BoldBellowsA status column you can trust

Squarespace to Monday.com, with status columns that update themselves instead of lying

BoldBellows builds a Squarespace to Monday.com sync that writes each order onto your board as an item, with the status, people and number columns kept genuinely current as the order itself moves through fulfillment. Squarespace is only ever read from, never edited.

Chapter 01The stale-status problem

A dashboard built on colors nobody's kept up to date

A quick Monday connector can usually manage to drop a status color on an item once. Updating that color as the order actually moves through fulfillment, and keeping any dashboard built on top of it honest, is where most of them fall down.

Our dashboard said forty orders were "Working on it." Half of those had shipped three weeks earlier; the status column just never got the memo.

A situation more than a few Monday.com users have described before working with us

A color set once, believed forever

A status written on creation and never touched again quietly becomes a lie the moment the real order status changes.

A dashboard built on bad numbers

Widgets summing a stale status column produce a chart that looks authoritative and means nothing.

The board fills up twice as fast as it should

A connector that can't reliably find an existing item just adds another one, and your board fills up twice as fast.

  • A board people check first thing in the morning

Chapter 02How it works

Keeping a Monday item's columns honest as an order moves

Three parts carry an order onto your board and keep it there, kept up to date. Squarespace is never written to; the sync reads it, checks whether an item already exists, and updates the columns to match.

Your Squarespace site Orders and their current status Read-only pull The sync we build Checks, then updates the right columns Columns refreshed Your Monday board Status genuinely reflects reality Your site Orders and their current status Read-only pull The sync we build Checks, then updates the right columns Columns refreshed Your Monday Status genuinely reflects reality
Fig. 3. Every pass checks for an existing item first, so a status change updates it rather than duplicating it.

Squarespace: read, never written to

This build's Squarespace key sees orders and their status. Listings, pricing and store settings sit outside anything it can reach.

An item id, remembered

We keep a note of each order's Monday item number as soon as it exists, so a later check knows exactly which row to touch.

Monday: refreshed, never doubled

A status change updates the item's existing columns; it never creates a second item that fragments the same order across two rows.

Chapter 03The board

What lands on Monday.com, column by column

Which columns show up on an item comes down to your package. Groups, columns and any dashboard sitting on top of them get sketched with you before anything is built, and stay open to revision through your included rounds.

Chapter 04Who this fits

Built for teams who already lean on a Monday dashboard

If your dashboard has stopped being trusted because the numbers underneath it are stale, keeping the status column live is what earns that trust back.

Operators watching a live dashboard

A morning glance at the board tells the real story, not whatever was true when the item was created.

Fulfillment teams

A board that actually shows who's working on what, instead of a wall of identical status colors.

Teams already running Monday automations

Recipes that already react to a status change finally have accurate column changes to trigger off.

Multi-channel sellers

One board, one dashboard, regardless of which Squarespace storefront an order actually came in through.

Chapter 05The options

Ways to keep a Monday board current with Squarespace

Getting an item onto the board is the part every route below can manage at least once. Keeping its columns honest as reality changes is where most of them give up.

How manual item entry, Zapier-style automation, a pre-built connector app and a BoldBellows build each hold up at keeping a Monday board current with Squarespace
Question Manual entry Zapier or Make Generic connector app BoldBellows build
Keeps the status column live Stays put until someone thinks to change it Usually writes it once, on creation Sometimes, on a higher tier Yes, refreshed on every scheduled check
Prevents duplicate items Simple to log the same order twice Possible, if it was configured with care Usually, within its own scope Matched to a stored item id, every time
Supports a live dashboard Only as trustworthy as the last manual update Not something a generic trigger handles Rarely offered at all Yes, built on columns kept genuinely current
What it costs over time No dollar cost, time lost keeping it updated Fees that climb as order volume grows Usually $18 to $55, billed every month One-off price from $400
Where it lives Your own Monday.com account Adds a middle layer you don't control Whatever fixed setup that app ships with A board and an API token only you control

The part that decides whether a board stays useful. Writing a status once is trivial; catching the moment it actually changes and reflecting that on the item is the harder, ongoing work, and it's exactly what determines whether a dashboard built on top of it means anything six months from now.

InterludeA board that stays true

Give your dashboard something honest to sum up

Decide which orders qualify, how much detail each item shows, and how often we check back, and a realistic price and go-live date appear immediately in the configurator. Most boards are ready inside two weeks, sooner if you'd rather pay to jump the queue.

The three packages differ by how many columns get kept live and how far the board's automation goes on its own.

Every order lands as an item, status column set from day one.

  • An item created for each new order, titled with the order number
  • Matched back to that same item on order id, so a re-checked order never doubles up
  • A status column set from the order's current Squarespace status
  • A scheduled re-check on real cron that catches anything the last pull missed
  • Your own read-only Squarespace API key, never a shared public app
  • Handover notes (PDF) covering the board layout and every column
  • Two rounds of changes once you see real items land

Status columns update themselves as fulfillment actually progresses.

  • Everything in the Board Sync package
  • The status column updates automatically as order status changes
  • Number and people columns carrying total, item count and an assignee
  • A timeline column set from your promised ship window
  • Handover notes (PDF) covering every column, group and trigger
  • Three rounds of changes once it is running

A live dashboard pulling real numbers from a board that's actually current.

  • Everything in the Automated Workflow package
  • A dashboard built on top of the board, totaling open, packed and shipped orders
  • Subitems added per line item, checkable off individually
  • Near-instant refresh so a new order reaches the board within minutes
  • Handover notes (PDF) covering the full board and dashboard structure
  • Four rounds of changes once it is running

Several Squarespace sites feeding one board, a Monday automation recipe we should design alongside the sync, or a column structure none of the packages above name. Tell us how your team works and we will price it for your build.

Which orders should become an item?Required

Cast the net wider and the board stays fuller, but also more current on refunds and cancellations.

How much detail should each item carry?Required

More columns on the item means less time spent tabbing back to Squarespace to check what was actually ordered.

How often should columns be re-checked?Required

Monday's API is polled on a schedule rather than pushed by webhook from Squarespace, so this sets how often we check back.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your board needs, watch the total, switch it back off.

Chapter 06The process

From a board of stale colors to one that keeps pace

Six stages get you there, and your own contribution amounts to something like thirty minutes total, split up over the build rather than done at once.

  1. A short call

    Mapping columns to real statuses

We match your Squarespace order statuses to specific Monday status labels, decide on groups, and sketch what any dashboard widgets should actually total.

  2. A few minutes each side

    Setting up two credentials

Two credentials go into place here: a Squarespace key capped at read access, and a Monday token, each one something you create yourself following a screenshot-heavy walkthrough.

  3. The bulk of the work

    Building the column logic

Item creation goes in first, then the update logic that keeps each column current, then any dashboard your package includes.

  4. Before anyone else sees it

    Testing on a duplicate board

Real recent orders run through the build on a copy of your board first, so a wrong status mapping turns up somewhere harmless.

  5. A short back-and-forth

Pointing it at your actual board

You watch real items update and flag anything that reads wrong; that feedback gets addressed across the rounds your package includes.

  6. Handover

Documented and updating on its own

A written map of every column, group and trigger arrives with the handover, and the board keeps its colors honest from then on.

Your part in getting this live

  • Whoever can generate a Squarespace API key on your side
  • Board ownership in Monday.com, or someone who has it
  • Knowing which statuses your team actually cares about tracking
  • A short window near the end to look over real items

Chapter 07Trust

Two credentials, each kept as small as possible

Names, order totals and shipping addresses all end up on this board, which is exactly why both credentials involved are trimmed down as far as they'll go.

ColumnValue CustomerA. R··· ItemGift Card Total$212.00 Read-only

Squarespace can't be edited, by design

This key was only ever set up to read orders and status; it has no path into anything involving a listing, a price, or your other store settings.

Column-level scope, not account-wide

The Monday token this build uses is limited to writing on the specific board and columns it was set up for, nothing further.

Access, never shared between people

Whoever needs into your board or store during the build gets their own login, not a set of credentials passed around the team.

One step ends the sync entirely

Either credential can be switched off from its own dashboard in seconds, and the sync simply has nothing to work with the next time it tries.

We hold nothing back on our end

Once an order's detail is written to its item, that's where the data trail stops; we keep no separate mirror of your customer list.

Settled in a single invoice

Your Monday.com subscription is a matter between you and Monday; what you pay BoldBellows is for the build, once, and nothing more.

"A dashboard is only as honest as the column feeding it. We watch real status changes land before we're willing to call a board done."

Chapter 09Questions

Questions before a Monday.com sync goes live

The things people ask most before committing to this build. Details specific to your own setup belong in the quote request itself.

Does this work with a board that already has real work happening on it?

Generally, yes. We look at what your groups and columns already look like and build to fit them, flagging any small changes that would help before we start.

What if someone manually changes a status column?

The next sync treats Squarespace's own order status as the source of truth, so the column gets corrected back to match reality on its own.

Can the people column fill itself in based on the product?

Yes, the auto-assignment by product type extra sets the people column automatically based on who's mapped to that product category.

Will our existing Monday automation recipes still fire?

With the recipe mapping extra, item creation and column updates are shaped to match exactly what your existing recipes are listening for.

Can refunded orders be kept off the board entirely?

By default, only paid orders get an item at all. Flip the setting under the configurator's items question if you'd rather see refunds and cancellations too.

Does the board pick up orders from before this went live?

Only if the backfill extra is switched on, in which case recent history gets pulled in too, so the dashboard doesn't start out empty.

Is there a fallback if Squarespace or Monday changes something on their end?

Our sync health check surfaces a failed write immediately instead of letting a column quietly go stale. The aftercare extra covers fixing it, and tuning whatever else needs adjusting, across the three months after handover.

Does anything recurring show up in the price?

No. What's quoted is a single build fee. Your Monday.com plan continues as its own separate billing arrangement with Monday.

Give your dashboard columns that are actually telling the truth

A status color set once and never revisited is worse than no status at all.
