BoldBellowsSquare Appointments to Google Sheets automation for owners who run the business from a spreadsheet

Square Appointments to Google Sheets automation that logs every booking event and keeps one current row per visit

A Google spreadsheet holds at most ten million cells, and Square Appointments never stops producing rows, so a sheet that simply appends everything has a lifespan. BoldBellows ties the booking ID to the event ID and the version in hand before one cell is written, reads the booking again so a late webhook cannot push an older status into the sheet, then builds the route around two kinds of tab: an Events tab that only ever grows, with one line for each thing Square announced, and a Bookings tab with exactly one row per booking that is updated as the visit moves, completes or is canceled. Separate tabs hold cancellations, services and payments, your formula and summary columns sit in protected ranges, and the whole workbook can be rebuilt from the Events tab if anyone damages it.

Chapter 01 the pasted-export problem

A sheet of pasted exports holds numbers nobody can trace

The usual routine is to export bookings once a week, paste them under last week's, and hope the formulas still point at the right cells. Canceled visits stay in the totals until someone removes them. A client who rescheduled shows twice. A formula column gets typed over, and nobody knows which month it broke. When the owner asks what the studio earned from color services in March, the answer depends on who last touched the file.

The day the March totals stopped changing when a client canceled, we knew the sheet had finally started telling the truth.

Chapter 02 How it works

How a Square event becomes a log line and a current row

In the Square Appointments to Google Sheets route, what reaches Google Sheets has passed a rule, a key check and a search.

Fig. 3. Each event is logged and its booking row is updated by key.

Open the event properly

Identifiers and time are recorded, the source state is read and the Square Appointments booking change is assessed against the route brief.

Verify, re-read, log

With the signature confirmed and the booking fetched afresh, the event is appended to the Events tab under its event ID so a repeat adds nothing.

Find, update, protect

The Bookings tab row is found by its key and updated in place, and cancellations, services and payments are routed to their own tabs.

What we know about Square Appointments and Google Sheets

  • Deliveries can arrive out of order: Square does not promise that webhook notifications arrive in the order events happened, so the route reads the booking again and compares versions before it writes.
  • Ten million cells, and quotas: A Google spreadsheet is capped at ten million cells and the Sheets API applies per-minute quotas, so the route writes in batches and archives old event rows instead of letting one file grow without limit.
  • Safe to repeat: Repeating an event is harmless because Google Sheets is consulted through the Square booking ID in a locked key column before any change.

Chapter 04 Who this fits

For multi-location salons running one Square account, then for those who export clients and bookings to a spreadsheet that keeps a permanent event log and a current row for every visit

Square Appointments runs the diary; Google Sheets is where many owners add up what it means.

Studio owner

"What did color services earn?"

Services have their own tab, so revenue by service is a pivot and not a guess.

Bookkeeper

"Cancellations must not count."

Canceled and no-show visits sit on their own tab with the status and any fee noted.

Manager

"I live in this sheet."

Your filters, formulas and charts stay put inside protected ranges.

Analyst

"Give me clean history."

The Events tab keeps every announcement, in order, with its ID.

Front-desk lead

"Do not let anyone break it."

Only the route can write to key columns, and everyone else edits the free ones.

Founder

"I want it without code."

Everything arrives in a normal workbook you can open on a phone.

Late event, settled state

A notice that arrives after the Square Appointments record has moved on is logged and closed; the row in Google Sheets stays correct.

A client's visit is canceled after the month has been summed

The booking row changes status, the cancellation is added to its tab, the original event stays in the log, and a note shows which month's total moved. The verdict comes from the Square booking ID in a locked key column: absent, matching, differing or ambiguous, all recorded. The result is recorded either way, so the decision can be audited.

The Square booking ID in a locked key column goes in first, then the mapping, then the branches.

Chapter 06 The process

Six steps from pasted exports to a workbook that maintains itself

No surprises: six steps, with the output of each one agreed in advance.

  1. About 30 minutes

    Choose the tabs

We list the columns you need on each tab, which events only belong in the log, and which cells are yours to edit.

  2. Access review

    Approve access

We connect to the Square Appointments data in scope and to Google Sheets, and agree the identifiers the route will store.

  3. Most of the project

    Agree columns and protection

Column order, key columns, protected ranges and the archive rule for old event rows are laid out and approved.

  4. Before you review

    Prove it on a copy

On this Square Appointments to Google Sheets route, every path, including the failing ones, is run against a copy of Google Sheets before production is switched on.

  5. Handover day

    Launch with notes

Handover closes the project: a live route, a checkpoint to prove it, and documentation to run it.

  6. About 30 minutes

    Live check-in

For Square Appointments to Google Sheets, we compare live behavior with the brief and update the handover wherever reality differed.

Chapter 09 Trust

Secure by being small: few fields, few permissions

In the Square Appointments to Google Sheets route, no product code is patched and no bulk export is made.

Read-only Square Appointments to Google Sheets access: your data stays yoursA diary ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Diary ledgerEvery appointment, onceREAD-ONLYBehind glass: yours to look at, never to change.

Only what the platforms allow

Every action taken in Square Appointments and Google Sheets is one their own documentation supports; nothing relies on an unofficial shortcut.

Scoped, revocable access

Connections are restricted to the objects on the approved list.

A deliberately small payload

Keeping the payload small reduces risk and makes each write to Google Sheets faster to check and easier to repair, in the Square Appointments to Google Sheets route.

Reconcile, do not resend

In the Square Appointments to Google Sheets route, a retry reconciles what Google Sheets already holds against what was intended, then writes only the difference.

Minimal logging

Only technical identifiers reach the run history.

Full handover

The finished route and its explanation are delivered together.

"A spreadsheet is a fine place to think, as long as the facts under it come from the booking system and not from memory."

Chapter 11 Questions

Square Appointments in Google Sheets: what owners ask

The essentials in question-and-answer form, with room for your own in the quote request.

PriceTimeAccessHandover?Every question, answered
Should we just use a Square Appointments to Google Sheets Zapier recipe?

A zap delivers a row appended for every booking event. It leaves you to separate the history from the current state, keep a canceled visit from counting as revenue or stop a formula column being overwritten. It is that layer the packages price.

Can I export Square Appointments clients to a spreadsheet automatically?

Yes. Clients are written to their own tab keyed by the Square customer ID, and contact details are included only if you list them.

How does a canceled booking appear in the sheet?

Its row changes status, the cancellation is copied to the Cancellations tab, and the original event stays in the log.

Will it overwrite my formulas?

No. Your formula and summary columns sit in protected ranges that only the route's own columns sit beside.

How are payments shown?

Payments get a tab of their own, matched to the booking, so revenue is read from payments and not guessed from a booking status.

Can earlier bookings be loaded into the workbook?

Yes. Past visits for a period you choose are added in resumable batches, each row matched on the locked key before it is written.

What if the workbook is damaged?

The Bookings tab can be rebuilt from the Events tab, which is never edited by the route.

What does the mapping document contain?

A signed-off Square Appointments Google Sheets field mapping service output is required before we write to Google Sheets.

Can the route branch on region, value or stage in the Square Appointments to Google Sheets route?

Yes. Your rules decide what moves, so the route becomes a custom Square Appointments workflow for Google Sheets. A Square Appointments Google Sheets integration consultant's advice comes with it, from $415.

Will I be told if something stops working on the Square Appointments to Google Sheets route?

Dependencies are listed at handover. A breaking change pauses just the part it touches and alerts your owner, and post-review fixes are quoted separately.
