form long before this project. Can those older submissions be routed too?

Yes, that's what the historical entry backfill extra covers. It runs your finished classifier against past entries within a date range you set, creating the correct object for each one exactly as a live entry would.

Does the quoted price include our Salesforce licensing?

No. What we quote is a single one-time fee for building and testing the router itself. Your Salesforce edition, user licenses and Gravity Forms costs continue exactly as they were billed before this project.

What happens if Salesforce or Gravity Forms changes an API this build relies on?

You receive a write-up naming every endpoint, hook and object field the router depends on, so a platform change to any of them surfaces as an obvious break in the routing logs rather than entries silently landing on the wrong object.

Some of our form's fields only show up once an earlier question gets answered a certain way. Does the classifier still route these correctly?

Yes, as long as the classifier keys off each field's stable input ID instead of expecting every field to be present on every submission. We run the form through several conditional paths on purpose before calling the routing rules finished. This page also answers searches for gravity forms to salesforce, sync gravity forms entries to salesforce and gravity forms salesforce integration.
