BoldBellowsLinear to email automation for product teams that track customer requests

Linear to email automation that tells each customer who asked for a fix or feature when the issue ships, once, from an approved template, with no internal detail

Linear to email automation turns customer requests into a closed loop. Linear can link an issue to the customers who asked for it, reports a state change with the previous state attached, and signs the delivery with a timestamp that must be fresh to within 60 seconds. BoldBellows logs which Linear event this is, which issue it concerns and when it happened, holds the update until the issue's state and team have been confirmed, then finds each linked customer, writes one message from an approved template when the issue reaches a shipped state, and records which customer was told about which issue.

Chapter 01 the unclosed-loop problem

A feature shipped quietly loses the customer who asked for it

A customer asks for a feature in a support thread, the request becomes a Linear issue, and months later it ships. The customer finds out from a changelog they never read. A hand-written follow-up is sent when someone remembers. Automate it loosely and every state change emails the customer, an issue reopened and closed again emails them twice, and a message includes the engineering team's private notes.

We shipped the fix and the customer who reported it found out from the release notes.

From a support lead's follow-up review

A customer who never heard it shipped

They found out from a changelog.

An email for every state change

Internal movement reached the customer.

The same notice, twice

A reopened issue notified them again.

Chapter 02 How it works

How a shipped Linear issue becomes one notice for each customer who asked

A change is admitted, identified, matched and written, always in that order.

How Linear to Email automation works: issues in, one clean email each, on a scheduleIssues travel as letters from your Linear workspace through a post office, the sync we build, which checks and cancels each one, into the mailbox that is your email inbox.WORKSPACEINBOXYour Linear workspaceTasks, projects, assignees, comments, milestonesThe sync we buildAdds new issues, fixes editedones, double-checks on ascheduleYour email inboxIssues, digests, dailytotals, reportsREAD-ONLYACCESSONE EMAILPER ISSUECHECKEDHow Linear to Email automation works: issues in, one clean email each, on a schedule, stacked: workspace, post office, then mailbox.WORKSPACEYour LinearworkspaceTasks, projects, assignees, comments, milestonesThe sync webuildAdds new issues, fixesedited ones,double-checks on aINBOXYour emailinboxIssues, digests, dailytotals, reportsREAD-ONLYACCESSONE EMAILPER ISSUE

Receive and qualify

The notification is authenticated, stamped with account, resource and time, then checked against the admission rule.

Verify, find, claim

The signature and timestamp are checked, the customers linked to the issue are found, and each issue and customer pair is claimed.

Build, send, record

Each notice is built from the versioned template and sent from an authenticated domain, and the version is recorded against the pair.

Linear and Email facts the design relies on

  • Deliveries are signed: Every request carries a Linear-Signature header, an HMAC-SHA256 of the raw body made with the webhook secret, plus a delivery UUID, a timestamp and the event name.
  • Timestamps stop replays: Linear asks receivers to refuse a delivery with a stale timestamp, so a captured request cannot be replayed to email customers a second time.
  • If a reply is lost: The route reads Email through the Linear issue UUID and the customer ID, recorded for every message sent to learn whether the write landed, then acts on the answer.

Chapter 04 Who this fits

Built for product teams triaging customer feedback in Linear, and for anyone who must tell the customers who asked for a fix or feature that it has shipped

Linear knows what shipped and who asked; email is how that person is told.

Product manager

"Close the loop with customers."

Each customer who asked is told once when the issue ships.

Customer

"Tell me when you ship my request."

One email says what you asked for, what shipped and where to find it.

Support lead

"Don't expose internal notes."

Only approved wording and the fields you choose are used.

IT admin

"Mail must be authenticated."

Messages go out from a domain with SPF, DKIM and DMARC records in place, on the Linear to Email route.

Agency owner

"Customers must see only their own requests."

Recipients are scoped per workspace, so nothing crosses clients.

Founder

"Customers who feel heard stay."

People hear back without anyone writing to them.

Chapter 05 The options

Three ways to connect Linear and Email: release notes nobody reads, a zap, or a shipped-for-you notice route

Each can send mail. Only one tells each customer once and keeps the notes private.

A late notice follows a newer update

The timestamp on the incoming Linear event is checked first; a stale one is recorded and closed instead of rolling the email back.

An issue ships, is reopened, and ships again

The pair is already recorded, so no second email is sent; the reopening is logged and a follow-up goes out only if you have chosen to tell customers about a second fix. The route looks for the email through the Linear issue UUID and the customer ID, recorded for every message sent, compares it with the intended values and records a verdict: absent, correct, different or unclear.

Build your Linear to Email price

Pick a package, answer three short questions about how Linear data should reach Email, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Linear to Email route.

A focused production route for one Linear environment and one Email destination, delivering one approved email to each customer linked to a Linear issue when it ships, built from a versioned template and recorded against the issue and customer with identity and failure controls from day one.

  • One approved Linear event family and business-state admission rule within the Linear to Email service.
  • One authorized account, workspace, organization, or base boundary within the Linear to Email service.
  • One Email object contract with field and relationship mapping within the Linear to Email service.
  • Stable matching through organization context plus issue UUID and message idempotency token plus provider message ID
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Linear to Email service.
  • Implementation map, test record, and premium PDF operations handover within the Linear to Email service.

Adds branching, matching and a bounded historical pass for teams whose route into Email cannot be one straight-through action, while still delivering one approved email to each customer linked to a Linear issue when it ships, built from a versioned template and recorded against the issue and customer.

  • Everything in Launch
  • Up to four approved routing or state-transition branches within the Linear to Email service.
  • Existing-record resolution and one bounded historical checkpoint within the Linear to Email service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Linear to Email service.
  • Field, permission, and destination-state validation before mutation within the Linear to Email service.

Adds reconciliation and governance for teams that now depend on one approved email to each customer linked to a Linear issue when it ships, built from a versioned template and recorded against the issue and customer, with drift detection and an exception register for Email.

  • Everything in Operations
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Linear to Email service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For the Linear to Email service, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Linear events should reach Email?Required

Governed lifecycle set: Use this when several approved Linear transitions must converge on one Email email.

How should Email recognise a Linear record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Email guess.

Which Linear events should reach Email?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever an Email write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps to shipped-for-you notices customers value

From the first brief to the first month live, six steps with clear outputs.

  1. About 30 minutes

    Choose the shipped states

We agree which states count as shipped, how customers are linked to issues and whether any states need a delay before sending.

  2. Access review

    Approve access

For Linear to Email, we connect the two systems carefully, keeping access to what the agreed route requires.

  3. Most of the project

    Agree wording and recipients

Template wording, customer matching, the delay window and the sending domain are written down and signed off.

  4. Before you review

    Break it on purpose

For Linear to Email, we replay events, delay them, remove fields and revoke access in a safe Email copy before anything goes live.

  5. Handover day

    Launch with notes

The route is enabled from a fixed point in time and the PDF records every setting we chose.

  6. About 30 minutes

    Review after launch

Once real events flow, the opening weeks are checked against the evidence log so early surprises are caught and recorded.

Chapter 07 Turnaround

When each package goes live

Estimates run from approved access to handover, on the Linear to Email route.

Foundation

4 to 7 business days

Operations

7 to 11 business days

Assurance

Chapter 08 Getting started

Your part in the first week

Scoped Linear access, approved by whoever administers it

A sending domain or mail service we can authenticate, and a Linear workspace admin to register the webhook

An authorised Linear connection for the resources named in scope

Your definition of which issue events should reach Email

Permission to run tests against a copy of Email

Your expected volume, so limits and pacing can be set

Chapter 09 Trust

Nothing is installed in Linear or Email, only mapped data moves

On this Linear to Email route, we ask for the smallest access that makes the route work and record exactly what that is.

Read-only Linear to Email access: your data stays yoursA sealed envelope marked private and yours to open, with a read-only stamp.PrivateYOURS TO OPENREAD-ONLY

Nothing installed inside either tool

The route talks to Linear and Email only through documented endpoints, so neither needs a plugin, a patch or a hidden setting.

Scoped, revocable access

Keys stay in your accounts, and their scope is listed for your auditors.

Only what the map allows

A written field map decides what crosses. Anything not on it, including private notes and billing data, is left behind.

Search before you write again

After any uncertain result the route looks for the email using the Linear issue UUID and the customer ID, recorded for every message sent; only a proven absence allows a new one.

Minimal logging

You can inspect exactly what is logged, and it contains no customer text.

Full handover

Your administrators receive a document they can follow without a briefing.

"A fix is worth announcing only to the people who asked for it, so the build finds the reporters before it writes a word."

Chapter 11 Questions

Linear and email: questions from product and support teams

Quick answers, no sales language, and a route to ask more.

Do I need to be there? No. You send one short brief. Then you review a finished result.Search any question
Is a Linear to Email Zapier zap enough?

When an email for every state change is all that is wanted, a connector can manage that. It cannot find the customers who asked, write to each once when the issue ships and keep internal detail out. Those gaps are the reason this build exists.

How do I email customers when a Linear issue ships?

Issues linked to customers send one approved notice to each when they reach a shipped state, naming what they asked for and where to find it.

How are the customers found?

The route reads the customers linked to the issue and matches each to a stored contact. Anyone it cannot match is flagged, not guessed.

What if the issue is reopened?

Each issue and customer pair is recorded, so a second completion does not email the same person again unless you choose to.

Will internal comments appear?

Never. Messages use only the approved template and the fields you list, so descriptions and comments stay in Linear.

How is the delivery trusted?

Linear signs each request, and the route discards any whose timestamp is over a minute out.

Can a customer reply alter an issue?

No. The route sends and never listens, so no reply can edit anything in Linear.

Do I approve the Linear mapping before you build?

Yes, in writing. The Linear Email field mapping service yields a reviewed table of fields, formats and rules that you approve before launch.

Can you automate Linear data to Email as a custom workflow?

Yes. Conditions such as region, product or threshold become a custom Linear workflow for Email. We advise as a Linear Email integration consultant would, from $415.

What if Email changes its rules?

Work after the review window is scoped afresh.

Give your customers news about what they asked for
