BoldBellowsResume parsing and candidate profile automation for agencies who retype attachments into the database

Resume parsing and candidate profile automation that reads each resume into clean fields, matches duplicates and flags the values it doubts

Resume parsing turns a document into structured fields such as contact details, work history, skills and education, so each value keeps a link to where it was read and doubtful ones are checked by a person. BoldBellows keeps every resume as received, lists the profile fields your system holds and notes which values a person must confirm, before a single document is read, reads each resume into structured fields with a link back to where every value was found, matches the person to an existing profile before creating one and sends doubtful values to a person, then builds resume parsing and candidate profile automation document by document: resumes arrive by email, form, job board or a shared folder, each is read into your profile fields such as name, contact details, employers, dates, titles, skills and education, every value is stored with a link to where it appears on the page, the person is matched by email, phone and name against existing profiles so no duplicate is created, a new or updated profile is written to your database with the original attached, and unclear dates, unusual layouts and conflicting details wait in a review queue. Custom resume parsing and candidate profile automation can add skill taxonomies and multi-language resumes.

Chapter 01 the retyping-attachments problem

Resumes retyped from attachments are how one person ends up in your database three times

A coordinator opens attachments one by one and copies names, employers and skills into the database. Layouts vary: columns, tables, graphics, photos. A date is mistyped and the candidate looks as if they have eight years of experience instead of three. The same person, applying through two boards, becomes two profiles with different email addresses. Search returns half the right people because the skills field is empty on the rest. The backlog grows on Fridays and clears on Monday.

Search found the right engineer on the first try because her skills had finally been filled in.

Note from a coordinator

Attachments opened one by one

Retyping is the job.

Layouts that fight parsers

Columns and tables confuse copy-paste.

A mistyped date

Three years became eight.

How a resume becomes a clean, matched profile

Nothing is written until the change is judged and the parsed resume has been looked for.

Admit only what counts

Each Recruitment Team event is verified and logged; anything outside the agreed scope is set aside with a reason.

Read, link, match

The resume is read into fields, each value is linked to its place on the page, and the person is matched to existing profiles.

Write, review, attach

A profile is created or updated, doubts go to a review queue, and the original is attached.

What the build relies on in Recruitment Team

  • Parsing reads, people judge: Resume parsing turns a document into structured fields such as contact details, work history, skills and education, so each value keeps a link to where it was read and doubtful ones are checked by a person.
  • Matching before creating prevents duplicates: Because the same person often applies through several routes, the route looks for an existing profile by email, phone and name before it writes anything new.
  • Retry rules: Retries are preceded by a check of Resume Parsing and Profiles using the candidate, the parsed fields and where each was found, so repeating a request cannot repeat its effect.

Chapter 05 The options

How Recruitment Team gets into Resume Parsing and Profiles: a coordinator copying names, employers and skills from attachments into the system, a connector, or document parsing with source links, duplicate matching and a review queue for doubts

Each can store a file. Only one reads it into fields, links each value to its source and checks for the same person first.

An old change turns up late

A delayed Recruitment Team event is compared with what Resume Parsing and Profiles already holds and is set aside if it would undo something newer.

A candidate sends a resume as a scanned image

The image is read for text, values are marked with lower confidence where print is poor, and anything uncertain goes to the review queue rather than into the profile. The candidate, the parsed fields and where each was found turns the question into a lookup, and the answer is one of four: nothing, right, wrong or unclear. Everything else is an update, a no-op or a case for a person.

Before fields or branches are discussed, the candidate, the parsed fields and where each was found is fixed, because every later decision reads from it.

Interlude Cost is shaped by resumes, fields and profiles

Chapter 06 The process

Six steps from attachments to a clean database

Six stages, one owner on your side, and a written output at the end of each.

    List your fields and sources

We list the profile fields you use, the places resumes arrive and the formats you see most.

  2. Access review

    Approve access

Recruitment Team and the neighboring tools are opened only as far as resume parsing and profiles requires, and the pairing keys are agreed before the build.

  3. Most of the project

    Agree matching and review rules

How people are matched, which values need review and what goes into which field are written down and signed off.

  4. Before you review

    Try to make it fail

Every failure we can think of is tried against a test Resume Parsing and Profiles, and the ones that matter become written repair steps.

  5. Handover day

    Launch with notes

Once tests pass, the route goes live from a set checkpoint and the documentation is delivered.

  6. About 30 minutes

    Thirty-day look-back

A review at the end of the first month covers volume, exceptions, retries and anything that drifted.

Chapter 09 Trust

Your data stays in its place, except what the map allows

Data from Recruitment Team moves only along the paths you approve for resume parsing and profiles, and the permissions behind them are no wider than required.

Read-only Recruitment Team to Resume Parsing and Profiles access: your data stays yoursAn agency ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Agency ledgerEvery candidate, onceREAD-ONLYBehind glass: yours to look at, never to change.

Your tools stay as they are

We work with the supported connection points of Recruitment Team and Resume Parsing and Profiles and leave the products exactly as you run them today.

Scoped, revocable access

Each connection has the narrowest permissions that work, recorded in the handover.

Less data, less exposure

Each field sent to Resume Parsing and Profiles has a stated purpose. Sensitive values are excluded or masked before anything is written.

Look, compare, then act

An unclear write is settled by finding the parsed resume and comparing it with the intended values, not by sending again.

Minimal logging

Diagnostic records are deliberately thin, so there is little to protect.

Full handover

There is no lock-in; the notes explain every setting we chose.

"Careful data entry is the quiet foundation of good recruiting, so the build reads carefully and shows its sources."

Chapter 11 Questions

Resume parsing: what coordinators and recruiters ask

Read these first; whatever is left can be asked in your quote request.

PriceTimeAccessHandover?Every question, answered
What does a zap miss in Recruitment Team resume parsing and profiles?

A simple connector can give you profiles that are complete, consistent and not duplicated. It will not read every resume into the same fields, match to existing people and flag doubts. These are the parts the build adds.

Which formats can it read?

PDF, Word, plain text and images, with lower confidence on poor scans, as stated in the quote.

Does it rank candidates?

No. It reads and files. Ranking and decisions are separate and stay with people.

How are duplicates found?

By email, phone and name against existing profiles before anything new is written.

What if it misreads a value?

Doubtful values are flagged, and each one links to its place on the resume.

Where do profiles go?

Into your applicant system, CRM or database, as confirmed in the quote.

What determines resume parsing cost?

Resume sources, profile fields and the database in scope set the amount, which is fixed once you approve the quote.

Is field matching for Recruitment Team resume parsing and profiles part of the package?

The fields, sources and matching rules are laid out on one page, and the first profile is written after your sign-off.

Can the resume parsing and profiles rules differ by team or product?

Yes. We turn your rules for resume parsing and profiles into explicit steps in Recruitment Team, starting at $2,130.

Does the handover cover Recruitment Team changes?

If the platforms change, the route degrades gracefully: it holds the affected record and flags it. Follow-up support once your review window ends is quoted on its own.
