BoldBellowsA card that actually moves

Squarespace to Trello, with every order riding one card from received to shipped

Squarespace to Trello automation from BoldBellows turns each new order into a card on your board and keeps updating that same card as its status changes, built entirely on a connection that only ever looks at your store, never edits it. No more digging through a single overstuffed list to work out what's actually been packed.

Chapter 01The one-list pile-up

A board that only ever grows, never actually tracks anything

Most quick Trello connectors can add a card. Almost none of them can find that same card again later and move it, so a board meant to show fulfillment progress ends up as one long list nobody trusts.

Our "New Orders" list had over 200 cards in it. Nobody could tell which ones were actually still waiting, because nothing ever moved them once they landed.

Something we hear constantly from sellers new to a BoldBellows build

One list, every order, forever

"We just scroll and hope." With nothing moving a card once it's created, the list becomes a graveyard instead of a workflow.

No sense of what's actually left

Without cards moving as fulfillment progresses, there's no honest way to see how many orders are genuinely still outstanding.

Duplicate cards on every re-check

A connector that can't match back to an existing card just adds a fresh one each time it looks, and the board fills twice as fast.

Chapter 02How it works

Writing Squarespace orders onto your board as cards that keep up

Three parts, and the same card followed the whole way through. Nothing on the Squarespace side is touched; the sync simply checks it, decides whether a card already exists, and updates the board to match.

Your Squarespace site Orders and their current status Read-only access The sync we build Finds the card, or creates one fresh Move or update Your Trello board One card, always in the right list Your site Orders and their current status Read-only access The sync we build Finds the card, or creates one Move or update Your Trello board One card, always in the right list
Fig. 3. Each pass checks for an existing card first, so an order is tracked, not repeated.

Squarespace: observed only

Seeing orders and tracking their status is as far as this credential's reach extends; a listing, a price or a store setting simply isn't within scope.

A card id kept on our side

Each order's Trello card id is stored the moment it's created, so the next pass knows exactly which card to update.

Trello: moved, not duplicated

A status change moves the existing card into its new list; it never spawns a second card that splits the same order in two.

Chapter 03The board

What lands on Trello, and how the lists are laid out

Every card carries the detail your package includes. Your package sets how many lists exist and how far a card is developed, and none of it is locked in until you've signed off on your included rounds of changes.

Chapter 04Who this fits

Built for teams already running fulfillment off Trello

If your board has turned into a card dump nobody trusts, giving it a moving card is what makes it start pulling its weight again.

Solo founders

A glance at the board says exactly what still needs packing today, without opening Squarespace at all.

Small fulfillment teams

Whoever's on packing duty works straight from the board, checklist ticked as each item goes in the box.

Trello and Butler users

A board that already triggers other automations gets order cards it can react to correctly, not just log.

Multi-channel sellers

One board for fulfillment regardless of which Squarespace site or storefront the order actually came from.

Chapter 05The options

Ways to get Squarespace orders onto a Trello board

Most routes below can drop a card onto your board. Keeping that card current as the order moves through fulfillment is where they tend to fall short.

Four ways to keep a Trello board current with Squarespace orders, rated side by side: manual cards, Zapier or Make, a generic connector, and a BoldBellows build
Question Manual cards Zapier or Make Generic connector app BoldBellows build
Moves the card as status changes Only if someone remembers to drag it Usually creates, rarely updates Sometimes, on a higher tier Yes, matched to the same card every time
Prevents duplicate cards Easy to add the same order twice Only if the automation was built carefully Usually, within its own scope Matched on order id, every time
Recent order history Whatever someone got around to adding Only new events going forward Sometimes, on a higher tier Backfilled on request
What it costs over time No dollar cost, real time lost daily Task-based fees that grow with order count Typically $15 to $45 every month One-off price from $250
Where it lives Your own Trello board Routed through a separate automation tool Limited to that app's own card templates Nothing but your own board and your own login

Where a quick connector usually stops short. Getting a card onto the board is the trivial half of this problem; recognising that card again later and dragging it to the right list is the half that separates a genuinely useful sync from a one-way logger.

InterludeA board worth trusting

Give your fulfillment board something real to track

Choose which orders get a card, how much detail each one carries, and how often the board checks back, and the configurator works out a price and a realistic go-live date on the spot. Ten days is typical, less for anyone willing to pay for a faster slot.

Build your Squarespace to Trello price

Pick a package, answer three short questions about which orders get a card, how much detail each carries and how often the board refreshes, and your price and go-live date move as you choose.

Choose your packageRequired

The three packages differ by how far a card is developed once it lands, and how much the board does on its own from there.

Every order becomes one card, on the board you already work from.

  • A Trello card created for each new order, titled with the order number
  • Matched back to that same card on order id, so a re-checked order never doubles up
  • A status label applied from the order's current Squarespace status
  • A scheduled re-check on real cron that catches anything the last pull missed
  • Your own read-only Squarespace API key, never a shared public app
  • Handover notes (PDF) covering the board layout and every field
  • Two rounds of changes once you see real cards land

Cards move themselves, Received to Packed to Shipped, as the order's status changes.

  • Everything in the Card Sync package
  • The card moves list to list automatically as fulfillment status changes
  • Custom fields carrying shipping method, order total and item count
  • A due date set on the card from your promised ship time
  • Handover notes (PDF) covering every list, field and trigger
  • Three rounds of changes once it is running

A full ops board: packing checklists per card, and one summary card totaling what's still open.

  • Everything in the Board Workflow package
  • A packing checklist added to each card, built from that order's line items
  • A running summary card totaling open, packed and shipped orders
  • Near-instant refresh so a new order reaches the board within minutes
  • Handover notes (PDF) covering the full board structure
  • Four rounds of changes once it is running

Several Squarespace sites feeding one board, a Butler rule chain we should design alongside the sync, or a card structure none of the packages above name. Tell us how your team fulfills orders and we will price it for your build.

Which orders should get a card?Required

Cast the net wider and the board stays fuller, but also more current on refunds and cancellations.

How much detail should each card carry?Required

More detail on the card means less time spent tabbing back to Squarespace to check what was actually ordered.

How often should the board refresh?Required

Trello's API is polled on a schedule rather than pushed by webhook from Squarespace, so this sets how often we check back.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your board needs, watch the total, switch it back off.

Chapter 06The process

From a pile of cards to a board that tracks itself

Six stages carry this from a first look at your board to cards that behave on their own. Plan on around half an hour of your own time, spread across the build rather than spent in one sitting.

  1. A short call

    Sketching the lists

Tell us how your board is set up today, or how you'd like it to be, and we turn your fulfillment steps into a concrete list-by-list plan.

  2. Ten minutes, give or take

    Handing over two credentials

You generate a Squarespace key limited to read access and a Trello token limited to one board, following a walkthrough written for someone who's never done it before.

  3. The bulk of the timeline

    Building the sync itself

Card fields go in first, then the logic that recognises a returning order and moves its card instead of duplicating it, then the triggers that move a card automatically.

  4. Internal, ahead of your review

    Testing against a working copy

We run a set of your genuine recent orders through the build on a duplicate board first, catching anything that needs adjusting before it ever touches the board your team uses.

  5. A handful of exchanges

    Fine-tuning against live orders

Once it's pointed at your real board, you flag anything that reads oddly or lands in the wrong spot, and we tighten it up over your included rounds.

  6. Wrap-up

Signed off and running on schedule

You get a plain-language writeup of exactly what was built, and from here the board updates itself on the cadence you chose.

The short list of things this needs from you

  • Someone on your side able to generate a Squarespace API key
  • Admin rights on the Trello board itself
  • An opinion on which lists actually matter day to day
  • A little time near the end to sanity-check real cards

Chapter 07Trust

What this build can and can't touch

A fulfillment board carries names, addresses and order totals, so we keep both sides of this connection deliberately narrow rather than convenient.

FieldValue CustomerA. R··· ItemPrint Set Total$56.00 Read-only

It can look, it can't touch your store

Reading orders is the extent of what this credential does; there's no path from it back into your listings, pricing or storefront settings.

Scoped to a single board

The Trello token is generated against the one board it's meant for, and simply has no reach into any other board sitting in your workspace.

No credential sharing, ever

If more than one of us needs access during the build, each person gets their own login rather than passing one set of details around.

You hold the switch

Whichever credential you pull, the very next scheduled check simply has nothing valid to run with, and the board freezes right where it was.

We don't keep a copy

Order data passes through the sync long enough to land on a card and nowhere else; there's no separate database of your customers on our end.

Paid once, run forever

Trello itself bills you directly for whatever plan you're on; the build fee is the only thing BoldBellows ever charges toward this sync.

"A fulfillment team stops trusting a board the first time a card lies about where an order stands. We'd rather spend the extra day getting the matching logic right."

Chapter 08In their words

What BoldBellows clients say

Verified feedback from business owners who lean on BoldBellows automations for day-to-day work, boards and beyond.

AI Content & Social Media Automation

Our marketing agency couldn’t keep up with content. BoldBellows set up an AI content engine that writes blog posts and captions and even designs our social media creatives.

It spots trends and suggests topics for us, so we stay ahead of competitors. We now produce three times the content with the same team, and engagement has soared. They didn’t just automate our workflow, they lifted our whole brand.

Daniel BrooksVerifiedToronto, Canada

AI Document & Contract Automation

Onboarding was slow because we wrote every contract by hand. BoldBellows automated the lot: contracts, welcome emails and client setup.

What took 48 hours now takes under 10 minutes, and clients regularly tell us how professional it feels.

Michael O’ConnorVerifiedDublin, Ireland

AI Translation & Localisation

When we expanded abroad we needed fast, accurate translations. BoldBellows built an AI translation system that turns our content into several languages instantly.

The translations read naturally and suit each culture. We now serve customers in five new countries without hiring translators. BoldBellows helped us go global.

Kenji NakamuraVerifiedOsaka, Japan

AI Email & Smart Inbox Management

Our inbox used to be chaos. BoldBellows built an AI email system that sorts messages, drafts replies and flags anything urgent.

It learns how we write and gets better every week. We reply faster and no longer miss important messages. It feels like having a personal assistant working around the clock.

Chloe AndersonVerifiedMelbourne, Australia

AI Chatbot & Customer Support

BoldBellows built an AI support chatbot for our online boutique, and it has changed how we run the business. We used to have two full-time staff answering the same questions all day. Now the AI handles order tracking, product recommendations and even refund requests on its own.

What surprised me most is how natural it sounds. Customers compliment the ‘agent’ without realizing it’s AI. Our support workload dropped by 75% and customer satisfaction went up dramatically.

Maria GonzálezVerifiedMadrid, Spain

AI Automation Partner

BoldBellows is hands-down the best AI automation partner we’ve worked with. Their systems are fast, reliable and built around how our business actually works.

Every automation they’ve delivered, from customer service to content, runs flawlessly. We’ve saved time, cut costs and grown faster than we expected.

Kwame MensahVerifiedKumasi, Ghana

AI Accounting & Invoice Automation

BoldBellows automated our whole invoicing process: creating invoices, sending reminders and tracking payments.

Late payments dropped sharply, and our accounting team finally has time for strategy instead of repetitive admin. Worth every penny.

AI Workflow Automation for Agencies

Running a digital agency with many clients was overwhelming. BoldBellows built one automation dashboard that tracks tasks, sends updates and creates client reports automatically.

Clients love the transparency and we love the time we get back. Productivity is up, and project delays have dropped to almost zero.

Samuel BoatengVerifiedAccra, Ghana

AI CRM Automation

Chapter 09Questions

Before you commit to a Trello board sync

The questions that come up most from sellers weighing this build. Anything more specific to how your team fulfills orders fits naturally into a quote request.

My board already has lists set up. Does that get in the way?

Not usually. We work with whatever's already there where it makes sense, and flag any small changes that would make the matching logic more reliable, all before work starts.

Someone dragged a card to the wrong list. Does that break things?

No. Squarespace's order status is treated as the truth, so the next sync pass simply corrects the card's position to match reality.

Can the card color itself based on what's inside the order?

Yes, that's what the auto-labels extra does. A label gets attached based on the product category involved, so no one has to sort that by eye.

We already run Butler rules on this board. Will they still fire?

With the Butler mapping extra included, card creation and every move are shaped so your existing Butler rules keep behaving the way they already do.

I only care about orders that were actually paid for. Is that possible?

That's the default setting under the cards question in the configurator. Refunds and cancellations can always be switched on later if your needs change.

What about orders that came in before this build existed?

Add the backfill extra and recent history gets pulled in as cards too, so your board doesn't start with a gap on day one.

What happens if one of the two platforms changes its API?

Our sync health list flags a failed write immediately rather than leaving it to be discovered later. With aftercare added, we repair whatever an API change breaks for three months after handover.

Does the price include anything recurring?

No, the quoted price is a single payment. Your Trello subscription, whatever tier you're on, is handled between you and Trello directly.
