BoldBellowsHubSpot Mailchimp integration for teams that run the CRM in one tool and the newsletter in another

HubSpot to Mailchimp automation that adds contacts to the right audience, sets tags from properties and carries unsubscribes back to HubSpot

Mailchimp refers to a subscriber by an MD5 hash of the lowercase email address, and a member can be subscribed, unsubscribed, cleaned or archived, so a sync that ignores either rule creates duplicates or mails someone who has left. BoldBellows decides which HubSpot contacts belong in which Mailchimp audience, how subscription status is recorded on both sides and which tags the lifecycle stage should set, lowercases and hashes the email address the way Mailchimp expects, adds or updates the member once, sets tags from HubSpot properties and carries unsubscribes back, then builds the audience around your lists. A contact who opts in through a HubSpot form joins the newsletter audience, lifecycle stage and product interest become tags, a contact who unsubscribes in Mailchimp is marked in HubSpot, and nobody is re-added by a later import. Doing it this way keeps Mailchimp in step with HubSpot and keeps consent honest.

Chapter 01 the re-subscribed problem

A contact who unsubscribed and was re-added by an import is the quickest route to a spam complaint

A CSV of HubSpot contacts is imported into Mailchimp every month. Among them are people who unsubscribed last week, because the import knows nothing about their choice, and the audience grows by names who did not ask to be there. Tags are typed in by hand, so the segment for customers includes prospects. Mailchimp's own unsubscribes never reach HubSpot, where sales keeps emailing the same people one by one.

The first month without an unsubscribe complaint was the first month on this sync.

Before

  • Nothing tells a repeat from a new change
  • A monthly CSV is imported
  • Opt-outs stay in Mailchimp

After

  • The same event always lands on the same audience member, using the subscriber hash of the lowercase email address
  • Contacts join and update as HubSpot changes
  • Opt-outs are carried to the HubSpot contact

Chapter 02 How it works

How a HubSpot opt-in becomes a tagged Mailchimp member who stays unsubscribed if they leave

First decide, then find, then act: that is the whole route in one line.

Understand the change

With HubSpot to Mailchimp in place, the HubSpot record is read to see what really changed, and the result is compared with your rule.

Read, hash, search

The contact and consent are read, the email is lowercased and hashed and Mailchimp is searched.

Write, tag, return

The member is created or updated once, tags are set, and unsubscribes return to HubSpot.

Platform behavior the build accounts for

  • Mailchimp identifies a subscriber by a hash: Mailchimp refers to a subscriber by an MD5 hash of the lowercase email address, so the sync lowercases the address from HubSpot before it looks anyone up.
  • The hash is the key: Mailchimp finds a member by the MD5 hash of the lowercase email address, so the sync lowercases first and a differently capitalized email never creates a second member.
  • Checks after errors: After an error the route asks Mailchimp what it holds for the subscriber hash of the lowercase email address and compares it with what was sent.

Chapter 04 Who this fits

Chapter 05 The options

If a CSV import into a Mailchimp audience and zaps are not enough: a live audience that follows HubSpot

Each can hold an email address. Only one matches by hash, tags by stage and carries the opt-out back.

Two updates, wrong order

When updates cross in transit, the later one wins and the earlier one is kept in the log, not written over it.

A contact is deleted in HubSpot but remains subscribed in Mailchimp

The route follows your rule: either archive the Mailchimp member or leave them subscribed with a note, but it never deletes them silently. It looks up the subscriber hash of the lowercase email address, compares like with like and records which of the four outcomes applies. Unclear matches are held for review instead of guessed at.

With the subscriber hash of the lowercase email address in place, a duplicate, a late event and a lost reply all have a safe answer.

Which HubSpot events should reach Mailchimp?Required

Eligible lifecycle coverage: Use this when several approved HubSpot transitions must converge on one Mailchimp contact.

How should Mailchimp recognize a HubSpot record it has already handled?Required

Ambiguity holding lane: Route zero-match and multi-match cases to an owner instead of letting Mailchimp guess.

What should happen when a Mailchimp write can't be confirmed?Required

Open a managed exception: Capture evidence, ownership and a safe next action whenever a Mailchimp write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from a monthly import to a live audience

Work moves through six steps, and you approve the important ones.

  1. About 30 minutes

    Map the audiences

We list your Mailchimp audiences, the HubSpot properties that decide membership and the tags each should set.

  2. Access review

    Approve access

Access to HubSpot and Mailchimp is set up with limited scope, and the fields that identify each record are chosen.

  3. Most of the project

    Agree consent rules

Who owns consent, how a double opt-in is handled and what happens to deleted contacts are written down and signed off.

  4. Before you review

    Rehearse before launch

The route is exercised end to end in a test Mailchimp, including the failures, before it touches real data.

  5. Handover day

    Launch with notes

After the final test we enable the route and give you notes that name every owner and repair path.

  6. About 30 minutes

    Review and adjust

Real traffic often shows edge cases; this step folds them into the rules and the notes.

Chapter 09 Trust

You keep control of HubSpot and Mailchimp, we keep to the map

HubSpot keeps its data, Mailchimp receives only the approved subset, and we keep nothing beyond identifiers and outcomes.

Standard access, standard behavior

We rely on the regular access each platform offers, never on a change to how HubSpot or Mailchimp work internally.

Scoped, revocable access

Least-privilege access is the default, and it is documented.

Sensitive values held back

Anything sensitive in HubSpot is either excluded or transformed before it can reach Mailchimp.

Recovery without duplicates

Failed or unclear writes are recovered by matching on the subscriber hash of the lowercase email address, never by generating a new audience member.

Minimal logging

The audit trail is made of IDs and decisions, not personal data.

Full handover

After handover you can maintain, change or retire the route on your own.

"An audience is a promise to its members, and the build is made to keep that promise in both tools."

Chapter 11 Questions

HubSpot and Mailchimp: questions from marketing teams

Short answers to what people ask before they book. Anything else can go in your quote request.

?How long does it take?Asked most often3 to 5 daysSet date, no surprisesAnswers, straight away
What does this add over a HubSpot to Mailchimp Zapier connection?

Where the right contacts in the right audience, with consent intact is enough, stay with a zap. The difference shows when you must add and update members by email, set tags from HubSpot properties and carry unsubscribes back to the contact. The connector carries the event; the build carries the decisions.

How are HubSpot contacts added to Mailchimp?

The route reads contacts and consent, looks Mailchimp up by the subscriber hash and writes the member once.

Could a Zapier zap handle HubSpot and Mailchimp?

A zap can add a subscriber; consent guards, tag rules and opt-out return are what turn that into a safe sync.

What happens when someone unsubscribes?

They are carried to the HubSpot contact and block any later re-add.

Can one contact be in several audiences?

Yes, where your Mailchimp setup allows it, with rules for each audience.

Can duplicates appear in the audience?

No. Members are found by the hash of the lowercase email.

Can it use Mailchimp tags for segments?

Yes. Tags from HubSpot properties give you segments that stay current.

Can I see the field map first in the HubSpot to Mailchimp route?

We do it for every route. The HubSpot Mailchimp field mapping service gives you a document, not a promise, listing each field that will cross.

Will it handle rules specific to our business on the HubSpot to Mailchimp route?

Yes. Each branch you need is documented, giving a custom HubSpot workflow for Mailchimp. We act as the HubSpot Mailchimp integration consultant on the project, from $415.

What happens after a platform update?

We write down what the route assumes. When an assumption stops being true, the route stops that step and says so, rather than improvising.
