BoldBellowsHubSpot cleanup for teams whose lists have grown faster than their data quality

HubSpot contact deduplication and data cleanup with safe merges, a queue for doubtful pairs and a log of every change

Merging two HubSpot contacts keeps one record that combines the activities, associations and most property values of both, and a webhook announces the merge, so a merge changes history for everyone who works the record. BoldBellows records the candidate pair, the matching evidence and which record has the richer history before any merge is proposed, merges only pairs that meet your rule and queues every doubtful pair for a person, then runs cleanup as a process and not an event: duplicates are found by email and by the signals email misses, such as the same name and company with different addresses or the same phone number, pairs that meet your rule are merged with the richer record kept, doubtful pairs wait in a queue for a person, fields such as phone formats, country names and job titles are standardized in place, and a log records every change so it can be explained.

Chapter 01 the permanent-merge problem

A bulk merge is a decision you cannot easily take back

HubSpot catches duplicates that share an email address, and a CRM still fills with the ones that do not: the same person with a work and a personal address, a company entered three ways, a contact imported twice with a typo. Teams respond with a bulk merge, which combines records permanently and sometimes joins two people who happen to share a name. Phone numbers appear in six formats, countries are spelled five ways and job titles are free text, so reports and segments quietly under-count. After a cleanup nobody can say what was merged or why.

We finally knew how many real contacts we had, and why the number changed.

From a CRM administrator's cleanup report

Duplicates that email misses

Different addresses, same person.

Two people merged as one

The rule was too loose.

Nothing standardized them.

Before

  • Whatever HubSpot sends, the duplicate pair receives
  • Bulk merges are risky and unrecorded
  • Fields stay messy and reports under-count

After

  • The pair of record IDs and the evidence that matched them ties the duplicate pair merge to the HubSpot event
  • Safe merges are automatic and doubtful ones are reviewed
  • Fields are standardized and every change logged

Chapter 02 How it works

How a messy CRM becomes one clean record per person

Events are filtered, keyed, searched and then written, with a record at each stage.

How HubSpot to Deduplication automation works: contacts in, one clean duplicate pair each, on a scheduleContacts travel as letters from your HubSpot portal through a post office, the sync we build, which checks and cancels each one, into the mailbox that is your duplicate review queue.PORTALQUEUEYour HubSpot portalContacts, companies, deals, tickets, activitiesThe sync we buildAdds new contacts, fixesedited ones, double-checks ona scheduleYour duplicate review queueContacts, rules, dailytotals, reportsREAD-ONLYACCESSONE DUPLICATE PAIRPER CONTACTCHECKEDHow HubSpot to Deduplication automation works: contacts in, one clean duplicate pair each, on a schedule, stacked: portal, post office, then mailbox.PORTALYour HubSpotportalContacts, companies, deals, tickets, activitiesThe sync webuildAdds new contacts, fixes edited ones,double-checks on aQUEUEYourduplicatereview queueContacts, rules, dailytotals, reportsREAD-ONLYACCESSONE DUPLICATE PAIRPER CONTACT

Receive, log, qualify

The event arrives from HubSpot, is logged with its identifiers, and is qualified or set aside.

Find, score, merge

Duplicates are found, scored and safe pairs are merged keeping the richer record.

Queue, standardize, log

Doubtful pairs are queued, fields are standardized and every change is logged.

The HubSpot rules this design works within

  • A merge combines records: Merging two HubSpot contacts keeps one record that combines the activities, associations and most property values of both, and a webhook announces the merge, so cleanup is planned before it is run.
  • Merge announces itself: A contact merge fires its own webhook event, so downstream systems that held the merged record are told to follow it.
  • Handling timeouts: A timeout triggers a search of the duplicate pair by the pair of record IDs and the evidence that matched them, not another create.

Chapter 04 Who this fits

Who uses this: e-commerce brands, all needing to clean up HubSpot properly: find duplicates by email and by the signals email misses, merge only what is safe, queue doubtful pairs for a person, standardize messy fields and keep a log of every change

Teams want a CRM with one record per person and consistent data, without losing history.

Chapter 05 The options

Choose your route from HubSpot to the duplicate pair: a bulk merge that nobody can undo, zap or a HubSpot cleanup with a merge queue and a log

Each can merge records. Only one finds the hidden duplicates, queues doubt and logs every change.

Comparison table: Choose your route from HubSpot to the duplicate pair: a bulk merge that nobody can undo, zap or a HubSpot cleanup with a merge queue and a log
Question a bulk merge that nobody can undo A marketplace connector for the duplicate pair BoldBellows and its HubSpot data cleanup

Old news arrives after new

Each event carries its own time, and the route applies it only if it is newer than what the duplicate pair already shows.

Two people share a name and a company but have different phone numbers

The evidence is weak, the pair is queued for a person, nothing is merged, and the decision is logged either way. With the pair of record IDs and the evidence that matched them the route can say whether the work is missing, done, off, or unclear, and it says so in the log. Matching and differing records are handled separately; only a missing one is created.

Choosing the pair of record IDs and the evidence that matched them is step one; the field map and the branches are built on top of it.

Chapter 06 The process

Six steps from a messy CRM to a clean one

A short, repeatable process of six steps, ending in a launch review.

  1. About 30 minutes

    Measure the mess

We scan for duplicates, field formats and sources that keep creating dirt.

  2. Access review

    Approve access

A restricted login for HubSpot comes first, the same for every tool contact deduplication and data cleanup writes to, followed by an agreed list of matching keys.

  3. Most of the project

    Agree the rules

The match signals, the safe-merge rule, the field standards and the review queue are written out and approved first.

  4. Before you review

    Test what goes wrong

Duplicate deliveries, slow events, blank fields and denied permissions are run in a test copy of the duplicate pair.

  5. Handover day

    Launch with notes

The route is enabled from a fixed point in time and the PDF records every setting we chose.

  6. About 30 minutes

    Launch support

For a short period after launch we respond quickly to anything unexpected in the live route.

Chapter 07 Turnaround

When each package goes live

The range begins on the day access to HubSpot and the connected tools is confirmed.

Chapter 08 Getting started

Your part in the first week

Scoped HubSpot access, approved by whoever administers it

A HubSpot account with permission for a private app, a backup export of contacts and companies, and a person to review doubtful pairs

Test records in HubSpot for the acceptance runs

Names of the people who decide when a HubSpot event is valid

Your rule for what to do when HubSpot and the duplicate pair disagree

A decision on whether history should be loaded or only new events

Chapter 09 Trust

A route that borrows access, never rewrites your tools

HubSpot data is read through an account you control, kept to the contact deduplication and data cleanup fields, and never copied beyond what is needed.

Read-only HubSpot to Deduplication access: your data stays yoursA sealed envelope marked private and yours to open, with a read-only stamp.PrivateYOURS TO OPENREAD-ONLY

Reversible by design

Because nothing inside HubSpot or the duplicate pair is modified, switching the route off returns both tools to how they were.

Scoped, revocable access

Keys stay in your accounts, and their scope is listed for your auditors.

A purpose for every field

Each mapped field has a reason recorded beside it, so a later review can tell why it was sent.

Find first, write second

The route finds the merge through the pair of record IDs and the evidence that matched them before choosing between create, update and leave alone.

Minimal logging

You can inspect exactly what is logged, and it contains no customer text.

Full handover

Your administrators receive a document they can follow without a briefing.

"A CRM is only as useful as its weakest record, so the build merges what is safe and asks a person about the rest."
