Chapter 01The blank-document problem

A great order confirmation email, and nothing formal behind it

Squarespace's own order confirmation covers the basics well, but it's an email, not a document a client files, prints, or forwards to their own accountant. Producing that separately, by hand, for every single order, is where the actual work starts piling up.

Every client who booked a session got a lovely handwritten welcome document. It took me forty minutes each, and I had twelve bookings that week.

A pace most solo service providers can't keep up for long

Copy-pasted, field by field

"I open the order, copy the total, paste it into the document." A process that works at five orders a week collapses at fifty.

Inconsistent formatting

One document has the logo aligned right, the next has it centered, because a person built each one from scratch under time pressure.

A delayed delivery

A client's receipt or welcome packet arrives whenever someone finds a spare ten minutes, not the moment the order actually completes.

Before

  • Forty minutes of copy-and-paste per document
  • Formatting that drifts from one document to the next
  • Delivery that depends on someone finding the time
  • A process that breaks the moment volume increases

After

  • A finished document within minutes of the order
  • Consistent formatting, every single time
  • Delivery that doesn't wait on anyone's schedule
  • A process that handles five orders the same as five hundred

Chapter 02How it works

Turning an order into a finished document, automatically

A template does the formatting once; the sync fills it in every time after. Squarespace stays exactly as it is, and a finished PDF appears without anyone opening a document editor.

Your Squarespace site Orders and bookings Read-only access The sync we build Fills in the template, exports a PDF Finished PDF Your Google Drive Filed, or sent straight to the client Your site Orders and bookings Read-only access The sync we build Fills the template, exports a PDF Finished PDF Your Drive Filed or sent to the client
Fig. 3. Order data flows one way, from Squarespace into a document that's already finished.

Squarespace: read, never changed

What this key can view stops at orders and bookings. A page, a product listing or an account setting stays entirely out of reach.

The layout, agreed once

The document design gets built and approved before it's ever generated in bulk, so every copy that follows looks exactly the same.

Your Drive: organised by default

Finished PDFs land where you decided they should, named consistently, so nobody hunts for the right file later.

Chapter 03The documents

What gets generated, and how it's delivered

Each document is built to look intentional, not automated. Your package decides how many document types exist, and the layout is still negotiable throughout your rounds of changes.

Chapter 04Who this fits

Built for the people who send the client-facing paperwork

Sound like your own Friday afternoon? A document that generates itself is what hands that time back.

Consultants and coaches

Every booking arrives with a proper welcome document ready, instead of a rushed message sent between calls.

Product sellers

A proper invoice document for every order, useful for customers who need one for their own records.

Studios and practices

Session summaries that go out the same day, not whenever the schedule finally allows for it.

Small teams handling admin

One person's Friday afternoon freed up, without hiring anyone or adding a new tool to learn.

Chapter 05The options

Producing a document from a Squarespace order, three different ways

Every route below can eventually produce a document. The gap widens the moment volume rises past a handful of orders a week.

Copy and paste by hand, Zapier or Make, an invoicing app add-on, and a BoldBellows build, set against one another
Question Copy and paste Zapier or Make Invoicing app add-on BoldBellows build
Time per document Twenty to forty minutes, by hand Automated, once set up correctly Automated, but a fixed layout Automated, matched to your own design
Booking-based documents Possible, one at a time Needs a separate Zap and template setup Usually orders only Yes, from Scheduling too
Automatic delivery to the customer Sent manually, when someone remembers Possible with an added email step Often, within its own app Built in, if you want it
What it costs over time Free, but real staff time every week Bills scale with your order count Roughly $10 to $30 every single month One-off price from $350
Where it lives Your own Google account Passes through a third-party workflow tool Restricted to that app's built-in templates Your own Drive, your own template

Why an invoicing app add-on rarely covers everything. Most are built to generate one document type from one data source, orders, and stop there. A welcome packet from a booking, or a multi-section proposal, usually falls outside what they were designed to do.

InterludePaperwork that keeps pace

Let every order finish its own paperwork

Answer a few questions about your document, your sources and how it should be delivered, and a firm price appears right there. Most builds are ready inside two weeks, sooner if speed matters more to you.

The three packages differ by how many document types generate and how they reach the customer.

Every Commerce order generates a formatted document, ready to send or file.

  • One document type filled in automatically for every completed order
  • Customer, items, totals and date pulled straight from the order
  • Exported as a finished PDF, not a link to an editable file
  • A scheduled re-check on real cron that catches anything the last pull missed
  • Your own read-only Squarespace API key, never a shared public app
  • Handover notes (PDF) covering the template and every merge field
  • Two rounds of changes once you see real documents generate

Order and booking documents together, each on its own template.

  • Everything in the Order Documents package
  • A second document type generated from Scheduling bookings
  • Documents filed automatically into folders you set up in Google Drive
  • Older orders and bookings brought in as documents too, not just new ones
  • Handover notes (PDF) covering both templates and their merge fields
  • Three rounds of changes once it is running

Documents generated and delivered to the customer automatically, no manual send.

  • Everything in the Multi-Document package
  • Finished documents emailed to the customer automatically on completion
  • Custom branding, layout and merge fields matched to your business
  • Near-instant generation so a document is ready within minutes of the order
  • Handover notes (PDF) covering every template, field and delivery rule
  • Four rounds of changes once it is running

Multi-page proposal documents, a document type triggered by a Member Area event, or several Squarespace sites feeding one Drive folder. Tell us what the document needs to look like and we will price it for your build.

Which Squarespace activity should generate a document?Required

Each source you add is another part of the Squarespace API we read and another template to build.

How should finished documents reach people?Required

Filed centrally works for internal records; emailed automatically works for client-facing documents.

How custom should the document design be?Required

A clean standard layout works for most businesses; a fully custom design matches your brand exactly.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your documents need, watch the total, switch it back off.

Chapter 06The process

From a rough idea of the document to one that builds itself

Six stages carry this from a first conversation to a finished, reliable sync. Direct time from you totals around half an hour, mostly spent approving the layout and checking the first real documents.

  1. About 15 minutes

Brief: what should the document say?

Tell us which document type you need and what it should include. We turn that into a fields-and-layout plan.

  2. About 10 minutes

    Access, granted once

A read-only Squarespace key and edit access to a Google Doc, both set up following a plain step-by-step guide.

  3. Most of the project

The document design and the fill logic get built

The layout is designed to your brief, then the fields that pull each piece of order or booking data into it get wired up.

  4. Before you see it

    Real orders, run through first

A handful of recent orders and bookings get pushed through the document generator to catch a formatting issue before it's ever client-facing.

  5. Two to four rounds

    You review, we refine

A short window of watching real documents generate lets you flag anything about the wording, spacing or field placement before it's locked in.

  6. Handover day

Delivered, and it keeps writing itself

Notes covering the template and every field arrive as a PDF, and documents keep generating without either of us checking in.

What this asks of you: about half an hour, spread across the build

  • Enough site permissions to generate a new API credential
  • A Google account with edit access to the document being built
  • A rough idea of what the document should include and look like
  • A short window to review the first batch of real documents

Chapter 07Trust

Access kept small, on purpose

Client documents carry names, contact details and order history. This build reads only what's needed to fill in a document, and access can be pulled back whenever you decide.

FieldValue CustomerA. R··· ItemStudio Session Total$64.00 Read-only

Squarespace, seen but not editable

This key can look at orders and bookings and nothing further; touching a listing, a page or a store setting is outside what it's able to do.

What appears in the document, your call

Full names, a first name only, or an order number alone: what shows up on the finished document is a decision you make.

Access under a real name

Anyone touching your Google account during this project is added individually, never through a login meant for someone else.

Revoked whenever you want

Pull the API key or remove our access to the Doc, and the sync stops immediately, with nothing left to unwind.

No copies held elsewhere

An order is read, a document is filled and exported, and that's the end of it; nothing sits archived on our side.

No subscription tied to this

The document logic lives inside your own Google account; there's nothing further billed by us once the build is delivered.

"A document your client actually reads is worth building properly. We treat the layout with the same care we'd want on our own paperwork."

Chapter 09Questions

Questions about Squarespace-to-Google-Docs builds

What business owners tend to ask before this kind of build starts. Put anything more particular to your setup into the quote request.

Can the document match our existing brand look?

Yes, that's exactly what the branded and fully custom layout options are for. Colours, fonts and layout can be matched closely to how your business already presents itself.

Does the client receive an editable file or a finished one?

A finished PDF. The underlying document stays as your own reusable layout, and what a client or customer sees is a clean, exported file they can't accidentally edit.

Can more than one document type be generated from one build?

Yes, with the Multi-Document package. Orders and bookings can each drive their own document type, an invoice from one, a session summary from the other.

Will the same order generate its document more than once?

No. Each order or booking is checked against what's already been generated before a new document is created, so a re-checked order never duplicates its paperwork.

What about orders from before this build went live?

The full historical backfill extra generates documents retroactively for past orders and bookings, so your records aren't split between an old, manual era and a new one.

Is there a fallback if a document fails to generate?

Every failed attempt is caught in the sync health log the moment it happens, rather than surfacing as a client complaint later. Aftercare, once added, covers repairing anything a Squarespace or Google update breaks, free, for three months past handover.

Is there anything to pay BoldBellows again after the build?

No. The fee covers the build in full, one time. Whatever Google Workspace plan you're on is a separate matter between you and Google, not something we bill for.

Every order, finished on paper before the next one arrives
