BoldBellowsHelp Scout to GitHub for support teams who are tired of pasting bug reports into issues

Help Scout to GitHub automation that opens one issue per bug, links every customer who reported it and tells support when it closes

A Help Scout conversation is a customer's own words, and a GitHub issue is an engineer's task, so only a note should ever cross from one to the other. BoldBellows notes the conversation ID and the tag that started the handoff, along with the mailbox it came from, reads the conversation again to confirm the report is still open and still tagged, then builds the help scout to github integration around the bug tag you already use: the conversation becomes one issue with a short summary, the labels you choose and a link back to the conversation, the issue number is stored on the conversation as a note, and a second customer reporting the same bug is added to the existing issue instead of a duplicate. When engineers close the issue, support is told on the conversation, and no reply is sent to anybody.

Chapter 01 the pasted-bug-report problem

A bug report pasted into an issue forgets who reported it

When a customer reports a bug, somebody on support copies the message into a GitHub issue, maybe attaches a screenshot, and the thread moves on. Three weeks later a fourth customer reports the same thing, a new issue is opened, and nobody can say who was waiting for the fix. When the fix ships, the customers who wrote in hear nothing, because the issue never knew they existed.

When the same bug came in a fourth time, the issue already knew, and we closed all four conversations from one fix.

  • Bug reports are copied by hand into issues

Chapter 02 How it works

How a tagged conversation becomes an issue with its customers attached

The sequence is fixed so that a replay reaches the same answer every time.

Fig. 3. A bug conversation is matched, opened as an issue and reported back.

Filter at the door

The Help Scout event is authenticated and recorded first; only a conversation change that matches the rule continues.

Verify, match, summarize

The tag event is verified, the conversation is checked for an existing issue, and a short summary is written that leaves out private details.

Open, link, report back

The issue is opened with its labels, the number is stored on the conversation, and a closed issue adds a note for support.

How Help Scout and GitHub actually behave

  • Deliveries are signed: Each Help Scout webhook carries an X-HelpScout-Signature header, an HMAC made with the secret you chose, so the route checks it against the raw request body before it trusts the content.
  • Issue numbers belong to a repository: A GitHub issue number is unique only inside its repository, so the route stores the repository with the number and builds every link from both.
  • Reconciliation step: An unsure result is reconciled by matching a hidden marker holding the conversation ID in the issue, with the issue number kept on the conversation in GitHub and recording the verdict.

Chapter 04 Who this fits

Fits engineering managers who triage what support finds and whoever must hand bug reports from customers to engineers without copying and pasting, and tell support when the fix has shipped

Support hears the bug first; engineers should get it once, with the evidence and the people who are waiting.

Support agent

"Hand the bug over in one tag."

Adding the tag opens the issue, and I do not paste anything.

Engineering manager

"Stop duplicate issues."

A repeat report joins the issue that exists.

Product owner

"Count who is affected."

Each issue lists how many conversations point to it.

Customer success manager

"Tell customers when it is fixed."

Closing the issue puts a note on every linked conversation.

Open-source maintainer

"Keep user details out of the repo."

The issue holds a summary and a link, not the thread.

Founder

"One place to see the bugs."

Bug conversations and issues stay linked both ways.

Chapter 05 The options

Side by side: a forwarded email with a screenshot attached, a zap and a conversation-to-issue handoff

Each can open an issue. Only one avoids duplicates, keeps the link both ways and tells support when it is fixed.

Comparison table: Side by side: a forwarded email with a screenshot attached, a zap and a conversation-to-issue handoff
Question A forward with a screenshot A basic issue connector Our conversation-to-issue handoff

By handAutomated37 files · 12 errors1 repository · 0 errors

A delayed event meets a newer record

The stored time of the last confirmed change guards every write, so a late GitHub event cannot regress the issue.

A second customer reports a bug that already has an issue

The route finds the issue through the bug key, adds the new conversation to it as a linked reporter, and opens nothing new. Searching GitHub on a hidden marker holding the conversation ID in the issue, with the issue number kept on the conversation shows whether the issue is already there, and whether it is right. Nothing new is created unless the lookup comes back empty.

We begin by fixing a hidden marker holding the conversation ID in the issue, with the issue number kept on the conversation, and every test afterwards checks that it still holds.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Help Scout to GitHub route.

A focused production route for one Help Scout environment and one GitHub destination, delivering Help Scout to GitHub automation that opens one GitHub issue for a tagged bug conversation, links later reports to it and notes the conversation when the issue closes with identity and failure controls from day one.

  • One approved Help Scout event family and business-state admission rule within the Help Scout to GitHub service.
  • One authorized account, workspace, organization, or base boundary within the Help Scout to GitHub service.
  • One GitHub object contract with field and relationship mapping
  • Stable matching through mailbox ID plus conversation ID and customer ID and repository full name plus source fingerprint and GitHub node ID
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Help Scout to GitHub service.
  • Implementation map, test record, and premium PDF operations handover within the Help Scout to GitHub service.

Adds branching, matching and a bounded historical pass for teams whose route into GitHub cannot be one straight-through action, while still delivering Help Scout to GitHub automation that opens one GitHub issue for a tagged bug conversation, links later reports to it and notes the conversation when the issue closes.

  • Everything in Signal
  • Up to four approved routing or state-transition branches within the Help Scout to GitHub service.
  • Existing-record resolution and one bounded historical checkpoint within the Help Scout to GitHub service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Help Scout to GitHub service.
  • Field, permission, and destination-state validation before mutation within the Help Scout to GitHub service.

Adds reconciliation and governance for teams that now depend on Help Scout to GitHub automation that opens one GitHub issue for a tagged bug conversation, links later reports to it and notes the conversation when the issue closes, with drift detection and an exception register for GitHub.

  • Everything in Routing
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Help Scout to GitHub service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For the Help Scout to GitHub service, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Help Scout events should reach GitHub?Required

Governed lifecycle set: Use this when several approved Help Scout transitions must converge on one GitHub issue.

How should GitHub recognize a Help Scout record it has already handled?Required

Which Help Scout events should reach GitHub?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever a GitHub write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from pasted reports to linked issues

Six steps from kickoff to a monitored route, each with a written result.

  1. About 30 minutes

    Choose the bug tags

We list which Help Scout tags mean a bug, which repository each belongs to and which conversations must never leave support.

  2. Access review

    Approve access

A short review of Help Scout and GitHub settles what can be read, what can be written and what is off limits.

  3. Most of the project

    Agree labels and summaries

Labels, issue templates, the summary wording and what is kept out of the issue are written down and approved first.

  4. Before you review

    Acceptance runs

Normal and awkward records are pushed through a test GitHub, and you sign off the results before go-live.

  5. Handover day

    Launch with notes

We launch at a checkpoint, watch the first runs with you, and deliver the written handover.

  6. About 30 minutes

    Close the loop

A final review confirms the success measures agreed at the start and records what to watch next.

Chapter 07 Turnaround

Delivery times for each GitHub package

For Help Scout to GitHub, these ranges assume access is granted promptly.

What you bring to the start

A Help Scout login or token that can read what the route needs

A GitHub app or token that can create issues in the chosen repositories, plus read access to the Help Scout mailbox

The Help Scout account owner's sign-off for the connection

A list of the statuses or stages that matter to you

A short description of how the team works in GitHub today

Your retention rule for anything the route logs

Chapter 09 Trust

Only listed fields move, and every permission is explained

Access is limited to the objects on your approved list, and every credential can be withdrawn at any time, on the Help Scout to GitHub route.

Read-only Help Scout to GitHub access: your data stays yoursA customer table with the email field blacked out and a read-only stamp, with a seal noting emails are hidden except from named people.CUSTOMERSNAMEEMAILHANDLEDMaya Chen9Omar Hale14Lena Brooks5Sam Ortiz21Priya Nair7READ-ONLYHidden from everyoneexcept named people

Outside the core

The route runs beside Help Scout and GitHub, not within them, so neither vendor's own updates collide with it.

Scoped, revocable access

The integration user or token carries only the rights the route requires.

Only approved values cross

What appears in GitHub is exactly what the field map lists, and the map is part of the handover.

Doubtful writes are verified

If a response goes missing, GitHub is searched by a hidden marker holding the conversation ID in the issue, with the issue number kept on the conversation and the outcome recorded before anything else happens.

Minimal logging

Log lines name the record and the result; they do not reproduce the record.

Full handover

You are not tied to us: the configuration sits in your accounts.

"Support and engineering rarely lack the facts; they lack a link between the person who heard the problem and the person who fixes it, so the build creates that link."

Chapter 11 Questions

Support meets engineering: questions about Help Scout and GitHub

Before you commit, here is what buyers most often want confirmed.

?How long does it take?Asked most often4 to 7 daysSet date, no surprisesAnswers, straight away
Do you replace a Help Scout to GitHub Zapier zap or sit beside it?

An issue for every conversation that mentions a bug is easy. The hard part, which a zap skips, is to open one issue for a bug, link every customer who reported it and write back to support when it closes. That is the extra we deliver on top of the trigger.

How do I connect Help Scout to GitHub for bug reports?

Adding your bug tag starts the route, which opens an issue in the right repository and stores the issue number on the conversation.

What does the issue contain?

A short summary, the labels you chose and a link to the conversation. The customer's address and the full thread stay in Help Scout.

What if a second customer reports the same bug?

The route finds the existing issue and adds the new conversation to it, so the issue lists every reporter.

How does support learn the bug is fixed?

When the issue closes, a note is added to each linked conversation. No email is sent to the customer unless an agent decides to write.

Can this replace a Zapier connection between Help Scout and GitHub?

It can. A basic connector opens an issue every time, while this build matches known bugs, checks the repository and records both sides.

Does it work with several repositories?

Yes. A routing table sends each product area or mailbox to its own repository and label set.

Is field mapping included, or extra?

It comes with the fee. Our Help Scout GitHub field mapping service produces a short document that pairs each Help Scout field with its GitHub destination.

Can it follow how our team really works on the Help Scout to GitHub route?

Absolutely. We shape a custom Help Scout workflow for GitHub around your rules, acting as your Help Scout GitHub integration consultant. It begins at $855.

What if a permission or scope is withdrawn on the Help Scout to GitHub route?

We document each dependency. When a platform alters something, only the records touching it pause, and you are told which. Fixes beyond the review period are priced on their own.
