BoldBellowsInventory automation for salons and spas that run out of the one product the day needs

Salon inventory and reordering automation that counts what is sold and what is used

Backbar product is used up in services and never sold across the counter, while retail product leaves through the register, so a salon has two kinds of stock that fall for different reasons. BoldBellows records the product, the location and the count after every sale and every service that uses it, separates backbar from retail, flags a count that does not add up and drafts an order for a person to approve, then builds the route around your own shelves: each retail sale lowers the count at the register, a service marked complete lowers the backbar estimate by the amount you set for it, a product that crosses its reorder point is added to a draft order grouped by supplier, and the draft goes to the person you named to approve, change or reject. Nothing is ever ordered on its own, and a count that disagrees with the system after a stock take is flagged and left as it is until someone confirms it.

Plate I. Retail sales and backbar use lower the count, and a low product joins a supplier draft for approval.
  • Retail and backbar apart each counted its own way
  • Reorder points set by product
  • Drafts, not orders a person approves
  • Count mismatches flagged never overwritten
  • Owned exceptions Every blocked record names the person who resolves it
  • Honest about scope $1,710 buys the entry package; anything bigger is quoted in writing first

Chapter 01 the empty-shelf problem

A stockroom counted by eye runs out on the busiest day

Salons rarely run out of everything. They run out of one thing: the toner for the booked color, the best-selling shampoo on the day of an event, the disposable items that nobody thought were low. Counts are done by eye, reorders happen when someone remembers and the supplier list lives in a notebook. Backbar is the hardest part, because it leaves the shelf in small amounts that nobody writes down. Over-ordering ties up cash in product that sits.

The first draft order was almost boring. It listed exactly what we would have forgotten.

Stockroom notes from an owner

Toner gone before the color appointment

Nobody saw it was low.

Retail best-sellers out at the weekend

The reorder was late.

Backbar used but never counted

Only the register was tracked.

Chapter 02 How it works

How a sale becomes a count, a flag and a draft order

The route judges the change first, then finds the stock count by its key and writes only what is missing.

Read and judge the change

The Salon software event is verified, its account, resource and time are recorded, and the booking change is tested against your written rule.

Count, compare, flag

Sales and services adjust the counts, which are compared with each reorder point.

Draft, approve, record

A draft goes to a person, and the approved order is recorded against the product.

What Salon allows, and what it does not, for inventory and reordering

  • Backbar is not retail: Backbar product is used up in services and never sold across the counter, so reorder points are set for each kind of product and counted from usage and sales together.
  • Estimate backbar honestly: Backbar use is an estimate per service that you set and adjust after each stock take, never a claim of exact measurement.
  • Repair path: When a write cannot be confirmed, Stock Ledger is searched by the product, the location and the count before any second attempt.

Chapter 03 What ships in the build

Inside the stock route: the parts that count, flag and draft

Essentials decides which changes count and fixes identity. Workflow builds and writes each stock count. Control keeps watching Stock Ledger after launch.

Chapter 05 The options

Salon software to Stock Ledger through a stockroom counted by eye and a supplier list kept in a notebook, a zap or a stock route that counts sales and backbar use, flags low products and drafts the order for approval

Each can count a shelf. Only one separates backbar from retail, flags a count that is off and leaves the order to a person.

An older event arrives after a newer state

The event time is compared with the stored state, so a late Salon software change is logged and cannot overwrite a newer stock count.

A stock take shows fewer bottles than the system

The route records both numbers, flags the difference for the person you named and changes nothing until it is confirmed. The product, the location and the count is searched and the candidate is compared with what was intended, then one of four results is recorded. Only an absent stock count is ever created.

Connect Salon software to Stock Ledger through the product, the location and the count first; every stock count and every repair check depends on it.

Build your Salon to Inventory and Reordering price

Pick a package, answer three short questions about how Salon data should reach Inventory and Reordering, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Salon to Inventory and Reordering route.

A focused production route for one Salon environment and one Inventory and Reordering destination, delivering Salon inventory and reordering automation that tracks retail sales and backbar use, flags products at their reorder point and drafts supplier orders for approval with identity and failure controls from day one.

  • One approved Salon & Spa event family and business-state admission rule within the Salon Inventory and Reordering service.
  • One authorized account, workspace, organization, or base boundary within the Salon Inventory and Reordering service.
  • One Salon Inventory and Reordering object contract with field and relationship mapping
  • Stable matching through business plus client, appointment, service, staff member, deposit, waitlist, product, call, or message ID and source identity paired with the authoritative salon inventory and reordering record, conversation, transaction, document, or decision identifier
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Salon Inventory and Reordering service.
  • Implementation map, test record, and premium PDF operations handover within the Salon Inventory and Reordering service.

Adds branching, matching and a bounded historical pass for teams whose route into Inventory and Reordering cannot be one straight-through action, while still delivering Salon inventory and reordering automation that tracks retail sales and backbar use, flags products at their reorder point and drafts supplier orders for approval.

  • Everything in Core
  • Up to four approved routing or state-transition branches within the Salon Inventory and Reordering service.
  • Existing-record resolution and one bounded historical checkpoint within the Salon Inventory and Reordering service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Salon Inventory and Reordering service.
  • Field, permission, and destination-state validation before mutation within the Salon Inventory and Reordering service.

Adds reconciliation and governance for teams that now depend on Salon inventory and reordering automation that tracks retail sales and backbar use, flags products at their reorder point and drafts supplier orders for approval, with drift detection and an exception register for Inventory and Reordering.

  • Everything in Managed
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Salon Inventory and Reordering service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For the Salon Inventory and Reordering service, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Salon events should reach Inventory and Reordering?Required

Governed lifecycle set: Use this when several approved Salon transitions must converge on one Inventory and Reordering stock level.

How should Inventory and Reordering recognize a Salon record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Inventory and Reordering guess.

What should happen when an Inventory and Reordering write can't be confirmed?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever an Inventory and Reordering write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from guessing at the shelf to a count you can read

Six steps, each with a named output, take the route from brief to a monitored launch.

  1. About 30 minutes

Walk through your shelves in writing

We list your products, how they are sold or used and which suppliers you buy each one from.

  2. Access review

    Approve access

We agree the matching keys first, then request only the permissions in Salon that inventory and reordering cannot work without.

  3. Most of the project

    Set reorder points and usage

Reorder levels, backbar amounts per service, supplier groups and who approves orders are written out and agreed first.

  4. Before you review

    Test the awkward cases

Repeats, late events, missing values and permission loss are run against a test copy of Stock Ledger first.

  5. Handover day

    Launch with notes

After the final test we enable the route and give you notes that name every owner and repair path.

  6. About 30 minutes

    Watch the first weeks

For the first month we review the checkpoint log with you, look at retries and drift, and fix anything the real data reveals.

Chapter 07 Turnaround

Package timings at a glance

Counting begins when the Salon login arrives and the scope is settled.

Chapter 08 Getting started

What to have ready

A Salon connection you are happy for us to test with

Your point-of-sale or inventory export, the list of suppliers and products, and your estimates of backbar use per service

Salon software API access and the events you want the route to use

A written rule for the Salon & Spa booking change that counts

A named person who owns exceptions and mapping decisions

Any existing automations in Salon software or Stock Ledger that touch the same data

Chapter 09 Trust

Only approved fields travel, and neither product is patched

Permissions in Salon are limited to what inventory and reordering needs, and the route cannot write anywhere you have not listed.

Read-only Salon to Inventory access: your data stays yoursA client table with the email stock field blacked out and a read-only stamp, with a seal noting emails are hidden except from named people.CLIENTSNAMEEMAILKEPTMaya Chen9Omar Hale14Lena Brooks5Sam Ortiz21Priya Nair7READ-ONLYHidden from everyoneexcept named people

Neither product is modified

Salon software and Stock Ledger are reached through their published interfaces; nothing inside either is changed.

Scoped, revocable access

Least-privilege access is the default, and it is documented.

Field minimization

Only allowlisted values reach Stock Ledger. Notes, payment details and other Salon software data stay in Salon software.

Repair begins with a lookup

A retry reads Stock Ledger by the product, the location and the count first, so a doubtful reply never turns into a second stock count.

Minimal logging

The audit trail is made of IDs and decisions, not personal data.

Full handover

After handover you can maintain, change or retire the route on your own.

"Stock is a promise to tomorrow's clients, so the build counts what leaves the shelf in a service as carefully as what leaves at the register."

Chapter 11 Questions

Salon inventory automation: what owners and managers ask

Short answers to what people ask before they book. Anything else can go in your quote request.

?How long does it take?Asked most often6 to 10 daysSet date, no surprisesAnswers, straight away
Does an ordinary Salon zap manage inventory and reordering?

If you only need shelves and backbar that rarely run out of what the day needs, a zap will do it. It will not count backbar use, spot a count that is wrong or draft an order a person can approve. Closing those gaps is what this build is for.

Does it place orders by itself?

No. It prepares a draft and a named person approves it.

How is backbar counted?

From the amount you set for each service, adjusted whenever you do a stock take.

What if a count looks wrong?

It is flagged for a person and the stored count is left alone.

Can it handle more than one location?

Yes, each location has its own counts and reorder points.

Does it work with my register?

That depends on what your point-of-sale tool can export, which we check before the build.

Who sees supplier prices?

Only the people you name; prices are not shown in messages.

Can we review the data inventory and reordering pulls from Salon?

Every Salon field in scope for inventory and reordering is listed with where it goes, and you approve the list.

Do we choose the thresholds inventory and reordering uses?

Yes. The first package is $1,710.

Will inventory and reordering stop if Salon changes a limit?

We write down what the route assumes. When an assumption stops being true, the route stops that step and says so, rather than improvising. This page also answers searches for custom salon inventory and reordering automation.

Give your stylists the products on the shelf when the chair is ready

We need the Salon event, the outcome and the exception owner to price inventory and reordering. It begins at $1,710.
