BoldBellowsSquarespace bookkeeping, handled end to end

Squarespace to QuickBooks, with every revenue type kept apart

Our Squarespace to QuickBooks service posts product sales, booking deposits and membership income into their own accounts, matched against your payment processor's own payout batches. Squarespace never holds funds itself, so we reconcile against whichever processor actually pays you.

Chapter 01The revenue-mixing problem

Three kinds of revenue, landing in one undifferentiated Sales account

A Squarespace site can earn from products, from Scheduling deposits, and from Member Area subscriptions, all at once. QuickBooks doesn't know the difference unless someone tells it, so most sites end up with one Sales account hiding three very different businesses inside it.

My bookkeeper asked how much of last month's revenue was actual product sales versus session deposits. I genuinely couldn't tell her.

Something close to every Squarespace-based service provider has said at some point

Duplicate entries

"Our Zap posts a new line every time we re-check." A connector that can't tell a re-checked order from a new one doubles up entries until someone catches it.

Refunds that don't net off

A refund weeks after the sale rarely finds its way back to the original entry, so revenue looks higher than it really was that month.

Revenue types lumped together

Product sales, service deposits and membership dues land in the same account, so there's no honest way to see which part of the business is actually growing.

Before

  • Hours spent working out what a lump deposit is actually made of
  • Refunds that never quite net off against the original charge
  • Product, service and membership revenue in one account
  • A close that only one person knows how to finish for Squarespace to QuickBooks

After

  • Every payout matched to the charges and fees behind it automatically
  • Refunds netted against the original entry, the day they happen
  • Revenue split by type, so each one stands on its own
  • A clearing account that lands at zero, every time for Squarespace to QuickBooks

Chapter 02How it works

The mechanics of a Squarespace-to-QuickBooks sync, plainly explained

Three parts, one direction. Your site and your processor stay exactly as they are. We read from both, shape the Squarespace entries and post them, then double-check on a schedule.

Site & processor Orders, deposits and payout batches Read-only access The sync we build Shapes entries, tags the revenue type, matches the batch Balanced entries Your QuickBooks Product, service and membership income, split Site & processor Orders, deposits, payout batches Read-only access The sync we build Tags revenue type, matches batches Balanced entries Your QuickBooks Product, service, membership income
Fig. 3. Squarespace and your processor are the only sources; your books are the only destination.

Your site: read-only

Nothing about the key we issue can write back to Squarespace. It sees Orders and whichever other panels you enable, in full, and stops there.

Careful first, fast second

Squarespace has no push webhook for most revenue events, so every posting run reads the current state back from the API before it touches QuickBooks. A scheduled re-check catches anything a prior pull missed.

Your books: built to reconcile

Payout batches land in a clearing account that should reach zero once every batch is matched.

Chapter 03The ledger

What lands in QuickBooks, and the accounts it builds

Nothing posts in a shape that leaves the bookkeeper guessing. Which accounts you end up with is set by your package, and the mapping stays open to adjustment through your rounds of changes.

Chapter 04Who this fits

Built for the people who close the books

Sound like your own month-end? A properly built Squarespace QuickBooks integration is what hands that time back.

Founders and owners

Open QuickBooks and see which part of the business, products, sessions or memberships, is actually driving revenue.

Bookkeepers

A clearing account that lands at zero every time, instead of an afternoon spent guessing what a lump deposit was made of.

Service providers

Booking deposits post as service income, not blended into product sales the way a generic connector treats them.

Membership-based sites

Recurring subscription income tracked in its own account, separate from one-off product and service sales.

Chapter 05The options

Weighing up your options for getting Squarespace revenue into QuickBooks

The difference shows up at month-end, once a payout needs matching and a revenue type needs its own account.

Comparing four routes to QuickBooks: manual entry, Zapier or Make, a connector app, and a BoldBellows build
Question Manual entry Zapier or Make Generic connector app BoldBellows build
Matches payout batches By hand, charge by charge Not built for settlement matching Sometimes, for orders alone Yes, any processor you use
Splits revenue types Everything in one account No native class support Product orders only Product, service and membership tagged
Client invoices with terms Possible, entry by entry Everything posts the same way Usually sales receipts only Invoices with your actual terms
Cost as you grow Free, but hours every month Task usage climbs right alongside your order volume Typically $20 to $150 monthly, indefinitely One-off price from $800
Where it lives Your own QuickBooks Technically yours, operationally theirs Locked to that app's own rules Your own QuickBooks, your API key

Why most off-the-shelf apps fall short here. Commerce orders are the one thing every Squarespace seller has in common, so that's what pre-built tools default to handling. Bring Scheduling deposits or Member Area subscriptions into the picture and their coverage quietly ends. We map the sync to every revenue stream your business actually has.

InterludeA close that finishes itself

You did not start a Squarespace business to guess what a deposit was made of

Pick a package and answer a few questions about your revenue, and the price and go-live date settle themselves. Most builds land somewhere between 6 and 18 working days, sooner if you pay to jump the queue.

Every Commerce order posts as a balanced entry, tax and shipping broken out correctly.

  • Orders posted to QuickBooks with tax and shipping split into their own lines
  • Refunds and partial refunds matched back to the original order
  • De-duplication on order id, so a re-checked order never posts twice
  • A scheduled re-check on real cron that catches anything a prior run missed
  • Your own read-only Squarespace API key, never a shared public app

Several Squarespace sites feeding one set of books, a QuickBooks Desktop migration, or a chart of accounts none of the packages above name. Tell us how your business is structured and we will price it for your build.

Which Squarespace revenue types should post?Required

Each revenue type is another QuickBooks account to map, so product sales, bookings and memberships never blur into one line.

How should payout settlements be handled?Required

Squarespace doesn't hold funds itself, so this decides how deep the match against your processor goes.

How should orders be recorded in QuickBooks?Required

A card-paid retail order and an invoiced client project need different QuickBooks document types.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your business needs, watch the total, switch it back off.

Chapter 06The process

From a short brief to books that reconcile themselves

The build moves through six stages start to finish. Your own time on it comes to roughly an hour in total, mostly a ten-minute window up front to hand over access; everything past that point is ours to carry, visibly, at each stage.

  1. About 30 minutes

Brief: where does your revenue come from?

A short online brief. You tell us your revenue types, your processor and how you invoice larger clients. We agree the chart of accounts.

  2. About 15 minutes

    You give read-only access

We walk you through issuing a read-only Squarespace key, click by click, and that key is what bridges the connection into QuickBooks.

  3. Most of the project

Connecting the accounts and mapping revenue

Your site and processor get linked up, history and all, while we work out the posting rules behind each revenue-type account.

  4. Before you see it

    We check every entry

Sales, tax, refunds and a real payout batch are checked against your own reports before you ever see a posted entry.

  5. Two to four rounds

    You review, we adjust

Give it a few days of real orders posting before flagging what needs to change. Account naming, class mapping, invoice terms, all of it is fair game during your rounds.

  6. Handover day

    Handover, and it keeps posting

Handover notes as a PDF, covering every account and mapping, and books that keep reconciling themselves after we're gone.

What we need from you: about an hour, no accounting jargon required

  • Whatever site permission level lets you generate a Squarespace API key, or contributor access for us
  • QuickBooks admin access, so we can connect and map your chart of accounts with Squarespace to QuickBooks
  • Your payment processor's dashboard login, read-only if it offers one
  • Your current chart of accounts, so the new Squarespace entries feel familiar

Chapter 07Trust

We look, we never touch, and the ledger is always yours

Your financial records aren't something we take access to lightly. The key we hold reads what it needs and nothing more, and pulling it back is entirely in your hands, at any point.

CustomerTotal R. Alvarez$64.00 Studio Co.$120.00 K. Novak$29.00 D. Sato$140.00 Read-only

Read-only API key

It can see orders, bookings and customer records in full. Changing any of it, a price, a booking, a line item, is outside what this key is able to do.

Customer data, your call

How much of a customer's identity shows up on an entry, full name, initials, or just an order number, is a setting you choose, not one we assume.

Named people only

Every person we give visibility to the QuickBooks connection is added by name; nobody works from a shared login.

Remove access any time

Unlinking QuickBooks or revoking the key from your side ends our visibility immediately, with nothing further to cancel or clean up.

No copies kept

Each run reads an order, posts its entry, and forgets it. Nothing about your finances sits archived anywhere on our side.

Yours, with no subscription

Account mappings, revenue classes, reconciliation rules: all of it sits inside your own QuickBooks file, and none of it comes with a bill that returns next month.

"Every ledger gets built by hand here. It doesn't ship until the clearing balance actually hits zero."

Chapter 09Questions

Squarespace to QuickBooks questions, answered

Questions bookkeepers and owners raise before committing to a build. Ask anything else directly in your quote request.

There are cheaper monthly connector apps. Why choose a one-off build instead?

Most off-the-shelf apps cover Commerce orders because that's the revenue every store has in common. Bring Scheduling deposits or Member Area subscriptions into the picture and their coverage runs out. We map every revenue type you actually earn from, test it against real orders, and charge for it once.

We use a processor other than Squarespace Payments. Does this still work?

Yes. Squarespace doesn't process payments itself, so the reconciliation step is built around whichever processor actually pays you, Stripe, PayPal or Squarespace Payments. Tell us your processor in the brief and we build the match to it.

With no native QuickBooks connector, how does data actually get there in the Squarespace to QuickBooks route?

Squarespace has no push webhook for most revenue events, so every posting run reads the current state back from the Orders, Scheduling and Member Area APIs before it touches QuickBooks, so the entry that lands is always accurate.

Can you keep product, service and membership revenue separate in the books?

Yes, that is what the Full Revenue Books and Full Reconciliation packages are built for. Every charge carries its revenue type, so income posts tagged by class, and you can pull a P&L per revenue type without separate books.

We invoice larger clients directly. Can those post as invoices with terms?

Yes. Larger client projects or retainers can post as QuickBooks invoices carrying your actual payment terms, while standard retail and booking orders post as sales receipts, decided automatically per order.

Does our order history from before now count for anything?

It can. Add the full historical backfill and older orders load in month-by-month batches, so the ledger stays balanced the whole way through rather than arriving as one enormous entry.

What happens if Squarespace, our processor or QuickBooks changes their API?

A failed posting run gets flagged the day it happens, not weeks later. Add the aftercare package and we'll fix anything an API change breaks, at no extra charge, for the first three months after handover.

Is there anything else to pay once the sync is live?

No. What you pay covers the build itself; there's no license fee sitting behind it afterward. The account mappings live inside your own QuickBooks, and the API key stays attached to your Squarespace site for as long as you want it there.

Books that reconcile themselves, before your next close

Stop guessing what a deposit was made of. A properly built Squarespace QuickBooks sync does the reconciling for you, checked against your own processor, and the books belong to you either way. Answer a few questions for an instant price, or send us the fuller picture and we'll quote it by hand. It is also the answer to sync squarespace orders to quickbooks, squarespace quickbooks accounting sync and squarespace to quickbooks zapier.
