BoldBellowsBuilt in Xero's own language

Squarespace to Xero, invoiced, tracked and reconciled properly

Squarespace to Xero automation from BoldBellows posts orders as invoices with the correct tax rate and tracking category, then matches the payout that lands against the invoices and fees behind it. Built around Xero's own terms, tracking categories, bank reconciliation, VAT or GST, not translated from a QuickBooks build.

  • Nothing on your Squarespace account gets altered
  • A full period usually closes out in under three weeks

Chapter 01The reconciliation gap

A payout on the bank feed, no obvious trail back to what earned it

Squarespace doesn't settle funds itself. Whatever pays you, whether that's Squarespace Payments, Stripe or PayPal, deposits a lump sum that bundles dozens of orders, fees and refunds together, and Xero's bank feed has no idea what's inside it until someone tells it.

Our accountant kept asking me to explain a bank line that was really thirty-one separate orders. I stopped being able to answer that question after the first ten.

What a lot of Xero-using Squarespace sellers eventually run into

Manually raised invoices

"I type each order into Xero by hand on a Friday." A weekly batch is manageable at first and unsustainable once volume grows.

Wrong tax rate applied

A rate meant for one region gets used across the board, and a VAT or GST return ends up needing correction after the fact.

No tracking category

Product sales, memberships and bookings all land in one revenue account, leaving nobody able to tell which one is actually pulling the business forward.

Before

  • Invoices typed in by hand, once a week if lucky
  • A tax rate that doesn't match the region it should
  • Revenue with no tracking category attached to it
  • A bank line that takes an afternoon to explain

After

  • Invoices raised automatically, tax rate correct from the start
  • Every line coded to the right VAT or GST rate
  • Revenue split by tracking category, standing on its own
  • A bank line that reconciles itself in seconds

Chapter 02How it works

From a Squarespace order to a reconciled Xero invoice

A short chain, run on a schedule. Squarespace and your processor stay untouched; the sync reads both, builds the invoice, and later matches the deposit that pays for it.

Site & processor Orders, refunds, payout batches Read-only access The sync we build Raises the invoice, tags the category Coded invoices Your Xero organisation Invoices, tax, tracking, a bank feed that clears Site & processor Orders, refunds, payout batches Read-only access The sync we build Raises invoices, tags categories Coded invoices Your Xero Invoices, tax, reconciled feed
Fig. 3. Squarespace and your processor supply the facts; Xero ends up with a matched, coded set of books.

Squarespace: watched, not edited

The credential behind this build can see orders and refunds. It has no way to change a product, a price or an order.

Tax coded per line, not per invoice

Where your region requires it, tax splits by rate at the line-item level, so a VAT or GST return pulls straight from Xero.

Xero: built for a clean close

Invoices carry the right tracking category from the start, and the bank feed matches without a manual reconciliation session.

Chapter 03The accounts

What lands in Xero, and how it's organised

Nothing posts as a generic line item. Your package sets how much tracking and reconciliation you get, and none of it is fixed once your rounds of changes begin.

Chapter 04Who this fits

Built for the people who close a period in Xero

Recognise the bank line nobody could explain? A build that raises the invoice correctly the first time is what makes that problem disappear.

Founders and owners

See real, tracked revenue in Xero without waiting on a bookkeeper's monthly catch-up to know how the business is doing.

Bookkeepers and accountants

A bank feed that clears itself instead of a deposit line that needs a full afternoon of detective work each period.

UK, AU and NZ sellers

A build that speaks VAT and GST natively, instead of forcing a US sales-tax mental model onto a different tax system.

Multi-line businesses

Product sales, services and memberships tracked separately, finally showing which one is actually carrying the business.

Chapter 05The options

Four routes for Squarespace revenue to reach Xero, laid side by side

Most routes below can eventually get a number into Xero. The gap shows up the moment a return needs filing or a bank line needs matching.

Reaching Xero from Squarespace: manual bookkeeping, an automation platform like Zapier, an off-the-shelf connector, or a custom BoldBellows build
Question Manual entry Zapier or Make Generic connector app BoldBellows build
Correct tax rate per line Possible, if someone catches every case No built-in tax logic Usually one rate for everything Mapped to your actual tax rules
Tracking-category support Possible, entry by entry Not built for Xero's tracking model Rarely offered Set up around your actual categories
Bank feed matching By hand, invoice by invoice Not something a Zap typically handles Sometimes, for one named processor Matched against any processor you use
What it costs over time Free, but a real chunk of your week Task usage climbs with every invoice A recurring $25 to $80 monthly charge One-off price from $800
Where it lives Your own Xero organisation Sits under someone else's automation rules Capped by whatever that vendor chose to build Your own Xero, your own credential

Why a US-built connector often misfires here. Plenty of Squarespace-to-accounting apps are written with US sales tax as the default assumption. Run VAT, GST or a tracking-category model that isn't built for a US chart of accounts, and those tools quietly stop matching what your actual books need.

The three packages differ by how invoices are tracked and how far the bank reconciliation reaches.

Every order posts as a Xero invoice, tax split out correctly.

  • Orders posted to Xero as invoices with tax and shipping split into their own lines
  • Refunds matched back to the original invoice as credit notes
  • De-duplication on order id, so a re-checked order never posts twice
  • A scheduled re-check on real cron that catches anything the last pull missed
  • Your own read-only Squarespace API key, never a shared public app
  • Handover notes (PDF) covering every account and tax rate used
  • Two rounds of changes once you see real invoices post

Revenue tagged by tracking category, so each part of the business stands on its own.

  • Everything in the Invoice Basics package
  • Revenue tagged by Xero tracking category, one per revenue type or product line
  • Contacts synced with their order history attached
  • Older invoices brought in on top of new ones going forward
  • Handover notes (PDF) covering the full tracking category map
  • Three rounds of changes once it is running

Payouts matched to their invoices in the bank reconciliation screen, fees and all.

  • Everything in the Tracked Revenue package
  • Payment processor payouts matched to the invoices and fees behind them
  • A clearing account that reconciles to zero once every payout is matched
  • Multiple processors handled together if you use more than one
  • VAT or GST posted by rate, ready for a return
  • Handover notes (PDF) covering every account, category and reconciliation rule
  • Four rounds of changes once it is running

Several Squarespace sites feeding one Xero organisation, multi-currency invoicing, or a chart of accounts none of the packages above name. Tell us how your business is structured and we will price it for your build.

How should tax be handled on each invoice?Required

Xero needs the right tax rate applied per line, not just a total tax figure.

How should revenue be tracked?Required

Tracking categories are Xero's way of splitting revenue without separate ledgers.

How should payouts be reconciled?Required

Squarespace doesn't hold funds itself, so this decides how deep the bank-feed match goes.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your accounts need, watch the total, switch it back off.

Chapter 06The process

Getting from a messy bank line to a period that closes cleanly

Six stages carry this from conversation to a running sync. Your own involvement adds up to under an hour altogether, front-loaded into the brief and a short check once real invoices start posting.

  1. About 25 minutes

Brief: how is your Xero organisation set up?

Walk us through your existing chart of accounts, tax rates and any tracking categories already in use. We build around what's already there.

  2. About 15 minutes

    Access, granted on both sides

A read-only Squarespace key and a Xero OAuth connection, each walked through step by step with nothing assumed.

  3. Most of the project

Invoicing, tracking and tax logic get built

The connection between your site and your processor gets wired up, and each tax and tracking rule gets built to match how your business actually operates.

  4. Before you see it

A real reconciliation, checked before you are

We run an actual payout through the match against real invoices, confirming the bank feed clears before you ever see the result.

  5. Two to four rounds

    You look, we adjust

A short stretch of watching invoices post gives you the chance to flag account names, tracking labels or tax mapping before it's set.

  6. Handover day

Handed over, and it keeps closing itself

Notes covering every account and rule, delivered as a PDF, and a books-closing routine that continues without either of us watching it.

What this asks of you: under an hour, mostly at the start

  • Squarespace permissions sufficient to create an API key
  • Standard or Adviser access in Xero, so we can connect the OAuth app
  • Your current chart of accounts and any tax rates already set up
  • A short window during the review period once real invoices are posting

Chapter 07Trust

Access built narrow, and easy to take back

Financial records deserve real care. The access this build runs on is limited to what raising an invoice and matching a bank line actually require, nothing further.

ContactTotal A. R···£64.00 Studio Co.£212.00 S. O···£56.00 Read-only

Squarespace side, purely observational

Orders and refunds are visible; nothing about a listing, a price, or a site setting can be changed through this connection.

Xero access, scoped to accounting data

The connection reaches invoices, contacts and bank transactions only; nothing about your Xero subscription or users is touched.

Real names on every credential

Whoever is granted access during this project is identified individually, never hidden behind a shared login.

An off switch that actually works

Disconnecting either app from its own settings ends the sync there and then; there's nothing left for you to chase down.

Financial data doesn't sit with us

An order is read, an invoice is posted, and the record moves on; we don't hold a separate copy anywhere on our side.

No ongoing bill attached

The invoice and reconciliation logic runs inside your own Xero organisation; your Xero subscription is billed by Xero, not by us.

"A period doesn't close until the bank feed actually matches. We hold ourselves to the same standard we'd want from anyone touching our own books."

Chapter 09Questions

Squarespace to Xero questions, answered

What sellers and bookkeepers most often want to know before starting. Whatever's specific to your setup, describe it when you request a quote and we'll cover it there.

We're based in the UK. Does this understand VAT properly?

Yes. Tax logic is built around whatever rates and rules actually apply to your business, whether that's UK VAT, Australian or New Zealand GST, Canadian sales tax, or a US model. Nothing here assumes one system by default.

We already reconcile against Stripe payouts manually. Can this take that over?

Yes, that's what the Bank Matched package handles. Stripe, PayPal or Squarespace Payments payouts get matched to their invoices and fees automatically, clearing your bank feed without the manual session.

Can tracking categories reflect how our business is actually organised?

Yes, that's the point of the Tracked Revenue package. Categories are built around your real product lines or revenue types, not a generic template, so the reporting Xero gives you back is actually useful.

Will this duplicate invoices we've already entered manually?

No. Every order is checked against existing Xero invoices by order reference before anything posts, so a manually entered invoice never gets a duplicate created alongside it.

What about invoices from before this sync existed?

The full historical backfill extra brings prior orders in as invoices, posted in monthly batches so the accounts stay balanced rather than arriving all at once.

What happens if Squarespace or Xero changes something in their API?

You'd see it in the sync health log immediately, not as a mystery weeks later. Adding aftercare means we cover the repair ourselves, without charging extra, for the three months right after handover.

Does BoldBellows charge anything ongoing once this is live?

No, the price you pay covers the build outright. Your Xero subscription is a separate arrangement with Xero; nothing here adds a further monthly cost of ours.

A period that closes without a single bank line to explain

Stop reconstructing what a deposit was made of, region by region, rate by rate. A properly built Squarespace-to-Xero sync raises the invoice correctly the first time, checked against your own reconciliation and fully yours once delivered. Try the configurator for an instant number, or describe your setup and let us quote it. It is also the answer to sync squarespace orders to xero, squarespace xero integration and squarespace xero accounting sync.
