BoldBellowsTally to ClickUp automation that respects task types

Tally to ClickUp automation that checks which fields a task type accepts before it creates the task

ClickUp lets a bug, a request and a client onboarding each carry different custom fields, and a generic connector ignores that. BoldBellows reads the finished Tally response, picks the list and custom task type, confirms the fields that type actually accepts, then creates one task with assignee and due policy, keyed by the response ID, so a repeat updates it and nothing is written into a field that does not apply.

Chapter 01 the one-size task problem

Every ClickUp task type has its own fields, and a generic form connector fills them all the same way

ClickUp is flexible because types and lists differ. That flexibility is exactly what a simple connector trips over: it writes a severity into a task that has no severity, or drops a budget into a list that never shows it, and the task looks right while the data is wrong.

The severity was in the data, but on the wrong kind of task, where nobody looked.

From a workspace admin's audit

Severity landed on a request

The form's severity answer was written into a client request, where the field is hidden and nobody ever saw it.

Every task became a generic task

Bugs, requests and onboarding all arrived as the same type, so type-based views and automations never triggered.

The task went to the wrong list

A default list collected everything, and a person sorted the pile by hand each morning.

Before

  • Every response becomes the same kind of task in a default list
  • Values are written into fields that may not apply
  • A lost reply means the whole step is repeated

After

  • The type, list and assignee are chosen from the resolved answers
  • Only fields that the type and list accept are filled
  • A retry checks the stored key before anything else, then updates

Chapter 02 How it works

How a Tally response is fitted to the ClickUp task type it belongs to

The route picks the type and list, confirms what fields apply, creates the task once and keeps the key to find it later.

How Tally to ClickUp automation works: entries in, one clean task each, on a scheduleEntries travel as letters from your Tally form through a post office, the sync we build, which checks and cancels each one, into the mailbox that is your ClickUp space.FORMSPACEYour Tally formEntries, answers, files, editsThe sync we buildAdds new entries, fixesedited ones, double-checks ona scheduleYour ClickUp spaceEntries, lists, daily totals,reportsREAD-ONLYACCESSONE TASKPER ENTRYCHECKEDHow Tally to ClickUp automation works: entries in, one clean task each, on a schedule, stacked: form, post office, then mailbox.FORMYour TallyformEntries, answers, files, editsThe sync webuildAdds new entries, fixesedited ones,double-checks on aSPACEYour ClickUpspaceEntries, lists, dailytotals, reportsREAD-ONLYACCESSONE TASKPER ENTRY
Fig. 3. The chosen task type decides which custom fields the route may fill.

Classify the response

After the logic has settled, the response is sorted into a task type and list by the rule you wrote, and the choice is recorded.

Check the fields that apply

Each custom field is tested against the chosen type and list, so values go only where the task will show and use them.

Create once, then confirm

One task is made with its assignee and due policy, its ID is stored against the response, and any skipped field is noted for review.

Tally and ClickUp facts the design relies on

  • Custom task types: ClickUp supports custom task types, which is what lets a bug and a client request behave differently in the same space.
  • Custom Fields: Custom fields can be limited to certain lists, so the route checks applicability rather than assuming every field exists.
  • Tally conditional logic: Tally can show, skip and calculate based on earlier answers, and that resolved state is what drives the classification.

Chapter 03 What ships in the build

Inside the build: the pieces of the Tally ClickUp route

Foundation sorts each response into a type and reserves its key. Operations checks fields and builds the task. Governance keeps an eye on the workspace as it changes.

Tally response classifier

Sorts each response into a task type and list, and keeps the reason beside the decision.

Foundation

Task key resolver

Stores the response ID in a custom field that the chosen type accepts, and searches it before any create.

Foundation

Applicable-field mapper

Builds the task with assignee, due policy and only the custom fields its type and list accept.

Operations

Tally replay guard

Before creating anything, the route notes which form, response and moment this is, and a second arrival of the same triple is turned away.

Operations

Skipped-field register

Records every answer that had no applicable field, so gaps in the model are visible instead of hidden.

Governance

Workspace-drift monitor

Catches a retired type, a renamed list or a moved custom field before incomplete tasks start to appear.

Governance

Turn Tally responses into a ClickUp task with a Tally ClickUp integration and a Tally ClickUp task create rule that respects the space, and add Tally ClickUp tracking, a Tally ClickUp workflow and Tally ClickUp notification steps. A Tally ClickUp automation, a Tally ClickUp space sync and a Tally ClickUp API integration are planned with your workspace admin, who can also connect Tally to ClickUp in place of a Tally to ClickUp Zapier setup.

Chapter 04 Who this fits

For teams that collect work through Tally and organise it in ClickUp spaces

If your spaces use different task types, the form should land work in the one that fits.

Workspace admin

"Do not fill fields that the list hides."

Applicability is checked per type and list, and skipped answers are logged, not lost.

Engineering lead

"Bugs must arrive as bugs, with a severity I can filter by."

The type is chosen from the answers, so type-based views and automations work on day one.

Account manager

"Client requests need the client's name and a due date."

Assignee and due policy come from the response, so the request has an owner from the start.

Operations manager

"I want the same form to feed different workflows."

Conditional logic in Tally drives which type and list each response reaches.

Chapter 05 The options

Tally to ClickUp with one generic task, a zap, or a type-aware build

All three can create a task. Only one checks whether the fields make sense for it.

Comparison table: Tally to ClickUp with one generic task, a zap, or a type-aware build
Question A generic form task A quick zap from Tally into ClickUp BoldBellows type-aware build
The task type Always the default One type for everything Chosen from the resolved answers
Custom fields Filled whether they show or not Mapped one to one Filled only where the type and list accept them
Which list A default inbox A fixed list Decided by a list rule
A repeated delivery Not handled A second task Finds the keyed task and updates it
BY HANDAUTOMATEDExportCopyPasteFixCheckSendEvery Monday · about 3 hours · errors creep inSync runs on its ownEvery 15 minutes · nobody's time · totals checked

A field stops applying after a change

An admin narrows a custom field to another list; Operations notices at the next check, skips the write and logs it, rather than failing silently.

A task was created and the reply went missing

The key field is queried for the response ID; the task found there is recorded and the retry edits it instead of creating another.

Connect Tally to ClickUp through task type and list first; the field checks, the key and the repairs all follow from that choice.

Build your Tally to ClickUp price

Pick a package, answer three short questions about how Tally data should reach ClickUp, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tally to ClickUp route.

A focused production route for one Tally environment and one ClickUp destination, delivering ClickUp tasks whose type, list and custom fields all agree with the form answers with identity and failure controls from day one.

  • One authorized Tally form and one ClickUp target
  • Eligibility rule for a Tally response whose conditional path, hidden attribution fields, and calculated answers are fully resolved; this control is tested inside the Tally to ClickUp acceptance boundary
  • Replay identity: form ID, response ID, and submission timestamp; the Tally to ClickUp workflow treats this as a destination-specific control
  • Destination output: task with list, custom task type, assignee, due policy, and applicable custom fields; this boundary is explicit in the Tally to ClickUp field map
  • Normal, duplicate, missing-value, and permission tests
  • Written administrator handoff for the Tally ClickUp route

Adds branching, matching and a bounded historical pass for teams whose route into ClickUp cannot be one straight-through action, while still delivering ClickUp tasks whose type, list and custom fields all agree with the form answers.

  • Everything in ClickUp Foundation
  • Three routing or qualification branches tied to real form answers; in Tally to ClickUp, this is measured during release testing
  • Response export reconciliation against the retained Tally response ID for the Tally to ClickUp route
  • One bounded historical-entry pass
  • Owned handling when the chosen custom task type does not support one of the mapped fields; the Tally to ClickUp recovery path preserves this exact decision
  • Mapping-change and field-ownership notes

Adds reconciliation and governance for teams that now depend on ClickUp tasks whose type, list and custom fields all agree with the form answers, with drift detection and an exception register for ClickUp.

  • Everything in ClickUp Operations
  • Scheduled comparison against current Tally state
  • Destination lookup before replaying uncertain requests
  • Volume, timeout, and rate-limit protection
  • Exception summary with named repair ownership
  • Thirty-day launch review and premium PDF handover notes; within Tally to ClickUp, that rule protects the destination record

Multiple business entities, regulated retention, unsupported third-party extensions, bidirectional synchronization, or destinations beyond this page receive a custom quote with separate acceptance criteria; for Tally to ClickUp, the condition remains visible to its named owner.

Submission boundary: which option fits your Tally to ClickUp route?Required

Full eligible lifecycle: Covers the full eligible lifecycle of a Tally response, with a reconciliation pass against ClickUp.

How should ClickUp recognise a Tally record it has already handled?Required

Ambiguity quarantine: Holds an ambiguous ClickUp match for a person instead of letting the route guess.

What should happen when a ClickUp write can't be confirmed?Required

Open an operator case: Opens a case with an owner and the evidence whenever a ClickUp result is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Five steps from a mixed request form to tasks of the right type

Expect a short brief, an access review, a build we test hard and a handover pack, in that Tally order.

  1. About 30 minutes

    Inventory your task types

We list the task types in your spaces and which custom fields each type and list actually accepts.

  2. Access review

    Approve access

On this Tally to ClickUp route, we connect the two systems carefully, keeping access to what the agreed route requires.

  3. Most of the project

    Agree types, lists and fields

The task types, lists, assignee rules, due policies and which fields apply to which type are written down and signed off.

  4. Before you review

    Test with mixed submissions

Bug reports, client requests, edited answers, repeats and a deliberately hidden field go through a test space.

  5. Handover day

    Launch with notes

The route is enabled from a fixed point in time and the PDF records every setting we chose.

Chapter 07 Turnaround

Chapter 08 Getting started

Your part in the first week

Scoped Tally access, approved by whoever administers it

Admin access to the ClickUp workspace, space and lists involved

A list of task types and the fields each one uses

Someone who settles what happens to an answer with no matching field

Chapter 09 Trust

Only fields that apply are written, and ClickUp is not modified

On this Tally to ClickUp route, we ask for the smallest access that makes the route work and record exactly what that is.

Read-only Tally to ClickUp access: your data stays yoursA sealed envelope marked private and yours to open, with a read-only stamp.PrivateYOURS TO OPENREAD-ONLY

Both tools stay as shipped

No code is installed inside ClickUp or Tally; the route uses their published APIs and nothing else.

Scoped, revocable access

Keys stay in your accounts, and their scope is listed for your auditors.

A field map you approve

Tasks carry mapped answers alone; attachments and free text stay in Tally by default.

Search before creating

The key field is searched before any write, so a lost reply can never turn into a second task.

Minimal logging

You can inspect exactly what is logged, and it contains no customer text.

Full handover

Your administrators receive a document they can follow without a briefing.

"A flexible workspace deserves a connector that notices the flexibility, so this build checks what a task can hold before it writes."

Chapter 11 Questions

Tally, ClickUp and task types: questions from workspace admins

Quick answers, no sales language, and a route to ask more.

Do I need to be there? No. You send one short brief. Then you review a finished result.Search any question
Is a Tally to ClickUp Zapier zap enough?

If each response can be the same type of task in one list, a zap will do the job. Choosing a type from the answers, testing whether a field applies and recognising a repeat are the parts it lacks.

Can Tally create different ClickUp task types from one form?

Yes. The resolved answers choose the type, list and assignee, and only the custom fields that type accepts are filled.

What happens to an answer that has nowhere to go?

It is listed in the skipped-field register with the reason, so you can add a field or change the rule.

Do I approve the Tally mapping before you build?

Yes, in writing. The Tally ClickUp field mapping service yields a reviewed table of fields, formats and rules that you approve before launch. If you searched for tally responses to clickup task, this is the service that delivers it.

Can you automate Tally data to ClickUp as a custom workflow?

Yes. Conditions such as region, product or threshold become a custom Tally workflow for ClickUp. We advise as a Tally ClickUp integration consultant would, from $425.

What if ClickUp changes its rules?

Work after the review window is scoped afresh.
