BoldBellowsLemonSqueezy to Xero automation for multi-currency software sales

LemonSqueezy to Xero automation that raises an invoice for each order, books the fee and refunds on their own lines, and applies the payout when it lands

LemonSqueezy to Xero automation turns a payout into entries your accountant can follow. LemonSqueezy sells in many currencies, collects the tax and pays out net of fees, and Xero has no built-in connection to it, so teams import a statement and hope the numbers agree. BoldBellows files the event name with the resource ID as the replay key, looks the order up in the API to confirm its status before it writes, then confirms the organisation, raises an invoice in the order's own currency, books the fee on its own line, records partial refunds as credits and applies the payout to the bank feed.

Chapter 01 the foreign-currency problem

A payout in one currency for orders in five leaves nothing to reconcile against

LemonSqueezy pays out once, but the orders behind it were placed in dollars, euros and pounds, each with its own tax already settled and a fee taken. Xero sees a single deposit and no invoices. A retried request raises the same LemonSqueezy invoice twice, because Xero only remembers an idempotency key for six minutes.

The deposit matched nothing, because there were no invoices behind it.

From an accountant's month-end review

One deposit, five currencies

The payout was booked in one currency and the exchange differences were never explained.

Fees hidden in revenue

LemonSqueezy's charge was never booked, so profit looked higher than it was.

A partial refund as a full credit

The whole invoice was credited when only part of the order had been refunded.

Chapter 02 How it works

How a LemonSqueezy order is booked as an invoice and a matched payout in Xero

Read, record, decide

Account, resource and time are captured from the LemonSqueezy event, and the order event is tested against the trigger.

Confirm the organisation and the currency

Once the order is confirmed paid, the Xero organisation is checked, the contact is found by email, and the invoice currency is taken from the order.

Invoice, apply and match

The invoice is raised with the order ID in its reference, the fee and refunds are booked on their own lines, and the payout is paired with the bank statement line it arrives on.

Platform notes behind the Xero route

  • Licence keys have events: A licence key is created from a new order and raises its own event, so the route treats it as sensitive and sends it only where you allow.
  • Keys that expire: Xero's Idempotency-Key header caches a response for six minutes, and each organisation allows 60 requests a minute, so the route looks before it retries and paces what it sends, for this LemonSqueezy to Xero route.
  • Unclear outcomes: They are settled by reading Xero on the LemonSqueezy order ID in the invoice reference; a guess is never written.

"Customers keep getting invoiced twice."

The invoice reference is checked first, so an order is raised once.

Out-of-sequence updates

The route keeps the latest confirmed state for each record and refuses to let an earlier event replace it.

An order arrives in a currency your Xero organisation does not trade in

The Xero entry is held with the currency named until a person approves how it should be booked. A lookup by the LemonSqueezy order ID in the invoice reference gives one of four verdicts, and each verdict has its own prepared response. The decision to create follows the search, never precedes it.

The route is only as reliable as the LemonSqueezy order ID in the invoice reference, which is why it is designed first and tested hardest.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the LemonSqueezy to Xero route.

  • Up to four qualification or routing branches
  • Matching through the Stripe object ID in the transaction reference
  • One controlled historical window with a checkpoint

  • Scheduled source-to-destination state comparison
  • Drift detection for relevant source and destination fields

Which LemonSqueezy events should reach Xero?Required

Eligible lifecycle coverage: Use this when several approved LemonSqueezy transitions must converge on one Xero entry.

How should Xero recognise a LemonSqueezy record it has already handled?Required

Ambiguity holding lane: Route zero-match and multi-match cases to an owner instead of letting Xero guess.

What should happen when a Xero write can't be confirmed?Required

Open a managed exception: Capture evidence, ownership and a safe next action whenever a Xero write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Six steps from payout statements to books that close

You see something concrete at every one of the six steps.

  1. About 30 minutes

Choose codes, currencies and tax rates

With LemonSqueezy to Xero in place, we list the revenue, fee, credit and clearing codes, the currencies you trade in and the tax rate each plan uses.

  2. Access review

    Approve access

We link LemonSqueezy and Xero through supported interfaces and record exactly what each connection can do.

  3. Most of the project

    Agree invoices and matching

Invoice layout, account codes, payout matching and the rules for credits are written down and signed off, on the LemonSqueezy to Xero route.

  4. Before you review

    Check the failure paths

We confirm that a duplicate, a stale event and a denied request each end in the right outcome in a test Xero.

  5. Handover day

    Launch with notes

Launch is a checkpoint, not a cliff: the route starts from a known point and the notes arrive with it.

  6. About 30 minutes

    Keep an eye on it

After go-live the route is watched for drift, permission changes and unusual volumes.

Chapter 07 Turnaround

Timing begins when both connections are approved, on the LemonSqueezy to Xero route.

Chapter 09 Trust

What crosses is written down, and so is how to switch it off

Scope is deliberately narrow: approved LemonSqueezy fields in, one Xero destination out, no side stores.

No plugin, no patch

Nothing is added to LemonSqueezy or Xero themselves. The route connects at the documented edges and stays there.

Scoped, revocable access

Tokens cover only the named objects and can be revoked whenever you choose.

Masked where needed

Values that should not be visible downstream are dropped or masked first, with the decision written into the handover.

Uncertainty is investigated

A lost reply opens a check against Xero. The Xero invoice is found, compared and either left alone or corrected.

Minimal logging

We record what happened and when, never the private details of your records.

Full handover

Everything we built is documented and belongs to your team.

"Books close faster when each order is an invoice, so the build raises the invoice first and applies the payout later."

Chapter 11 Questions

LemonSqueezy, Xero and payouts: what accountants ask

What to know before choosing a package, in plain language.

Is access read-only?Who owns the result? What happens after handover? Can it be changed later?Open any question
Is a build better than a LemonSqueezy to Xero Zapier task?

You can get an invoice for every order from a no-code recipe. Such a recipe will not raise the invoice before the payout, keep currencies apart or work out whether a timed-out request landed. Filling those gaps is most of the job.

How do I stop LemonSqueezy orders being invoiced twice in Xero?

Each invoice carries the LemonSqueezy order ID in its reference. A retried webhook searches for that reference first and updates the invoice it finds.

Does Xero connect to LemonSqueezy directly?

Not that we know of; teams usually import payout statements or use a connector. This route builds the Xero invoices, books the fee and applies the payout.

How are different currencies handled?

Each invoice is raised in the order's own currency, using your Xero multi-currency setup, so exchange differences appear where they happen.

What if a customer is partly refunded weeks later?

A credit note is raised against the original invoice for the refunded amount only and dated when the refund happened.

Does it respect Xero's request limits?

Yes.

Can it handle several Xero organisations?

Yes.

How detailed is the field map?

Yes. The LemonSqueezy Xero field mapping service is where we agree formats, required values and owner rules before any build work starts.

Can we send some records elsewhere?

Yes. Our packages assume a custom LemonSqueezy workflow for Xero, and the consultancy is included: a LemonSqueezy Xero integration consultant on your side from $870.

What if either platform updates its API on the LemonSqueezy to Xero route?

The safest reaction to change is to stop and report, so that is what the route does. Ongoing maintenance beyond the review period is separate.
