Greenhouse to Airtable automation for talent teams that plan in a base

Greenhouse to Airtable automation that builds a linked base of candidates, applications and jobs, merged on application ID and refreshed from Greenhouse changes

Airtable allows 5 requests per second per base and answers with a 429 and a 30-second wait when that is exceeded, and Greenhouse lists applications updated since a given time through Harvest v3. BoldBellows records the application ID, the candidate and the job before a record is written, lists applications updated since the last run and writes them in batches of ten, then upserts each application into an Applications table on its ID, links it to a Candidates table and a Jobs table, writes each stage change to a Stage History table with the time it happened, marks rejected and hired applications and keeps compensation, demographic and other sensitive fields out. Writes go ten records at a time and are paced across bases.

Five checks before the Greenhouse route goes live

  • Linked records application, candidate, job
  • Stage history every move timed
  • Linked tables candidate, job, application
  • Sensitive fields out never written

01 · the flat-export problem

A flat export shows where candidates are and nothing about how they got there

A zap that adds a row for each new application records the stage on the day it arrived and never updates it. The base shows everyone at 'Applied', a withdrawn candidate stays in the pipeline, and nobody can say how long people wait between screen and interview. The same candidate applying to two jobs becomes two unconnected rows, and one careless field, such as compensation, ends up in a base the whole recruiting team can open.

Before the same record made again
  • Anything the trigger matches is sent on

    Admit only what counts

Each Greenhouse event is verified and logged; anything outside the agreed scope is set aside with a reason.

  2. 02

    List, merge, link

Updated applications are listed, each is upserted on its ID, and candidates and jobs are linked.

  3. 03

    Log, protect, pace

Stage moves are logged, sensitive fields are skipped, and writes are paced inside Airtable's limits.

Behaviour of Greenhouse and Airtable we design around

  • Five a second per base

Airtable allows 5 requests per second per base and answers with a 429 and a 30-second wait when that is exceeded, so the route batches its writes and paces them base by base.

  • A wait of thirty seconds

Once Airtable's limit of 5 requests per second per base is passed, requests fail for 30 seconds, so writing ten records at a time and pacing batches costs less time than a burst that triggers the wait.

  • Retry rules

Retries are preceded by a check of Airtable using the Greenhouse application ID as the merge field, with the candidate and job linked to their own tables, so repeating a request cannot repeat its effect.

An old change turns up late

A delayed Greenhouse event is compared with what Airtable already holds and is set aside if it would undo something newer.

A candidate is moved from screen to onsite and then withdraws

The application is updated in place, two stage events are appended with their times, the status becomes withdrawn, and nothing is created twice. The Greenhouse application ID as the merge field, with the candidate and job linked to their own tables turns the question into a lookup, and the answer is one of four: nothing, right, wrong or unclear. Everything else is an update, a no-op or a case for a person.

Before fields or branches are discussed, the Greenhouse application ID as the merge field, with the candidate and job linked to their own tables is fixed, because every later decision reads from it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Greenhouse to Airtable route.

A focused production route for one Greenhouse environment and one Airtable destination, delivering Greenhouse candidates, applications and jobs written to linked Airtable tables, merged on application ID and refreshed from updated applications, with sensitive fields left out with identity and failure controls from day one.

  • One approved Greenhouse event family and business-state admission rule within the Greenhouse to Airtable service.
  • One authorized account, workspace, organization, or base boundary within the Greenhouse to Airtable service.
  • One Airtable object contract with field and relationship mapping within the Greenhouse to Airtable service.
  • Stable matching through Greenhouse organization plus candidate, application, job, interview, or offer ID and source ID field joined to Airtable record IDs
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Greenhouse to Airtable service.
  • Implementation map, test record, and premium PDF operations handover within the Greenhouse to Airtable service.

Adds branching, matching and a bounded historical pass for teams whose route into Airtable cannot be one straight-through action, while still delivering Greenhouse candidates, applications and jobs written to linked Airtable tables, merged on application ID and refreshed from updated applications, with sensitive fields left out.

  • Everything in Signal
  • Up to four approved routing or state-transition branches within the Greenhouse to Airtable service.
  • Existing-record resolution and one bounded historical checkpoint within the Greenhouse to Airtable service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Greenhouse to Airtable service.
  • Field, permission, and destination-state validation before mutation within the Greenhouse to Airtable service.

Adds reconciliation and governance for teams that now depend on Greenhouse candidates, applications and jobs written to linked Airtable tables, merged on application ID and refreshed from updated applications, with sensitive fields left out, with drift detection and an exception register for Airtable.

  • Everything in Routing
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Greenhouse to Airtable service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

In this Greenhouse to Airtable design, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Governed lifecycle set: Use this when several approved Greenhouse transitions must converge on one Airtable record.

How should Airtable recognise a Greenhouse record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Airtable guess.

How much Greenhouse context should travel into Airtable?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever an Airtable write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

06 · process & getting started

Six steps from a flat export to a living hiring base

Six stages, one owner on your side, and a written output at the end of each.

  1. Step 01

    Design the base

We map applications, candidates, jobs and stage history to tables, fields and links.

  2. Step 02

    Approve access

Together we approve what the route may read in Greenhouse and where it may write in Airtable.

  3. Step 03

    Fix the tables and exclusions

The tables, the matching rule and the list of fields that stay out are drafted and signed off before the build.

  4. Step 04

    Try to make it fail

With Greenhouse to Airtable in place, every failure we can think of is tried against a test Airtable, and the ones that matter become written repair steps.

  5. Step 05

    Launch with notes

We switch the route on at a checkpoint you approve and leave you with written notes on how it works.

  6. Step 06

    Thirty-day look-back

A review at the end of the first month covers volume, exceptions, retries and anything that drifted.

  • A decision on which Greenhouse values must never reach Airtable

  • Confirmation of which environment is production

09 · security and ownership

Your data stays in its place, except what the map allows

Only agreed Greenhouse data leaves, and it goes to one named place in Airtable.

Your tools stay as they are

We work with the supported connection points of Greenhouse and Airtable and leave the products exactly as you run them today.

Scoped, revocable access

Scopes are reviewed with you before launch and again at handover.

Less data, less exposure

Each Greenhouse field sent to Airtable has a stated purpose. Sensitive values are excluded or masked before anything is written.

Look, compare, then act

An unclear write is settled by finding the Greenhouse record and comparing it with the intended values, not by sending again.

Minimal logging

Logs hold identifiers, times and error types, not your customer content.

A linked Airtable base from Greenhouse: what talent teams ask

A handful of honest answers before you spend anything.

?How long does it take?Asked most often4 to 7 daysSet date, no surprisesAnswers, straight away
We tried a Greenhouse to Airtable Zapier flow; what changes?

A simple connector can give you a base that mirrors your hiring. It will not merge each application into one record, track stage history or protect sensitive fields. These are the parts the build adds.

Why not a zap per new application?

It records the stage on the day of arrival and never updates it. History and links are what make the base useful.

Are all applications included?

Active, rejected and hired ones, marked by status, so reports stay honest.

Are pay and demographic fields copied?

No. Excluded fields are never read.

What are Airtable's limits?

5 requests per second per base and 10 records per request, which the route respects.

What happens if a candidate is merged in Greenhouse?

The merge is noticed, records are linked to the surviving candidate, and history is kept.

Does the base change Greenhouse?

No. It only receives.

Will you map custom fields as well in the Greenhouse to Airtable route?

Absolutely. Nothing reaches Airtable until the Greenhouse Airtable field mapping service has your approval on the page.

Is a tailored workflow possible, or only a standard one in the Greenhouse to Airtable route?

Yes. Anything you can state as a rule can become part of a custom Greenhouse workflow for Airtable. That includes Greenhouse Airtable integration consultant advice, from $520.

What happens if Greenhouse or Airtable changes something later?

You get a list of the interfaces we rely on. When one shifts, the affected records hold and you are told. Later maintenance is quoted on its own.
