BoldBellowsRefill routing for offices where requests arrive by voicemail, portal, fax and sticky note

Prescription refill request routing automation that queues requests and leaves the decision to the clinician

A prescription refill is a clinical decision, and some medicines carry their own rules about how and when they may be refilled, so a refill route is a way of gathering and delivering a request and never of granting one. BoldBellows records the patient, the medication named and the pharmacy before the request is queued, puts the request in front of the prescriber with the facts attached and leaves approval, denial and any change entirely to the clinician, then builds the route around your office: requests arrive by portal, text, pharmacy fax and voicemail and become one queue, the patient is matched on two identifiers, the chart is read for the last visit date, the last fill and the checks your practice defines, such as an overdue visit or a lab that is due, a short fact sheet is attached to each request for the prescriber, requests for controlled substances or anything on your exclusion list go straight to the clinician with no summary, the decision is written back exactly as the clinician made it, the patient and pharmacy are told through the channel your practice uses and a request left waiting past your window is escalated.

Chapter 01 the scattered-requests problem

A refill request that nobody owns is a patient who runs out

Refill requests arrive in at least four places, and each is handled by whoever notices it. The pharmacy fax is checked in the afternoon, the voicemail in the morning and the portal in between. When the prescriber finally sees a request, the chart has to be opened to find the last visit and the last fill, and a request for a medicine that needs special handling looks like any other. A route that tries to approve routine refills on its own would be taking a decision that belongs to the clinician, and that is a line this build does not cross.

When requests stopped arriving in four places and started arriving in one queue with the last fill beside them, the afternoon backlog ended.

Facts about Medical Practice that shape prescription refill request routing

  • Refills belong to the clinician: A prescription refill request is a clinical decision, so the route gathers the facts and queues the request for the prescriber and never approves, denies or changes one.
  • The route never approves: There is no setting that approves or denies a refill; only a clinician's decision in the record system closes a request.
  • Safe to repeat: Repeating an event is harmless because the refill request is consulted through the patient, the medication named and the pharmacy before any change.

Chapter 04 Who this fits

For practice managers, then for those who route refill requests to the right prescriber without deciding any: gather requests from every channel, attach the chart facts, queue them for the clinician and report the decision back

Prescribers want requests that arrive with the facts, and patients want an answer before the bottle is empty.

Late event, settled state

A notice that arrives after the record has moved on is logged and closed; the refill request in the refill request stays correct.

The same request arrives from the patient and from the pharmacy

The second arrival is recognized as a repeat, linked to the first and shown once in the queue with both sources noted. The verdict comes from the patient, the medication named and the pharmacy: absent, matching, differing or ambiguous, all recorded. The result is recorded either way, so the decision can be audited.

The patient, the medication named and the pharmacy goes in first, then the mapping, then the branches.

Chapter 06 The process

Six steps from scattered requests to a refill queue the clinician trusts

No surprises: six steps, with the output of each one agreed in advance.

  1. About 30 minutes

Follow a week of refill traffic

We follow recent requests from arrival to answer and note the channels, the delays and the medicines that needed special handling.

  2. Access review

    Approve access

Before building prescription refill request routing, we set up the smallest set of permissions that works in Medical Practice and agree how records will be matched.

  3. Most of the project

Agree the facts, the list and the windows

The chart facts shown, the exclusion list, the response windows and who receives each request are written out and approved first.

  4. Before you review

    Prove it on a copy

Every path, including the failing ones, is run against a copy of the refill request before production is switched on.

  5. Handover day

    Launch with notes

In the Prescription Refill Request Routing service, after sign-off the route runs live from the agreed starting point, with plain-language notes for your team.

  6. About 30 minutes

    Live check-in

With Prescription Refill Request Routing in place, we compare live behavior with the brief and update the handover wherever reality differed.

Chapter 07 Turnaround

Turnaround you can plan around

Delivery starts counting when Medical Practice permissions are granted and the first decisions are made.

Clear

6 to 10 business days

Careful

Chapter 08 Getting started

Your checklist before we start

An administrator's approval to connect Medical Practice

Access to the places refill requests arrive, a list of medicines your practice always sends straight to a clinician and the names of the prescribers who receive requests

Approval to read the Medical Practice fields listed in the map

Your current manual steps for this patient event, so we can match them

Who signs off the handover notes at the end

A backup contact for approvals

Chapter 09 Trust

Secure by being small: few fields, few permissions

The route sees the Medical Practice objects on your list and nothing else, and it writes only to the places named in the scope.

Read-only Medical Practice to Order Routing access: your data stays yoursA brass keyhole plate with a key turning in it and a key ring of tags for you, your team and your accountant, marked named people only and read-only.YouTeamAccountantNAMED PEOPLE ONLY · READ-ONLY

Only what the platforms allow

Every action taken in Medical Practice and the refill request is one their own documentation supports; nothing relies on an unofficial shortcut.

Scoped, revocable access

In the Prescription Refill Request Routing service, you can rotate or remove every credential without asking us.

A deliberately small payload

Keeping the payload small reduces risk and makes each write to the refill request faster to check and easier to repair.

Reconcile, do not resend

A retry reconciles what the refill request already holds against what was intended, then writes only the difference.

Minimal logging

No Medical Practice message bodies, contact lists or payloads are stored in our logs.

Full handover

Ownership passes to you with the written runbook, in the Prescription Refill Request Routing service.

"A refill is a decision about a patient's medicine, so the build prepares everything around the decision and leaves the decision alone."

Why not use a simple Medical Practice connector for prescription refill request routing?

A zap delivers refill requests that reach the right prescriber in one queue, with the facts they need and a recorded decision. It leaves you to gather requests from several channels, attach the chart facts or keep a clinical decision with the clinician. It is that layer the packages price.

Does the route ever approve a refill?

No, every approval, denial or change is made by the clinician.

What does the prescriber see?

The request, the medication named, the last visit, the last fill and the checks your practice listed.

What about controlled substances?

Anything on your exclusion list goes straight to the clinician with no summary.

How does the pharmacy get its answer?

Through the channel your practice already uses, once the clinician has recorded a decision.

Can it handle requests from the pharmacy?

Yes, pharmacy faxes and electronic requests join the same queue as patient requests.

How does it avoid mixing up patients?

It requires two identifiers before a request joins a chart, and an uncertain match is left for staff.

Do I see the field list before prescription refill request routing is built?

Mapping is part of the work. Every Medical Practice field in the prescription refill request routing route is assigned a destination or marked as excluded, for your approval.

Can we decide when prescription refill request routing stops and asks a person?

Yes. The route is shaped around your own thresholds and exceptions, and pricing starts at $1,200.

If Medical Practice renames a field, what breaks?

With Prescription Refill Request Routing in place, we design for change by making failure visible. If you searched for custom prescription refill request routing automation, this is the service that delivers it.
