BoldBellowsIntercom Google Sheets automation for teams that live in spreadsheets

Intercom to Google Sheets integration that keeps one updating row per conversation, with contacts, tags and segments in readable columns

Intercom lets you export conversations and contacts, but an export is a snapshot, and the sheet it fills goes stale as soon as a conversation is reassigned or closed. BoldBellows binds the contact, the conversation and the assigned teammate into one identity, treats a closed conversation as finished work, not as a request to act on, then finds the row for that conversation ID, creates it if it is new and updates it in place when the owner, state or tags change. The sheet becomes a living list: export Intercom leads to spreadsheet tabs, group tags and segments, and give a manager totals that already agree with the inbox.

01the stale-export problem

A spreadsheet fed by exports is wrong by the time it is opened

Someone downloads the conversation list on Monday, pastes it over last week's tab and breaks every formula that pointed at the old layout. A conversation that closed on Tuesday still shows as open. Wire it to a basic trigger instead and each state change appends a new row, so one chat becomes four lines and the totals no longer match anything.

Monday paste-over

A new export broke the formulas.

Closed chats shown as open

The sheet was a snapshot.

One chat, four rows

Each change appended a line.

Before: Google Sheets fills with repeats

  • Nothing tells a repeat from a new change
  • The sheet is rebuilt from an export
  • State changes append extra rows

After: exceptions have an owner

  • The same event always lands on the same row, using the Intercom conversation ID in a locked column plus the sheet and row it maps to
  • Each conversation owns one row that updates
  • Columns are checked before every write

02how it works

How an Intercom change becomes an update to the right row

First decide, then find, then act: that is the whole route in one line.

How Intercom to Google Sheets automation works: conversations in, one clean row each, on a scheduleA timeline of 4 steps, Your Intercom workspace; The sync; Your Google Sheet; Reports.1STEP 1Your Intercom workspaceConversations, contacts, teammates, replies2STEP 2The syncRuns daily, hourly or in minutes3STEP 3Your Google SheetClean tabs, no duplicate rows4STEP 4ReportsConversations, response time, resolutionsHow Intercom to Google Sheets automation works: conversations in, one clean row each, on a scheduleA vertical timeline of 4 steps.1STEP 1Your Intercom workspaceConversations, contacts, teammates, replies2STEP 2The syncRuns daily, hourly or in minutes3STEP 3Your Google SheetClean tabs, no duplicate rows4STEP 4ReportsConversations, response time, resolutions
  1. Understand the change. The Intercom record is read to see what really changed, and the result is compared with your rule.
  2. Verify, fetch, find. The signature is checked, the conversation is fetched for its owner, state and tags, and the row is found through the stored conversation ID.
  3. Write, batch, confirm. The row is created or updated in the mapped columns, writes are batched inside the quota and the row number is stored for next time.

Intercom and Google Sheets facts the design relies on

  • The same notification can arrive twice. Intercom retries a notification it cannot deliver, so every delivery is treated as a possible repeat, and the route answers quickly and does the real work afterwards.
  • Ten million cells. A Google spreadsheet holds at most ten million cells across all its tabs, and the API enforces per-minute quotas for each project and each user, so wide sheets are avoided and writes are batched.
  • Checks after errors. After an error the route asks Google Sheets what it holds for the Intercom conversation ID in a locked column plus the sheet and row it maps to and compares it with what was sent.

When updates cross in transit, the later one wins and the earlier one is kept in the log, not written over it.

Two teammates change the same conversation at nearly the same moment

Notifications are applied in order against the stored row, the later state wins and both changes are logged in the register. It looks up the Intercom conversation ID in a locked column plus the sheet and row it maps to, compares like with like and records which of the four outcomes applies. Unclear matches are held for review instead of guessed at.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Intercom to Google Sheets route.

A focused production route for one Intercom environment and one Google Sheets destination, delivering Intercom to Google Sheets integration that exports conversations, leads, users, tags and segments to a spreadsheet, one updating row per conversation ID with identity and failure controls from day one.

  • One approved Intercom event family and business-state admission rule within the Intercom to Google Sheets service.
  • One authorized account, workspace, organization, or base boundary within the Intercom to Google Sheets service.
  • One Google Sheets object contract with field and relationship mapping within the Intercom to Google Sheets service.
  • Stable matching through workspace ID plus contact ID and conversation ID and a hidden source-key column and destination row ID
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Intercom to Google Sheets service.
  • Implementation map, test record, and premium PDF operations handover within the Intercom to Google Sheets service.

Adds branching, matching and a bounded historical pass for teams whose route into Google Sheets cannot be one straight-through action, while still delivering Intercom to Google Sheets integration that exports conversations, leads, users, tags and segments to a spreadsheet, one updating row per conversation ID.

  • Everything in Launch
  • Up to four approved routing or state-transition branches within the Intercom to Google Sheets service.
  • Existing-record resolution and one bounded historical checkpoint within the Intercom to Google Sheets service.
  • Lookup-before-replay protection for uncertain writes

  • Field, permission, and destination-state validation before mutation within the Intercom to Google Sheets service.

Adds reconciliation and governance for teams that now depend on Intercom to Google Sheets integration that exports conversations, leads, users, tags and segments to a spreadsheet, one updating row per conversation ID, with drift detection and an exception register for Google Sheets.

  • Everything in Operations
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Intercom to Google Sheets service.
  • Volume-aware retry ceilings and stale-event protection

06The process

Six steps from an export to a sheet that updates itself

Work moves through six steps, and you approve the important ones.

  1. Choose the columns

We list which conversation, contact, tag and segment fields become columns, and which topics create, update or are ignored.

  2. Approve access

For Intercom to Google Sheets, we connect the two systems carefully, keeping access to what the agreed route requires.

  3. Agree tabs and headers

Tab layout, header names, column types and the key column are agreed in writing, then locked before the build.

  4. Rehearse before launch

With Intercom to Google Sheets in place, the route is exercised end to end in a test Google Sheets, including the failures, before it touches real data.

  5. Launch with notes

The route is enabled from a fixed point in time and the PDF records every setting we chose.

  6. Review and adjust

Real traffic often shows edge cases; this step folds them into the rules and the notes.

09Security and ownership

You keep control of Intercom and Google Sheets, we keep to the map

With Intercom to Google Sheets in place, we ask for the smallest access that makes the route work and record exactly what that is.

Standard access, standard behavior

We rely on the regular access each platform offers, never on a change to how Intercom or Google Sheets work internally.

Scoped, revocable access

Keys stay in your accounts, and their scope is listed for your auditors.

Sensitive values held back

Anything sensitive in Intercom is either excluded or transformed before it can reach Google Sheets.

Recovery without duplicates

Failed or unclear writes are recovered by matching on the Intercom conversation ID in a locked column plus the sheet and row it maps to, never by generating a new row.

Minimal logging

You can inspect exactly what is logged, and it contains no customer text.

11FAQ

Intercom, Google Sheets and live lists: questions from managers and analysts

Quick answers, no sales language, and a route to ask more.

Is an Intercom to Google Sheets Zapier zap enough?

Where a row for every new conversation is enough, stay with a zap. The difference shows when you must update the same row when a conversation changes, keep tags and segments in readable columns and never write a duplicate. The connector carries the event; the build carries the decisions.

Can I sync Intercom conversations to Google Sheets without exports?

Each conversation event updates one row keyed on the conversation ID, so the sheet follows state, owner and tag changes without an export.

Can I export Intercom leads to a spreadsheet?

Yes. Leads and users go to separate tabs with their role, company and tags, and a lead who becomes a user is updated, not duplicated.

What about Intercom tags and segments?

Tags and segments are written as readable, comma-separated lists or as separate columns, whichever your filters need.

How do I connect Intercom to Google Sheets without a Zap?

You do not need one. The route listens to Intercom webhooks and writes only the mapped columns. A protected key column and a header check stop a stray edit from causing a duplicate or a misplaced write.

Will heavy traffic hit Sheets limits?

Writes are batched and paced inside the per-minute quotas, and a refused request is retried after the delay the API asks for.

Can history be loaded into the sheet?

Yes. Earlier conversations are pulled in resumable batches with Intercom's search endpoint, then matched by conversation ID, so nothing doubles.

Do I approve the Intercom mapping before you build?

Yes, in writing. The Intercom Google Sheets field mapping service yields a reviewed table of fields, formats and rules that you approve before launch.

Can you automate Intercom data to Google Sheets as a custom workflow?

Yes. Conditions such as region, product or threshold become a custom Intercom workflow for Google Sheets. We advise as an Intercom Google Sheets integration consultant would, from $415.

What if Google Sheets changes its rules in the Intercom to Google Sheets route?

Work after the review window is scoped afresh.
