BoldBellowsNotion summarization for teams whose wiki grew faster than anyone could read it

Notion AI document summarization and tagging with summaries that stay faithful and tags from your list

A Notion rich text object holds 2,000 characters, an array of blocks 100 elements, so a long summary has to be written as several blocks and tags as options, and the API has to be used within a limit of 180 requests a minute per connection on most plans. BoldBellows records the page, its length and the tag list in force before a summary or tag is written, summarizes only what the page says, tags from the list you approved and leaves a page alone when it cannot do either well, then builds the route around your wiki: a model reads each new or changed page and writes a summary of a few sentences using only what the page says, tags are chosen from the list you approved and never invented, a page that is too short, too long, mostly images or in an unexpected language is marked for a person instead of being forced through, the summary is stored in a property you choose and clearly labeled as machine-written, and a correction is kept so the next summary improves.

Chapter 01 the unread-wiki problem

A wiki nobody can search well is a wiki nobody opens

Notion makes it easy to write pages and just as easy to forget them. Meeting notes, specs, research and policies pile up, each a few screens long, and the person who needs one cannot tell from the title whether it is the right page. Tags exist but are applied inconsistently, so searches miss pages. A generic summarizer tends to paraphrase confidently, including details that are not on the page, and nobody notices until someone acts on a summary that was wrong.

The first page the route refused to summarize, because it was all screenshots, was the moment the team trusted the rest.

Chapter 02 How it works

How a long page becomes a short summary and the right tags

The route reads, decides, searches and only then changes the summary and tags.

Constraints on Notion and the model, and how we meet them

  • Properties have size limits: A Notion rich text object holds 2,000 characters and an array of blocks 100 elements, and a single request is capped in size as well, so a long summary is split into several blocks and tags are written as options.
  • Write within the limits: Rich text is capped at 2,000 characters per object, so summaries are written as short blocks that fit.
  • Failure handling: A failed or unconfirmed write is recorded with its cause and verified in the summary and tags via the page, the summary written and the tags chosen.

Chapter 04 Who this fits

Right for remote companies who summarize and tag Notion pages you can trust: write a short summary from what the page says, choose tags only from your approved list, flag pages it cannot judge and let a person correct either

People want to know what a page says before opening it, and wiki owners want tags they can rely on.

Team member

"Find the right page."

Summaries tell me quickly.

Wiki owner

"Keep tags consistent."

One list is enforced.

Manager

"Skim what changed."

Summaries are current.

New hire

"Learn what exists."

Pages are described.

Reviewer

"Correct the odd one."

Flagged pages are queued.

Admin

"Stay inside the limits."

Writes are paced.

Chapter 05 The options

Comparing a wiki of long pages that nobody has time to read or label, a connector and a Notion summarization route with an approved tag list and a correction path for the summary and tags

Each can write a summary. Only one stays with the page's words, tags from your list and flags what it cannot judge.

Delayed delivery, current state wins

If Notion delivers an event late, it is compared with the stored state and cannot move the summary backwards.

A page is mostly screenshots with very little text

It is marked for review with a note that there is too little text to summarize, and no summary is invented. The route reads the summary and tags through the page, the summary written and the tags chosen and labels the result before it touches anything. An existing summary is updated, never duplicated.

We agree the page, the summary written and the tags chosen before anything else, since matching, replay and repair all use it.

Interlude You pay for pages, summaries and tags

Tell the page what may start a decision, how repeats are recognized and how failures recover, and the figure follows from $1,670.

Which Notion changes should be allowed to start an AI document summary decision?Required

Governed lifecycle set: Use this when several documented Notion states must converge on one document summary decision.

How should a Notion record that already has an AI document summary decision be recognized?Required

Ambiguity queue: Send zero-match and multi-match document summary cases to a named reviewer instead of letting the model guess.

What should happen when an AI document summary action can't be confirmed?Required

Managed repair case: Give every uncertain document summary action an owner, a live-state comparison and an approved replay decision.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from an unread wiki to a findable one

Six deliberate steps keep a small project from turning into a long one.

  1. About 30 minutes

Read a slice of your wiki

We read a spread of your pages and note their types, lengths and the tags you use today.

  2. Access review

    Approve access

We agree what the route may read from Notion, which model it uses and who approves what it proposes.

  3. Most of the project

Agree the tag list and style

The tag list, summary length and style, flag rules and where results are stored are written out and approved first.

  4. Before you review

    Test with bad data

Missing fields, odd characters, repeated events and revoked access are fed through a test the summary and tags on purpose.

  5. Handover day

    Launch with notes

The last step is release: a defined start, a review window and a PDF you can keep.

  6. About 30 minutes

    Tune and hand over

Thresholds, branches and owners are adjusted after the first real runs, then the notes are finalized, for this Notion AI Document Summarization and Tagging service.

Chapter 07 Turnaround

How long the AI Document Summarization and Tagging packages take

The clock starts when Notion permissions and the model connection are in place.

Start

6 to 10 business days

Orchestrate

10 to 16 business days

Command

16 to 24 business days

Chapter 08 Getting started

What we ask of you

Authorization to reach the Notion objects in scope

A Notion workspace that can host a new connection, your tag list or a handful of tags you already use and a person who reviews flagged pages

Sign-off on which Notion resources the route may read

The business rule that decides when a Notion change becomes work in the summary and tags

Any compliance rules that apply to the Notion data

Anything the route should do differently at weekends or on holidays

Chapter 09 Trust

Fields on a short leash, products left exactly as they are

The route separates reading from Notion, thinking in the model and writing back, and puts a gate between each stage.

Read-only Notion to AI workflow access: your data stays yoursA workspace ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Workspace ledgerEvery task, onceREAD-ONLYBehind glass: yours to look at, never to change.

Built outside the products

The logic lives in the route, not inside Notion or the summary and tags, which means removing it later leaves both tools as they were.

Scoped, revocable access

Permissions are written down, minimal and reversible.

Fields on a need-to-know basis

Only the values in the approved map are written to the summary; the rest of the record stays where it began.

Safe to try again

Because the page, the summary written and the tags chosen is stored with each summary, a retry can tell 'already there' from 'never arrived'.

Minimal logging

Evidence of a run is kept as references, not as copies of data.

Full handover

The PDF names each rule, credential and owner so your admins are never guessing.

"A summary should never say more than the page does, so the build is as careful about what it leaves out as about what it writes."

Chapter 11 Questions

Notion summaries: what wiki owners and teams ask

We collected the questions that decide most purchases and answered them.

PriceTimeAccessHandover?Every question, answered
Would an AI action in a Notion workflow tool do the same?

If long pages that carry a faithful summary and the right tags, so people can find them is the whole job, use a zap. If the job also means you must summarize faithfully, tag consistently or avoid inventing details, it is not. Everything in that list is included in the scope.

What does a summary use?

Only the page's own content.

Can it invent tags?

No, only your list.

What about odd pages?

They are flagged for a person.

Where is the summary stored?

In a property you choose.

Is it labeled as machine-written?

Yes.

Are corrections kept?

Yes, for later summaries.

Is there a written list of what leaves Notion?

You review each Notion field, its purpose and whether it is shared.

Can the route branch by type or by owner on the Notion AI Document Summarization and Tagging service?

Yes. Thresholds, reviewers and fallbacks are configured to your process, from $1,670.

Does a Notion update break the route?

The handover lists every interface the route uses. If one changes, the affected item stops and is flagged instead of being written from a guess. Repairs after your review window are quoted separately. It is also the answer to custom notion ai document summarization and tagging.
