BoldBellowsTalent pool rediscovery automation for agencies sitting on thousands of past candidates nobody searches

Talent pool rediscovery automation that matches each new role to people you already know and checks consent and recency before anyone is contacted

A talent pool holds people who applied or were placed before, and rediscovery matches them to a new role by skills and availability, then contacts only those whose consent and recency rules allow it. BoldBellows lists the groups of past candidates you hold, the rules for how recently and how often you may contact them and the roles you fill most, before a single person is matched, matches new roles against people already in your database by skills and availability, checks consent and recency before anyone is shortlisted and leaves every contact to a recruiter, then builds talent pool rediscovery automation role by role: a new job order is turned into a profile of required skills, location and availability, your database of past applicants and placements is searched on those terms, candidates who opted out, have been contacted too recently or lack consent are removed, the remainder are ranked with a short reason for each match, and the ranked list goes to the recruiter together with a message draft to review. Candidates who were placed recently are left alone, and each rediscovered contact is logged. Custom talent pool rediscovery automation can add alerts when a past candidate updates their profile.

Chapter 01 the nobody-searches-it problem

A database of six thousand people is a cost, not an asset, until it is searched

The database has years of applicants and placements, and the search box is hard to use well. When a new order lands, the habit is to post an advert, and a week later to receive applications from people already in the database. Past placements who would love another assignment are never asked. Contact rules are unclear: someone has asked not to be contacted, and someone else was messaged yesterday by a different recruiter. The database ages, and with it the value of everything it holds.

We filled the role from the database in two days and never posted the advert.

Facts about Recruitment Team that shape talent pool rediscovery

  • Past candidates are warm leads: A talent pool holds people who applied or were placed before, and rediscovery matches them to a new role by skills and availability, then contacts only those whose consent and recency rules allow it.
  • Recency rules protect the relationship: Because people are less welcoming when contacted again too soon, the route checks the last contact date and a placement status before a name is ever shown.
  • When a write is doubtful: The route finds the record in Talent Pool Rediscovery by the past candidate, the new role and the reason for the match, compares it with the intention and only then decides.

Suited to busy in-house talent teams, and to those who find strong people you already know for each new role, before spending on adverts, and contact only those you are allowed to

The cheapest candidate to find is the one you have already met, and the only barrier is a search nobody has time to run.

Chapter 05 The options

Not a database of thousands that nobody searches because the answer is always 'post an advert', not a basic zap, but skills and availability matching across past candidates, consent and recency checks and ranked matches for review

Each can search a database. Only one builds the search from the role, respects consent and recency and ranks with reasons.

A stale event shows up last

Time is checked before anything is written: the stale event is logged with its reason and the current pool match stays as it is.

A strong match was placed with a client three weeks ago

The recent placement status removes the person from the list, a note is added for review at the end of the assignment, and the recruiter sees why the name is missing. Matching on the past candidate, the new role and the reason for the match, the route sorts the situation into absent, present and correct, present but different, or ambiguous. If the pool match exists and matches, nothing more is written.

The past candidate, the new role and the reason for the match is the one thing that cannot change after launch, so it is settled on day one.

Chapter 06 The process

Six steps from a dormant database to a working pool

Brief, access, design, test, launch and review: six steps, each with a deliverable.

  1. About 30 minutes

    Audit your pool

We look at what fields your database holds, how complete they are and how contact status is recorded.

  2. Access review

    Approve access

Before building talent pool rediscovery, we set up the smallest set of permissions that works in Recruitment Team and agree how records will be matched.

  3. Most of the project

    Agree contact rules

Consent, opt-out and recency rules, plus who may contact whom, are written down and signed off.

  4. Before you review

    Run the hard cases first

Repeats, stale events and permission changes are tested before the easy cases, in a copy of Talent Pool Rediscovery.

  5. Handover day

    Launch with notes

For Talent Pool Rediscovery, after sign-off the route runs live from the agreed starting point, with plain-language notes for your team.

  6. About 30 minutes

    Check the live results

The first runs are compared record by record with the source so you can see the route doing its job.

Chapter 07 Turnaround

Turnaround you can plan around

Timing begins once your database can be read and the contact rules are agreed.

Read-only Recruitment Team to Talent Pool Rediscovery access: your data stays yoursA brass keyhole plate with a key turning in it and a key ring of tags for you, your team and your accountant, marked named people only and read-only.YouTeamAccountantNAMED PEOPLE ONLY · READ-ONLY

Supported connections, nothing more

Access runs through the approved connection points on both sides, so an update to Recruitment Team or Talent Pool Rediscovery does not undo the build.

Scoped, revocable access

With Talent Pool Rediscovery in place, you can rotate or remove every credential without asking us.

Private details stay private

Internal notes, payment information and anything outside the map remain in Recruitment Team and never appear in Talent Pool Rediscovery.

Doubt goes to a lookup

When a write might have landed, the answer comes from Talent Pool Rediscovery, matched on the past candidate, the new role and the reason for the match, not from a second attempt.

Minimal logging

No Recruitment and Staffing message bodies, contact lists or payloads are stored in our logs.

Full handover

Ownership passes to you with the written runbook, for this Talent Pool Rediscovery service.

"A good database is a memory the agency shares, and rediscovery is simply the habit of asking it first."

Chapter 11 Questions

Talent pool rediscovery: questions from recruiters and owners

Practical answers on scope, price, access and what happens later, in the Talent Pool Rediscovery service.

Is access read-only?Who owns the result? What happens after handover? Can it be changed later?Open any question
Why not use a simple Recruitment Team connector for talent pool rediscovery?

Fills from people you already know, found in hours is well within a zap's reach. It does not match a new role to past candidates, respect consent and put the best on a recruiter's list. The build is the part that handles what a simple zap cannot.

Does it contact past candidates itself?

No. It ranks matches and drafts a message, and a recruiter decides who to contact.

How is consent handled?

Consent and opt-out flags are checked first, and anyone without a valid flag is left out.

What is recency?

The time since someone was last contacted or placed, with limits you set.

Will it work with an old database?

Yes. We check data quality first and the quote states what can be matched.

Can matches be explained?

Yes. Each match lists the skills and availability that fit.

How is pool rediscovery priced?

The condition of the database, your contact rules and the systems involved decide one fixed amount, stated before work starts.

Do I see the field list before talent pool rediscovery is built?

Database fields, contact rules and matching terms are collected on one page for your approval before a search runs.

Can we decide when talent pool rediscovery stops and asks a person?

Yes. The route is shaped around your own thresholds and exceptions, and pricing starts at $1,870.

If Recruitment Team renames a field, what breaks?

For Talent Pool Rediscovery, we design for change by making failure visible.

Give your recruiters a ranked list from your own database for every new role

Tell us about the database you have and the roles you fill most; you receive a written quote before a search is run.

  • From $1,870, paid once
