Stop letting a Stripe payout throw off your Xero bank reconciliation

A settled Stripe payout rarely lands on the same date as the original charge, and a connector that ignores that gap writes an entry your bank feed will never quite match. This build reads the actual settlement timing before touching your books, resolves each transaction against the Stripe object ID already sitting in Xero's own reference field, and only writes once that identity is genuinely proven.

01The reconciliation-gap trap

A Xero entry that ignores settlement timing is a mismatch your bank feed will find

Stripe collects a charge on one date and settles the payout on another, often several days later and sometimes bundled with other charges into a single deposit. A connector that writes the entry on the charge date alone hands your bookkeeper a bank feed that never quite lines up — and that gap gets discovered at the worst possible time, during a reconciliation review.

"Our bank feed showed one deposit covering eleven charges, but Xero had eleven separate entries dated across two different weeks."

Nothing tracked the actual payout grouping, so the books and the bank told two different stories about the same money.

"A refund posted as a brand-new negative invoice instead of being linked back to the original sale it was reversing."

Without a stable reference tying the two together, the refund read as an unrelated transaction rather than a correction.

"A webhook retry duplicated a fee entry, and it took our accountant an afternoon to find where the extra dollars had come from."

With no match against the existing transaction, the retry created a copy instead of confirming the original had already landed.

Reconciliation is where a sloppy sync gets found out. Xero's bank feed doesn't care how the entry got there, only whether it matches what actually hit the account. The transaction-reference match exists to make sure it does, every time, not just on the days someone happens to check.

The same Stripe activity sits behind both pictures below. The difference is whether your bookkeeper spends reconciliation day confirming numbers, or hunting down where they diverged.

Before

Entry posted, charge date only Reference match: none Settlement timing check: none
  • Bank feed and books disagree on the deposit date
  • A refund reads as unrelated to its original sale
  • A resent event quietly adds an extra line item

After

Event STR-944951, settlement: confirmed Matched before the entry ever posts ✓ Entry dated to match the actual bank deposit ✓ Refund linked back to its original invoice ○ Genuine timing gap held for a person to confirm
  • The bank feed and the books agree by default
  • A refund stays linked to what it's reversing
  • A resent webhook updates, never duplicates

02How it works

Getting from a Stripe event to a proven ledger entry

The event is read as an invoice, payment, fee or refund. Its object ID is claimed in the transaction reference, the contact and account are checked, and the entry ID is kept. A retry matches on that reference and never posts twice.

1 STEP 1 Read the event Invoice, payment, fee or refund 2 STEP 2 Claim the reference Object ID goes in the transaction reference 3 STEP 3 Check the ledger Contact, account and tax treatment STEP 4 Keep the entry ID Retries match on it, never re-post Unclear entry returns to lookup 1 STEP 1 Read the event Invoice, payment, fee or refund 2 STEP 2 Claim the reference Object ID goes in the transaction reference 3 STEP 3 Check the ledger Contact, account and tax treatment STEP 4 Keep the entry ID Retries match on it, never re-post Unclear entry returns to lookup
Nothing posts until the step before it holds. An unclear entry returns to lookup rather than reaching the ledger.

Why settlement timing gets checked before an entry is dated

  • Interpret separates the charge date from the payout date. Those are two different facts, and treating them as one is exactly what breaks a bank reconciliation.
  • Claim identity runs before any field gets mapped. Whether this transaction already has an entry in Xero shapes everything that happens downstream of it.
  • Store proof holds onto the actual Xero identifier that came back. A future retry checks that exact value first, which is what keeps it from writing the same entry a second time.

03What actually ships, tier by tier

Everything between a matched entry and books you never have to double-check

Xero Essentials covers the base: identity claiming and a properly structured entry. Workflow adds branching and a matcher that separates a genuine duplicate from an honest update. Oversight layers standing reconciliation on top, for books that depend on this route running correctly every single day.

Stable identity ledger Essentials

Establishes which Stripe object an event traces back to, ahead of any mapping work.

Xero object constructor Essentials

Builds the invoice, payment, fee, refund or clearing entry under destination-native rules.

Replay-safe destination matcher Workflow

Recognizes a resend for what it is instead of treating it as new business.

Conditional routing matrix Workflow

Splits a currency-conversion adjustment onto its own path, separate from a plain domestic sale.

Reconciliation register Oversight

Surfaces the exact week a bank deposit and its Xero counterpart drift apart.

04Who it's for

Built for the people who close the books every month

Finance leads who need reconciliation day to be a formality instead of an investigation, external bookkeepers juggling Xero for more than one client, and controllers who need a settlement-timing exception to follow a written policy instead of a judgment call under deadline.

Finance lead

Walks into reconciliation day already knowing the bank feed and the books will agree.

External bookkeeper

Stops manually cross-checking Stripe payouts against Xero for every client on the books.

Controller

Points to a written policy for a settlement-timing gap rather than defending a judgment call after the fact.

05Compare

What speed actually costs you once reconciliation day arrives

A basic webhook-to-Xero setup posts an entry the moment an event fires, with no concept of when the money actually settled or whether a matching entry already exists. Confirming identity, honoring settlement timing, and standing behind the write is exactly the part that speed leaves out.

PricingClear, one-off packages

Make reconciliation day a formality, not an audit

Essentials, Workflow and Oversight mostly differ in how much branching and standing reconciliation your transaction volume can actually justify paying for. Describe the settlement pattern your bookkeeper currently reconstructs by hand, and we'll scope the price to match it. Xero Essentials opens at $745.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance logic sits around the base matching route.

One Stripe account and one Xero organization, with the identity and failure controls a live books connection needs.

  • One authorized Stripe account, one Xero organization
  • Trigger boundary for one defined lifecycle event
  • Approved field mapping for the objects this route touches
  • Contact-linked invoice, payment, fee, refund or clearing entry
  • Duplicate, permission, missing-field and timeout tests
  • Handover naming the route's owners and repair steps

Branching by transaction type plus a scoped historical import, for a ledger that needs more than one straight path in.

  • Everything in Xero Essentials
  • Up to four qualification or routing branches
  • Matching through the Stripe object ID in the transaction reference
  • One controlled historical window with a checkpoint
  • Destination lookup before any uncertain replay
  • Field-change register and exception ownership

Standing reconciliation and drift alerts for an organization that can no longer afford to find a mismatch late.

  • Everything in Xero Workflow
  • Scheduled source-to-destination state comparison
  • Drift detection on the fields this route depends on
  • Volume-aware backoff and retry ceilings
  • Exception register with age, severity and assignee
  • Thirty-day launch review plus administrator notes

Several Stripe accounts, multiple Xero organizations, regulated retention, unrestricted bidirectional sync or unsupported extensions. Tell us the real scope and we will price it for your build.

06The process

A real bank statement tells us more than a clean example ever could

Xero Essentials moves fastest when there's one Stripe account feeding one organization — most of the time goes into confirming the transaction-reference match against your actual data, not building anything exotic. Workflow slows down because a routing branch only earns trust once it's been checked against your real payout patterns, not a clean example. Oversight takes the longest of the three: reconciliation has nothing to prove itself against until a genuine mismatch shows up, and manufacturing one honestly takes real cycles. If more than one entity shares this Stripe account, say so early rather than after we've scoped around a single one.

Before we open your organization Which Xero account each transaction type maps to How a payout grouping several charges should post How far back a historical import should reach Who confirms a genuine settlement-timing exception Set once, tuned to your real payout pattern Rehearsal run Simulated set: 45 events Events checked 45 Entries reconciled 43 Bank-feed mismatches 0 Ready for your organization
  1. Bring an actual bank statement to the table

A real payout grouping several charges tells us more in ten minutes than a hypothetical example would in an hour.

  2. Confirm the chart of accounts together

Which Xero account each Stripe object should post to gets agreed and written down before the mapping is built.

  3. Point the match at your live organization

Everything that was running against sandbox data gets repointed at your real Stripe account and the Xero organization you named.

  4. Try to fool it with the hard cases

A bundled payout, a partial refund and a resend all get run through on purpose before anything touches live books.

  5. Reconcile the first live week together

Real transactions run with your bookkeeper watching, and the route earns unsupervised trust only once that week ties out clean.

Three things to have ready

  • Restricted, not full, Stripe account access.
  • A bookkeeper who actually knows your chart of accounts.
  • One recent statement showing a genuine settlement gap.

07Security and ownership

Your organization file is a destination, never a workspace we operate in

Every write happens through Xero's own published API — there's no add-on sitting inside your organization, nothing installed that outlasts the engagement, and nothing that can reach past the one Stripe account it was authorized to read.

Other organizations in your Xero account stay untouched

Access is granted to the one organization this route was set up for — nothing wider, even if your login has access to others.

Raw card numbers never make the trip from Stripe

Only the fields the mapping actually needs cross over — full payment method details stay exactly where they already live.

A guess never turns into a posted transaction

When the transaction-reference match can't confirm an entry, the route stops and asks — it doesn't post its best guess and move on.

A stalled post doesn't get hammered blindly

A revoked permission or a rate limit pauses the queue and names the block, rather than retrying the same failing request.

Logs describe decisions, not financial detail

What's retained for troubleshooting is which entry a check touched and when — never a duplicate archive of sensitive payment data.

Your bookkeeper inherits every rule this build sets

The mapping, the reference logic and the exception policy all transfer at handoff, documented plainly enough to edit without us.

09FAQ

What bookkeepers ask before trusting this with the books

Not sure how a specific Stripe payout pattern should reconcile in Xero? Bring us a real bank statement and we'll walk through exactly how it would post.

Doesn't Xero's built-in Stripe feed already handle this?

The standard bank feed is built to reconcile what's already there — it has no concept of routing by transaction type, a reference-field match that survives a resend, or a documented policy for a settlement-timing gap. Those are exactly what this build adds.

Does this install anything inside our Xero organization?

No. It runs entirely as an external service calling Xero's published API. Disconnect it and your organization is left exactly as it was, with nothing left behind to clean up.

We've got a backlog of Stripe transactions — can those be brought into Xero too?

Yes, inside a bounded window we agree on together. Each historical transaction runs through the identical reference-matching logic as live traffic, so nothing already in your books gets duplicated or overwritten.

Is our Xero subscription included in your price?

It's not — what you're quoted is entirely our build fee. Your Xero plan and Stripe account keep billing separately, on their own terms, untouched by this engagement.

What happens the day Stripe or Xero changes their API?

We build against each platform's documented behavior and record that assumption at handover. If either side later breaks the contract, an affected entry gets paused and flagged instead of posting on guesswork, and fixing the underlying break is separate work unless you're still in the review window.

Our Stripe setup has multi-currency payouts and split fees — can that map into Xero cleanly?

Generally yes, provided it's on the table during mapping. A currency conversion or fee split with a clear accounting treatment gets built in directly; anything genuinely ambiguous goes to a person instead of getting posted on a best guess. This page also answers searches for stripe to xero, sync stripe payments to xero and stripe xero integration.

Next stepStop finding the mismatch during reconciliation

Let Xero and your bank feed finally agree by default

Bring one recent bank statement, the payout grouping that's already caused confusion, and the reconciliation habit your bookkeeper wants automated — we'll scope the build around it. Xero Essentials starts at $745.

  • From $745, paid once
  • A refund stays linked to its original sale
  • A resend updates an entry, never doubles it
  • A settlement gap is reconciled, not discovered late
