BoldBellowsAn automated receptionist for salons where the chairs are full and the phone keeps ringing

Salon AI receptionist automation that answers from your own facts and books only what fits

A stylist in the middle of a color service cannot stop to answer the phone, and a caller who gets voicemail often tries the next salon on the list. BoldBellows records who is asking, which service they mean and what was answered before any slot is held, answers only from the hours, services and prices you approved and passes the conversation to a person the moment it is unsure, then builds the route around the way your front desk already answers: the assistant greets the person on the channel you choose, tells them it is an automated assistant, answers questions about hours, services, prices and parking from a sheet you wrote, finds an opening that matches the service length and the stylist they asked for, writes the booking into your calendar and sends a confirmation. Questions about allergies, pregnancy, skin reactions or a complaint are never answered by the assistant; they go to a person with the full conversation attached.

Chapter 01 the unanswered-line problem

A line that rings out sends the booking to someone else

Salon phones ring hardest when the team is busiest. Someone asks about a cut, a color or a facial, gets no answer and tries the next name in the search results. Voicemail helps a little, but a message left at noon may not be returned until the evening. Many tools that promise to answer for you also answer too much: they quote a price that changed, promise a service the stylist does not do or give an opinion about a skin reaction, and then the salon has to repair the conversation.

The best change was not the faster reply. It was knowing that the odd questions were sitting in front of the right person.

Chapter 02 How it works

How an inquiry becomes a booking or a note for your team

The path is short: admit, match, write, record.

Confirm the trigger

The route confirms that the Salon software event is authentic and that the booking change is one you asked it to act on.

Greet, answer, offer

The assistant introduces itself, answers from your sheet and offers a slot that fits.

Book, confirm, hand over

The booking is written, the confirmation sent and unusual questions passed to a person.

What the design takes from Salon and AI practice

  • Callers expect a quick answer: A stylist with color on a client's hair cannot pick up the phone, and many callers move on to the next salon when no one answers, so the receptionist route answers in writing, books or hands over, and never leaves a caller waiting.
  • Say what it is: The first message states that the reply comes from an automated assistant, so a client always knows who is answering.
  • Proof of delivery: Each successful write stores the Booking Calendar identifier beside the client, the service asked about and the conversation, which later checks rely on.

Yesterday's change, today's record

An event older than the state in Booking Calendar is logged and closed, so delivery timing never decides which version wins.

A client asks if a color is safe during pregnancy

The assistant gives no opinion, says a stylist will reply and sends the question to the person you named. The booking is located through the client, the service asked about and the conversation, compared with the intended values and classified. A different or unclear booking goes to a named owner.

Decide the client, the service asked about and the conversation early: it is how the route recognizes its own work.

Build your Salon AI Receptionist price

Pick a package, answer three short questions about how Salon data should reach AI Receptionist, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Salon to AI Receptionist route.

A focused production route for one Salon event family and one governed receptionist queue, delivering Salon AI receptionist automation that answers from facts you approved, books open slots in the right stylist column and passes unsure questions to your team with identity, evidence and failure controls from day one.

  • One approved Salon & Spa event family and business-state admission rule within the Salon AI Receptionist service.
  • One authorized account, workspace, organization, or base boundary within the Salon AI Receptionist service.
  • One Salon AI Receptionist object contract with field and relationship mapping
  • Stable matching through business plus client, appointment, service, staff member, deposit, waitlist, product, call, or message ID and source identity paired with the authoritative salon ai receptionist record, conversation, transaction, document, or decision identifier
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Salon AI Receptionist service.
  • Implementation map, test record, and premium PDF operations handover within the Salon AI Receptionist service.

Adds branching, existing-record matching and a bounded historical pass for teams whose Salon signals need more than one approved receptionist path, while still delivering Salon AI receptionist automation that answers from facts you approved, books open slots in the right stylist column and passes unsure questions to your team.

  • Everything in Signal
  • Up to four approved routing or state-transition branches within the Salon AI Receptionist service.
  • Existing-record resolution and one bounded historical checkpoint within the Salon AI Receptionist service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Salon AI Receptionist service.
  • Field, permission, and destination-state validation before mutation within the Salon AI Receptionist service.

Adds reconciliation, drift detection and an aged-exception report for teams that now depend on receptionist proposals every day.

  • Everything in Routing
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Salon AI Receptionist service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For the Salon AI Receptionist service, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Salon changes should be allowed to start an AI receptionist decision?Required

Governed lifecycle set: Use this when several documented Salon states must converge on one receptionist decision.

How should a Salon record that already has an AI receptionist decision be recognized?Required

Ambiguity queue: Send zero-match and multi-match receptionist cases to a named reviewer instead of letting the model guess.

What should happen when an AI receptionist action can't be confirmed?Required

Managed repair case: Give every uncertain receptionist action an owner, a live-state comparison and an approved replay decision.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Six steps from a ringing phone to an assistant you can trust

The plan has six steps and a fixed shape, so timelines stay honest.

  1. About 30 minutes

    Collect the questions you get

We read a stretch of recent texts and voicemails and list what clients ask, in what words and at what hours.

  2. Access review

    Approve access

We agree the Salon scope, the model service and the decision identifiers before anything is built.

  3. Most of the project

    Write the answer sheet

You approve the sheet of hours, services, prices and policies, and the list of topics that always go to a person are the first things you approve, before the build starts.

  4. Before you review

    Replay the troublemakers

Known problem cases are replayed through a test Booking Calendar until each one ends safely.

  5. Handover day

    Launch with notes

The last step is release: a defined start, a review window and a PDF you can keep.

  6. About 30 minutes

    Confirm it holds

A short review confirms that counts, matches and exceptions behave as they did in testing.

Chapter 07 Turnaround

How long the AI Receptionist packages take

The build clock starts after Salon access and the model service are approved.

Entry

6 to 10 business days

Engine

10 to 16 business days

Audit Desk

16 to 24 business days

Chapter 08 Getting started

What we ask of you

Authorization to reach the Salon objects in scope

Your booking software or calendar, the list of services with their lengths, and the answers you want the assistant to give

A named Salon software contact who can approve access requests

The fields from Salon software that Booking Calendar must receive

Details of any other tools that already write to Booking Calendar

Permission to document the route in your handover pack

Chapter 09 Trust

Approved data only, through supported doors only

Only approved Salon fields are shared with the model, every proposal is recorded, and writes wait for the approval you require.

Read-only Salon to AI workflow access: your data stays yoursA location ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Location ledgerEvery booking, onceREAD-ONLYBehind glass: yours to look at, never to change.

Leaves both tools alone

The build uses supported access on each side and does not alter how Salon software or Booking Calendar behave for anyone else on your team.

Scoped, revocable access

Permissions are written down, minimal and reversible.

Scoped to the route

The booking receives the agreed fields for this route alone, which keeps reports and permissions in Booking Calendar simple.

Checked before it is repeated

Each retry is preceded by a read of Booking Calendar through the client, the service asked about and the conversation, which keeps a timeout from becoming a duplicate.

Minimal logging

Evidence of a run is kept as references, not as copies of data.

Full handover

The PDF names each rule, credential and owner so your admins are never guessing.

"A receptionist is only useful if it knows when to stop talking, so the build starts with the list of questions it must never answer."

Chapter 11 Questions

An automated salon receptionist: the questions owners raise

We collected the questions that decide most purchases and answered them.

PriceTimeAccessHandover?Every question, answered
Why not wire Salon to a model ourselves?

Buying inquiries that get a quick, correct answer and a booking when one fits from a connector is fine. Expecting it to answer quickly, quote correctly or know when to stop is where they fall short. That is the difference between moving data and running a route.

Will clients know they are talking to an assistant?

Yes. The first reply says so, and a client can ask for a person at any time.

Where do the answers come from?

From a sheet you write and approve, never from guesses.

Can it quote a price?

Only the prices on your sheet, and it states when a price depends on length or consultation.

What does it do with a question about skin or health?

It gives no opinion and sends the conversation to the person you named.

Does it work on the phone line?

That depends on your phone system; we confirm the channels with you before the build and start with text and chat.

Can I read what it said to a client?

Yes, every exchange is stored beside the client record.

What stops the model seeing too much of Salon?

Yes. The map is reviewed with you and records the purpose of each Salon field the model is allowed to see.

Can the rules differ by workspace?

Yes. You decide the limits of the Salon AI route and we build to them, starting at $1,450.

What if the model's answers drift over time in the Salon AI Receptionist service?

The handover lists every interface the route uses. If one changes, the affected item stops and is flagged instead of being written from a guess. Repairs after your review window are quoted separately. It is also the answer to custom salon ai receptionist automation.
