BoldBellowsGusto time tracking to payroll automation for teams who retype hours every pay period

Gusto time tracking to payroll automation that loads approved hours into the open payroll, checks them against the draft and flags late edits before the submit

Hours from a time tracker are loaded while a payroll is still open and checked against the draft before it is submitted, so a late edit in the tracker is caught and not discovered on payday. BoldBellows records the employee, the pay period and the tracker entry before hours are loaded, loads hours only while the payroll is still open and rechecks the draft before it is submitted, then reads approved timesheets for the pay period, separates regular hours, overtime and paid time off, loads them against the right employee, compares the result with the last pay period, and lists anyone whose hours are missing, unapproved or far from their pattern. Overtime rules stay in Gusto and the route does not recompute pay.

Chapter 01 the retyping problem

Hours are retyped each period and a late edit goes unseen until payday

The time tracker is accurate on Monday and the payroll is wrong on Friday, because between them sits a person retyping totals into a screen. Somebody's hours are entered twice, someone's overtime is typed as regular time, a manager edits a timesheet after the run was prepared and the change never reaches payroll. Paid time off and unpaid breaks are handled differently in each tracker, so what arrives is only as clean as the person who copied it.

We stopped finding hours mistakes on payday.

Chapter 02 How it works

How tracked hours become checked hours in an open payroll

A change is admitted, identified, matched and written, always in that order.

Receive and qualify

The notification is authenticated, stamped with account, resource and time, then checked against the admission rule.

Read, approve, load

Timesheets are read, only approved hours are kept, and they are loaded against the right employee.

Compare, flag, hold

The result is compared with the draft and the last period, and late edits and gaps are flagged.

Behaviour of Gusto and Time Tracking to Payroll we design around

  • Hours before the run closes: Hours from a time tracker are loaded while a payroll is still open and checked against the draft before it is submitted, so a late edit in the tracker is caught and not discovered on payday.
  • Open is the window: Hours can be loaded only while a Gusto payroll is still open, so the route does its work early in the period and checks again just before the submit for anything that changed.
  • If a reply is lost: The route reads time tracker through the employee, the pay period and the tracker entry to learn whether the write landed, then acts on the answer.

Chapter 04 Who this fits

Built for fitness studios, and for anyone who must load approved hours from your time tracker into Gusto payroll, check them against the draft before it is submitted, and flag any late edit instead of finding it on payday

Employees want every hour they worked to be paid, and owners want the hours in payroll to match the tracker without retyping.

Owner

"Are the hours right?"

Approved hours match the tracker.

Payroll administrator

"I retype totals."

Hours load into the open payroll.

Manager

"I fixed a timesheet late."

The late edit is flagged to payroll.

Office manager

"Who is missing?"

Missing timesheets are listed.

Employee

"Pay me for what I worked."

Overtime and time off are separate.

Bookkeeper

"Match labor cost to hours."

Totals are compared with the tracker.

Chapter 05 The options

Three ways to connect Gusto and time tracker: hours retyped from a spreadsheet each pay period, a zap, or an approved-hours load

Each can export hours. Only one loads approved hours into the open payroll, checks the draft and flags a late edit.

A late notice follows a newer update

The timestamp on the incoming event is checked first; a stale one is recorded and closed instead of rolling the timesheet back.

A manager edits a timesheet after its hours were loaded

The edit is detected against the stored entry, the difference is shown to the payroll administrator with who changed it, and the loaded hours are corrected only after a person confirms. The route looks for the timesheet through the employee, the pay period and the tracker entry, compares it with the intended values and records a verdict: absent, correct, different or unclear. A new timesheet is made only when the search proves there is none.

Start the Gusto to time tracker build with the employee, the pay period and the tracker entry; the rest of the route leans on it.

Chapter 06 The process

Six steps from retyping to hours that arrive clean

From the first brief to the first month live, six steps with clear outputs.

  1. About 30 minutes

    Map your tracker

We match your tracker's categories to regular time, overtime and time off.

  2. Access review

    Approve access

Together we approve what the route may read in Gusto and where it may write in Time Tracking to Payroll.

  3. Most of the project

    Agree the approval rule

Which hours count as approved, who approves and what happens to a late change are confirmed with you first.

  4. Before you review

    Break it on purpose

We replay events, delay them, remove fields and revoke access in a safe time tracker copy before anything goes live.

  5. Handover day

    Launch with notes

We switch the route on at a checkpoint you approve and leave you with written notes on how it works.

  6. About 30 minutes

    Review after launch

Once real events flow, the opening weeks are checked against the evidence log so early surprises are caught and recorded.

Chapter 07 Turnaround

Timing for the Time Tracking to Payroll build

The clock starts once Gusto and Time Tracking to Payroll access are approved.

Foundation

Chapter 08 Getting started

What you supply to begin

Permission to run tests against a copy of time tracker

Your expected volume, so limits and pacing can be set

Chapter 09 Trust

Nothing is installed in Gusto or time tracker, only mapped data moves

Only agreed Gusto data leaves, and it goes to one named place in Time Tracking to Payroll.

Read-only Gusto to Timesheets access: your data stays yoursAn employee table with the email hours field blacked out and a read-only stamp, with a seal noting emails are hidden except from named people.EMPLOYEESNAMEEMAILACTIVEMaya Chen9Omar Hale14Lena Brooks5Sam Ortiz21Priya Nair7READ-ONLYHidden from everyoneexcept named people

Nothing installed inside either tool

The route talks to Gusto and time tracker only through documented endpoints, so neither needs a plugin, a patch or a hidden setting.

Scoped, revocable access

Scopes are reviewed with you before launch and again at handover.

Only what the map allows

A written field map decides what crosses. Anything not on it, including private notes and billing data, is left behind.

Search before you write again

After any uncertain result the route looks for the timesheet using the employee, the pay period and the tracker entry; only a proven absence allows a new one.

Minimal logging

Logs hold identifiers, times and error types, not your customer content.

Full handover

Handover includes the rules, the owners and the repair steps in one PDF.

"People are paid fairly when the hours they worked reach payroll exactly as approved, with nobody in the middle retyping them."

Chapter 11 Questions

Time tracking to Gusto payroll: what teams ask

A handful of honest answers before you spend anything.

?How long does it take?Asked most often6 to 10 daysSet date, no surprisesAnswers, straight away
We tried a Gusto to Time Tracking to Payroll Zapier flow; what changes?

When hours in payroll that match what was worked is all that is wanted, a connector can manage that. It cannot load approved hours only, catch a late edit or keep overtime and breaks straight. Those gaps are the reason this build exists.

Which time trackers does it work with?

Any tracker with an export or an API. We name yours in the scoping.

Are unapproved hours loaded?

No. They are held and listed.

Does it compute overtime pay?

No. Pay rules stay in Gusto. The route loads categories and checks totals.

What if a timesheet changes later?

The change is flagged to payroll before the submit and corrected only after a person confirms.

Is a Gusto review part of the timeline?

Yes. The review comes first, we plan around it, and building starts as soon as access is granted.

Can it cover paid time off?

Yes, as its own category so it is never mixed with regular time.

Will you map custom fields as well on the Gusto Time Tracking to Payroll route?

Absolutely. Nothing reaches Time Tracking to Payroll until the Gusto Time Tracking to Payroll field mapping service has your approval on the page.

Is a tailored workflow possible, or only a standard one in the Gusto Time Tracking to Payroll route?

Yes. Anything you can state as a rule can become part of a custom Gusto workflow for Time Tracking to Payroll. That includes Gusto Time Tracking to Payroll integration consultant advice, from $1,155.

What happens if Gusto or Time Tracking to Payroll changes something later?

You get a list of the interfaces we rely on. When one shifts, the affected records hold and you are told. Later maintenance is quoted on its own. It is also the answer to custom gusto time tracking to payroll automation.
