BoldBellowsLinear to Airtable automation for engineering leads who report on delivery

Linear to Airtable automation that writes issues, cycles, projects and state changes as linked records, so cycle time, load and carry-over come from data

Linear to Airtable automation gives an engineering lead a base to measure delivery in, beyond what Linear's own views show. Every Linear update carries the previous values in updatedFrom, each delivery has its own UUID, and the API meters requests and query complexity by the hour. BoldBellows holds the type, the team and the issue as one identity, holds the change until the issue has stopped changing, then writes the issue, its cycle and project, and each state change as linked Airtable records, so the base can answer how long work really took and what carries over.

Chapter 01 the overwritten-state problem

A base that stores only the current state cannot tell you how long anything took

Linear shows that an issue is Done. It is far less good at answering how long it sat in progress last quarter, or how many issues rolled from one cycle to the next. A base that keeps only the current state loses both. Add team-specific workflow states, issues that change identifier when they move teams, and retries, and the base fills with rows nobody can reconcile.

We could not say how long anything took, only how long it had been open.

From an engineering manager's quarterly review

A cycle time nobody could compute

Only the final state was stored.

An issue that changed its identifier

It moved teams and the old ID stayed on old rows.

The same change, twice

A retry wrote a new row each time.

Chapter 02 How it works

How a Linear webhook becomes linked records in an Airtable base

On this Linear to Airtable route, what reaches Airtable has passed a rule, a key check and a search.

Fig. 3. Parent records come first, then the state changes beneath them.

Open the event properly

Identifiers and time are recorded, the source state is read and the issue event is assessed against the route brief.

Verify, identify, order

The signature and timestamp are checked, the issue is found by its UUID, and the change is placed by its delivery time.

Write, link, pace

The state change and cycle links are written as linked records inside Airtable's per-base rate, and the record ID is kept against the delivery.

How Linear and Airtable actually behave

  • Many resources, one mechanism: Linear webhooks cover issues, comments, attachments, labels, reactions, projects, cycles, documents, initiatives, customers and users, with a convenience webhook for issue SLA events.
  • Five requests a second: Airtable allows roughly five requests per second for each base and ten records per request, so a cycle close is batched and paced instead of hammered in.
  • Safe to repeat: Repeating an event is harmless because Airtable is consulted through a Linear issue UUID field plus linked team, cycle, project, label and state-change records before any change.

Chapter 04 Who this fits

For fintech teams tracking compliance work in Linear, then for those who measure how issues move through cycles, projects and teams

Linear shows where an issue is now; Airtable should remember where it has been.

Engineering manager

"How long do issues really take?"

Each state change is stored with its time, so cycle time is summed from the data.

Data steward

"One issue must stay one record."

Identity follows the issue UUID, so a team move does not create a new row.

Airtable builder

"Keep my schema intact."

Every Linear field type and select option is verified before a record is written.

Programme manager

"Show me what carries over."

Cycle membership is a linked record, so carry-over is a view.

Agency owner

"Each client has a team."

Every client's issues go to a separate base or a filtered view.

Founder

"I look at this on my phone." for Linear to Airtable

Linked tables stay legible on a small screen, for this Linear to Airtable route.

Chapter 05 The options

Late event, settled state

A notice that arrives after the Linear record has moved on is logged and closed; the record in Airtable stays correct.

An issue is moved to another team and its identifier changes

The UUID finds the same record, the new team and identifier are written, and the old identifier is kept as a field so earlier references still resolve. The verdict comes from a Linear issue UUID field plus linked team, cycle, project, label and state-change records: absent, matching, differing or ambiguous, all recorded. The result is recorded either way, so the decision can be audited.

A Linear issue UUID field plus linked team, cycle, project, label and state-change records goes in first, then the mapping, then the branches.

Pick a package, answer three short questions about how Linear data should reach Airtable, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Linear to Airtable route.

A focused production route for one Linear environment and one Airtable destination, delivering linked issue, cycle, project and state-change records in Airtable for each Linear event, instead of one flat row per issue with identity and failure controls from day one.

  • One approved Linear event family and business-state admission rule within the Linear to Airtable service.
  • One authorized account, workspace, organization, or base boundary within the Linear to Airtable service.
  • One Airtable object contract with field and relationship mapping within the Linear to Airtable service.
  • Stable matching through organization context plus issue UUID and source ID field joined to Airtable record IDs
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Linear to Airtable service.
  • Implementation map, test record, and premium PDF operations handover within the Linear to Airtable service.

Adds branching, matching and a bounded historical pass for teams whose route into Airtable cannot be one straight-through action, while still delivering linked issue, cycle, project and state-change records in Airtable for each Linear event, instead of one flat row per issue.

  • Everything in Foundation
  • Up to four approved routing or state-transition branches within the Linear to Airtable service.
  • Existing-record resolution and one bounded historical checkpoint within the Linear to Airtable service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Linear to Airtable service.
  • Field, permission, and destination-state validation before mutation within the Linear to Airtable service.

Adds reconciliation and governance for teams that now depend on linked issue, cycle, project and state-change records in Airtable for each Linear event, instead of one flat row per issue, with drift detection and an exception register for Airtable.

  • Everything in Controlled Flow
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Linear to Airtable service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For Linear to Airtable, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Linear events should reach Airtable?Required

Governed lifecycle set: Use this when several approved Linear transitions must converge on one Airtable record.

How should Airtable recognise a Linear record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Airtable guess.

Which Linear events should reach Airtable?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever an Airtable write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from a busy workspace to a base that holds together

No surprises: six steps, with the output of each one agreed in advance.

  1. About 30 minutes

    Choose the events

We list which Linear resource types create a record, which add a history entry and which are ignored, team by team.

  2. Access review

    Approve access

A short review of Linear and Airtable settles what can be read, what can be written and what is off limits.

  3. Most of the project

    Agree tables and links

Table layout, linked fields, select options and the matching key are agreed in writing before the build starts, in the Linear to Airtable route.

  4. Before you review

    Prove it on a copy

For Linear to Airtable, every path, including the failing ones, is run against a copy of Airtable before production is switched on.

  5. Handover day

    Launch with notes

We launch at a checkpoint, watch the first runs with you, and deliver the written handover.

  6. About 30 minutes

    Live check-in

For Linear to Airtable, we compare live behaviour with the brief and update the handover wherever reality differed.

Only what the platforms allow

Every action taken in Linear and Airtable is one their own documentation supports; nothing relies on an unofficial shortcut.

Scoped, revocable access

The integration user or token carries only the rights the route requires.

A deliberately small payload

Keeping the payload small reduces risk and makes each write to Airtable faster to check and easier to repair, for this Linear to Airtable route.

Reconcile, do not resend

On this Linear to Airtable route, a retry reconciles what Airtable already holds against what was intended, then writes only the difference.

Minimal logging

Log lines name the record and the result; they do not reproduce the record.

Full handover

You are not tied to us: the configuration sits in your accounts.

Chapter 11 Questions

Linear, Airtable and delivery metrics: questions from engineering leads

Before you commit, here is what buyers most often want confirmed.

?How long does it take?Asked most often4 to 7 daysSet date, no surprisesAnswers, straight away
Do you replace a Linear to Airtable Zapier zap or sit beside it?

A zap delivers a flat row per issue. It leaves you to keep issues, cycles, projects and state changes as linked records so cycle time and load come from data. It is that layer the packages price.

How can Linear issues be tracked in Airtable?

Each issue event is written as a linked issue record with its cycle, project and state-change records, so one base can report across teams.

Are state changes kept as history?

Yes. Linear sends the previous values with each update, so every change is its own record with the state it left and the state it reached.

What happens when an issue moves to another team?

Its visible identifier changes but its UUID does not. The record is found by UUID and the old identifier is kept as a field.

What if Linear sends a delivery again?

Each delivery has its own UUID, so a repeat after a failure is recognised and nothing is written twice.

Can I load issues from before the sync?

Yes. Issues are read page by page behind a checkpoint that respects Linear's hourly limits, using the same UUID check as live events.

Can Airtable edits reach back into Linear?

No. Data flows from Linear into Airtable only, so an edited cell can never change an issue.

Is field mapping included, or extra?

It comes with the fee. Our Linear Airtable field mapping service produces a short document that pairs each Linear field with its Airtable destination.

Can it follow how our team really works in the Linear to Airtable route?

Absolutely. We shape a custom Linear workflow for Airtable around your rules, acting as your Linear Airtable integration consultant. It begins at $520.

What if a permission or scope is withdrawn in the Linear to Airtable route?

We document each dependency. When a platform alters something, only the records touching it pause, and you are told which. Fixes beyond the review period are priced on their own.
