BoldBellowsLemonSqueezy to Google Sheets automation for recurring revenue

LemonSqueezy to Google Sheets automation that logs every event once and keeps one current row per subscription, so status and MRR stay true

LemonSqueezy to Google Sheets automation gives a subscription business a sheet that shows who is active, who has lapsed and what recurring revenue really is. Subscriptions change status all the time, and a sheet fed webhook by webhook records every change as a new row. BoldBellows records the webhook event name, the order or subscription ID and the custom data, holds back until LemonSqueezy reports the order as paid, then appends the event to a ledger tab and updates one current row found by the subscription ID, so the sheet shows the latest truth and still remembers the history.

Chapter 01 the status-drift problem

A sheet that appends every webhook never knows who is still a customer

A subscription can be created, paused, resumed, cancelled and expired, and each change is a separate webhook. Append them and the sheet lists a customer five times in five states. Overwrite them and the history of why someone left disappears. Add a retried webhook, which LemonSqueezy sends within minutes, and the active count is wrong by exactly the busiest hour.

The same order appeared at three amounts after the partial refund.

From a finance manager's month-end notes

Five rows, five statuses

One subscription appeared active, paused and cancelled on separate lines and nobody knew its real state.

MRR counted twice

Retried webhooks added the same renewal to monthly recurring revenue.

History overwritten by a tidy-up

Someone replaced earlier values and the reason a LemonSqueezy customer left was lost.

Chapter 02 How it works

How a LemonSqueezy event lands as a ledger row and a current row

The route judges the change first, then finds the Google Sheets row by its key and writes only what is missing.

Read and judge the change

The LemonSqueezy event is verified, its account, resource and time are recorded, and the order event is tested against your written rule.

Log, then look up

With LemonSqueezy to Google Sheets in place, the verified event is appended to the ledger tab, and the protected key column is searched for the matching current-state row.

Update or add, then prove

One match is updated, none adds a LemonSqueezy row, several are held, and the written range is read back so a lost reply is never repeated blindly.

Details of LemonSqueezy and Google Sheets that matter here

  • Recent webhooks are logged: LemonSqueezy keeps a log of recent webhooks with their full payloads on the settings page, which gives a second place to check when a delivery looks missing.
  • Appending to a table: For LemonSqueezy to Google Sheets, the Sheets values.append method finds a logical table and writes after its last row, which is how the ledger grows while the subscription tab is updated by key.
  • Repair path: When a write cannot be confirmed, Google Sheets is searched by a current-state row keyed by LemonSqueezy subscription or order ID before any second attempt.

Chapter 04 Who this fits

For indie developers selling software with LemonSqueezy and watch recurring revenue in a sheet

In the LemonSqueezy to Google Sheets route, if recurring revenue is reported in a sheet, each subscription must appear once and still be traceable.

SaaS founder

"I want MRR I can trust."

One current row per subscription, with status always up to date.

Finance lead

"Reconcile this against the payout."

Totals agree with LemonSqueezy, with every change on the ledger.

Customer success lead

"Who cancelled this week?"

The current tab filters by status and date.

Operations analyst

On this LemonSqueezy to Google Sheets route, the ledger tab records every change with its time.

Sheet owner

An older event arrives after a newer state

The event time is compared with the stored state, so a late LemonSqueezy change is logged and cannot overwrite a newer row.

A LemonSqueezy row append succeeds but the acknowledgement is lost

The sheet is read back by subscription ID before another attempt, so the Google Sheets event is never added a second time. A current-state row keyed by LemonSqueezy subscription or order ID is searched and the candidate is compared with what was intended, then one of four results is recorded.

Connect LemonSqueezy to Google Sheets through a current-state row keyed by LemonSqueezy subscription or order ID first; every row and every repair check depends on it.

Chapter 06 The process

Six steps from messy exports to a sheet you can trust

Six steps, each with a named output, take the route from brief to a monitored launch.

  1. About 30 minutes

    Choose the questions

We list what the sheet must answer, then work out which LemonSqueezy events and fields feed each answer.

  2. Access review

    Approve access

You approve the LemonSqueezy objects in scope; we prepare the Google Sheets destination and the matching key.

  3. Most of the project

    Agree tabs, columns and keys

For LemonSqueezy to Google Sheets, the ledger and subscription tabs, the protected key column and the update rules are written down and signed off.

  4. Before you review

    Test the awkward cases

Repeats, late events, missing values and permission loss are run against a test copy of Google Sheets first, in the LemonSqueezy to Google Sheets route.

  5. Handover day

    Launch with notes

Going live means starting from an agreed record, so nothing is missed or repeated, then handing over the notes.

  6. About 30 minutes

    Watch the first weeks

For the first month we review the checkpoint log with you, look at retries and drift, and fix anything the real data reveals.

Chapter 08 Getting started

Before we begin: what we need

Permission to inspect the LemonSqueezy fields we will map

Edit access to the Google Sheet and permission to protect a column

LemonSqueezy API access and the events you want the route to use

A written rule for the order event that counts

A named person who owns exceptions and mapping decisions

Any existing automations in LemonSqueezy or Google Sheets that touch the same data

Chapter 09 Trust

Only approved fields travel, and neither product is patched

The build stays inside the boundaries you set: named LemonSqueezy data, one Google Sheets target, documented permissions.

Read-only LemonSqueezy to Google Sheets access: your data stays yoursA brass keyhole plate with a key turning in it and a key ring of tags for you, your team and your accountant, marked named people only and read-only.YouTeamAccountantNAMED PEOPLE ONLY · READ-ONLY

Neither product is modified

LemonSqueezy and Google Sheets are reached through their published interfaces; nothing inside either is changed.

Scoped, revocable access

Nothing runs with an administrator's full powers.

Field minimisation

Only allowlisted values reach Google Sheets. Notes, payment details and other LemonSqueezy data stay in LemonSqueezy.

Repair begins with a lookup

A retry reads Google Sheets by a current-state row keyed by LemonSqueezy subscription or order ID first, so a doubtful reply never turns into a second row.

Minimal logging

Retention is short and the content is minimal.

Full handover

We hand across the map, the checks and the contact points for exceptions.

"A sheet should show the latest truth and still remember the history, so the build keeps two tabs with different jobs." with LemonSqueezy to Google Sheets

Chapter 11 Questions

LemonSqueezy, Google Sheets and recurring revenue: questions from founders

Clear replies to the concerns that come up in almost every conversation.

Is access read-only?Who owns the result? What happens after handover? Can it be changed later?Open any question
Is there any reason to skip the LemonSqueezy to Google Sheets Zapier route?

If you only need a row appended on every webhook, a zap will do it. Closing those gaps is what this build is for.

How do I log LemonSqueezy subscriptions in Google Sheets automatically?

Each verified webhook is appended to a ledger tab, and one current-state row, found by the subscription ID, is updated to match.

How does the sheet show a cancelled subscription?

The current row changes to cancelled with the date, and a ledger line records the event, so status is right and the history stays intact.

Can MRR be calculated from the sheet?

Yes. The current tab holds the plan, amount and status of every subscription, so MRR is a simple formula over active rows.

Will it hit Google Sheets limits on launch day on the LemonSqueezy to Google Sheets route?

Writes are paced and queued, and a refused request is retried later under the same key, so the sheet catches up without duplicates, for this LemonSqueezy to Google Sheets route.

Can I back-fill past subscriptions?

Yes. Earlier activity is pulled through the LemonSqueezy API in a limited window and loaded behind a checkpoint, with the same key check as live events.

Can someone edit the sheet without breaking it on the LemonSqueezy to Google Sheets route?

Yes.

How are LemonSqueezy fields matched to Google Sheets?

Included as standard: the LemonSqueezy Google Sheets field mapping service settles what LemonSqueezy sends, what Google Sheets receives and what stays behind.

Can we add our own conditions?

Consider it a LemonSqueezy Google Sheets integration consultant and a custom LemonSqueezy workflow for Google Sheets in one, from $415.

How do you protect against upstream changes on the LemonSqueezy to Google Sheets route?

Every interface is named in the notes. A change upstream halts the affected step and raises a flag, so nothing wrong is written. Later repair work is quoted separately.
