BoldBellowsA task with an actual owner

Squarespace to Asana, with every order assigned to someone and broken down properly

BoldBellows builds a Squarespace to Asana sync that gives each order a real task: an assignee, a due date pulled from your ship promise, and a subtask for every line item if that's how your team likes to work. Your storefront is only ever read from, never written to.

Chapter 01Tasks that belong to nobody

A project full of tasks that belong to nobody in particular

A quick Asana connector can usually manage to create a task. Assigning it to the right person, giving it a due date that means something, breaking it into the pieces a real order actually has, that's the part most of them skip entirely.

Fifty unassigned tasks sat in our project by Monday. Nobody owned them, so nobody moved them, and orders just kept quietly piling up behind the ones already there.

A situation a fair number of sellers describe before their first BoldBellows build

Tasks with nobody's name on them

An unassigned task is nobody's job, which in practice means it's often nobody's job until a customer complains.

One flat title, nothing broken down

An order with four different items gets one line, so packing it means switching back to Squarespace to see what's actually inside.

Due dates that mean nothing

Without a due date tied to a real ship promise, "soon" is the only deadline anyone's actually working toward.

  • A single flat title standing in for a full order

  • A project that fills up faster than anyone clears it

  • Every task assigned the moment it's created
  • A subtask per item, checkable off as it's packed
  • Due dates set from your actual shipping commitment
  • A project your team trusts enough to work straight from

Chapter 02How it works

Turning a Squarespace order into a task with an actual shape

Three parts carry each order from your storefront to a task that's ready to work on. Nothing on the Squarespace side ever gets touched; the sync checks it, decides who and how, and Asana takes it from there.

Your Squarespace site Orders and their line items Read-only pull The sync we build Assigns, dates, breaks it down Task and subtasks Your Asana project A task with someone's name on it Your site Orders and their line items Read-only pull The sync we build Assigns, dates, breaks it down Task and subtasks Your Asana A task with someone's name on it
Fig. 3. A task is checked for before it's created, so an order gets tracked once, not repeated.

Squarespace: watched, never altered

The credential behind this build reads orders and line items only; nothing about your catalog, checkout or account settings is reachable from it.

A task's gid, remembered

Each order's Asana task id is stored the first time it's created, so the next pass finds the same task rather than starting a new one.

Asana: updated, never duplicated

A status change updates the existing task's fields and section; it never spins up a second task for an order already being worked.

Chapter 03The project

What lands in Asana, and how a task is put together

Each task carries the detail your package covers. Sections, subtasks and custom fields are all sketched out with you first, and adjustable through your included rounds of changes.

Chapter 04Who this fits

For teams who already run fulfillment through Asana

If half your project is unassigned tasks nobody's claimed, giving every order a real owner is what turns it back into something worth checking each morning.

Solo sellers wearing every hat

Your own task list tells you exactly what's owed today, without a second tab open to Squarespace.

Small fulfillment teams

Assignments split the work automatically instead of everyone eyeballing the same unsorted list.

Teams already running Asana Rules

A project that already automates internally finally gets order tasks it can react to correctly.

Multi-channel operations

One project for fulfillment work, whichever Squarespace storefront the order actually came in through.

Chapter 05The options

Getting Squarespace orders into Asana, weighed up

Most routes below can create a task somewhere. Assigning it, dating it and breaking it apart correctly is where most of them stop.

Four ways an Asana project can stay current with Squarespace, weighed side by side: manual task entry, an automation platform like Zapier, a pre-built connector app, versus a purpose-built BoldBellows sync
Question Manual entry Zapier or Make Generic connector app BoldBellows build
Assigns the task to someone Depends entirely on someone not forgetting Rarely part of the default setup Sometimes, on a higher tier Yes, based on your own mapping rules
Prevents duplicate tasks Nothing stops a busy afternoon logging one twice Possible, if it was set up carefully Usually, within its own scope Its Asana gid is remembered and checked every pass
Breaks an order into subtasks Whoever's typing has to remember to Not something a generic action does Not usually offered at all One subtask per line item, automatically
What it costs over time Nothing billed, plenty of time spent Usage-based fees that scale with volume A recurring bill, usually $18 to $50 One-off price from $450
Where it lives Your own Asana account Piped through a separate automation platform Whatever fixed setup that app was built around An Asana project and a token only you control

The part most quick automations never bother with. Creating an empty task takes one API call; deciding who should own it, what its due date should read, and how to split it into subtasks that match the actual order is the harder problem, and it's exactly what separates a task worth opening from one that gets skipped.

InterludeA project worth trusting

Give every order a task someone's actually responsible for

Pick which orders qualify, how far each task gets broken down and how often Asana checks back, and a price with a real timeline appears immediately. Two weeks covers most builds, with room to move faster if you're willing to pay for it.

Build your Squarespace to Asana price

Pick a package, answer three short questions about who owns a task, how much detail it carries and how often Asana refreshes, and your price and go-live date move as you choose.

Choose your packageRequired

The three packages differ by how far a task is broken down and how much the project manages on its own.

Every order becomes a task in your project, ready to assign.

  • A task created for each new order, titled with the order number
  • Matched back to that same task on order id, so a re-checked order never doubles up
  • A status custom field applied from the order's current Squarespace status
  • A scheduled re-check on real cron that catches anything the last pull missed
  • Your own read-only Squarespace API key, never a shared public app
  • Handover notes (PDF) covering the project layout and every field
  • Two rounds of changes once you see real tasks land

Tasks move section to section as fulfillment status changes, on their own.

  • Everything in the Task Feed package
  • The task moves section to section automatically as order status changes
  • Custom fields carrying shipping method, order total and item count
  • A due date set on the task from your promised ship time
  • Handover notes (PDF) covering every section, field and trigger
  • Three rounds of changes once it is running

A full ops setup: a subtask per line item and a running summary task.

  • Everything in the Project Workflow package
  • A subtask added per line item, assignable and checkable off individually
  • A running summary task totaling open, packed and shipped orders
  • Near-instant refresh so a new order reaches your project within minutes
  • Handover notes (PDF) covering the full project structure
  • Four rounds of changes once it is running

Several Squarespace sites feeding one project, an Asana Rules chain we should design alongside the sync, or a task structure none of the packages above name. Tell us how your team fulfills orders and we will price it for your build.

Which orders should get a task?Required

Cast the net wider and the project stays fuller, but also more current on refunds and cancellations.

How much detail should each task carry?Required

More detail on the task means less time spent tabbing back to Squarespace to check what was actually ordered.

How often should the project refresh?Required

Asana's API is polled on a schedule rather than pushed by webhook from Squarespace, so this sets how often we check back.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your project needs, watch the total, switch it back off.

Chapter 06The process

From an unowned task pile to a project people trust

Getting there takes six stages and, on your end, roughly half an hour spread across the whole build rather than one long sitting.

  1. A short call

    Mapping ownership

We work out who should own which kind of order, what your sections should be called, and how far a task should be broken apart.

  2. A few minutes each side

    Setting up two credentials

A Squarespace key scoped to read access, and an Asana personal access token limited to the project this build touches, both generated by you from a step-by-step guide.

  3. The bulk of the work

    Building the assignment logic

Task creation comes first, then the rules deciding who gets assigned what, then whatever subtask breakdown your package includes.

  4. Before anyone else sees it

    Dry-running it on a copy

Real recent orders get pushed through against a duplicate project first, so a wrong assignment or a broken subtask shows up somewhere nobody's relying on yet.

  5. A short back-and-forth

Checking it against your live project

You look over real tasks as they land and tell us what needs shifting; that feedback gets folded in over the rounds your package covers.

  6. Handover

    Documented and running unattended

You receive a written breakdown of every rule and field, and from that point the project assigns and updates tasks without anyone touching it.

What's expected of you along the way

  • Enough store access to create a Squarespace API key
  • Admin rights on the Asana project itself
  • Clarity on who should be assigned which kind of order
  • Time near the end to check real tasks before sign-off

Chapter 07Trust

Access measured out in the smallest useful pieces

A task can name a customer and carry their order total, so both credentials in this build are trimmed down to exactly what's needed and nothing beyond it.

FieldValue CustomerR. K··· ItemFrame Kit Total$88.00 Read-only

Storefront edits are off the table

Orders and their line items are as far as this credential reaches; it was never granted the ability to touch anything else in your account.

One project, not your entire workspace

The Asana token this build uses reaches only the project it was created for, with no visibility into anything else in your organization.

Every person keeps their own login

When more than one of us needs access, each of us signs in as ourselves; nobody's account gets handed around during the build.

Turning it off takes one step

Revoke the Asana token, or pull the Squarespace key, and the next scheduled run simply has nothing it can authenticate with.

Your customer list isn't mirrored anywhere

Order detail is read, placed onto its task, and that's where it stops; we don't keep a second copy of it for ourselves.

One invoice, and that's the last of it

Your Asana subscription is between you and Asana; BoldBellows bills for the build itself and nothing on top once it's delivered.

"An assignment rule that's wrong once erodes trust in the whole project. We'd rather push a build back a day than ship one that assigns orders to the wrong person."

AI E-commerce Listings Automation

BoldBellows automated our product listings. The AI writes descriptions, organizes photos and publishes listings across several marketplaces.

It even answers customer questions instantly. Our store looks more professional and sales have noticeably increased.

Pedro LimaVerifiedSão Paulo, Brazil

AI Content & Social Media Automation

Our marketing agency couldn’t keep up with content. BoldBellows set up an AI content engine that writes blog posts and captions and even designs our social media creatives.

It spots trends and suggests topics for us, so we stay ahead of competitors. We now produce three times the content with the same team, and engagement has soared. They didn’t just automate our workflow, they lifted our whole brand.

Daniel BrooksVerifiedToronto, Canada

AI CRM Automation

Our CRM was barely used because updating it by hand was tedious. BoldBellows automated data entry, tagging, segmentation and follow-ups.

Now the CRM is always up to date and our campaigns are far more accurate. It improved our whole sales pipeline.

Chapter 09Questions

What sellers ask before an Asana build starts

A rundown of the questions that come up most. Anything unique to your own project is best raised directly in the quote request.

Can this run inside a project I've already built out?

In most cases, yes. We review your current sections and fields and either build straight into them or suggest a few tweaks so the sync behaves predictably.

What if a teammate reassigns a task manually?

That's left alone. Only the fields this build manages get touched on the next pass, so a manual reassignment doesn't get overwritten without reason.

Can a task be assigned differently depending on the product?

Yes, with the auto-assignment by product type extra, a task goes to whichever team member is mapped to that product category.

Will our existing Asana Rules still fire correctly?

With the Rules mapping extra, task creation and every move are shaped to match what your existing Rules are already listening for.

What if I only want tasks for orders that were actually paid?

That's the default. Refunds and cancellations only get pulled in if you switch that on under the tasks question in the configurator.

Is it possible to add tasks for older orders too?

Yes, the full historical backfill extra brings recent past orders in as tasks, so the project isn't starting from a blank slate.

Is there a fallback if one of these platforms updates its API?

Our sync health check flags a broken write right away rather than letting it sit unnoticed. Add aftercare and we handle the fix, plus any field tuning it needs, for three months after handover.

Is there a subscription buried in the price somewhere?

No. What's quoted is a one-time build cost. Your Asana plan continues as its own separate billing relationship with Asana.

Give every order a task somebody's actually accountable for

A pile of unassigned tasks is just a to-do list nobody owns. Set this up once and each order arrives with a name attached, dated realistically, tested against orders your store has actually taken, and it's yours in full the moment we hand it over. Configure a price below, or tell us how your project runs and get a quote drawn up directly. It is also the answer to squarespace orders to asana task, squarespace asana integration and squarespace asana automation.
