BoldBellowsLinear to HubSpot automation for product-led teams that track what customers asked for

Linear to HubSpot automation that records a shipped request on the right company, once, updates a requests-shipped count, and keeps engineering detail out of the CRM

Linear to HubSpot automation gives customer success the one fact it needs: the thing this customer asked for has shipped. Linear can link an issue to a customer, signs each delivery, and sends an update with the previous state so a move to completed is unambiguous. BoldBellows notes the issue's UUID and the team it sits in before it writes a thing, checks the signature and the timestamp, then does the real work afterwards, then finds the company in HubSpot, writes one note in plain words, increments a requests-shipped property, and never copies the engineering discussion across.

Chapter 01 the shipped-and-forgotten problem

A feature shipped for a customer that the account owner hears about last

A customer asks for an export option, the request is linked to a Linear issue, and six weeks later it ships. The account owner, who has been telling the customer it is coming, hears about it in a standup. Someone pastes a note into HubSpot on the wrong company, with an engineering description the customer was never meant to see. Wired loosely, a reopened issue adds the note twice.

The account manager heard about the shipped feature from the customer's champion.

  • Account owners hear about shipped requests by chance

Chapter 02 How it works

How a shipped Linear issue becomes a note and a count on the right company

Nothing is written until the change is judged and the note has been looked for.

Admit only what counts

Each Linear event is verified and logged; anything outside the agreed scope is set aside with a reason.

Verify, link, match

The signature is checked, the customer linked to the issue is read, and HubSpot is searched for the company holding that customer's ID.

Note, count, record

One plain note is written, the requests-shipped property is incremented, and the issue and company pair is recorded in the register.

Platform behaviour the build accounts for

  • Five seconds to answer: Linear expects a 200 within five seconds and retries a failed delivery after one minute, one hour and six hours before it disables the webhook.
  • Updates show where they came from: A Linear update includes updatedFrom with the previous values, so the route can tell a move into a completed state from an edit made to an issue that was already done.
  • Retry rules: Retries are preceded by a check of HubSpot using the Linear issue UUID and the HubSpot company ID, recorded for every note written, so repeating a request cannot repeat its effect.

Chapter 04 Who this fits

Made for mobile teams planning releases in Linear that then show customer success what shipped for each customer who asked

Linear is where requests are built; HubSpot is where the customer relationship is managed, and each shipped request belongs in both.

Customer success lead

"Tell me what shipped for my customers."

Each shipped request lands on the company as a note and a count.

Account owner

"Don't let me find out last."

The note appears the moment the issue ships.

HubSpot admin

"Do not clutter my properties."

On this Linear to HubSpot route, only the properties you approve are written, with the types you choose.

Product manager

"Show the impact of what we ship."

Requests shipped per company are a property reports can filter by.

Agency owner

"Each client has a portal."

Each client's issues write to that client's own portal.

Founder

"Customers who see delivery renew."

Delivery against requests is visible in the CRM.

Chapter 05 The options

An old change turns up late

A delayed Linear event is compared with what HubSpot already holds and is set aside if it would undo something newer.

A shipped issue is linked to two customers

A note is written on each linked company, once, each keyed by its own issue and company pair, and the register shows both. The Linear issue UUID and the HubSpot company ID, recorded for every note written turns the question into a lookup, and the answer is one of four: nothing, right, wrong or unclear. Everything else is an update, a no-op or a case for a person.

Before fields or branches are discussed, the Linear issue UUID and the HubSpot company ID, recorded for every note written is fixed, because every later decision reads from it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Linear to HubSpot route.

A focused production route for one Linear environment and one HubSpot destination, delivering one HubSpot note and a requests-shipped property update on the right company when a Linear issue linked to that customer ships with identity and failure controls from day one.

  • One approved Linear event family and business-state admission rule within the Linear to HubSpot service.
  • One authorized account, workspace, organization, or base boundary within the Linear to HubSpot service.
  • One HubSpot object contract with field and relationship mapping within the Linear to HubSpot service.
  • Stable matching through organization context plus issue UUID and a declared unique source-ID property plus HubSpot record ID
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Linear to HubSpot service.
  • Implementation map, test record, and premium PDF operations handover within the Linear to HubSpot service.

Adds branching, matching and a bounded historical pass for teams whose route into HubSpot cannot be one straight-through action, while still delivering one HubSpot note and a requests-shipped property update on the right company when a Linear issue linked to that customer ships.

  • Everything in Launch
  • Up to four approved routing or state-transition branches within the Linear to HubSpot service.
  • Existing-record resolution and one bounded historical checkpoint within the Linear to HubSpot service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Linear to HubSpot service.
  • Field, permission, and destination-state validation before mutation within the Linear to HubSpot service.

Adds reconciliation and governance for teams that now depend on one HubSpot note and a requests-shipped property update on the right company when a Linear issue linked to that customer ships, with drift detection and an exception register for HubSpot.

  • Everything in Operations
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Linear to HubSpot service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For the Linear to HubSpot service, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Linear events should reach HubSpot?Required

Governed lifecycle set: Use this when several approved Linear transitions must converge on one HubSpot record.

How should HubSpot recognise a Linear record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting HubSpot guess.

Which Linear events should reach HubSpot?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever a HubSpot write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Six steps from a shipped issue to a customer record

Six stages, one owner on your side, and a written output at the end of each.

  1. About 30 minutes

    Choose the shipped signal

We settle which Linear states mean shipped, how an issue is tied to a customer and which HubSpot properties change as a result.

  2. Access review

    Approve access

Access to Linear and HubSpot is set up with limited scope, and the fields that identify each record are chosen.

  3. Most of the project

    Agree properties and matching

The unique customer property, the note wording, the count rule and the owners are written down and signed off.

  4. Before you review

    Try to make it fail

With Linear to HubSpot in place, every failure we can think of is tried against a test HubSpot, and the ones that matter become written repair steps.

  5. Handover day

    Launch with notes

After the final test we enable the route and give you notes that name every owner and repair path.

  6. About 30 minutes

    Thirty-day look-back

A review at the end of the first month covers volume, exceptions, retries and anything that drifted.

What to have ready

A Linear connection you are happy for us to test with

Admin access to HubSpot properties, plus a Linear admin who can register the webhook

Linear credentials we can use for the agreed resources and events

The trigger you want: what must happen in Linear before anything is sent

A decision on which Linear values must never reach HubSpot

Confirmation of which environment is production

Chapter 09 Trust

Your data stays in its place, except what the map allows

Linear keeps its data, HubSpot receives only the approved subset, and we keep nothing beyond identifiers and outcomes.

Your tools stay as they are

We work with the supported connection points of Linear and HubSpot and leave the products exactly as you run them today.

Scoped, revocable access

Least-privilege access is the default, and it is documented.

Less data, less exposure

Each Linear field sent to HubSpot has a stated purpose. Sensitive values are excluded or masked before anything is written.

Look, compare, then act

An unclear write is settled by finding the note and comparing it with the intended values, not by sending again.

Minimal logging

The audit trail is made of IDs and decisions, not personal data.

Full handover

After handover you can maintain, change or retire the route on your own.

"A customer should see that their request shipped, so the build puts the result on the company that asked."

Chapter 11 Questions

Linear and HubSpot: questions from product and customer success teams

Short answers to what people ask before they book. Anything else can go in your quote request.

?How long does it take?Asked most often6 to 10 daysSet date, no surprisesAnswers, straight away
What does this add over a Linear to HubSpot Zapier connection?

A simple connector can give you a note for every state change. It will not put a shipped request on the right company once, update the request count and keep engineering detail out. These are the parts the build adds.

How do shipped Linear requests reach HubSpot?

When an issue linked to a customer moves to a completed state, one plain note is added to that customer's company and a requests-shipped count goes up.

How is the right company found?

A unique property on the company holds the Linear customer ID, and the route searches for it before writing, so notes never land on a similar name.

Will engineering discussion appear in HubSpot?

Never. The note says what shipped in your wording. Descriptions, comments and labels stay in Linear.

What if an issue is reopened and shipped again?

The issue and company pair is recorded, so a second completion adds no second note unless you choose to record it.

Can past shipped requests be added?

Yes. Earlier completed issues with a customer link are matched to companies in checkpointed runs, with no duplicates.

Do HubSpot changes edit Linear?

No. The route is one way, from Linear into HubSpot, so changing a company never alters an issue.

Can I see the Linear field map first?

We do it for every route. The Linear HubSpot field mapping service gives you a document, not a promise, listing each field that will cross.

Will it handle rules specific to our business in the Linear to HubSpot route?

Yes. Each branch you need is documented, giving a custom Linear workflow for HubSpot. We act as the Linear HubSpot integration consultant on the project, from $680.

What happens after a platform update?

We write down what the route assumes. When an assumption stops being true, the route stops that step and says so, rather than improvising.
