BoldBellowsLemonSqueezy to Trello automation that builds cards worth working from

LemonSqueezy to Trello automation that gives each failed payment, refund or cancellation one card with a checklist, then finds it again after it moves

LemonSqueezy to Trello automation turns the billing events that need a person into cards with an owner, a due date and the steps to follow. A Trello card moves from list to list, so an order stored only in its title gets lost, and LemonSqueezy retries webhooks within minutes. BoldBellows reads the webhook for its event name, resource ID and test-mode flag, answers the webhook immediately and only proceeds once the order status is paid, then builds one card and keeps the order ID in a custom field that can always be searched.

Chapter 01 the lost-card problem

A card whose order nobody can find gets created twice

Cards move. By the time LemonSqueezy sends the recovery for a failed payment, the save-the-customer card may sit in Waiting for Reply or have been archived, and a search by title finds nothing. The sync makes a second card, and a helper chases a customer who already paid.

The update could not find the LemonSqueezy card, so it made another.

From a support helper's retrospective

Two cards for one failed payment

A retried webhook left two cards on the board and two people writing to the same LemonSqueezy customer.

A card nobody could find

With LemonSqueezy to Trello in place, the title was edited during triage, so the next update could not locate it.

A checklist retyped every time

The steps a refund needs were typed in by hand on each LemonSqueezy card, and one was always skipped.

Chapter 02 How it works

How a LemonSqueezy event becomes one Trello card with a checklist

Every step has a check before it, so a fault stops the run instead of spreading.

Check it is real and in scope

The LemonSqueezy notice is validated, the underlying record is read, and only a qualifying order event moves on.

Search the key, then build

With the signature verified and the order ID saved, the custom field is searched; if the case is unseen, the list, due date, labels and checklist are prepared from a written map.

Place the LemonSqueezy card and keep its ID

The card is created or refreshed, the checklist is finished, and the card ID is saved against the LemonSqueezy event.

Behaviour of LemonSqueezy and Trello we design around

  • Now part of Stripe: Stripe acquired LemonSqueezy in 2024, so the brief confirms your store's current payout and setup details before anything is built.
  • Custom fields on cards: Trello custom fields add structured data to a card, such as text or dates, so the order ID has a home that can be searched.
  • Lookups before retries: A LemonSqueezy order-ID custom field is the route's way of asking Trello whether the work is already done.

A late arrival

Events that reach the route after a newer one are recognised by timestamp and routed for review instead of applied, in the LemonSqueezy to Trello route.

The LemonSqueezy card was moved, archived or its custom field was removed

The board is searched by order ID, and if the field is gone the case waits with a clear reason instead of making a twin. Finding the card comes first: a LemonSqueezy order-ID custom field is searched, the hit is compared, and only then is an action chosen.

Nothing is written to Trello until a LemonSqueezy order-ID custom field is defined and stored for each card.

Ambiguity holding lane: Route zero-match and multi-match cases to an owner instead of letting Trello guess.

What should happen when a Trello write can't be confirmed?Required

How soon do you need it live?Required

Chapter 06 The process

Six steps from LemonSqueezy cases to cards that stay findable

Each of the six steps has an output you can read, not just a status update.

  1. About 30 minutes

    Decide which events become cards

We list the LemonSqueezy events that earn a Trello card and the list each one belongs on.

  2. Access review

    Approve access

Together we approve what the route may read in LemonSqueezy and where it may write in Trello.

  3. Most of the project

    Agree lists, labels and fields

In the LemonSqueezy to Trello route, the custom field, list rules, labels, due-date logic and checklist templates are written down and signed off.

  4. Before you review

    Stress the edges

Late deliveries, doubled events and partial failures are simulated in a test Trello and the results reviewed with you.

  5. Handover day

    Launch with notes

We switch the route on at a checkpoint you approve and leave you with written notes on how it works.

  6. About 30 minutes

    Post-launch review

We go through the exception list and the checkpoint log with you and agree what, if anything, needs a change.

Chapter 07 Turnaround

Timing for the Trello build

The clock starts once LemonSqueezy and Trello access are approved.

Access to the LemonSqueezy account that holds the records in scope

Your expected behaviour for edits, cancellations and repeats

The hours when changes to Trello are safest to release

Records or dates that the route should ignore

Chapter 09 Trust

Narrow permissions, narrow payloads, nothing patched

Only agreed LemonSqueezy data leaves, and it goes to one named place in Trello.

Read-only LemonSqueezy to Trello access: your data stays yoursA customer table with the email custom field blacked out and a read-only stamp, with a seal noting emails are hidden except from named people.CUSTOMERSNAMEEMAILNETMaya Chen$86.40Omar Hale$142.00Lena Brooks$47.90Sam Ortiz$210.35Priya Nair$74.00READ-ONLYHidden from everyoneexcept named people

Untouched core, documented edges

Both LemonSqueezy and Trello are used as their own documentation describes; no workaround reaches into their internals.

Scoped, revocable access

Scopes are reviewed with you before launch and again at handover.

Nothing extra travels

The route forwards what was agreed and ignores the rest, so Trello never becomes a second copy of everything in LemonSqueezy.

Proof before repetition

Nothing is created twice: a missing confirmation triggers a search of Trello by a LemonSqueezy order-ID custom field before any further write.

Minimal logging

Logs hold identifiers, times and error types, not your customer content.

Full handover

Handover includes the rules, the owners and the repair steps in one PDF.

"A card moves, so the build stores the order ID where it can always be searched, not in the title."

Chapter 11 Questions

Trello cards from LemonSqueezy: questions from support and success teams

A handful of honest answers before you spend anything.

?How long does it take?Asked most often3 to 5 daysSet date, no surprisesAnswers, straight away
We tried a LemonSqueezy to Trello Zapier flow; what changes?

A zap can provide a card created for every case. It is not built to find a card again after it moves, build a checklist from the event or place a case on the right list. The work here is the judgment around the connector, not the connector itself.

How do I create a Trello card from a failed LemonSqueezy payment?

Each LemonSqueezy event that qualifies arrives by webhook, and the route verifies it, searches the custom field for its order ID and creates one card with list, due date, labels and checklist.

What if the LemonSqueezy card has moved to another list?

The route searches by the custom field, not the title or the list, so the LemonSqueezy card is found wherever it now sits.

Does a recovered payment change the existing Trello card?

Yes. Because the order ID matches, the card is updated and no second card is made.

Can the checklist depend on the type of case in the LemonSqueezy to Trello route?

Yes. A written map gives a failed payment, a refund and a cancellation their own steps.

Can refunds and cancellations use different boards?

Yes. Board and list are picked from the Trello event type and plan using a table written with you.

Who closes the card when the customer is saved?

A recovery event moves the card to the done list automatically, with a note of when the payment succeeded.

Will you map custom fields as well in the LemonSqueezy to Trello route?

Absolutely. Nothing reaches Trello until the LemonSqueezy Trello field mapping service has your approval on the page.

Is a tailored workflow possible, or only a standard one on the LemonSqueezy to Trello route?

Yes. Anything you can state as a rule can become part of a custom LemonSqueezy workflow for Trello. That includes LemonSqueezy Trello integration consultant advice, from $415.

What happens if LemonSqueezy or Trello changes something later?

You get a list of the interfaces we rely on. When one shifts, the affected records hold and you are told. Later maintenance is quoted on its own.
